7 Sametime 2.5 Print Capture Help Using Sametime Print Capture Sametime Print Capture is a virtual printer that allows you to convert files for display on the Sametime whiteboard. To use print capture, open the document that you want to convert in any Windows program. Choose File - Print, and select Sametime Print Capture as the printer. The file is converted to a Sametime file (.fst, or file for Sametime ) rather than printed on a piece of paper. When you use Sametime Print Capture, you can configure the color, size, orientation, and resolution of the file to meet your specific needs. You can also generate files that are much larger than your screen can display, so that you can use full-page documents or drawings at full resolution during your meeting. This larger-than-screen capability allows you to use large drawings without sacrificing detail. To create a file for whiteboard display: 1. Open the Windows program and the document that you want to display on the whiteboard. 2. Choose File - Print. 3. In the Print dialog box, select Sametime Print Capture as the printer. Note To modify paper size, resolution, orientation, or color, click Properties in the Print dialog box, and then click OK. 4. Select the page(s) you want to print, and then click OK or Print. Note Each page of your document that is denoted by a page break becomes a separate page in the whiteboard file. 5. When the Sametime Print Capture dialog box appears, enter the file name for the file that you want to display on the whiteboard. Use the Folders section of the dialog box to choose a drive and directory for the file. Click OK. 6. When printing is completed, you can create a new meeting in the Sametime Meeting Center and attach the file. (To attach the file, click the Files tab on the New Meeting page and browse to select the file you created with Sametime Print Capture.) 1

8 Note Some Sametime servers require you to use.fst files (produced with Sametime Print Capture) for the whiteboard. See your system administrator for more information. Changing the Sametime Print Capture Settings You can modify the Sametime Print Capture settings to meet your specific needs when you are ready to create a whiteboard file. When you make changes to the Sametime Print Capture settings in your program, the changes might only apply to that particular document and program. You can change the default Sametime Print Capture settings in the Control Panel printer properties. The method to modify settings depends on your computer s operating system. The procedures below describe how to modify settings in Windows 95, Windows 98, Windows Me, Windows NT, and Windows Windows 95, Windows 98, or Windows Me Windows NT To modify settings in Windows 95, Windows 98, or Windows Me: 1. Choose File - Print. 2. Select Sametime Print Capture as your printer. 3. Click Properties. 4. Modify the settings in the Sametime Print Capture Setup dialog box. 5. When you have finished modifying the settings, click OK. 6. In the Print dialog box, select the page(s) you want to print and click OK or Print to create a whiteboard file with your new settings. To modify settings in Windows NT: 1. Choose File - Print. 2. In the Print dialog box, click Properties. 3. In the Document Properties dialog box, click the Advanced tab to specify settings for the file. Click the item you want to change, and select the new setting in the Settings box. The available settings are listed below. 4. When you have finished modifying the settings, click OK. 5. 9 Windows 2000 To modify settings in Windows 2000: 1. Choose File - Print. 2. In the Print dialog box, click Printer. 3. In the Print Setup dialog box, click Setup. 4. In the Document Properties dialog box, click Advanced to specify settings for the file. Click the item you want to change, and select the new setting in the appropriate field. The available settings are listed below. 5. When you have finished modifying the settings, click OK to close all dialog boxes until you reach the Print dialog box. 6. In the Print dialog box, select the page(s) you want to print, and then click OK to create a whiteboard file with your new settings. Sametime Print Capture Settings Paper Size You should usually use a paper size that is equivalent to your normal hard-copy print output. This configuration will ensure that the pages in your whiteboard file match hard-copy pages printed directly from your program. Tip If you want to define a unique paper size using the Custom Paper Size Setup option, choose Custom size as the paper size. Scale Output to Fit Screen Check this box to scale the whiteboard file to fit your selected screen size. Do not check this box if you want to capture the file with a larger-thanscreen capability. Files with a larger-than-screen capability allow you to obtain additional detail, but might require scrolling to view the entire file. Screen Size Select the desired screen size. This setting defaults to a 800 x 600 screen size. You might want to change this setting to prepare files for other systems or to create files that are larger or smaller than your screen. See Determining a Good File Resolution later in the Print Capture help for more information. Color Format Specify the color setting you want your output to have. You can select black and white or color. The number of colors actually displayed on the whiteboard will depend on the graphics capability of the monitor and the video driver. 10 Printing files as black and white will greatly increase the print speed and document transmission speed on the whiteboard. Generally, the higher the number of colors, the longer it takes to transmit an image to other participants in the meeting. Choose from the following: Optimize 256: Produces the best quality 256-color files. This method is slightly slower than printing to 256 colors, but the results are superior. This option is especially useful if your file changes colors significantly from page to page. Optimize 256 saves the file in a format that best fits the actual number of colors used. 256 Colors: Produces whiteboard files with a common fixed palette. 16 Colors: Produces whiteboard files that use the Windows default 16-color palette Million Colors: Produces whiteboard files that might take a very long time to send, but that retain all of the original color information. Orientation Select the orientation for your whiteboard file. This setting tells Sametime Print Capture the document s orientation in its original program. The Portrait setting indicates that the document is longer than it is wide. The Landscape setting indicates that the document is wider than it is long. Determining a Good File Resolution Sametime Print Capture uses the paper size and screen size settings selected in the Properties dialog box to determine the resolution of the file it creates. The file resolution determines the size of the file when it is displayed on the whiteboard. You can select from two types of resolutions: A lower resolution ensures that the file will fit on the whiteboard without scrolling. A higher resolution shows more detail, but it does not necessarily ensure that the file will fit on the whiteboard without scrolling. To minimize scrolling, create a file with a resolution as close to your monitor s resolution as you can. The most common monitor resolutions are: 640 x 480 (VGA) 800 x 600 (Super VGA) 1024 x Sametime 2.5 Print Capture Help

11 Screen Size When you select the Scale Output to Fit Screen option and choose a screen size that matches your monitor s resolution, Sametime Print Capture automatically selects a Dots Per Inch (DPI) setting for the file that allows it to fit on the whiteboard without scrolling. On a traditional printer, the DPI is the number of dots printed for each inch of the page. Sametime Print Capture uses the paper size in conjunction with the Scale Output to Fit Screen setting to determine the proper DPI setting and resolution for the file. Sametime Print Capture does not select a DPI setting that exceeds your default Windows screen font DPI; therefore, the file might be smaller than your screen. (The default Windows screen font is usually 96 DPI for small fonts or 120 DPI for large fonts.) If you do not select the Scale Output to Fit Screen option, Sametime Print Capture uses the DPI setting of the default Windows screen font when creating the file. The file might exceed your window size and require scrolling, but it will show more detail. To calculate the width of the file, multiply the page width by the DPI. To calculate the length of the file, multiply the page height by the DPI. Paper Size If you select a paper size that is very large, but use a smaller screen size, the file might be at too low a resolution to see detail. Other Factors The following factors determine legibility on the whiteboard: Font size can determine the legibility of text on the screen; the larger the point size, the easier it is to read. Smaller margins maximize screen space and improve legibility. Sametime 2.5 Print Capture Help 5
