3 QUICK GUIDE Login to using your usual UniId and password. Click on RHD Progress Reporting in the menu list Arrive at RHD Progress Reporting Home Page Click on My RHD Reviews MY RHD REVIEWS PAGE My RHD Reviews page shows progress reports requiring review. They are displayed in various combinations depending on the user and stage of review. OGS and the Dean of Graduate Studies will see every report to be reviewed. Heads of Schools/Nominees will see all reports for their respective school, where they are not also a supervisor. ADRT s will see all reports for their respective faculty, where they are not also a supervisor. Each reviewer assigns a traffic light to indicate their level of concern or view of progress/issues: Green all ok Amber Some concerns requiring input or action Red Serious concerns requiring action Reviewing a Report To review a report click the Action Required link The report sections will appear as links on the left of your screen. Click any section to view that section or the Consolidated View to view A, B and C as one page. These open in new tabs. Responses in the negative or that conflict and require particular attention are auto highlighted in yellow. To close the sections click the x on the section tab at the top of your screen. To read the review of OGS, Dean, HoS click the arrow button next to OGS, Dean, HoS in the blue bar. Select your own recommendation from the pick list. Comments are mandatory for anything other Progress Satisfactory (green light). If you want specific action taken you may optionally specify this. You may optionally attach documents. You may save your review and return to it later. To finalise your review use the Submit Final button at the bottom of the page. You can always view finalised reviews. Page 3 of 11

4 DETAILED GUIDE ABOUT THIS GUIDE This guide is designed to assist all reviewers of Annual and Mid-year RHD progress reports conducting reviews and making recommendations using the RHD Progress Reporting system in Nustar. The guide is therefore specifically aimed at the following users: - Graduate Studies Officers working in the Office of Graduate Studies (OGS) - The Dean of Graduate Studies - Academic Staff in the role of Head of School (HOS) - Academic Staff in the role of Assistant Dean, Research & Training (ADRT) There is also a video tutorial available on the OGS website with other Progress Report information. GETTING STARTED When to complete a review School and Faculty representatives will be notified by OGS once OGS commences their review of complete reports. This will be your cue to login to Nustar periodically to check the reviews you are required to undertake. There is no auto-alert each time a review is required. Logging in To get started using the RHD Progress Reporting system, you will need to log into the Nustar system using your existing UniId and password. Nustar is available from the following link: - If you are new Nustar user, ensure you add this link to your browser favourites. Launching RHD Progress Reporting To launch RHD Progress Reporting, click on the RHD Progress Reporting link available from your Nustar homepage, as shown below. This will take you to the progress reports home page. NB: Your own view of this screen may be different and it is likely there will be less menu items. You will only need RHD Progress Reporting for this purpose. Page 4 of 11

5 RHD Progress Reporting Home Page To add this page to your Favourites, click on Favourites in the top left menu, then select Add to Favourites: To conduct a review, click on My RHD Reviews link. Page 5 of 11

6 MY RHD REVIEWS PAGE My RHD Reviews page shows progress reports requiring review in various combinations depending on the user. OGS and the Dean of Graduate Studies will see every report to be reviewed. Heads of Schools/Nominees will see all reports for their respective school, where they are not also a supervisor. ADRT s will see all reports for their respective faculty, where they are not also a supervisor. For the first online round in Nov/Dec 2014 only current round details will be available. From 2015 onwards information from previous online rounds will be available. Progress reports that you must review are marked as Action Required. The traffic lights reflect the outcome of each review. Searching for past reviews The Year, Round Type and Student details for each progress report. The Review status tells you which reviewer the progress report is with. If you have finished your review, the Action status will change to Review Completed. For progress reports reviewed by other people in the same role as you, the status will say View Review. From 2015, if you wish to search for reviews from a previous round that have been completed, you may do so by entering the relevant search criteria in any of the search fields. EG: Review Year = Round Type = Annual. Page 6 of 11

7 PROGRESS REPORT REVIEW WORKFLOW Each progress report is reviewed by OGS, Dean, HOS and ADRT in the order stated. Progress reports that do not receive a green review by every reviewer will also undergo a Final OGS Review. OGS will summarise the review findings and take any relevant action. OGS Review Dean Review HOS Review ADRT Review Final OGS Review Review Header Once you have opened a review, you will see a review header that contains specific candidature summary information. On the left, you can see links to all progress reports submitted by the candidate and their supervisors for current and past rounds, via this system. NB: Paper reports submitted prior to the Annual Round 2014 are not available in this system. Consolidated view shows all three sections combined and is printable. Review header with candidature information From 2015, you can also read any report submitted online in previous rounds. Click on a section link to view the read only section submitted by the Candidate and their Supervisors. Page 7 of 11

8 Reviewing a submitted section When you click on a progress report section link to review it, all data will be read only. Answers that appear highlighted in yellow are for closer scrutiny or special attention. Section A view The hours are highlighted as the candidate is registered as full time. Consolidated view Consolidated view is a read-only and printable version of all three report sections combined. Answers that appear highlighted in yellow are for closer scrutiny or special attention. This date is highlighted as it is past the candidate s expected end date. Page 8 of 11

9 OGS Review The OGS review section appears immediately below the review header. OGS will complete the review by selecting an appropriate level of scrutiny (red, yellow or green). Comments may be entered to expand on the assessment and supporting documentation can be attached. When you select the appropriate level of scrutiny, the traffic light is updated accordingly. Enter comments here. You can attach multiple documents by clicking on + icon. Remove documents by clicking on - icon. Submit your review by clicking Submit Final. Attach supporting documentation by clicking on the paper clip icon. Save your review by clicking Save Draft. Dean (of Graduate Studies) Review The Dean s review section appears below the OGS Review. The OGS review is collapsed by default, but can be expanded by clicking on the arrow to the left of the heading Assessment by OGS. The Dean will complete their review by selecting the appropriate level of scrutiny (red, yellow or green) and may enter comments to expand on their assessment and attach supporting documentation. When you select the appropriate level of scrutiny, the traffic light is updated accordingly. Enter comments here. Submit your review by clicking Submit Final. Attach supporting documentation by clicking on the paper clip icon. Save your review by clicking Save Draft. Page 9 of 11

10 HOS Review The HOS review section appears below the OGS and Dean reviews. These reviews are collapsed by default, but can be expanded by clicking on the arrow to the left of the relevant heading. Complete the HOS review by making the appropriate recommendation. You may enter comments to expand on your assessment and attach supporting documentation. NB: Comments are mandatory for all recommendations other than Progress satisfactory. Pre-defined traffic lights are assigned to the recommendations. Yellow and red lights will require comments. View previous reviews by clicking on the arrow to expand them. When you make a recommendation, the traffic light is updated accordingly. You can recommend that a candidate submits a mid-year report here. Action By is optional. If used, the Recommended Action box is then mandatory. Add multiple/various actions here by selecting the plus icon to add a new row. Remove actions by selecting the minus icon Enter comments here. Mandatory if your recommendation has a yellow or red traffic light. Attach supporting documentation by clicking on the paper clip icon. Submit your review by clicking Submit Final. 11 ADRT Review The ADRT review section appears below the OGS, Dean and HOS reviews. These reviews are collapsed by default, but can be expanded by clicking on the arrow to the left of the relevant heading. Complete the ADRT review by making the appropriate recommendation. You may enter comments to expand on your assessment and attach supporting documentation. NB: Comments are mandatory for all recommendations other than Progress satisfactory. Pre-defined traffic lights are assigned to the recommendations. Yellow and red lights will require comments. View previous reviews byclicking on the arrow to expand.
