7 21 st Century - ProjectDox Stamp and Batch Stamp Features Raster or Image stamps Stamp templates Dynamic stamps: Tokens Batch stamps Batch stamp templates Batch stamping and publishing 7
8 Raster Stamps (Image files) Image files are saved as.jpg or.png Typically used by reviewers Typically saved locally on PC or on network Can be saved in Server location for incorporation in batch stamping Can be burned in (made a permanent part of the file) once burned in, cannot be removed 8
9 Apply an Image Stamp Who: any user with Create Markup permissions can apply Image stamps Placed manually on a single page Open desired file in ProjectDox Viewer Create new Markup layer, or open existing one in edit mode Select Image tool, the desired image, and click or click and drag to place Demo 9
10 Dynamic Stamps Who: Stamp permission required Dynamic Stamps are created in the Viewer Open a file in the Viewer, click on the markup tool, and select Stamp Template -> New 10
11 Dynamic Stamps (cont d) Using the Markup tool, click on the drawing and add tokens Optional: add desired text or images, choose Stamp Template -> Save, and enter a name for your new Dynamic Stamp. 11
12 Dynamic Stamp Tokens Tokens are dynamically replaced by their actual value by the system, or in special cases, by user input, as seen in the following example -- 12

15 Dynamic Stamps Tokens Many tokens are available, under following categories: Project, File, Folder, File Metadata, File Owner, User, and User Metadata For a complete list of available tokens, and instructions, see ProjectDox Help under the topic Batch file stamping. 15
16 Stamp Templates Who: Stamp permission is required for Stamp template related activity A Stamp Template is a group of one or more markup entities, defined by an author as a "stamp". The template can contain any available markup entities, including: Images Static text Dynamic text (tokens) Clicking the file Stamp tool in the Markup toolbar brings up the same list as clicking Markup Stamp Templates Open 16
17 Stamp Templates - Creation Templates are created in the viewer and saved to the Stamp Templates table in the ProjectDox database. Use registration marks to help position stamps (offset) To create new Stamp Templates, click Markup Icon Stamp Template New. Stamp Templates can be used as Markups by users with the Stamp Permission. 18 Summary of Tips for Creating Stamps Scan existing rubber stamps to ProjectDox - use as template/guide to creating electronic stamps. Create separate images for different sheet sizes: 8 1/2 X 11, 24 X 36, etc. Use tokens to display project or user data on the stamp. Stamp Background Transparent recommended: Shapes Select Hollow Text Box Select transparent background Use registration marks to create an off-set to position stamp 18

20 Batch Stamping Who: Stamp permissions are required to perform actions related to Batch Stamps. Upload permission on the target folder is required to perform Batch Stamping or Batch Publishing 20
21 Batch Stamping One or more files from a single or multiple folders, in a single or multiple projects are copied and processed: Converted from native format to PDF, DWF or TIFF A stamp may be applied. The resulting files are uploaded into target folder. Files must be added using the dialog while in their folder: navigate to each project and folder where files are to be included and click the batch stamp icon to run the dialog 21
22 Batch Stamping The extra stamp icon shown above indicates that files have already been selected for batch stamping. You can click on either stamp icon to display the dialog, which will show the list of selected files. 22

24 Batch Stamping Avolve Software strongly recommends Batch Stamping to PDF. Advantages file size, file can be opened without original application Advantages of PDF or DWF retains data (layer info, text searchability) 24
