3 From home, school or anywhere that you have an internet connection you can reach the TWebEA login page at: Our Board has purchased TWebEA videos that will walk you through each step of the elementary achievement process and can be viewed by clicking on this link: Then select TWebEA Report Cards Training Videos. Videos can be viewed in PDF format or by internet explorer. Logging-In to TWebEA: STEP 1: Enter your Trillium user name & password. NOTE: Usernames and passwords are case sensitive. STEP 2: press the submit button 3 P age

4 GENERAL FUNCTIONALITY AND IMPORTANT CONSIDERATIONS Saving -If you do not press the save button/icon before moving to another student or another screen, you will receive the following message : When you receive this message, -select YES to save your changes and proceed to the next screen. -select No to proceed to the next screen without saving your changes. -select Cancel to remain on the current screen without saving your changes. Save Early and Save Often! Browser Buttons The Refresh button and the Back button on your browser are NOT supported by this application. DO NOT press these buttons while you are logged into the application, you will lose any information that has not been saved and you will receive the following warning: Once you receive this screen, it does not matter which button you choose (Retry or Cancel), you will be automatically logged out of the application and any data which was not saved prior to the message being displayed will be lost. You will be redirected back to the log on screen where you must re-enter your user name and password to log back into the application to continue your work. IMPORTANT : Timeout Feature -To help maintain the security access to the web application, an automatic "timeout" feature has been built in. Warning: after a 30-minute period of inactivity the user will be logged off and any data not saved during that time will be lost. A period of inactivity is defined as the time between saves or the time since you've asked the application to perform another function (i.e. spell check). When you are entering data (typing), you are technically inactive. If your computer times out, all newly entered data since your last save will be lost! 4 P age

5 A warning box will appear two (2) minutes before you are logged out and provide you the opportunity to save your data and reset the session timer. To invoke a save the user MUST still press the Save button on the screen (simply selecting OK on the warning screen will not save your data). Getting to Know the Tab: An Overview Once you have entered your username and password, you will see the TWebEA Subject/Students page. A selection of tabs along the top of the page gives different views of your class data. Each tab is designed to make certain reporting tasks easy. The tabs look like this: Here is a list of the tabs with a brief overview of their function: Subject/Students: Use this tab to see an overview of the subjects and students for which you will enter data. Select a class/student by clicking on the appropriate rows in the lists; then, you can work with data for the selected subject/student in the other tabs. Mark Entry: Use this tab to select Progressing with Difficulty (PWD), Progressing Well (PW) or Progressing Very Well (PVW) on the Progress Report Card. For the First and Second term report card, use this tab to enter letter grades (Primary/Junior) or percentage marks (Intermediate). Student Comments: Use this tab to enter comments for a particular Subject/Student. You can search & access your personal comment library from this tab (If you have created comments in TWEA already). Skills/Progress: Use this tab to enter Learning Skills information. NOTE: For this Progress Report Card, only the home room teacher will be able to enter comments for the Learning Skills and this tab will only be displayed for the home room teacher. When Trillium is updated for the First and Second Report card all of the student s teachers should be able to add comments. Report Card: This tab is not available in the Progress Report. Use this tab to see a simple view similar to the paper version of the Report Card. Marks and comments can be entered and/or edited here. Comment Builder: Use this tab if you wish to create a bank of comments that can be saved from year to year 5 P age

6 Mark Entry STEP 1: Select a homeroom and subject. STEP 2: Select a student by clicking the appropriate row. The selected student is highlighted. Mouse, Mickey STEP 3: For the Progress Report select PWD, PW, or PVW. To enter a letter grade, for Report Period 1 or 2, click on the mark drop-down list and pick a grade. To enter a percentage mark, for Report Period 1 or 2, click in the mark box and type in You can use the keyboard TAB key to move between fields and students. You can use the keyboard UP and DOWN arrow keys to call up the marks menu and select grades (for Primary & Junior letter grades only). Caution: On the Mark Entry tab, TWEA will only prompt you to save when you leave to go to another tab (e.g. Student Comment tab.) Use the save button frequently while you work in Mark Entry tab to prevent data from being lost. 6 P age

7 STUDENT COMMENTS TAB: Use this tab to view, enter and edit comments for each subject and individual student. You can also enter marks under this tab. Spell-checking is covered in the section spell-check STEP 1: Select a homeroom and subject. STEP 2: Select a student from the list by clicking on the name. STEP 3: If a student has a modified program for this subject click on the IEP box. Click in the comment field and type the comment. Note the number of rows available will appear below the comment box. If you are nearing the end of your comment row allotment the comment will change to yellow as a warning. If you exceed your row allotment the comment will change to red and edits will be necessary in order for all comments to fit on the report card. Underneath the Comment box is a check-box that says Show entire comment. If you select this you will see all the comments that you have typed so far, not just the one for the subject that you are on. 7 P age

8 SKILLS/PROGRESS TAB: This tab is used to enter Learning Skills comments and marks as well as entering promotion status, which will be available in the next release. LEARNING SKILLS Only the homeroom teacher will see this screen and have the ability to enter data for the Progress Report this year. STEP 1: Choose a student from the list by clicking the name. STEP 2: Select achievement levels with the drop-down. STEP 3: Click in the comment field and enter a comment note the comment length. 8 P age

9 PROMOTION STATUS Promotion/Attendance This section will be updated with the next release of Trillium Web Elementary Achievement. STUDENT COMMENTS SCREEN Note : The ENTER key should NOT be used when creating comments as it could cause the comment to exceed the available space when printed. When you are entering data (typing) you are technically inactive until the data is saved, or another function such as a spell check is performed. If your computer times out, all newly entered data since your last save will be lost! SO Save Early and Save Often! MAXIMUM ALLOWABLE COMMENT LENGTHS will be updated in the next TWebEA release Comment Type Grades 1-6 Grades 7-8 Religious Ed 5 5 Learning Skills Subjects P age

10 COMMENTS BUILDER TAB This tab allows you to create a personal and group comment bank. Comments from this bank can be applied to a selected number of students at once. Comments can be saved from year to year and personal comments will follow you if you move to a new school in TNCDSB. When you click this tab, you will notice that 2 minor tabs appear under the main row of tabs. The tab highlighted indicates the selected tab. STEP 1: Set the labels for Comment Type, Achievement, Subject, Strand (if applicable) Grade for this comment. STEP 2: Give the comment a title. (e.g. Plants-T1) STEP 3: Type your new comment. Where a pronoun is required, double click from the Insert Pronoun list on the left of the page and a placeholder (e.g. *N* for name; *4* for He/She) will appear in your comment field. The placeholder allows TWebEA to automatically insert the appropriate pronoun specified for each student. Like the Student Comments tab, Comment Builder tab includes a character counter to show how many characters are still available as you compose your comment. STEP 4: Press the NEW comment icon to begin a new Important Codes for Comment Building *N* first name *1* he/she *2* his/her *3* son/daughter *4* He/She *5* His/Her *7* him/her This section describes how to search for comments saved in your Personal or Group comment bank. 10 P age

11 STEP 1: Select whether you wish to review Board Group or Personal comments STEP 2: Using the dropdown filter menus, narrow the search as much as necessary. STEP 3: Press the binoculars (Select) button to display the results. Searching with very broad filter settings can sometimes return a large number of results when you press the binoculars. If you are warned about the large number of results with the suggestion to narrow your search, you can proceed anyway by pressing the OK button or Press CANCEL to view all the comments. COMMENTS BUILDER Editing & Deleting Comments Once you have selected comments to view, you can edit or delete the comments. Follow this procedure: EDITING: Click the edit icon beside the comment you would like to edit. Edit the text in the comment field in the top portion of the page. Press the save button when finished. DELETING: Check the check-box beside the comment(s) you would like to deleted. Click on the DELETE button (trash can) to delete the comment(s). 11 P age

12 PRINTING A LIST OF COMMENTS Begin by navigating to the Comment Builder tab. This tab allows you to print off a selected list of comments for proofreading. STEP 1: Select whether you wish to view Board, Group or Personal comments. STEP 2: Using the drop-down filter menus, narrow the search as much as necessary. STEP 3: Press the binoculars (Select) button to display the results. STEP 4: Press the PRINT button. SPELL CHECK While you are working in the various tabs, you will often have the option to spell check the field that you are typing in. The spell-check button looks like this: When you press the spell-check button a spell-check pop-up window will appear that looks like the one pictured below. STEP 1: If the word that has been flagged is OK, press Ignore, or Ignore All. STEP 2: If the word needs correction, click on a suggestion if appropriate, or type the correct spelling. Press Change or Change All. STEP 3: When you have made changes to all of the flagged words in the field, press the APPLY button. If you do not press APPLY, your changes will not be made. 12 P age

13 Checking for Missing Achievements Before you print a draft set of report cards, you will want to make sure that you have not missed any achievements. In either the Student Comments or the Skills/Progress tab you will see a tab underneath the main tabs that is called Missing Achievements. Clicking on this tab will open up a window which will display a list of your students as well as columns for: Attendance, Learning Skills, General Comments, the list of subjects/strands, Mark and Comment. If any of these items are missing from a student s report card, there will be an X to indicate that you still need to complete this. PRINTING DRAFT REPORT CARDS Although final copies of report cards will be printed by the school Site Administrator, teachers are able to print individual or class sets of draft copies by following the procedure outlined below: BEGIN IN EITHER THE STUDENT COMMENTS OR THE SKILLS/PROGRESS TAB CLASS SET: Pressing this button will print a full class set of draft copies of the report card. INDIVIDUAL REPORT CARD: Pressing this button will print a draft copy of the report card for the individual student being viewed. NOTE: The preview may take several seconds to generate. 13 P age
