1 Release Notes AccountRight 2013 These Release Notes explain how to upgrade your software if you are currently using AccountRight Basics, AccountRight Standard or AccountRight Plus. Do you use M-Powered services or an MYOB add-on solution? MYOB M-Powered Services are not currently available in this version of AccountRight. So if you use any M-Powered Services, we recommend you do not install this version of AccountRight. Also, if you use an MYOB add-on solution, contact your solution provider before upgrading to this version of AccountRight to ensure compatibility. MYOB Licence Agreement IMPORTANT READ THIS CAREFULLY BEFORE PROCEEDING. This Product (consisting of the user documentation and the installation CD or other media containing the Software) is sold subject to the terms of a Software Licence Agreement, notification of which has been provided to you so that you are now legally bound by its conditions. The full terms of the Licence are included in the user documentation and the installation CD. HOWEVER, if the Licence Agreement contains anything of which you were not aware prior to purchasing the Product or do not agree to be bound by, DO NOT INSTALL THE SOFTWARE but return the Product to the reseller in its entirety and a full refund of the purchase price will be made. By installing the Software and keeping the Product you are confirming that you have purchased the Product subject to this Licence and are bound by its provisions. 2 1: Check the system requirements You can run AccountRight with the minimum system requirements as set out below. However, to get the best performance from your software and to have a better experience when using AccountRight Live Services, your computer should meet the recommended (rather than minimum) system requirements. For detailed information about compatible hardware and software, see myob.com.au/minimum_specs Operating system Minimum Microsoft Windows 8 (32-bit or 64-bit), Windows 7 (SP1, 32-bit or 64-bit), Windows Vista Ultimate (SP2, 32-bit), Windows XP Professional (SP3, 32-bit only) Recommended Microsoft Windows 8 (32-bit or 64-bit), Windows 7 (32-bit or 64-bit) For information about server installations, see Server installations below. Hardware Minimum 2.1 GHz Core 2 Duo processor 2 GB RAM minimum 2 GB free hard disk space Screen with resolution of at least 1024x768, 32-bit colour Recommended i5 2.6 GHz processor or higher 4 GB RAM minimum (8GB for best experience) 2 GB free hard disk space Screen with resolution of at least 1024x768, 32- bit colour Software Adobe Reader, Internet Explorer, Microsoft Office 2003 or 2010 (32-bit, Word, Excel, Outlook) Internet High-speed broadband internet connection for using online services, receiving automatic software updates and accessing help over the internet. Recommended upload speed of at least 0.5Mbps. You can check your upload and download speed using free online tools. Server installations Some servers, such as NAS servers, do not have the right network components or capabilities to run this version of AccountRight and host upgraded company files. We do not recommend installing AccountRight on a NAS server. 3 2: Find the right upgrade procedure The procedure for upgrading is different depending on which version you currently have installed. Click the link relevant to your current version: Upgrading from AccountRight 2012 or 2011 on page 4 Upgrading from AccountRight v19 or earlier on page 6 Upgrading from MYOB Accounting version 13 or earlier If you are upgrading from an early software version (v13 or earlier), you will need to read support note 9517 for special instructions, or contact MYOB support. To find out your software version, go to Help > About. What s new? This AccountRight release contains many new features that will help you manage your business more easily and efficiently. To find out more about these changes, open your software help after upgrade and go to the New Features section. 4 Upgrading from AccountRight 2012 or 2011 If you are using AccountRight 2012 or 2011, then you are already using the new AccountRight platform. However, you need to upgrade to the latest version to access new features and Live Services. Note that you need to install this version on every computer you have AccountRight installed on, not just the computer where you store your company file. 1: Do this first If your computer only allows users with administrator privileges to install programs, log in as administrator. Save any open documents and close all programs, because you might be asked to restart your computer during installation. If you have checked out an online file, check it in before installing the new software. 2: Run the installer file I m installing from: Software Manager If you are installing from Software Manager, click on the AccountRight 2013 installation file in the Software Manager window, and then click Install. A download If you downloaded the installer file via an link or when you purchased AccountRight online, find the file and double-click it. my.myob a b c If you want to install AccountRight via the my.myob portal, log in to my.myob and go to the My Products > Download page. In the list of available software, click AccountRight [Basics/Standard/Plus] 2013.x and choose where to download the file. The file will be a.exe file. 5 CD a If you have an AccountRight 2013.x CD, insert it in your computer s CD drive. A welcome window appears after a few moments. If it doesn t appear, open the CD in Windows Explorer and double-click the autorun icon. b Click Install AccountRight. 3: Install 1 In the installer window, follow the on-screen instructions. If you are prompted to restart your computer, click Yes. When the computer restarts, and you log in to Windows, the AccountRight installation will continue. Note that it can take a minute or two for the installer window to appear.* NOTE : Keeping a previous release If a previous release of AccountRight (such as ) is already installed, you can choose to keep or replace that release. If you keep the previous release, and later uninstall it, you will need to repair this new installation. For instructions on how to repair an installation, see Support Note When installation is complete, click Finish. The Software Manager window appears. 3 If an update is available, install it now by selecting it and clicking Install. 4 Repeat this procedure on each computer that you use AccountRight on, not just on the computer where you store your company file. NOTE : Installation issues If you have issues while installing AccountRight, try disabling your antivirus software until the installation is complete. If this does not solve the issue, search the MYOB Support Notes at myob.com.au/supportnotes 4: Get started with Live Services Once you have updated your software, you re ready to take advantage of the new features, such as Live Services. 6 Upgrading from AccountRight v19 or earlier AccountRight has been completely rebuilt from the ground up to make it work with AccountRight Live. This means that although the software looks similar to what you re currently using, it does represent a significant change to your upgrade experience. Special tasks for this upgrade There are some special tasks that only apply when upgrading to this version of AccountRight. It is especially important for users with company files that are more than a few years old to complete these steps. The good news is that once you re up and running, these tasks will not be part of future upgrades. How long will it take? We recommend that you set aside a couple of hours outside of your normal business hours to do the upgrade. Do the following to begin using AccountRight. Task See 1 Prepare to upgrade page 7 2 Install and upgrade page 8 3 Additional upgrade tasks page 11 Customer credit card details in your company file To comply with PCI Data Security Standards, only the last four digits of any credit card numbers recorded in your company file will be available to view in the upgraded file, and no card expiry dates will be retained. 7 Prepare to upgrade 1: Log on as an Administrator You need to log on to your computer as a user with administrator privileges. Most computers only allow administrators to install programs. To check if you are logged in as an administrator To check if you are logged in with administrator privileges, open the Windows Control Panel and go to User Accounts, then click Manage User Accounts. In the window that appears, you will be able to see the group that each user belongs to. The user account you log in with needs to belong to the Administrator group. 2: Move picture files If your cards or items are set up with pictures, these pictures must be saved in a subfolder called Graphics, which is in the same location as the company file you are upgrading. For example, if the file you are upgrading is located at: C:\Plus19, then make sure the pictures are in a folder C:\Plus19\Graphics Note that images over 200KB in size will not successfully upgrade. 3: Verify and optimise your company file You can use the Verification Assistant and the Optimisation Assistant to check your company file for errors and ensure your data is stored efficiently before you upgrade. You can access the verification and optimisation tasks in the File menu of your software. Simply follow the onscreen instructions in each Assistant. 4: Get ready to install Back up your company file. Make sure you are connected to the internet. Save any open documents and close all programs, because you might be asked to restart your computer during installation. 8 Install and upgrade 1: Run the installer file I am installing from: A download If you downloaded the installer file via an link or when you purchased AccountRight online, find the file and double-click it. my.myob a b c If you want to install AccountRight via the my.myob portal, log in to my.myob and go to the My Products > Download page. In the list of available software, click AccountRight [Basics/Standard/Plus] 2013.x and choose where to download the file. The file will be a.exe file. Double-click the file. CD a If you have an AccountRight 2013.x CD, insert it in your computer s CD drive. A welcome window appears after a few moments. If it doesn t appear, open the CD drive in Windows Explorer and double-click the autorun icon. b Click Install AccountRight. 2: Start the installation 1 Follow the on-screen instructions. If you are prompted to restart your computer, click Yes. When the computer restarts, and you log in to Windows, the AccountRight installation will continue. Note that it can take a minute or two for the installer window to appear. 2 When installation is complete, click Finish. The Software Manager window appears. 3 If an update is available in this window, install it now by selecting it and clicking Install. Installation issues If you have issues while installing AccountRight, try disabling your antivirus software until the installation is complete. If this does not solve the issue, you can try a clean install. See support note for more information. 8 RELEASE NOTES INSTALL AND UPGRADE

9 3: Choose the file to upgrade 1 Open AccountRight In the Welcome window that appears, click Upgrade a company file. 3 The Upgrade Assistant opens. Click Continue. 4 Click Browse and locate the company file you want to upgrade. 5 Select it and then click Open. 6 If an Administrator password was used to protect the company file you ve selected, type the password in the Password field. 4: (Optional) Rename or move the file 1 If you want, change the name of the company file in the Name field. NOTE : Special characters in existing company file names If your existing company file contains characters that are not allowed in the new file format, such as an ampersand (&), an asterisk (*) or a period (.), these characters will be replaced by an underscore (_) when you upgrade the file. 2 To change the location where the upgraded company file will be saved, click Browse and select the AccountRight library you want to save it in. 10 Working with AccountRight libraries Company files must now be saved in an AccountRight library. This is a folder that s created when you install AccountRight, solely for the purpose of storing AccountRight company files. Only company files that are in a library folder can be opened using AccountRight. There are special considerations for users who want to store their company files on a server, or another computer in a network. In these cases, a Network Library is where the file will be stored. Support note describes how to work with local and network libraries, or you can view a video about libraries at help.myob.com.au/showme 5: Upgrade and open the file 1 Click Upgrade to start the upgrade process. NOTE : Upgrade errors If you have problems upgrading and you receive a message on the final page of the assistant, check that you have completed all the pre-upgrade preparation tasks and see Troubleshooting on page When upgrading is complete, click Open Upgraded File. The Sign-on window appears. 3 Sign on and open the company file. The Confirmation Assistant appears. 6: Confirm the file You are prompted to confirm when you upgrade a company file from a previous version. Confirmation is a way of protecting your software against potential piracy and provides you with the reassurance that you are using an authentic product that can be trusted with your business data. 1 In the Confirmation Assistant, click I use this company file to record or edit my business transactions. 2 Choose how you want to confirm and follow the relevant onscreen instructions. Note that we recommend confirming online as the quickest, easiest way. What next? 1 Complete any additional upgrade tasks. See Additional upgrade tasks on page Start using Live Services. 11 Additional upgrade tasks You may need to complete some additional procedures to finish upgrading your company file. If you ve upgraded from AccountRight v19 or earlier, you ll notice that the way you access your company file has also changed. For more information, see Accessing company files in the new AccountRight on page 12. If you See have user accounts have customised forms use BASlink have customised letters have customised reports report taxable payments made to contractors If you have set up user accounts in your company file, all user accounts (except for the Administrator account) will become inactive when you upgrade until you assign roles to them. Assigning roles is an easier way for you to set access privileges for each user of the company file, and to help ensure the security of your data. If you use customised forms (such as purpose-designed invoices with logos) that you want to continue using, they need to be migrated into your upgraded company file. There s an easy-to-use tool we ve included in AccountRight to help you do this. If you prepare your BAS or IAS using BASlink, you need to import your BAS setup information into your upgraded company file. If you previously used customised letter templates to create personalised letters, also known as mail-merge letters, you need to copy these across for use in the new AccountRight version. Customised reports cannot be upgraded. If you have customised reports in your previous software version, you will need to recreate them. Note that there have been significant improvements to the reports customisation tools in AccountRight, making this task a lot easier. If you re in the building and construction industry, and you report taxable payments to the ATO, you will need to set up AccountRight 2013 before you can track or report payments. 12 Accessing company files in the new AccountRight When you start AccountRight, you ll notice the new Welcome window. This window makes it easier for you to manage and access your company files. Assign roles to users The way user accounts are set up has changed. You now assign roles to each user account, and the roles will determine the windows a user can access. For example, you can assign the Sales role to staff who record sales and customer payments, and perform other sales-related tasks. If you have existing user accounts set up in your company file, on upgrading, these will be inactive until you assign roles to them. You need to sign on to the upgraded company file with the Administrator user account to make these user accounts active and assign roles to them. 12 RELEASE NOTES ADDITIONAL UPGRADE TASKS

13 To assign roles to user accounts 1 Sign on to the company file as the Administrator. 2 Go to the Setup menu and choose Users. The User Access window appears. 3 Select a user you want to assign roles to from the User ID list. 4 In the right pane, deselect the Inactive User option. 5 In the list of roles, select the roles you want to assign to the selected user. (For information about roles, click the Learn about roles link in this window.) 6 Click Save. 7 Repeat from step 3 above for all user accounts. 8 Click Close. Migrate customised forms If you have custom forms that you want to continue using after you upgrade, they need to be migrated into your upgraded AccountRight company file. Note that custom forms are now stored within the company file (rather than in a folder on your computer). So you only need to migrate them into your company file once, instead of upgrading them on each workstation where they are stored. Also note that you cannot migrate customised cheque and payslip forms. RELEASE NOTES ADDITIONAL UPGRADE TASKS 13

14 To migrate custom forms 1 If it is not already open, open the upgraded company file. 2 Go to the File menu and choose Migrate Custom Forms. The Migrate Custom Forms window appears. 3 Click Browse and locate the Forms folder in your previous software version. For example, at C:\Plus19\Forms. 4 Click OK. The location of the Forms folder appears in the Migrate Custom Forms window. 5 Click Next. All the forms from the previous software version appear in the list. 6 Select only the custom forms you want to migrate and then click Migrate. The selected forms are migrated into your upgraded AccountRight company file. Import BASlink setup If you previously used BASlink to prepare your BAS, you need to import the BASlink setup file into the new AccountRight. This is the file that defines the set up links in the BAS form fields. This file is named [yourabn].bas, for example bas To import the BASlink setup file 1 If it is not already open, open the upgraded company file. 2 Go to the Accounts command centre and click BASlink. The BASlink window appears. 3 Select the last month of any BAS period that you would normally prepare a statement for and click Prepare Statement. 15 5 If a message appears, stating that a previous BASlink version has been found on your computer and asking if you want to import your setup information, click Yes. The Import Setup & Links window appears. 6 If the above message does not appear: a Go to the File menu and choose Setup & Links, then choose Import Setup & Links. b If you are prompted to back up your activity statement, click No. The Import Setup & Links window appears. 7 Locate your previous BASlink setup file. This file is located in the Setup folder within the BASlink folder, in your previous software files. For example, at C:\Plus19\BASlink\Setup 8 Click Open. The BASlink setup file is imported. You can check the setup settings of a field by clicking the Setup button next to it. Move customised letter templates 1 Open the Letters folder in your previous software version. It will be located, for example, at C:\Plus19\Letters. 2 Hold down the CTRL key on your keyboard and select only your customised letter templates by clicking them. 3 Right-click and choose Copy. 4 Open the Letters folder in your new software version. For example: In Windows Vista, Windows 7, Windows 8 C:\Users\Public\Public Documents\MYOB\AccountRight\2013.x\AU\Letters In Windows XP C:\Documents and Settings\All Users\Shared Documents\MYOB\AccountRight\2013.x\AU\Letters RELEASE NOTES ADDITIONAL UPGRADE TASKS 15

16 5 Right-click and choose Paste. If you are prompted to overwrite any existing templates, respond to the prompts accordingly. Note that you should avoid overwriting the default templates provided with the new version. Troubleshooting If you have a company file that is a few years old, you may encounter problems in the final steps of upgrading. If you do, there are some things to check in your company file (using your previous software version) that may help. Try the following and then retry the upgrade from 3: Choose the file to upgrade on page 9. 1: Check for unprocessed payments Process or clear any unprocessed payments of the following types. Electronic payments view any unprocessed payments in the Prepare Electronic Payments window. Bank deposits view bank deposits ready for processing in the Prepare Bank Deposit window. Pay liabilities (payroll users only) view unpaid liabilities in the Pay Liabilities window. Sort by All Liabilities. Refer to support note or the online help in your software for guidance with the above tasks. Note that if you are unsure about if you should or how to clear unprocessed payments, consult your bookkeeper or Accountant. 2: Purge unwanted transactions (large company files) Purging unwanted data is the best way to reduce the size of your company file. A more compact file can help make the upgrade smoother. A quick way to purge data is in the Start a New Financial Year Assistant. 16 RELEASE NOTES TROUBLESHOOTING

17 In the Assistant, you need to make sure you select the current financial year in the relevant step, and then you deselect the record types you want to keep. You do not actually start a new financial year. For information about how to purge specific data, see the online help. 3: Convert receive items transactions If you have open orders with items still to be received, this can cause an issue when upgrading. The reason for this is that the true cost of items is not determined until the invoice is received from the supplier and is entered as a bill. To check if you have any orders with items to be received, open the Purchases Register window and go to the Orders tab. Any orders with outstanding items have a tick next to them in the Received column. A workaround is described below. Note that it is not ideal business practice to work this way, so you might prefer to wait until the balance of items arrives, before you upgrade. 1 Contact the supplier and find out the price of each item that you ve already received. 2 Convert the order to a bill, but change the number of items shown in the Bill column, to match the amount of items in the Received column. 3 Enter the price for each item as provided by your supplier. 4 Record the bill. An order for the remaining items is automatically created. 5 Try upgrading again. When the bill arrives When the bill arrives from the supplier, you can treat it as you normally would, but when you record the payment, you will need to apply it to the separate bills you have recorded. 18 Set up Live Services With AccountRight Live you get the following Live Services: Work online from anywhere work online with your company file and invite other authorised users, such as your bookkeeper to collaborate with you. Receive bank feeds get your bank transaction data delivered directly into your software. Note that you can use this service even if you don t work with your file online. If you re already an AccountRight Live (formerly Cover) subscriber, you get these services ongoing, as part of your subscription. You can also watch videos that demonstrate the new features at help.myob.com.au/showme Before you set up Live Services To set up Live Services in a company file, you need to have: company file administrator access this means that you have the Administrator role assigned to your user profile in the company file. online (AccountRight Live) administrator access (with a my.myob login) this means you are the software owner or primary contact on the account that has purchased the software upgrade. You will need your my.myob login to start using Live Services. NOTE : What is a my.myob login? Your my.myob login was created when you purchased your software or subscription online, or when you registered your software. It is the primary address that we use to communicate with you, and the password is one that you created. If you've forgotten your password, you can reset it. Get started online 1: Upload your company file Note that the company file you upload must be stored on the computer you are uploading from. It cannot be in a network location. 1 Open the company file that you want to access online. 2 Go to the File menu and choose Go Online (Upload This File). 18 RELEASE NOTES SET UP LIVE SERVICES

19 A message appears, explaining that the file may take some time to upload, depending on its size and the speed of your internet connection. 3 If the MYOB AccountRight Live Log In window appears, log in using your my.myob login details. 4 Click Upload now. When the file has finished uploading, a confirmation message appears. 5 Click Sign on to open the online company file. To give others access to your online company file, see 2: Invite other users below. 2: Invite other users With AccountRight Live, you can give others access to company files online. You do this by inviting them. You can invite two types of online user: Online file user a file user can access the online company files they have accepted an invitation to use. File user access is the basic access you would give people working on your file. Online administrator an online administrator can work with any company file that is listed under the owner s software serial number. In addition to this, an online administrator can invite more users, work with and update bank feeds, and purchase additional online files. You would only give administrator access to a person you trust to manage user access to your company file data, such as your office manager or your bookkeeper. 1 Go to the Setup menu and choose User Access or, in the status bar menu (bottom-right in the main window), click User Access. 20 2 Follow these steps to set up a new or existing company file user. If the user Do this is new a Click New User. b Enter a User ID and password. These are the sign-on details the user will need to open the company file. You need to advise the user of these details. c In the Roles list, select the role you want to assign to the user. d Click Save. A message appears asking if you want to set up online access for this user. e Click Log in. Your internet browser opens and you are prompted to log in to my.myob. f Log in with your my.myob details. g Enter the user s address and name. h Depending on the type of access you want to give this user, select File user access or Administrator access. i Continue with step 3 below. is existing a Select the user in the list on the left. b Click Online access in the panel on the right. Your internet browser opens and you are prompted to log in to my.myob. c Log in with your my.myob details. d Depending on the type of access you want to give the user, click Invite new online file user or Invite new online administrator. e Enter the user s address and name. f Continue with step 3 below. 3 Click Invite. The Manage online access page appears, and the user appears as Invited in the relevant list. This person will be sent an invitation via . When they accept the invitation, they will be set up with my.myob login details, which will enable them to access the online company file. 4 If you created a user ID at step 2 above, you need to contact the invited person and advise them of their company file user ID and password. 21 Set up bank feeds Bank feeds is an AccountRight Live service that lets you easily compare your bank account and credit card transactions with those recorded in AccountRight. Once you have this service set up, a feed, which is a list of transactions from your bank, will come in to AccountRight automatically. Depending on the bank you use, this may be updated daily, weekly or at other intervals. To set up a bank feed, you first need to specify your account details, and then authorise BankLink (who manage bank feeds) to set up a connection to your bank. You ll need to have internet access and your bank account or credit card details, exactly as they appear on your statement information. To apply for a bank feed 1 Go to the Banking command centre and click Bank Feeds. The Manage Bank Accounts window appears. 2 Click Get Started with Bank Feeds. An internet browser window opens and the my.myob Log In page appears. 3 Log in with your my.myob login details. 4 Follow the onscreen instructions. 5 On the Print the BankLink authority form page: a Click Print Form. The BankLink authority form and cover sheet appear. A copy of the authority form is also sent to you by . b Print the form. c Read the cover sheet and check your account details. d Sign and witness the form and mail it to BankLink. You need to do this because BankLink require an original signature to be authorised to set up bank feeds. RELEASE NOTES SET UP LIVE SERVICES 21

22 6 Click Done. The My Products page appears. This shows details about your AccountRight Live subscription and Live Services. The Bank Feeds section is updated with the details of the bank feed you have just applied for. 7 If you want to: apply for another bank feed, click Add more bank accounts or Add more credit cards and continue from step 5 on page 21. return to AccountRight, close the internet browser. 8 Complete the bank feed setup by associating an account from the Accounts List with the feed. See To set up AccountRight to receive a bank feed below. To set up AccountRight to receive a bank feed To complete setting up a bank feed, you need to associate an account from the Accounts List to it. This is the account that the bank feed will be compared to. 1 Go to the Setup menu and choose Manage Bank Accounts. The Manage Bank Accounts window appears. This window shows the status of your bank feeds applications so you can follow their progress. 2 Click Check/update status.
