12 PowerSchool Search Tips Field Search Search command line is broken into 3 part: A field name, a comparator, and a search argument

13 PowerSchool Search Tips Field Search Always searches active records, unless preceeded by a / Comparator of = must match data exactly The provides flexibility Compound Field Searches separate commands with semi-colon (;) Prefix of & searches within previous search results. Prefix of + adds results of new search to previous search.

15 PowerSchool Search Tips Field Search Know your data In order to use field searches, you must know what data is stored in the given field. i.e. Gender = M or F Grade_Level = 0, 1, 2, 3, Home_Room = John Doe, or Doe, John Data stored is not always so obvious

16 PowerSchool Search Tips Field Search Data stored is not always so obvious Yes = 1, No = 0. Checkboxes are actually yes/no Blank = i.e. S_NC_ACADEMIC.DIPLOMA_TYPE_CODE= Some data stored as numeric value, you must know the numeric value stored. i.e. S_NC_ACADEMIC.DIPLOMA_TYPE_CODE = Future Ready Corp is actually S_NC_ACADEMIC.DIPLOMA_TYPE_CODE=AS

17 PowerSchool Search Tips Searching Enroll_Status The Enroll_Status field for students contains the student s status (Active, Inactive, Transferred Out, Graduated, Pre-registered) The status of a student is stored as a positive or negative number. Examples of Enroll_Status values: -1 The student is pre-registered 0 The student is active 2 The student has been transferred out 3 The student has a graduated status 4 The student was imported as historical (inactive)

20 View Field List When performing a search for Students or Staff you may not remember the field name To see the list of searchable fields click View Field List as shown below

21 Filtering the View Field List If you were searching for a phone number you could type the word Phone on the filter line to narrow the list of fields. Fields containing the word phone are highlighted in blue

22 Popular Search Codes/View Functions List There are several search codes that begin with an asterisk * These are special types of commands that search by completing a specified function Click View Functions List to see a list of search codes

24 The *As_Of command To search for a student who is no longer enrolled in your school, use the As_Of command to search based on a date in time when the student was actively enrolled. i.e. John Smith was enrolled last August, but withdrew to enroll at another school in same LEA, and is no longer viewable using smart search, both active or inactive. *as_of=08/25/2015 *as_of=08/25/2015;last_name=smith *as_of=08/25/2015;student_number=

25 Stored Searches/Stored Selections Stored Searches Used to store any search string for multiple use. Store regardless of complexity of search string. Search string, not results, so results may be different each time you run.

26 Stored Searches/Stored Selections Stored Selections Used to store selection for multiple use. Stored selection remains the same, regardless of enrollment. Stored selections can be modified, consolidated, or published for other users.

27 Functions Once you have a selection, use Select Function to Print Reports, Mailing Labels, Export Data, Student Field Value change, etc.

28 Student Field Value Function -Very powerful function. Be extremely cautious. -From your selection of students, able to change or delete any student field. -Very useful for entering consistent data for group of students. i.e. Home_Room field -Be extremely cautious, as you can very easily delete all field data for selection, or change all student data. i.e. A couple clicks can change all selected students to one gender.

29 Student Field Value Function 1. Make student selection. 2. Choose function Student Field Value 3. Enter field name to change (or select from searching list) 4. Enter new field value. *Be sure new value is correct data structure for field 5. Check Clear Field Value to delete all data in field (inserts Clearfieldvalue in text box) 6. Submit 7. Displays screen with selections and old/new values. 8. Submit again to change values.

31 Function - List Students Add fields from the student table. (search using hyperlink Fields) Add related fields from other tables using the table # enclosed in [] followed by the field name. i.e. [39]Name = Field Name from table 39, or School Name from the Schools table. Add special function fields to return value. i.e. *gpa method= NC Weighted

32 Function - List Students Need more than 10 fields using List Students? Select Group List Students You can add fields to print as long as you use the HTML to break or insert. Be sure to leave a space where you would want a space. (i.e. First_Name) ^( has a space before the insert character. Use the following example to setup fields.
