2 07 -H RANGE EVENTS STATE COMPETITION REGISTRATION MATERIALS Important Information: Please read carefully! All participants, club leaders, Range Events Staff volunteers and CES personnel, and coaches/chaperones must self-register through -H Online. It is now the responsibility of the participants/clubs/counties to provide accurate information on -H Online. This is critical if registration is to go smoothly, so please double check all entries! COUNTY CLUBS MUST PROVIDE AND REGISTER A MINIMUM OF ONE STATE RANGE EVENTS STAFF MEMBER FOR EVERY PARTICIPANTS REGISTERED. Counties with - participants must provide one full-time -H State Range Events Staff member, those with 5-8 participants provide two staff members, etc. All full-time staff will have their meals and lodging paid in full by the -H Shooting Sports Program via a grant from Arkansas Friends of NRA. This deadline will be strictly observed. Late entries are allowed until July with a $50 additional fee! How will this work? Below are specific instructions for participants, club leaders, county managers, Range Events Staff volunteers and CES personnel, and coaches/chaperones: ) Participants will register for the following items on -H Online: A) Participant Information B) Competitive Events ATTENTION! Juniors cannot sign up for. pistol! C) Competitor Meals and Lodging ) County Agents Assigned and Not Assigned must do the following: A) Participant Information - Team Name is a Manager Only field. Junior and Senior Teams and Individuals will be determined by the club leader/county Office and placed in this field in -H Online registration. Club leaders must provide this information to the County Agent on the attached forms, so that names and teams can be double checked and entered by the agent or county office. B) Lodging: Please arrange your participants, Range Events Staff, and coaches/chaperones and in rooms on HOnline. Please keep in mind the -H Youth Protection Policy when placing your youth and adult volunteers in lodging rooms. Place Junior youth together in rooms, and senior youth together. Adults must be lodged only with other adults unless it is parents and their own kids. If you have specific medical reasons for doing something different, please contact me.

3 ) Range Events Volunteer - consists of volunteers and CES personnel who will be conducting or assisting at events or doing other tasks as assigned. These folks will be designated by the county offices on -H online and will be pulled from that list. Only full time volunteers will have their registration paid. A) COUNTY CLUBS MUST PROVIDE AND REGISTER A MINIMUM OF ONE FULL-TIME STATE RANGE EVENTS STAFF MEMBER FOR EACH PARTICIPANTS REGISTERED. B) Full-time Staff Member definition: A full-time staff member may be a single person working all three days. Clubs/counties must make sure they provide the minimum number of full-time staff. ) Coaches Meals & Lodging Coaches are the people that escort the teams to each event. A) Select the appropriate M&L option. 5) Payment: Pay by check to county office. Payment is due with registration. I am including worksheets solely for your use in organizing your county/club attendees. I hope this will make the registration process much easier for all. Minimum Proficiency Standards Verification Form: The Signature Page of this form must be filled out and maintained on file after you verify that it is signed on -H online. Coaches and agents must bring this with them to Range Events in case the training is called into question or an incident occurs. Minimum Proficiency Standards must be met at the county club level and verified by written signatures of the discipline coach and a county agent. If the actual discipline coach and the county agent are both certified, the discipline coach must sign off on the competitors. Copy of Hunter Education cards: (If not currently on-file) Mail (postmarked by June 9) or (due June 9)! Guest Registration: Please note: Guest Registration will register on -H Online registration event under youth registration. Guests will be assigned rooms at the -H Center after youth, volunteers, coaches, and staff are given priority. Also note that all guests arriving the day of competitions without registering will be charged a daily use fee before being allowed to enter ranges. These guests will not have meals available. -H Event Payment Policy The following policies will apply to all -H events outlined in the current -H Events Packet Quick Reference Guide: -H members are not considered fully registered for the event until payment is received. Any refund of participant fees will be disbursed in the form of a check issued by the Cooperative Extension Service. A standard $0 NSF Fee will be assessed on all checks that are returned due to insufficient funds. Amount of Refund Time-Frame 75% refund 5 working days or more before the event 50% refund - working days before the day of the event No refund 0 working days or less before the day of the event Exceptions to this refund policy will be based on personal or family illness or death in the immediate family. The county Extension office is responsible for notifying, in writing my office (letter or ).

4 No additions or substitutions to your officially registered teams or individuals will be accepted after June 9, 07. No changes whatsoever will be allowed after June 9, other than cancellations. Registration by the deadline does not guarantee -H Center lodging. Due to the limited number of beds available at the -H Center, room assignments will be prioritized in the following manner: ) Participants and coaches or chaperones (one per team or four participants) ) -H State Range Events Staff -H Online will open on May, and will close on June 9 for participants, coaches/chaperones, and staff. Please note: Guest Registration will register on -H Online registration event under youth registration. I understand that failure to display proficiency as determined by the standards will result in the disqualification of the participant from the shooting event in which he/she is found to be inadequately prepared. Failure to meet any of the listed standards during competition will result in the participant s disqualification from the event in which the infraction occurred. Shooting discipline Instructors for that county and the county agent who signed off on the participant s proficiency will receive a written notification of the infraction.
