4 Overview OVERVIEW Introduction to the EuropeanaConnect/DISMARC Audio Aggregation Platform - EuropeanaConnect is the music audio content aggregator for Europeana, the flagship European cultural heritage web portal 1. The EuropeanaConnect/ DISMARC Audio Aggregation Platform (short form AAP) is a gateway providing access to discographic catalogue information and audio content located in music archives and in private and public collections. The purpose of the AAP is two-fold; to make it easier for general users to find the vast and often undisclosed amount of audio and audio-related data held in various sound archives, and also to allow content owners to create more awareness of their content. DISMARC began as an EU-funded initiative intended to encourage and support the interoperability of music-related data. The majority of music archives throughout Europe do not provide the public with access to their catalogues. Where they do offer open access, this often targets only the archives own network or community. DISMARC created a solution to this bottleneck and is now part of the EuropeanaConnect project, delivering music audio to Europeana. Content owners can submit audio data, collection information and audio extracts to the AAP for discovery via Europeana. The platform solves problems of interactivity between different systems caused by varying methods of metadata description. The AAP uses existing software tools to map fields from each contributing database onto the Europeana Semantic Elements schema. The AAP provides a single user interface which allows users to access audio and audio-related data held by participating archives and institutions. Content owners can also manage their complete data using content management tools which are integrated in the AAP. METADATA The AAP search engine carries out searches in the mapped metadata of various distributed databases. The term metadata refers here to the cataloguing and indexing information describing the data items. The data can be searched using the AAP s multilingual features and vocabularies. The portal itself also supports multilinguality. The AAP harvests metadata from various data providers. New metadata is harvested automatically at pre-defined intervals. Note: DISMARC uses the Dublin Core Qualified metadata standard, adapted and enhanced for DISMARC needs, as the basis for the presentation of detailed object information. For the presentation of item data, DISMARC uses the DIS- MARC Object Application Profile. For the presentation of collection data, we use the DISMARC Collection Application Profile, built upon the Dublin Core Collection Application Profile. 5 Overview DATA HARVESTING Note: The DISMARC OAI-PMH harvester supports the Dublin Core metadata schema, adapted to the needs of music metadata on the basis of the Dublin Core application profile for libraries (DC-Lib). DISMARC uses the Open Archives Initiative Protocol for Metadata Harvesting (OAI-PMH) 2 international standard for metadata harvesting. OAI-PMH enables the connection of distributed electronic repositories of different kinds, allowing the integration of AAP metadata into the overall Europeana system for indexing, searching and browsing. Via Europeana, all AAP metadata which includes links to audio extracts can be searched simultaneously with all other Europeana catalogues. AUDIO Europeana harvests only data which includes links to audio extracts; catalogue-only data can be submitted to the AAP and can be managed in exactly the same way as data which includes audio, but this data will not be harvested by Europeana. Links can point to complete files or extracts, preferably as mp3 files. Audio data can either remain on the content owner s platform or can be hosted by the AAP at no charge. Some functionalities are available only to registered users (see Section 7). The AAP offers concise general information on the objects contained in the metastore, i.e. the object s metadata description and a short audio preview if available. Users can access the AAP via a standard web browser. Here s how it works. You can search for objects using Simple Search or Advanced Search. When you begin typing your search term, the platform will suggest terms; you can choose one of the terms or ignore the suggestions. A click on the GO button or a <RETURN> starts the search. Check the results list which provides an overview of objects found by your search terms. Click on the title of the object for additional information. This column shows the home archive of the objects found by your search. A mouse-over of the archive acronym opens a pop-up archive description. Clicking again on the archive acronym leads you immediately to the items of this archive found by the search. 11 2 Search Menu BASIC FEATURES 2.4 Advanced Search The red box in the upper part of the screen contains all input and selection fi elds for searching. You can defi ne search terms to include selected or all metadata (Any Field) fi elds and you can use Boolean operators, multilingual features, lookup lists and vocabularies when formulating a query. For example, you could search for any occurence of the term rumba, by searching in Any Field, or only those items which have rumba in the title of the song (by changing Any Field to Title ). The Any Field box opens up a list of catalogue fi elds that may be searched individually. The search can be made across all catalogue data, or can be restricted to those records which include digital objects such audio, video, text and image (select the Audio and more box). Items and collections can also be searched individually. Figure 2.6 u Multi-lingual search options Following a search, the results list is displayed. A click on a term starts the browse. You can browse by the following catgories: Partner Collections Object type Genres Formats Geography Geo (historical geographical names) Eras IBSS (International Bibliography of Social Sciences) ET (the Ethnographic Thesaurus of the Americal Folklore Society) Non-ethnic groups Languages Partner country All of the connected vocabularies for browse and search have been developed as web services. The personal data which users make available to us on line will be used only for the purposes creating a user account. The data will not be passed on to third parties. In order to access the full functionality of the AAP, users can register for a user account. User accounts are activated within one working day of submission. The portal offers registered users the following additional search functionalities: My Favourites My Searches Portal personalisation features Registered users can view the complete DISMARC vocabularies and wordlists and can also use the DISMARC Vocabulary Webservices locally for cataloguing. They can view the DISMARC Metadata fields (under the Data Mapping menu). Users are required to request permission by (info@dismarc.eu) before submitting their finished mappings, in order to preserve the integrity and security of data. For example, if you select multilingual searching in English and German, <*rum> finds <drum> and also <trommel>. You can choose to search across additional languages by selecting these languages with the button multilingual options. If you want to always search across particular different languages you can select them in your User Profile (User Menu/Admin Area/Users/Edit my profile/search Languages). Each time you log in your search will be automatically carried out in your selected languages. Clicking on the bold term in the Bibliographic Citation column will take you to the detail view, which consists of three tabs the Object tab, the Europeana tab and the Info tab. The following functionalities are available in the detail view: Back to result list Leads back to the result list. Print Prints the detailed information in a standardised format. XML Shows the XML record of the item. Favourites Adds the item to the favourites folder. IPR Adds the item to the IPR basket. Highlighting Toggles the highlighting of search terms on and off. Raw Opens the raw/original data for the item in a separate window (intended for the use of content contributors). Feedback You can provide feedback/commentary/information for this metadata record. Click on a metadata field in the Pool column and add it via the + icon to one of the four columns ( Col 1 4 ). You can change the order of the fields in each column. Figure 9.1 u Overview of the Administration Area menu These tools are for the use of content contributors, translators and portal administrators. The tools consist of: collection entry tool user administration tool dictionary tool portal languages tool data import tool list Thesauri tool list Browse tool License Tool Public Domain Checker Collections - the collection entry tool Note: The format of the collection description is based on the Dublin Core Collection Description Application profile, formally approved by the DCMI Usage Board in April DISMARC has enhanced several of the descriptions (including place, coverage cultural, instruments) within this specification. This tool allows the entering of collection descriptions based on the DISMARC collection application profile 1, which again is based on the Dublin Core Collection Application Profile 2. Collection descriptions can also be sent via the mapping tool. If archives do not own digital metadata catalogues, they can create a digital catalogue here, using this tool. For security, only registered content owners can enter collection descriptions. 30 ADVANCED FEATURES Admin Area (User Menu) 9 The tool shows all available metadata fields used to describe a collection. Those marked with * are the most important terms. The entry [ ] leads to an index scan of all possible entries for the particular field. You may use one of the presented terms. First select a vocabulary from the drop-down menu below the entry field. Then click on [T] to open the selected thesaurus for the particular field. You can select a term from the thesaurus for the description. Use [+] to add and [-] to delete a metadata field as necessary. Next to the field Europeana Rights is a copyright symbol [ ], which leads to the license selection tools. In the Place field, you should first enter the country where the collection is stored (use the drop-down role menu to select storage ), then duplicate the field and enter the postal address. The content-owner can optionally insert a template response text in the IPR License field. This will be sent to the address given in the IPR Contact field when a user requests use of material. In the field Europeana Source Name the content owner should enter the official name of his/her institution. This name will then be displayed in Europeana in its Data provider field. Administration of user profiles is described in the Portal Personalisation Features section below User List The administrator can consult the user list and change user profiles. The administrator may also create new user groups. 32 ADVANCED FEATURES Admin Area (User Menu) Dictionary The dictionary tool administers the translation of multilingual vocabularies and free wordlists. The tool is only available to the translators user group. 9.3 Portal Languages This tool supports the translation of the terms used in the AAP portal. The tool is only available to the translators user group. 9.4 Data import For large deliveries of data, we suggest content owners use FTP, details available upon request. The FTP upload procedure can be installed as an automated routine, which takes data periodically from your local cataloguing system and sends it to the DISMARC/AAP FTP server. If you have some urgent update requirements, you can deliver small data sets (up to 2mb) using this tool. Delivery will result in an instant update and indexing. Note: So far, the data import tool will accept the following native data: CSV Excel Iso2709 XML Sequential Separated Sequential Mysql Database Marc Text Import Data: new fi les with data can be imported online directly into the system via this tool (maximum size of the import fi le: 2 MB). OAI Show config: confi guration for the mapper and the reader and general settings. List providers: administration of the various providers connected to the AAP. Choose the collection and the importer for this collection. The entry screen shows a pre-view of the file in the relevant encoding. If the encoding is not pre-defined, you may choose from various encodings. Figure 9.5 u Preview 3. After the import settings have been saved, the entry screen shows how the raw (native) record is being read how the mapped (AAP) record will look when processed. If you are not satisfied with the mapped record, you can go back to the Import configuration and alter the settings. 35 9 Admin Area (User Menu) ADVANCED FEATURES 9.6 License tool This tool is provided by the Europeana community and has been integrated into the back-end platform of the AAP, as it is targeted mainly at content owners. It enables a user to determine whether a work requires a license for particular kinds of use. A series of simple questions results in a suggested license after copyright information has been entered. This tool is in a BETA and TEST phase. It is provided as is. Except to the extent required by applicable law, Europeana is not liable for any special, incidental, consequential, punitive or exemplary damages arising out the use of this tool. 9.7 Public Domain checker This tool is provided by the Europeana community and has been integrated into the back-end platform of the AAP, as it is targeted mainly at content owners. This tool allows a user to determine whether a work is in the public domain, depending upon variables entered. A series of questions (territory, authorship, etc, etc,) leads to an opinion as to whether the item in question is in the public domain or not. This tool is in a BETA and TEST phase. 36 ADVANCED FEATURES Data Mapping (User Menu) Data Mapping (User Menu) We map your data from its original format to the Europeana schema, the ESE. One way to submit your information which will enable us to create your mapping is to simply download our Excel ( sheet.html), complete it and send it back to The other way to create a mapping is to do it online using this tool. The data mapping tool is available for the use of content owners on request simply send an to info@dismarc.eu requesting permission, and for all content owners it will be immediately granted. The form is used to submit sample data and a mapping suggestion to the DISMARC/AAP technical team. When a mapping has been created, a bulk upload of data can be processed automatically. 38 ADVANCED FEATURES View Vocabularies (User Menu) View Vocabularies (User Menu) The DISMARC wordlists and vocabularies aim to support searching across a variety of archives and catalogue data. Any new metadata harvested by DISMARC is checked and, if appropriate, enriched with DISMARC vocabulary terms. The mapping of the data to the vocabularies is carried out in a second step after the primary data field mapping is completed. Registered users who wish to carry out mapping via the Data Mapping Tool may download all vocabularies and wordlists for this process. The View Vocabularies function (registered users only) provides an overview of all the vocabularies available. The controlled vocabularies also appear in the Browse function. This enables browsing of those terms which carry data. The table below shows in which DISMARC metadata fields vocabularies may be used. This list has been translated into various languages and the terms related to the list appear in an auto-suggest list when you enter the first two letters of a search term into a search field. The multilingual words are offered for free text search as well as for search in certain metadata fields. Many archive collections are still only available for listening on the premises, and in some cases (such as broadcast archives), listening is possible only by appointment. The development of internet and digital technology offers many new possibilities for making archive recordings more widely available. Digitisation has been recognised as the standard method for preserving historical sound recordings. Once recordings are digitised, they can easily be made available to all interested users. However, copyright law sets many limitations on this. Copyright owners have the exclusive right to authorise (or not authorise) various uses of protected works. Acts restricted by copyright law include reproduction, distribution, exhibition and public communication. For instance, making a protected recording available for streaming or downloading via the internet involves both reproduction and public communication. The rights owners whose permissions are needed may include authors, performers and producers. Copyright is a bundle of rights. Sound recordings may have a large number of rights owners. The arrangements which archives have with these rights owners vary considerably. Copyright materials can be used for many purposes. For each purpose, the permission of the rights owners is needed. A quick solution to the problem is to simplify contacts between archives and potential users, while leaving room for individual consideration in each case. The items in this result list carry a shopping cart symbol at the left hand side of each item description. 3. A click on the shopping cart selects the item for the IPR basket. 4. Clicking on My Basket (in the User Menu) opens the basket, providing a view of items selected and submits a request for the IPR clearance of these items. 43 14 DISMARC Under the Bonnet ADVANCED FEATURES 14.2 DISMARC Metadata Schema You can inspect the DISMARC metadata schema at the following URL: This schema can be used for initial data mapping and for organising export routines from native databases EuropeanaConnect/DISMARC Stick The installed DISMARC system is also available on the EuropeanaConnect/ DISMARC stick. This concept is referred to as the Highway to Europeana. Figure 14.1 u EuropeanaConnect/DISMARC Stick Partners can run the installed system on the stick or copy it to any other writeable medium using the VMWare Player. The VMWare Player should be installed on the local computer. (The software is located on the stick or can be downloaded from After setting up a local DISMARC node, the partner can periodically run an automated data upload routine, from the local cataloguing system to the local Metadata Manager (via time-based scheduling services like Cron on *nix and Schedule Tasks on Windows). If partners want to have local data harvested by the AAP, they can allow web access to the local server that hosts their metadata. The central DISMARC Harvester will then periodically check for new data in the local system and harvest these updates to the AAP. Further advantages: Running a local Metadata Manager additionally provides the possibility of connecting to any OAI repository worldwide, if the partner wishes to distribute the metadata to portals other than EuropeanaConnect/DISMARC. The local Metadata Manager can also be used to collect metadata information from other local sub-repositories before providing them all in one delivery to DISMARC. This functionality supports the creation of national repositories spread over Europe which accumulate data and provide it to DISMARC.
