1 Getting Started AccountRight Step 1: Learn about getting started Check that you have everything you need to get started. And make sure your computer can run AccountRight. Step 2: Install AccountRight Follow these steps to install AccountRight on your computer. 2 Learn about getting started What s in this guide? This Getting Started guide contains instructions on how to: install and register your software set up your software so you can start using it right away. Do you have what you need? In addition to this guide, the package that you purchased should contain a Software Licence Agreement envelope, containing the installation CD and a serial number. The package may also contain other information and special offers. If any of the listed items are missing, please contact the person or company from whom you purchased the package. If you purchased your software online, check that you can access the product installer file from the MYOB website and the purchase confirmation from MYOB. This contains your software serial number, which you need to enter when you install. Can your computer run the software? Hardware Pentium processor at 1GHz or faster 2 GB RAM minimum 2 GB free hard disk space Screen resolution of at least 1024x768, 32 bit colour Software Adobe Reader (minimum v7) Internet Explorer (minimum v7) Microsoft Office (32 bit) Microsoft Word 2003 to 2010 Microsoft Excel 2003 to 2010 Microsoft Outlook 2003 to 2010 (for card synchronisation) Internet Broadband connection for receiving automatic software updates and accessing help over the internet. NOTE : Hardware and software requirements may differ, depending on your operating system and office environment. 3 Install AccountRight There are two parts to installing AccountRight: install the software and then register your software with MYOB. To do this, follow the procedures below. Do this first If your computer only allows users with administrator privileges to install programs, log in as administrator. Save any open documents and close all programs. Install 1 If you are installing AccountRight from a CD: a Insert the software CD in your computer s CD drive. A welcome window appears. b NOTE : If the window does not appear, open the CD drive usually the D:\drive in Windows Explorer and double click the autorun.exe icon. Click Install AccountRight [Basics/Standard/Plus]. An installation window appears. 2 If you downloaded AccountRight from the MYOB website: a Locate the file you downloaded. This will be an.exe file called, for example, MYOB AccountRight Basics 2011.exe. b Double click it to start the installation. An installation window appears. 3 Follow the on screen instructions. NOTE : If you have issues while installing AccountRight, try disabling your antivirus software until the installation is complete. If you re unable to install, search the MYOB Support Notes at myob.co.nz/supportnotes. 4 When installation is complete, select whether you want to launch AccountRight and the Help Centre, and then click Finish. The Software Manager window appears. Software Manager is a tool that can help you manage future upgrades to your software. For more information, see the Help Centre. 5 Close the Software Manager window. Register Registering AccountRight will ensure you receive the entitlements that come with your software, such as introductory support and company file activation entitlements. It also means MYOB can notify you when there are software updates. To register your software 1 Start your web browser and go to my.myob.co.nz. 2 In the Business Product Registration section, click Register now. 3 Complete the online registration form. If you have questions about software registration, contact MYOB on between 9.00 a.m. and 5.00 p.m., Monday to Friday. INSTALL ACCOUNTRIGHT 3

4 Create a company file Your software stores business data in a company file. If you don t have a company file, you ll need to create one. The New Company File Assistant will step you through the process. 2: Start the New Company File Assistant 1 Start your AccountRight software. A welcome window appears. 2 Click Create a company file. The New Company File Assistant appears. NOTE : Select your product Depending on the AccountRight product you have purchased, you can create company files for other AccountRight products. Note that you can only trial files for higher level products for 30 days. 3: Enter your company information 1: Do this first Have this information to hand before you begin: your financial year: This is the financial year you want to start recording transactions in your company file. It does not need to be the financial year that your business is currently operating in. For example, select 2012 to enter transactions in the financial year that runs from 1 April 2011 to 31 March your conversion month: This is the month you want to start entering transactions. For example, if you want to start entering transactions from January, your conversion month is January, and you won t be able to enter transactions dated before that month. 1 Click Next. The Company Information page appears. 2 Enter your business and registration details. 3 Click Next. The Financial Year page appears. 4 Select your financial year and conversion month. 4: Select your accounts list 1 Click Next. The Accounts List Options page appears. 2 Select the Start with an accounts list provided by MYOB option. NOTE : Do you want to import an accounts list? If you want to import an accounts list, select the Import an accounts list option and then continue with 5: Create the company file on page 5. You can import the list after your file has been created. For more information, see Set up your company file on page 6. 3 Click Next. The Accounts List Selection page appears. 4 GETTING S TARTED

5 4 Select the industry that best matches your own business. An accounts list suitable for the selected industry is displayed. The accounts list helps a business categorise what it owns, owes, receives and pays for. After creating your file you can tailor the list to meet the needs of your business. 5: Create the company file 1 Click Next. The Create Company File page appears. 2 The name and library of the new company file is displayed. You can change these details if you want. NOTE : AccountRight libraries An AccountRight library is a folder on your computer, or a network computer, where company files are saved. Only files saved in an AccountRight library can be opened. 3 Click Create Company File. Your company file is created and the Conclusion page appears. 4 Click Easy Setup Assistant if you want to continue setting up your company file, otherwise click Command Centre. 6: Activate the company file 1 The Activation Assistant appears before your new company file is opened. NOTE : Do you need to activate? If you are creating a company file for evaluation or testing purposes, you don t need to activate it select the I use this company file for practice, evaluation or study purposes option and click Next. You can ignore the rest of this procedure. 2 Click I use this company file to record or edit my business transactions. 3 Choose how you want to activate: Online (the quickest and easiest way to activate): a Ensure you are connected to the internet. b Choose Activate online and then click Next. The Activate Online window appears. c If you have not previously entered your serial number, type it in the Serial Number field and press TAB. d Click Activate. By phone (Business hours only recommended only if you cannot connect to the internet on the computer you are working on): a Select the Activate by phone option and click Next. b If you have not previously entered your serial number, type it in the Serial Number field. c Call MYOB on the phone number displayed above the Serial Number field and request a licence file to be ed to you. d Once you have received the , detach your licence file and save it to your computer (for example, your desktop). e In the Activation Assistant, click Browse next to the Select the licence file to load field, to locate the licence file. f Select the file and click Open. g Click Activate to activate the file. 4 Click Close. Set a password (optional) After creating a company file, you should password-protect it; otherwise, anyone can sign on and then enter, edit and delete transactions in your file. For information about setting passwords, see the Create a Company File section of the Help Centre. CREATE A COMPANY FILE 5

6 Set up your company file You ve created a company file and entered basic information about your business. You now need to get the file ready to start entering transactions. To help you do this, AccountRight comes with an Easy Setup Assistant that guides you through the basic setup process. Open the assistant by going to the Setup menu and choosing Easy Setup Assistant. Using the Easy Setup Assistant The Easy Setup Assistant is divided into sections that represent the main areas of your company file. You don t need to work through each area of the assistant immediately, you can come back to it at any time. To find more information about the options in the Easy Setup Assistant, press F1 or click the Help button in any window. Section What you can set up Customise Personalise how you view and enter information. Accounts Set up your accounts list, or import a list. Add bank accounts and credit cards to your accounts list. Enter your account opening balances. Sales Create cards to record your customers business and buying details. Record details of the sales that were unpaid as at the first day of your conversion month, so you can allocate the payments when you receive them. Choose default settings for when you enter sales, such as invoice layout, income accounts, payment terms, etc. Purchases (Standard and Plus only) Create cards to record your supplier details and the purchases you make. Record the bills that were unpaid as at the first day of your conversion month. Choose default settings for when you enter purchases. 6 GETTING S TARTED

7 What else should I set up? The Easy Setup Assistant covers the basic setup tasks you need to do to get started. But there are other areas of AccountRight that you may want to set up as well. For example: Your company information. Electronic payment setup. Your forms, including quotes, invoices, statements and receipts. Your list of items (physical items and services) that you invoice. Information about setting up your company file (including these tasks) and explanations of concepts such as opening balances, are covered in the Creating a company file and Setting up sections of the Help Centre. How to get to know your software Now that you have set up the basics, you might want to explore how AccountRight works before entering more business transactions. You can do this two ways: Sample data experiment with the data in a sample file. Add, edit and delete records and transactions without risking your own data. In the Welcome window, click Explore a sample company. Tutorial Complete a tutorial that walks you through the main functions in AccountRight, using the sample data. Go to help.myob.co.nz/tutorials. SET UP YOUR COMPANY FILE 7

8 Technical support When you register your software, you receive a 30 day free subscription to MYOB businessupport Intro, which entitles you to: Answers when you need them contact Technical Support via , live chat or phone, and get assistance with installing, using and troubleshooting your software. The latest AccountRight software automatically receive any updates that are released during your subscription period. When the 30 days free MYOB businessupport Intro expires, you can renew it or pay for each technical support call you make. Calling MYOB Technical Support MYOB businessupport Intro is available between 9 a.m. and 5 p.m., Monday to Friday. Call DAYS ( ). MYOB businessupport is a subscription support service. For a modest monthly investment over an initial minimum period of 12 months, you can join MYOB businessupport and receive full technical support for your product. Phone Support limitations MYOB cannot resolve connectivity issues caused by third party services, service providers, hardware or software, or networking problems. MYOB does not cover enquiries about general accounting or taxation issues, nor does it include application consulting or training. MYOB AccountRight Software Licence Agreement IMPORTANT READ THIS CAREFULLY BEFORE USE. This is the Software Licence Agreement ( Licence Agreement ). As you have purchased the Product (consisting of the User Documentation and the installation CD or other media containing the Software) following notification of the Licence Agreement you are now legally bound by its conditions. HOWEVER, if the Licence Agreement contains anything of which you were not aware prior to purchasing the Product or do not agree to be bound by, DO NOT INSTALL THE SOFTWARE but return the Product to the seller in its entirety and a full refund of the purchase price will be made. By installing the Software and keeping the Product you are confirming that you have purchased the Product subject to this Licence Agreement and are bound by its provisions. TRIAL VERSION SOFTWARE LIMITATION. If you use this Software on a trial basis prior to purchase, then additional restrictions govern its use. The Trial Version is intended to be used only for evaluation purposes and whilst you may create your own company data files ( Company Files ) you will have access to your Company Files only until the earlier of 30 days from the date of creation of each Company File or until your have entered a total of 1000 transactions into the Company files you have created. 10 a Activation of Company Files You must register the Product and activate the Company Files you create or upgrade with the Software. Company Files may only be activated or upgraded in respect of the business that you operate. You are entitled to activate or upgrade only the number of Company Files that you have purchased. If required, you can obtain additional Company files by contacting the local publisher. i) New Company Files You may only access each new Company File you create for 30 days without registering the Product and activating the Company File. After 30 days each new Company File will become read only until you activate it. b Product Installation and usage If you have purchased a: i) Single User Software Licence then you may install the Software on any computer that you operate at your principal place of business in respect of Company Files you have activated, provided that you do not use or permit the usage of the Software on more than one computer or computer terminal at a time. In event of an upgrade or Product exchange the Licence hereby granted shall automatically transfer to the new version or Product. ii) Multi User Software Licence then you may use the Software on only one computer network that you operate and only then in respect of Company Files created and activated by you or by another licensed user. You may transfer the Software from one computer to another that you own or operate on this network provided that you only use or permit the usage of the Software on the number of computers or computer terminals at a time for which you have purchased user licences, nor permit the usage of the Software on more than one network at any one time, nor permit the Software to be used in respect of Company Files that you have not activated or have not been created by you or by another licensed user. c Number of Users At any given time, you or your delegated agents may only launch and simultaneously run the number of Software runtime instances equivalent to or less than the number of user licences you have purchased and open and simultaneously work with only the same number of Company Files, which must be created and activated by you or your related entities. d Updates and Upgrades In the event of an upgrade, update or product exchange, the Licence hereby granted shall automatically transfer to the new version or product. All rights in respect of the original Product shall lapse and no further use of these shall be permitted. e Portable or Home Computer and Archive Copies You may make a copy of the Software and install it on either a portable computer or a computer located in your home provided that the copy is for your own exclusive use and is not operated simultaneously with the original of the Software. Otherwise you may not copy or duplicate the Software, except as necessary solely for archival purposes, Software error verification, or to replace defective storage media, provided you keep the original and the copies. You may not alter, decompile or disassemble the Software. You may make copies of the User Documentation up to but not exceeding the number of multi user Licences you have purchased. f Transfers You may not sub license, lease, rent or lend the Software or the User Documentation or otherwise transfer any of your rights under this Licence Agreement. Subject to the prior written consent of the Publisher and the agreement of the transferee to be bound by the terms of this Licence Agreement, you may permanently transfer the Software (together with any backup copies you have made) and the User Documentation. However, you may not retain any copies of either the Software or the User Documentation. g h i Term The Licence granted in this Licence Agreement is effective until terminated. You may terminate it at any time by destroying the Software and User Documentation, together with all copies, or by returning them to the Publisher. If you fail to meet the ongoing obligations accepted by you at the time of registration (if applicable) or if you fail to comply with any term or condition of this Licence Agreement, this Licence will terminate and, upon any such termination, you agree to destroy the Software and User Documentation, together with all copies, or to return them to the Publisher. Termination of this Licence Agreement shall be in addition to and not in lieu of any other remedies available to the Publisher. In the event that the Publisher deems this product to be redundant then the Publisher may at its option supply you with an alternative product and terminate this Licence Agreement. Protection and Security This Licence Agreement specifically prohibits the reverse engineering or decompiling or interference in any manner with the Software s source code. Further you agree to use your best endeavours and to take all reasonable steps to safeguard the Software to ensure that no unauthorised person has access to the Product and that there is no unauthorised copying or distribution of the Software or User Documentation. Partner Program If this Product is being used in the context of the MYOB Professional Partner Program in either Australia or New Zealand, then the usage of the Software and any Company files is strictly restricted to being within the practice itself. Without in any way limiting the scope of this restriction, the sharing of Company files or Software with any clients of the practice is specifically prohibited. 2 Limited Warranty & Disclaimer The Publisher warrants that the media on which the Software is recorded or the downloaded installer and the User Documentation provided with them are free from defects in materials and workmanship under normal use for a period of 90 days from the date of your original purchase. Except for the limited warranty described above, the Software is sold as is, and you are assuming the entire risk as to its quality and performance. It is your responsibility to verify the results obtained from the use of the Software. If during the 90 day limited warranty period, you discover physical defects in the media on which the Software was recorded or the downloaded installer or in the User Documentation, the Publisher will replace them at no charge to you, provided you return the item to be replaced with proof of purchase to the Publisher. THIS IS YOUR SOLE REMEDY. IN NO EVENT WILL THE PUBLISHER BE LIABLE TO ANY PERSON FOR ANY DIRECT, INDIRECT, SPECIAL, INCIDENTAL, CONSEQUENTIAL OR SIMILAR DAMAGES, EVEN IF THE PUBLISHER HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. Some jurisdictions do not allow the exclusion or limitation of implied warranties or of liability for incidental or consequential damages, so the above limitations or exclusions may not apply to you. This warranty gives you specific legal rights and you may also have other rights that vary from state to state. In the event that any of the above limitations or exclusions are held to be unenforceable, the Publisher s total liability shall not exceed the amount of the Licence fee you paid. 3 Entire Agreement This Licence Agreement constitutes the entire agreement between the Publisher and the Licensee and any prior representations, statement or undertaking howsoever made are expressly cancelled.
