1 Introduction to BLR s Employee Handbook Builder The BLR Employee Handbook Builder allows you to create your own customized employee handbook. Benefits include: Ability to work on a handbook from any computer Compliance with Federal and State laws Expert interview questions guide you through the customization process Intuitive workflow graphic so you know where you are during handbook creation Creating an Employee Handbook - Interview: 1. From the DASHBOARD click START HANDBOOK. The first set of Interview questions display. 2. Answer a series of questions pertaining to your company s policies. Click Skip to skip a question; you can come back to it at any time during the Interview process. 3. Click the arrow buttons to save and move to the next or previous question. 2 4. Enter the Number of Employees in each state and city. The number of employees you enter in each field determines the policy questions you must answer later in the interview process as well as the resulting policies that go into the handbook. Note: If you don t see a state in the list, then there are no policies specific to that state and the number of employees entered. Note: The percentage complete status bar shows you where you are in the Interview process. 5. Click the ANSWERED tab to view the list of answered Interview questions. Select a link to return to a specific Interview question. Tip: Use the Search field to locate and return to a particular question. VERSION 08/15/2017 QUICK REFERENCE CARD 2
3 6. Click the SKIPPED tab to view the list of skipped questions and determine if there are any questions remaining to answer in the Interview process. Note: In order to move to the Policies process, all interview questions must be answered. Creating an Employee Handbook - Policies: 1. Use arrow buttons or left navigation menu to review policies in any order. Note: Only applicable policies are listed in the left navigation menu. 2. Click Edit to modify a policy to match your companies practices. A Note displays reminding you to use caution when editing compliance sensitive variables within the Handbook. 3. 4 4. Click SAVE. Note: There are warning messages throughout to help ensure that no content is lost. 5. Click the plus sign in the Related Questions section to expand the section. The Interview questions that relate to the policy display. 6. If needed, click Change to view and edit the answers to the Interview questions. The interview question that relates to the policy displays. Note: The Interview answer may appear in multiple policies, and editing the answer will update all policies. 7. As you edit polices, icons are placed on the left navigation menu. Click the LEGEND tab to display the definition of the icons. VERSION 08/15/2017 QUICK REFERENCE CARD 4
5 8. A flashing P icon in the left navigation menu indicates a pending policy update. Click the ACTION ITEMS tab for a list of all pending policies, then click the link to the policy that needs attention. Once the policy is reviewed, it will be removed from the ACTION ITEMS tab. 9. Click Add New Section to add an additional section to the handbook. 10. Click Add New Provision to add policies within the new section. 11. Click Add Acknowledgement to add additional custom acknowledgements. Note: Handbook Builder comes with 3-4 general acknowledgements. VERSION 08/15/2017 QUICK REFERENCE CARD 5
6 12. Click Review All Policies to view a list of all policies available in a handbook regardless of how an interview question was answered. 13. Type a word found in a policy in the Keyword field. 14. Click SEARCH. All policies that contain that word display. 15. Use the filters to view only those policies applicable to the filter. For example, the Not Applicable filter will display those policies not included in your handbook, based on your response to an interview question. 16. Click View to go to the policy. 17. Click View Master Policy to view policies not applicable to your handbook. VERSION 08/15/2017 QUICK REFERENCE CARD 6
7 Creating an Employee Handbook - Finalize: 1. Click Finalize once you finish editing policies to finalize the handbook. 2. Select how you would like to generate your handbook: individual or combined for each state. 3. Click the right arrow button. 4. If needed, rearrange the sections, or policies, under each section. To rearrange the policies under a section, click the plus sign to the left of the section to display the policies. VERSION 08/15/2017 QUICK REFERENCE CARD 7
8 5. Click the policy you wish to move and drag it to its new position. 6. Release your mouse and the policy drops into its new position. 7. To move an entire section and the policies associated with the section: click the section, drag it to its desired location and release your mouse. The section drops into its new location within the handbook. 8. Click the right arrow button. 9. Click Preview to view a PDF of the handbook. Tip: During the Finalize stage, consider sharing the Handbook with colleagues for review and edits. VERSION 08/15/2017 QUICK REFERENCE CARD 8
9 Creating an Employee Handbook - Publish: 1. Click Publish. The Handbook is now available to your employees online as an HTML document, in a printer friendly PDF version or both. 2. Click Open Handbook (PDF), to open the PDF version of the Handbook. 3. Click Print from the menu if you didn t print the handbook after publishing. Note: If any changes were made to the policies in the handbook since publishing, make sure to publish again before printing. VERSION 08/15/2017 QUICK REFERENCE CARD 9
10 4. Click View to preview a Published Handbook in an HTML or PDF format. 5. To distribute the Handbook online as an HTML document, click Employee Access to set up a username and password.
