4 2 Introduction and Overview Secondary Achievement is one of the functional components of the Trillium Web application that will allow teachers to enter marks, comments and learning skills for secondary students via the Internet. The application will make use of Trillium s proven security system and will allow the same user id and password to be used for the Web application. It also allows the setting up of security in such a way that teachers may only see the students and courses they teach. All Secondary Achievement information is directly accessed in the Trillium production database from the application and no interim steps of data processing are required. The Secondary Achievement component will allow teachers to enter marks, learning skills and comments from any place at anytime. This overview document contains a high level description of the product to provide a better understanding of its potential. Note: This document is not a training manual. 3 Security Tasks There are 12 separate security tasks associated with Web Secondary Achievement. The systems administrator can assign any one or all 12 to each individual teacher. Secondary Achievement Personal Comment should never be assigned to administrator (user with system administrator permissions). Administrator cannot create or edit personal comments. 4 Login The system administrator will provide the teacher with an Internet site link and assign a user name and password. The teacher must enter his/her user name and password in the correct fields. The application will then retrieve the security setting and give access to all students and courses affiliated to the individual teacher. The Trillium Web application will verify that the teacher has permission to access information and perform certain tasks. Core Trillium is responsible for maintaining the security accounts of secondary teachers enabled to use the Web application. The application uses encryption to ensure that confidential textual information is transmitted over the Internet in a secure manner. Note: After three unsuccessful login attempts during one session the account will automatically be suspended. SRB TWebSA Overview April 2015 Page 4

6 The message will count down the number of attempted logins and failures with each attempt. 4.1 LDAP Authentication This release of TwebSA includes the LDAP Authentication feature which allows the user to login using active directory credentials. The LDAP Authentication feature supports SSL protocol which provides a trusted and secure connection for the transferred data. This enhancement is optional and it is up to the boards to set it up in the Core Trillium LDAP preferences window. Note that LDAP authentication must not be enabled until the board has installed the LDAP compatible versions of all their SRB products. 4.2 Gateway Core Trillium was enhanced with new Gateway features. The Gateway features include new Menu and Picture Menu items to seamlessly integrate the Trillium Web and companion products into Core Trillium. As a bonus, 16 new customizable Menu items are included for accessing websites and windows programs. Gateway menu items have been created and secured with conventional Trillium security tasks. Any user assigned the proper security task can access Trillium Web Secondary Achievement from within Core Trillium. The user will not need to enter his/her credentials again to log into the application. The Change Password tab will not be available in TWebSA since the change password will be managed from Core Trillium. If the preference is set to force the changing of passwords, the enforcement of the changing of the password will occur when the user logs into Core Trillium SRB TWebSA Overview April 2015 Page 5

7 5 Entry by Student The first page after login is the Entry by Student page. This page is the location where teachers can enter the marks, learning skills and comments for individual students by course/section. The teacher must select which report period he/she would like to work with by making a selection from the drop down list. Only courses taught in the report period, which have had achievement records generated, and are not locked, will appear. The teacher must select the Course/Section he/she would like to work with by making a selection from the drop down list. Only those courses the teacher has been designated as the achievement reporting teacher for in core Trillium will appear in the drop down list. When a selection has been made, the Course/Section and Course Title will be displayed. The students who are in the selected Course/Section will be listed on the left side of the screen in groups of 14. Clicking on the link 1-14, 15-29, 30-44, etc. will produce the next page of students. The top portion of the screen is for manual entry of the student s mark and learning skills. If the school is using the Attendance subsystem of Trillium, the absences and lates for the selected report period will be displayed. If the school is not using the Attendance subsystem of Trillium, the teacher can manually enter the period attendance in the appropriate cell. The teacher is also given the opportunity to modify the IEP and Delivery Mode fields. The SHSM checkbox is set on by the application. Once the course is finished, the checkbox will be set based on the SHSM earned credit value (set on if SHSM credit is greater than zero). Prior to the course being finished, the checkbox will be set on for SHSM students if the course matches a course listed in the SHSM validation table for the student s specific major. The student s SHSM start/earned/dropped dates will be referenced to verify the student is participating in the SHSM at the end of the report period date range OR on the student s departure date (last attendance taking day). The ESL/ELD drop down list and French checkbox will be populated from the Special Indicator and French transcript note fields in the Courses window when achievement records are generated. 8 The board may or may not want its teachers overriding these checkboxes when entering secondary achievement data, so three security tasks, Mark Entry Override ESL/ELD Flag, Mark Entry Override French Flag, and Mark Entry Override SHSM Flag, have been created to control access to the fields in the secondary achievement entry windows. Once a checkbox has been overridden, any future regeneration of achievement information will not update that information. A checkbox to identify if the teacher wishes to request an interview with the student s parent is located following the Delivery Mode field. This checkbox is always visible on the data entry screens, but will only appear on the interim report card. The six columns for Learning Skills must each have a value of E, G, S, or N assigned for each student. The teacher can either select from the dropdown list or type the Learning Skill in the appropriate cell. Note: There are 7 columns for Learning Skills in the French application and the values are E, T, S, or N. The middle portion of the screen is the comment box. A separate security task, Secondary Achievement Update Comment, must be assigned for the teacher to modify the text in the comment box. This will allow boards that wish to have only approved comments appear on the report card the control required. The 7 additional text fields can be used as a fast data entry method. The teacher can enter a school comment number he/she would like to add to the student s comment. Once the Get Comment button is pressed, the comment numbers will be translated into text, which will appear in the text area. The maximum number of characters allowed (460 in the current version) and the number of characters currently used in the comment is displayed at the bottom of the comment box for the teacher s convenience. The fields for entering comment numbers are displayed only if the user has access to school comments (the Achievement Comment task has been assigned). The lower portion of the screen is the browser for selected comments from the comment banks. There are two such banks: school comments and personal comments. These two categories of comments are stored separately in the database. The user can now keep his/her personal comments when moving between schools within the same board. Each comment can have a title field facilitating search (up to 20 characters. The user can search comments depending on the following criteria: Comment Category (School or Personal); Comment Type (the types are defined in the Comment Types validation table); Comment/Title content (a non case sensitive sequence of characters, which should exists in the comment s text or title). On clicking Find button, the application populates a comments grid in the bottom section of the page. The grid is sortable in ascending order by comment s code, text, type or title. When the user clicks the Find button the application calculates the number of comments, which should be returned. If the number of comments is greater than recommended maximum, a warning will be displayed: "Selection of all comments will return... rows. Do you want to proceed?" If the user clicks "Yes", the application will load all the comments found. If the user clicks No, the search is not implemented, and the user can narrow the realm of the search. The recommended maximum is set by the system administrator. SRB TWebSA Overview April 2015 Page 7

9 To add one of these comments to the student s comment box, the teacher clicks on the comment in the grid. If the text of a comment is too long, the user can display it by clicking the corresponding Zoom button or by moving mouse over the text. The user is able search school or personal buttons if he/she has access to the corresponding bank: Achievement Comment and Secondary Achievement Personal Comment tasks, respectively. If the user does not have any of these tasks assigned, the search section and comments grid are unavailable. The buttons located on the upper left portion on this page are Spell Check, Save, Previous Achievement and Clear. 5.1 Spell Check The Spell Check button can be clicked to produce a spell checker pop up. 10 5.2 Previous Achievement The Previous Achievement button can be clicked to produce a pop up to view previous achievement and attendance information for the selected course and student. This information is limited to the current school and school year. Note: The teacher will only see the marks and attendance for courses they are the designated achievement reporting teacher for in the previous report period(s) and will not be allowed to make any changes to the previous achievement or attendance. 5.3 Clear By clicking the Clear button the user will clear all comments from the upper comment box. 11 6 Entry by Class The second page is the Entry by Class page. This page is the location where teachers can enter the marks and learning skills for all students in a class. The teacher must select which report period he/she would like to work with by making a selection from the drop down list. As with the Entry by Student page, only those courses taught in that report period, which have had achievement records generated, and are not locked, will appear. The teacher must select the Course/Section he/she would like to work with by making a selection from the drop down list. Only those courses the teacher has been designated as the achievement reporting teacher for in core Trillium will appear in the drop down list. When a selection has been made, the Course/Section and Course Title will be displayed. The students who are in the selected Course/Section will be listed on the left side of the screen in groups of 14. 12 7 Comment Builder Users can create comments and add them to the comment banks, providing security has been assigned to them. There are three security tasks that are associated with Comment Builder in core Trillium: Validation Tables Access to Comment Builder; Achievement Comment Access to School Comment Builder: the user is able to search and display school comments; Secondary Achievement Personal Comments Access to Personal Comment Builder: the user is able to search and display personal comments. Note. Administrator user cannot access the Personal comments even if she has the Secondary Achievement Personal Comment task assigned. If a user role has been assigned with Update flag, the user is able to add, modify and delete comments of the corresponding category. If the Update flag has not been set, the user cannot add or modify comments: SRB TWebSA Overview April 2015 Page 11

13 The Comment Builder page consists of two subpages, which are selected by clicking corresponding menu tabs: School and Personal. On each of the subpages the user is able to search the comments of either school or personal category, provided that needed security tasks have been assigned. The user creates and edits comments of corresponding category: personal comments on the Personal page, school comments on the School page. So the personal comments might be displayed on the School Comment Builder page but cannot be edited there and vice versa. Each comment can have a title field facilitating search (up to 20 characters. The user can edit comment manually in the text area at the top section of the page. Double clicking on a value from the Insert Pronoun list or clicking the Copy button will place the selected type of pronoun into the comment. When this comment is used in Entry by Student page, the system translates the pronoun appropriately. The comment is associated with the Comment Type selected in the drop down list on the top portion of the page. The maximum number of characters allowed (460 in this version) and the number of characters currently used in the comment are displayed. The user can add a comment from the grid to the box by clicking on the comment s text. The text will be added in the current caret position. The user can replace the text area content with a comment by clicking the Edit button (Book icon) beside the comment. The user can delete comments by selecting them using check boxes on the left side and then clicking Delete button. A warning message is presented before deleting. If the comment is new or has been modified, clicking on the Save icon on the tool bar will save the modifications. The teacher can clear new comments or previously entered comments from the screen using the Clear icon on the tool bar. For each comment the New icon will need to be clicked to create a new page in the text box. SRB TWebSA Overview April 2015 Page 12

14 The users can create their own personal comments based on school comments and vice versa. E.G. the user finds school comments being at the Personal page, then moves one of them in the Comment Builder text area and saves. The teacher can generate a PDF report containing personal comments. The Print Comment Bank button is enabled in Personal Comment Builder page and disabled in the School Comment Builder. 8 Achievement Report The fourth page for Achievement Report is where teachers can verify the entries in the Web application for Secondary Achievement. The teacher must select which report period he/she would like the report to be built on by making a selection from the drop down list as well as making a selection of the Course/Section by checking the applicable checkbox. Only those courses taught in that report period, which have had achievement records generated, and are not locked, will appear. Note: The teacher will see only the courses he/she is the designated achievement teacher for. The Check All and Uncheck All boxes on the right side of the page can be used to facilitate the selection process. Clicking the Print button generates the report. 15 The report is identical to the Achievement Verification List found in Report Launcher in Trillium. 9 Change Password The teacher will be allowed to change his/her password on this page. When the teacher enters and re-enters the new password, the system will replace the old password with the new password in the security system of core Trillium. 16 10 Preferences 10.1 User Preferences Users can customize color themes for the application on this page. Four colors are available purple (default), blue, green, and gravel Board Preferences This board preference page provides information about the current server and application configuration. This information is useful for system administrator and support team. This preference is controlled by a separate security task WWW Board Preferences Configuration Settings. A user must have this task assigned in order to have access to the page. The configuration preference page consists of a set of predefined categories, under which a list of configuration details is displayed: Application Development Information System Environment Variables Application Information Other Configuration details The screen contains information about application deployment environment (version of Java and of operating system, Java Class Path and VM mode etc.), system environment variables (the server computer name, processor etc.), application characteristics (version number, language, application path etc.), and other environment details: database, JDBC driver etc. SRB TWebSA Overview April 2015 Page 15
