1 Marketing Partner Extranet User Guide

2 Using the ACCVA Marketing Partner Extranet To Log-in to your Partner Account: Go to and scroll to the bottom of the page Click Partners Information in the lower left navigation. This takes you to the Log-in page. Click on Partners Only Login and fill in: Username ( address): Enter your password: (You can also type in your browser. If you are unable to access your account, please contact ACCVA Partnership at ) How To Use Navigation List: Once you are logged in, your Navigation list appears on the right side of the page. (See below) Clicking on these links will take you to screens that allow you to update your contact information, leads, calendar of events, hotel packages and publication text. Updates to your account will be reviewed by an ACCVA staff member for approval. All partners do not have access to all features, as this is dependent upon your membership. Return to Main Menu NAVIGATION LIST The Return to Main Menu link takes you back to the Extranet starting menu. Change Your Password You can change your user name and password to make it easier to remember. Click on Change My Password link to modify your password. The contact on the main account and the ACCVA will be notified of changes by . Forget Your Password? If you forget your password or cannot login, call Doreen Prinzo at (609) Logout Clicking on Logout will close the Extranet and take you back to the Partner Log-In page. 1

3 Your ACCVA Information Change key information about your company. Depending on your Major Code, you may have more than one screen to update. Note: Changes to Major or Minor codes can only be made by the ACCVA. When finished, click SUBMIT or CONTINUE to move to next page. *Each type of Partner can only view and update data that pertains to their Code. Accommodation Partners can: Update number and type of rooms Update meeting space criteria Update meeting room capabilities Provide distances to local venues Update billing preferences Update properties amenities Attraction Partners can: Update tour contact information Provide the time/length of average tour Update the min/max number for group tours Restaurant Partners can: Update restaurant and cuisine type Update seating accommodations Identify the type of reservations accepted List types of meals, hours, amenities, accepted payments, etc. Transportation Partners can: Update transportation amenities Provide departure tour locations All Other Partners can: Update their information on detail screens Click SUBMIT after making any changes to your Partner detail. If no changes were made, select Exit without Saving. 2

4 Update Your Listings Partners can update, open or delete their listings - such as Web Site Listing, Visitors Guide, etc. from this screen. Not all listings are available to update at all times. If you Add New Listing, click on that link, complete the form and click SUBMIT. (Note: Updated Listings will be approved during normal business hours, or the following day after review by the ACCVA) Contact Information This section lists the Contacts for your company which are currently in our database. You can add, edit and delete existing contacts. The main contact can assign permissions to users within their company. Deleted contacts will be verified by ACCVA Partnership department. To Add a New Contact, select New. Complete the blank contact detail screen. To add a contact with access to the Extranet, add their first and last name along with a username and password, which can be completed and password changed by the new user when they log on. To Edit a Contact, click on their first name. Make changes in the next window, then click SUBMIT. Changes will be verified by ACCVA staff. To Delete a Contact, click on the row to highlight. Then click DELETE in the navigation at the top of the list. Notification will be sent to ACCVA staff. (Note: Changes to Contacts will be approved during normal business hours, or the following day after review by the ACCVA) Manage Your Events Publish any public events occurring at your location. Events will be posted on ACCVA s events page. (All posted events must meet ACCVA guidelines for appropriateness on our site) Click Add New to post a new event, or click the row of an existing event to edit, then click Open. Complete the easy-to-use form with details of your event, then click SUBMIT EVENT NOW. (Note: Additions to events calendar will be approved during normal business hours, or the following day after review by the ACCVA) 3

5 Create Special Offers You can easily add, edit or delete Special Offers right from our Extranet. To Add New special offer, enter the details: Fill out the simple form with the Name of your Special Offer, the Dates your offer starts and expires, and when to display on ACCVA s Special Offers page. Include detailed information such as contact Phone, web site URL, a Description (ex. Receive 20% Off Dinner!), Instructions (ex. Present this coupon for discount) and Disclaimer (ex. valid Mon-Thurs, one coupon per table). Also, be sure to select the Keyword Categories appropriate for your offer. Click SUBMIT when you are finished. To Edit an Existing Offer, click on the Special Offer name to select, after new window appears, make changes and then click SUBMIT. To Delete an Offer, click on the row of your Offer to highlight (this will gray out the row). Then click Delete in the navigation. (Note: Special Offers will be approved during normal business hours, or the following day after review by the ACCVA) Convention Calendar The ACCVA posts AC Convention Center s 12-month Convention Calendar, which includes meeting dates, contact information, expected attendance and the ACCVA sales representative who booked the event. Convention Pickup Convention Pickup displays a list of completed conventions that you can add, view, edit or print as a report. *Available only to select partners 4

6 Partner Alerts & Information A wealth of valuable information is listed on the Partner Alerts & Information page. The ACCVA has created the Partner Extranet to help you build your business through direct contact with convention planners, tour operators and leisure visitors. Here you will find important forms, calendars, new leads, mailings and special offers exclusively for partners. This page is utilized by most partners and updated on a regular basis. Partners should download and print our list of Benefits and Services from the link at the top of the Orientation section in order to better understand all of the marketing partner options available to you. Monthly Mailings Here you can access each month s recently updated Telemarketing, Leisure and Group Leads, new Marketing Partners and the current AC Center Convention Calendar. Just click on the month to access publications which you can view or print. Agreement Forms/Applications This section lists forms and instructions to order online advertising, to list your Hotel Packages, to manage your Special Offers and Events, including coupons. You can also upgrade or enhance your partnership level, or even view or print this Extranet User Guide. Hotel Packages Form Partners can easily submit their Hotel Packages to the ACCVA through the Extranet directly on this PDF form. Just fill out the form on your screen by clicking and typing in each blue field, then click SUBMIT FORM in the upper right hand corner. This will send the completed form back to the ACCVA. You can also print the completed form and fax it back to us at (609)

7 Group Sales Leads In Group Sales Leads (for Meeting Planners), your options are listed above the navigation bar. Click Search This Section to find specific leads. You can: List Active Leads Sort, update and print your Definite Leads Search and review your Lost Leads View and print the Leads Summary page by month, quarter and year-to-date. Click Back to return to Group Sales Leads *Not yet available to partners Tourism Sales Leads In Tourism Sales Leads (for Tour Operators), your options are listed above the navigation bar. Click Search This Section to find specific leads.
