3 OVERVIEW ChoiceU.com offers five content types which allows ChoiceU Admins to create a robust list of content to the franchisees. This guide will demonstrate the process of creating and editing for each of the five content types listed below. I. Online Training Content with SCORM (1.2) tracking. II. Online Test/Questionnaire Custom Surveys and quizzes built into the LMS. III. Other Online Resource Videos, documents, etc. IV. Classroom Training (Workshop) Content that has sessions the user will attend in person. V. Live Online (Webinar) Content that has sessions the user will attend via an online meeting (i.e. WebEx ). 4 ONLINE TRAINING SCORM CONTENT What is SCORM? SCORM stands for Sharable Content Object Reference Model and it is a set of technical standards developed for elearning software products. In its essence, SCORM enables interoperability between elearning. Specifically, the model determines how online learning content and Learning Management Systems (LMS) communicate with each other. HOW TO UPLOAD SCORM CONTENT 1. On the Admin Navigation bar click Content (My Training Programs). 2. Click Add New Content to bring up the New Content Wizard. Choice University 3 Back to TOC
5 3. Click Next in the New Content Wizard pop-up window. 4. Click the Content Type dropdown and select Online Training. 5. Click the Tracking Type dropdown and select SCORM. ChoiceU.com supports SCORM and AICC tracking types. However Choice University prefers all online training packaged as SCORM Check the Category to which the content should belong, and click Next. 7. Click Choose File, find your SCORM packaged course and click Next. Choice University 4 Back to TOC
6 8. Complete the following text fields and options, then click Next. a. Title Keep the title a shot as possible b. Description - A brief description of the course or class i. TIP: When copying and pasting from Word please clear out all text formatting by pasting as plain text or from Notepad. c. Content Code - Keep the code a shot and universal as possible d. Keywords - A list of extra words available to administrators that can be used when a user needs to search for words that are not already in the Title or Description. (Word1, Word2, etc.) e. Target Audience - A list of who should be taking the course. f. Est. Duration Estimated runtime for the content in minutes. g. Show on Student Transcript - Shows on the transcript when the user completes the course. 9. ChoiceU.com has the ability to set course Prerequisites to control the follow of the learning process. After the content package has been reviewed and approved this step will be completed by the ChoiceU Main Administer. a. Note: Prerequisites information will be requested by the content developers. b. 7 10. Complete the following required options and click Next: a. Passing Score (%) - Displays the passing score you set. If set to 0, no passing score will show. Note: When used with Online Training, this is only aesthetic. The actual passing score must be set in the course package. b. Select one of the following options > Lock ALL records for this content once it has been completed Once content is completed, the records will not change no matter how many times the user takes the content. c. The other options will be completed by the Choice Administer, click Next. 11. ChoiceU.com has the ability to set a piece of content to complete another. This feature allows ChoiceU.com Administers to grandfather completions from previous versions of content. After the content package has been reviewed and approved this step will be completed by the ChoiceU Main Administer. a. Click Next to continue. Choice University 6 Back to TOC
8 12. Click Next until you reach the Thumbnail and Certificate settings window. 13. Even though a thumbnail is optional each content item is required to have a Content Thumbnail on ChoiceU.com. To upload a thumbnail image, click on the Choose File button. a. Preferred types: png, or jpg. b. Preferred image size: 250 x 250 c. Image recommendations: Content logo, screenshot of the content, or ChoiceU logo. 14. ChoiceU.com has the option to assign a certificate for completing content items. After the content package has been reviewed and approved this step will be completed by the ChoiceU Main Administer. a. Click Next to continue. Choice University 7 Back to TOC
9 15. The next step in the content creation process is the content information window. Here you will be asked to fill out the following fields (required*). Once all fields are filled out you may click Next. a. Version* You will enter the version number of the content package. The ChoiceU.com version standards are: i. Frist edition: 1.0 ii. Edited edition: 1.1 (text or image changes) iii. New or updated version: 2.0 (removed lessons and pages or complete redo) b. Date Added* Enter the date when the content was added to ChoiceU.com c. Date Updated* Enter the date when the content was updated d. Vendor* Enter the owner of the content or content developer e. Notes Enter information about the content such as special instructions, content limitations or description of the last update. 16. Review the information displayed. If everything looks correct, click Finish near the bottom and then OK on the success pop-up. If something is set incorrectly or you need to make any adjustments, click Back and edit the information. 10 AICC CONTENT What is AICC? The Aviation Industry Computer-Based Training Committee (AICC) was an international association of technology-based training professionals that existed from 1988 to The AICC developed guidelines for aviation industry in the development, delivery, and evaluation of CBT, WBT, and related training technologies. HOW TO UPLOAD AICC CONTENT 1. On the Admin Navigation bar click Content (My Training Programs). 2. Click Add New Content to bring up the New Content Wizard. Choice University 9 Back to TOC
11 3. Click Next in the New Content Wizard pop-up window. 4. Click the Content Type dropdown and select Online Training. 5. Click the Tracking Type dropdown and select AICC. 15 15. The next step in the content creation process is the content information window. Here you will be asked to fill out the following fields (required*). Once all fields are filled out you may click Next. a. Version* You will enter the version number of the content package. The ChoiceU.com version standards are: i. Frist edition: 1.0 ii. 16 ONLINE EXAMS ONLINE TEST/QUESTIONNAIRE What is an Online Test or Questionnaire? ChoiceU.com has a functionality that allows ChoiceU.com administers to create Pre and Post exams, content surveys, digital forms and acknowledgements. In most cases this content type will be created and managed by the ChoiceU Main Administer. HOW TO CREATE AN ONLINE TESTS/QUESTIONNAIRES 1. The actual passing score must be set in the course package. b. User Launch Limit (optional) This option allows ChoiceU admins to set the number of times a user can attempt the content item. c. Show Summary on Submit Shows the user whether or not they passed the course. d. Show Score on Submit Shows the user their score after they submit the test. e. Show answers to wrong questions Shows the user the questions they got wrong and provides the correct answers. f. Mark as an electronic signature Requires the user to enter their password on Submit. It acts as a signature. i. Note: It is recommended that you leave this box unchecked until you are sure all information is correct. Once the box is checked and saved, you will not be able to make edits to the piece of content. 10. The other options will be completed by the Choice Administer, click Next. 20 11. ChoiceU.com has the ability to set a piece of content to complete another. This feature allows ChoiceU.com Administers to grandfather completions from previous versions of content. After the content package has been reviewed and approved this step will be completed by the ChoiceU Main Administer. a. Click Next to continue. 12. Add desired questions and answers and click Next: a. Click Add Question and enter the desired question. b. The Question Type option allows admins to choose if the user must select all correct answers or any correct answer. c. Click OK. d. Highlight the question that you add and click Add Answer. You can add the desired answer at this point. i. Note: You can add as many answers as you want. If you want a text entry answer, do not add answers to the question. Choice University 19 Back to TOC
21 e. Highlight the correct answer and click Mark Correct. Note: This is optional. f. To reorder questions and answers use the Up and Down buttons. g. To remove an undesired answer or question click Delete. 13. Click Next until you reach the Thumbnail and Certificate settings window. 14. 24 RESOURCES AND MEDIA OTHER ONLINE RESOURCES What is considered an Online Resource? An Online Resource would be a PDF Document, PowerPoint file, Video or Audio file or a link to a website that can be used as a learning resource. HOW TO UPLOAD AN ONLINE RESOURCES 1. On the Admin Navigation bar click Content (My Training Programs). 2. Click Add New Content to bring up the New Content Wizard. 3. Click Next in the New Content Wizard pop-up window. 4. Mark Complete on Launch A user will only need to launch the content to receive a complete. b. User Launch Limit (optional) This option allows ChoiceU admins to set the number of times a user can attempt the content item. 17. The other options will be completed by the Choice Administer, click Next. 18. Click the option Use Media Options if uploading a video or audio: a. Media Type Select a type that matches is the media being uploaded. i. Preferred Video files: MP4 or MKV ii. Preferred Audio files: MP4 b. Media Width/Height Used to determine the size of a video. c. Auto Play Plays the video on launch. d. Show Player Controls Allows users to play, pause, and scrub through the media. e. Loop Playback Loops the media after playing through. f. 27 g. Allow Download Allows the user to download the media after launching. 19. Click Next until you reach the Thumbnail and Certificate settings window. 20. 29 WORKSHOPS AND WEBINARS CLASSROOM (WORKSHOP) What considered a Classroom (Workshop)? The Classroom (workshop) content type gives ChoiceU admins the ability to track attendance, completions and capture records for franchisees who attend in person training such as LAUNCH, C.H.E.S.S. or Regional Workshops. To set up a Classroom (Workshop), you will create a content item, assign the class location and session information must be added to reflect what will be covered during the session. 1. Content Content is where the record is held and the options are set up. 2. Classrooms Classrooms identify the physical location for a session. 3. Add Sessions Adding sessions defines the time, date and location for a class. HOW TO CREATE A CLASSROOM (WORKSHOP) 1. On the Admin Navigation bar click Content (My Training Programs). 2. All future classes This option allows users to register for any session that is available. ii. One future class This option allows users to sign up for one available class. They can only sign up for another class, if the current one passes or they are removed from the roster of another. iii. One class, unless they are marked for Retake This option allows users to only sign up for one class. If they are marked for retake, they will be allowed to sign up for a future class. 10. 34 HOW TO CREATE A CLASSROOM LOCATION 1. On the Admin Navigation bar click Workshops (My Workshops). 2. Click Add New Classroom to bring up the Add New Classroom Location window. 3. Fill out the required fields and click Save: a. Location Code This code must be unique. Note: It is recommended to review an existing workshops to keep the code consistent. b. Title Title of the location (Property number Brand) c. City d. Address 1, Address 2, Address 3, State, and Postal Code e. Phone Generally the phone number for the location f. Notes Used to add any special note for the location Note: You can edit any of the information for a classroom by double-clicking the location that you would like to edit. 35 HOW TO CREATE A CLASSROOM SESSION 1. On the Admin Navigation bar, click Classrooms Sessions. 2. Locate and highlight a classroom content item a. Note: There must be a Classroom content item to add a session. 3. To open the Add Classroom Ssession window, click the Add New Session button. Choice University 34 Back to TOC
36 4. From the Add Classroom Session window complete the required fields and click Add Session. a. Session Code A Session Code is a unique code for the session that can only be used once. i. Ex: Class aberration, Year, Date = COMPASS b. Location Select a Classroom (Workshop) form the drop down list (ref. Classroom Locations) c. Instructor This field identifies the user who will proctor the session. The use account must be designated as Instructor type. This can be accomplished by editing the user s profile. d. Start Date This field identifies the first day of the session. e. Start Time This field identifies the time the session starts in each day. f. Total Seats This field defines the number of users who can attend. Any users who sign up after the defined number of seats are filled will be added the waitlist and sent an when they are assigned a confirmed seat in the class. g. End Date This field identifies the last day of the session. h. End Time This field identifies the end-time for the session. i. Register Before Date The date in this field identifies the final day of registration. j. Register Before Time The time in this field identifies the final time of day of registration. k. Time zone and Time zone Country These fields identify the time zone and will auto-adjust times for users not in the same time zone. l. Days The number in this field identifies the duration of a session measured in days. m. Hours per day The number in this field indicates the total hours per day allocated for the session. n. Per Seat Cost This field indicates the price of the session per person. o. Notes This field can be used to type notes for the user to see. 5. Optional Fields a. Organizer This field identifies the user who will organize the session. The use account must be designated as Instructor type. This can be accomplished by editing the user s profile b. Attendance Verification Code This is a code given to students so that they can log on and complete a session. You can use the Generate Random Code button to provide a random code to students. Once you save a session with this code, it can t be changed. c. Student Open Registration When checked, users can search for the session and register themselves. d. User Group Admin can register students When checked, the User Group Admin is allowed to update the roster. A User Group Admin can be a General Manager, or Area Director. They can only sign up for another class, if the current one passes or they are removed from the roster of another. iii. One class, unless they are marked for Retake This option allows users to only sign up for one class. If they are marked for retake, they will be allowed to sign up for a future class. 10. Click Next until you reach the Thumbnail and Certificate settings window. 11. Even though a thumbnail is optional each content item is required to have a Content Thumbnail on ChoiceU.com. To upload a thumbnail image, click on the Choose File button. d. Preferred types: png, or jpg. e. Preferred image size: 250 x 250 f. 41 12. ChoiceU.com has the option to assign a certificate for completing content items. After the content package has been reviewed and approved this step will be completed by the ChoiceU Main Administer. b. Click Next to continue. 13. The next step in the content creation process is the content information window. Here you will be asked to fill out the following fields (required*). Once all fields are filled out you may click Next. a. Notes Enter information about the content such as special instructions, content limitations or description of the last update. 13. Review the information displayed. If everything looks correct, click Finish near the bottom and then OK on the success pop-up. 42 HOW TO CREATE A WEBINAR SESSION 1. On the Admin Navigation bar, click Live Online Sessions. 2. Locate and highlight a classroom content item a. Note: There must be a Classroom content item to add a session. 3. To open the Add Live Online Ssession window, click the Add New Session button. Choice University 41 Back to TOC
43 4. From the Add Classroom Session window complete the required fields and click Add Session. a. Session Code A Session Code is a unique code for the session that can only be used once. i. Ex: Class aberration, Year, Date = COMPASS b. Instructor This field identifies the user who will proctor the session. The use account must be designated as Instructor type. This can be accomplished by editing the user s profile. c. Date This field identifies the day of the session. d. Start Time This field identifies the time of the session. e. Total Seats This field defines the number of users who can attend. Any users who sign up after the defined number of seats are filled will be added the waitlist and sent an when they are assigned a confirmed seat in the class. f. Register Before Date The date in this field identifies the final day of registration. g. Register Before Time The time in this field identifies the final time of day of registration. h. Time zone and Time zone Country These fields identify the time zone and will auto-adjust times for users not in the same time zone. i. Per Seat Cost This field indicates the price of the session per person. j. Notes (visible to all) This field can be used to type notes for all users to see. k. Access Instructions (registered students only) Notes can be typed into this field that are visible to a student only after he or she is registered for the webinar. 5. Optional Fields a. Organizer This field identifies the user who will organize the session. The use account must be designated as Instructor type. This can be accomplished by editing the user s profile b. Attendance Verification Code This is a code given to students so that they can log on and complete a session. You can use the Generate Random Code button to provide a random code to students. Once you save a session with this code, it can t be changed. c. Student Open Registration When checked, users can search for the session and register themselves. d. User Group Admin can register students When checked, the User Group Admin is allowed to update the roster. A User Group Admin can be a General Manager, or Area Director. 45 EDIT AND DELETING CONTENT HOW TO EDIT A CONTENT ITEM 1. On the Admin Navigation bar click Content (My Training Programs). 2. Open the category in which the content you want to edit is located and select the content. 3. Click Edit to bring up the Edit Content Window. 4. Choose a tab that you want to edit. Each tab is in the same order as the content in the Add New Content Wizard corresponding to the content type. Choice University 44 Back to TOC
46 5. When edits or updates are made the content information (MetaData) tab will have to be updated. Here you will be asked to fill out the following fields (required*). a. Version* You will enter the version number of the content package. The ChoiceU.com version standards are: i. Frist edition: 1.0 ii. Edited edition: 1.1 (text or image changes) iii. New or updated version: 2.0 (removed lessons and pages or complete redo) b. Date Updated* Enter the date when the content was updated c. Notes Enter information about the content such as special instructions, content limitations or description of the last update. 6. Click Save when all changes have been made (changes are instant). 47 DELETING (INACTIVATING) CONTENT ITEMS 1. On the Admin Navigation bar click Content (My Training Programs). WARNING: If you delete content all records will be lost and cannot be recovered. We recommend setting the content to inactive to avoid lost data. 2. Open the category in which the content you want to delete is located and select the content. 3. Click Delete. 4.
