2 1. INTRODUCTION This guide will help you to get started quickly with, based on your profile, and to learn about the various access options and information that this tool offers you. 2. LOGGING IN TO DATACAR PORTAL Log in to via the following URL: Alternatively, you can access from the "" link on the home page of the showcase site on You will be redirected to the login page Enter your login. 2- Enter your password. 3- Click on "Remember your password" to avoid having to enter it again for forthcoming connections. 4- Click on "Log in" to access. DATACAR PORTAL MENUS 3.1 home page The home page comprises several sections: Application tiles: By clicking on one of these tiles, you can access DataCar B.I, DataCar DMS or DataCar CRM, according to your access rights. There are two tiles dedicated to your applications on the home page. If you have more than two applications, you can find the others in the "My applications" tab. 2- Information tile: This contains information relating to the use or and access to. In particular, you can access this guide and the getting started videos for the application. 3- Reports: This provides access to reports, based on your access rights. Only users with certain profiles (e.g. sales, dealership, workshop or warehouse managers) have access rights. 4- Assistance: This offers you access to the home page of the Datafirst support site. This site is designed to respond to any questions that you may have on the various Datafirst products. It includes sections for documentation and frequently asked questions. 5- Blog: Access to the Datafirst blog. 6- White book: Download Datafirst's white book to boost your sales. Simply complete this form. This booklet will enable you to make best use of the latest technologies to develop your dealership. 7- Bookmarks: You can adjust the parameters for this tile and add links to your bookmarks. 4 3.2 My Applications Application tiles: These offer access to all of your applications. The DataCar button will take you to a web page dedicated to DataCar products. 2- E-learning: View the schedule of remote training courses and take part in a session. 3- Bookmarks: This is the same tile as on the home page, offering access to your bookmarks. 4- FAQs: This offers single-click access to frequently asked questions. 5- Document database: This offers direct access to all relevant documentation on the support site. 6- Assistance: This provides access to the Datafirst support site. 7- Need help: This offers access to the Datafirst support contact form. Complete this form correctly to enable the support team to respond to your requests as quickly as possible. Doc. no. Page 4 of 25
5 3.3 News This page offers access to news relating to Datafirst application, press reviews, testimonials from our customers, and the latest editions of our blog. The DataCar news can be viewed directly by clicking on the title, a new page will then be displayed It is also possible to subscribe to the Datafirst news s RSS flux, use the icon : Doc. no. 6 3.4 My Reports Access to this page is limited to those persons whose role within the company dictates that access to this information is required. These rights are granted by the administrator. This menu enables the development of a dealership to be monitored, via statistical data in the form of graphs and tables divided into three categories The Dashboard report is reserved for DMS and CRM customers. It offers access to data relating, in particular, to sales revenue, margins generated and breakdown per payer. This data is presented by sector of activity: workshop, warehouse, new cars, used cars and CRM. 2. The DMS Cockpit category is reserved for DMS customers. It enables you to make use of data drawn from the DMS using management criteria, in particular sales revenue generated, margins, quantities sold over various time periods (day, month and year) for new and used cars. 7 3.5. Surveys When connecting to the portal, it is possible that a survey is proposed to the users. The user will have then 3 possible choices: Accept the survey : the survey page is displayed and the user can give his answers Report the survey : The user choice is to report the survey, it will be proposed again at the next connexion Refuse the survey: The user doesn t want to participate, his refusal is recorded. The survey will not be proposed again. The survey page: Don t forget to Validate at the end. Doc. no. Page 7 of 25
8 3.6. Personal s information to validate For all users that have the role team leader, Manager, Director and Chairman, it will be asked to validate the personal s information. This request will secure your account access to the. The following popup will be displayed and have to be validated: 3.7. use conditions to validate For all users, it will be asked to validate the conditions. The following popup will be displayed and have to be validated: Clicking on the PDF icon, it is possible to view and/or print the use conditions document. MANAGING YOUR PROFILE AND CHANGING YOUR PASSWORD 4.1 My profile The "Profile" menu enables you to: Update your user information Change your password Create, modify and delete your bookmarks Enable, disable or amend the order in which applications are displayed. Click on the button at the top of the page (with your full name) to open the drop-down menu and select the "My Profile" menu. Doc. no. Page 9 of 25

11 1- Following each change, click on "Update" in order for the change to take effect. The "Restore password" button is used to send the user an containing a link to change password. 2- Profile information: Depending on your access rights, you may be able to add personal information or amend the information already entered. The administrator can amend all information, whereas ordinary users have access to the following fields only: "Job title", "telephone number", " address", "country" and "language". 3- The "Companies" pane enables the administrator to allocate certain rights to a user: Administration rights for a given sales outlet. Access rights to DataCar B.I (if you are a DataCar B.I customer) linked to this sales outlet. Link the collaborator to his/her physical sales outlet. For more detailed information on editing this pane, refer to the section on the customer administrator profile. 4- List of applications: You can also select the order in which your applications are displayed. The administrator can select which applications appear on the home page. However, all applications are displayed in "My Applications". Click on the up arrow button to display the application in a higher position. Click on the down arrow button to display the application in a lower position. Refer to the section on the customer administrator profile for adding and enabling applications. 5- This section is used to add, modify and delete bookmarks by entering the title and URL of the bookmarked page. To modify or delete a bookmark, click on a field (title or URL). The modify and delete options will be displayed alongside the "New bookmark" button. Doc. no. Page 11 of 25
12 4.2 Changing my password Click on "Change password" in the drop-down menu and fill in the fields, entering your previous password followed by your new password. Confirm your new password by clicking on the "Change Password" button. Doc. no. Page 12 of 25
13 5. CUSTOMER ADMINISTRATION Select "Administration" from the drop-down menu at the top left of the home page. The customer administrator can: Create users Add companies, applications and bookmarks to users' accounts. The administrator CANNOT ENABLE users or their applications. The administration page is displayed, listing existing users and enabling the creation of new users. Doc. no. Page 13 of 25
14 5.1 Creating a user Click on "Create User". The creation form is displayed. This form comprises three panes: Personal information Professional information Account information Personal information Enter the personal information for the user to be created. Doc. no. Page 14 of 25
15 Professional information Enter the professional information for the user to be created. To add "Brands" or a "Field", simply click on the data entry field to display the options. Doc. no. Page 15 of 25
16 Account information By default, the username will be the first letter of the user's first name followed by his/her surname. Select and confirm a password. 17 "Company" pane This displays the entity within which the user has been created. By default, the user will be assigned to this entity (check box: "Assignment"). Users can be assigned to only one company. It is possible to create another company for the user if necessary. If this user must be appointed as the "Administrator" or requires access to the B.I software, click on the line for the existing company (in this case, "Demo DataCar"), in order to modify the options. The "Change" and "Delete" buttons then become available. Single click When you click on change" button, a pop-up appears enabling administrator or B.I access to be granted to the user. Confirm the modification using the "Update" button. To delete the link to the company, click on the "Delete" button. You will then receive a confirmation request. Doc. no. Page 17 of 25
18 "Applications" pane By default, there are no applications associated with the user that has just been created. To add an application, click on "New". A pop-up will appear enabling you to add an application. Some fields depending on the chosen application cannot be entered. We have 3 distinct application types: DataCar applications: There are DataCar basic applications that need to have a licence: DataCar CRM, DataCar DMS and DataCar B.I. The customer administrator can add and activate them. Secondary Applications: There are secondary applications linked to the DMS Licence. The customer administrator will be able to add them, no activation is necessary. External Applications: There are all external applications that can be added and run from the portal. For example: Word, Excel or any other executable file. A list of external applications must be sent to Datafirst to be set up. Doc. no. Page 18 of 25
19 Adding a DataCar application The customer administrator can create and manage DataCar applications, however when adding these applications some fields will not be available. Adding an annexe DMS application The customer administrator can create and manage the secondary application linked to the DMS, however some fields will not be availables on creation. Warning Theses applications could only be added ONLY if a DMS application is already define on the user account. 20 Particular Case It is possible that a user need to have a second DMS account. In this case a second DMS application with a login, a description, a link and a TSE link will be added. To add additional applications linked to the DMS, the manipulation to put the DMS ligne of the second DMS in the first position of the list must be done, so the additional application will be added regarding the line position. Example : If I add additional application, they will be linlked to the first DMS. (DMS1) Use the arrows at the end of the line to UP the second DMS on first line SAVE then the modification before adding additional applications. If I add additional application, they will be linlked to the second DMS. (DM2) Doc. no. Page 20 of 25
21 Adding an external application Adding external application by customer administrator need to be launch by RDP (Remote desktop Protocol). It won t be possible to add an additional application to a user if this option is not specified into the customer account. It is the Datafirst administrator who can update the customer account by ticking the checkbox Launch by RDP. When adding an application, if the user doesn t have the «Launch application by RDP» ticked, then the application type choice will only be for Datafirst application and the tick on the checkbox External will be disabled. The only external application proposed by Datafirst is ComptaRDP. The informations to enter are : The description field The TSE Link field The optional parameter is not necessary for ComptaRDP. 22 "Bookmarks" pane This is where users can create quick-access links to websites. This data can be updated by the user. Click on "New bookmark". The list of bookmarks is updated. Do not forget to update the user data sheet using the button at the top of the page, and then validate the change in the confirmation pop-up. Doc. no. Page 22 of 25
23 6. TECHNICAL PREREQUISITES It is recommended you add the websites and as trusted websites within Internet Explorer. From the toolbar, access the Internet Options menu: Doc. no. Page 23 of 25
24 In the menu Tools of Internet Explorer, select Internet Options, then select the tab Security. 2 In the parameters zone, select Trusted sites. 3- Click on the Sites menu in order to add the DATAFIRST website URLs 4- Add: then within the trusted websites list. 5- Click on Add to make appear the URLs in the websites zone. Add the sites and to the list of Internet Explorer trusted sites on your local workstations. Open the "Internet options" menu on the toolbar. 1- In the Internet Explorer "Tools" menu, select "Internet options". Then select the "Security" tab. 2- In the parameters section, select "Trusted sites". 3- Click on the "Sites" menu to add the website addresses. 4- Add and then to the list of trusted sites. 5- Click on "Add" to ensure that the URL appears in the websites section.
