1 imac/propresenter Tech Instructions Display Settings Display should be set to Use as Separate Display. If there is a problem with the resolution on or the projector. Go to Open Displays Preferences When you first go into Display Preferences you will only see the Built-In Retina Display window. Click on Gather Windows in the lower right corner. This will gather all windows onto the main display. Make sure that the Display setting is set to Scaled > 2560x800. VGA Display and Built-in can be set to Default. Online/projector view has half a screen each: Check the Display settings, and the cords on the TripleHead2Go strapped to the back of the imac. Projector is stating Searching for Source or Source Not Found: Check the TripleHead2Go cords. Online view looks normal and the front projector is mirroring the stage: Take the white remote and push the HDMI button. Video only playing for one second: Right click the affected slide, go to Media Cue Behavior, and Select Foreground. The video was likely entered into the system as a background. ProPresenter Files

2 The files for ProPresenter are right on the desktop as ProPresenter Video Files Alias and the slideshow slides going in the folder Slideshow Alias. The Video Files folder is separated into subfiles depending on where the video or slide should go.

3 What Is ProPresenter? Here s the breakdown of the ProPresenter sections. Below is the setup you ll most likely see when starting the program. The top bar is there for quick access. Here s a quick rundown of what should be up there and what each does. Clear All: Will clear all currently running slides/lyrics/videos. Slides: Clears out all slides, leaving the background video. BKGs: Clears out the background video or slide leaving the lyrics or videos up. New: Adds a new song or presentation to the library. Editor: Allows you to edit the slides in the section you re currently in, which should be highlighted in the playlist area as well. Video/Image: Shows or Hides the Video Bin at the bottom of the screen. Audio: Shows or Hides the Audio Bin on the Right side of the screen. Stage Msg: Pulls up a small window to send a message to the Stage Display for those on stage. SongSelect: Pulls up a small window to search for and import song lyrics.

4 Template: Allows you to quickly change the template for the currently selected Song or Presentation. Format: Opens a toolbar to change text size, font and orientation. Output: Will show as On or Off (Red bar instead of the green seen below) This sends the signal to the projectors and Switch. Volume: Determines the volume within the program Below is the output screen. What plays here, will play on the output. At the top of this screen is a preview toggle that will allow you to see the Stage Display instead of the main. The Library has all of the Presentation and Song files that are currently in ProPresenter. You can search for songs to add to the service here and import songs from SongSelect if they are not currently in the system. The Playlist has our service and any extra services we run, such as Auditions, VBS, Christmas Eve, etc. Different services can be accessed by clicking on the name on the left. The right panel shows the service flow for that particular service.

5 On the right hand side of the ProPresenter window is the service flow in expanded form. In the main Alive Service, we have changed the header colors to separate the service visually. Grayed out slides are hidden and will be ignored in the program when it is being operated. At the bottom of the service flow you will generally see the video bin open and smaller than as displayed here. It should be on Current Series to allow quick transitions from the bin in the rare case where something goes wrong within the slide segment of the service. In Current Series, you ll see the series graphic, a black slide, and any videos or special slides being used that weekend. All Videos should be put in under the Foreground heading, and all motion backgrounds or slides under Background. Once they are in the bin, you can right click them to categorize them appropriately. As you can see below, most of the items in the bin have a colored dot in the lower right hand corner. Clicking on one of the categories on the left will apply the filter to easily find what you are looking for. If you know the name or partial name of the video or background your looking for (Baptism for example) you can search for the file in the Search Box.

6 Presentation Slides: Below is an example of one of the presentation files found in the library. The first slide is a Foreground Video as seen by the blue movie clapboard. The second is a Background video and one of our Motion Backgrounds. The Foreground video slide has a Cyan label on it to help the operator identify it as a video and different slide than the others. The icons at the top, the Clock and Orange Megaphone symbol are additional cues. Right-Clicking gives you additional options. Here s a breakdown of the ones we currently use. Edit Slide: Allows you to go into the editor to edit text on the slides within the presentation file. Disable Slide: Disables the slide, causing the program to bypass it. Go to Next - Auto advances the slide after the video is done playing. For a straight transition, set the timer to 0s. If the last slide of the video needs to be up longer, a longer time can be placed there. Add Cue: Adds a Stage Display, Countdown or Elapsed Time timer to the slide. Stage Display is for the back wall. (We currently have 3 stage displays for different parts of the service, but that is later in this document.) Countdown adds a countdown timer to the main display and is currently not used. Elapsed Time adds a timer to the stage display. Media Properties : Changes the volume, playback speed, stretch/fill of the video file and allows you to add filters to the file. Edit Cues: Mainly used to change the Stage Display (Countdown, Music, Talk) or Elapsed Time settings (Reset and Start the timer or Stop the timer, depending on where it is in the service.) Remove Cues: removes the selected cue. In the image above, Countdown - Life Is A Highway & Dad Life would be removed. Group Label and Color are used primarily for lyrics. Slide Label and Color has items like Series Image, Spoken Word etc. Cut/Copy/Paste/Delete should only be used Outside of song lyrics.

7 Stage Display: Right-Clicking on a slide and going to Edit Cue > Stage Display will pull up the popup below. The Countdown layout should be in the Slideshow or on the Countdown Video for Preservice. It shows the Current Slide (the video), Clock, Video Countdown Timer, and a Message box in case we need to send a message up to those on stage. Music should be on the slide immediately following the Countdown Video. This one shows the lyrics for the Current & Next Slide, Clock, Message box, and an Elapsed Time. Talk should be used for the slide immediately following the Music segment. As with the Countdown Layout, it shows the Current video or slide, Clock, Video Countdown, Elapsed Time, and a Message box. The gear in the upper right corner will allow you to edit what shows on the stage display. The boxes themselves can be rearranged and resized on the stage display. Lyrics:

8 All songs imported from SongSelect will provide a master list. Seen here as Verse 1, Chorus 1, Verse 2, Bridge 1, Verse 3. The Blank was added in later. ProPresenter allows you to create arrangements for songs rather than add in each repeated chorus. To make the arrangement, click on the Arrangement Icon in the upper right hand corner of the Song Presentation File. Then click on the Gear on the left Side and select Add New Arrangement. Click+Drag, then drop the segment you want onto the bar below until you have the arrangement you want. Please do not delete any slides from an arrangement. To remove a segment (such as Verse 1), click on the x on the right side of the oval in the arrangement line. Deleting will remove the segment from ALL versions of the song. The Clock icon next to the arrangement icon allows a timer to be set on all slides in the presentation file. Right now, that option is only used in the Slideshow.

9 Service Setup Place any new videos in the appropriate file. The ProPresenter Video Files Alias on the Desktop will give you access to the file setup below. Open ProPresenter. If you are working on the regular service, clear out the songs from the prior week by right-clicking the song in the playlist and selecting Remove From Playlist Add new songs by searching for them in the library, then Click+Drag them into the playlist below the library. If it is a new song, it should pop up in the SongSelect section. (Songs that do not have a CCLI # will have to be put in by hand.) Click on the song, then the icon on the top right of the popup to open the import settings.

10 Import Settings should be set to: Slides delimited by Line Break 2 Delimiters per slide Size: 1900x1080 Category: Song Template: Full Page Lyrics Destination: Library Only Then Import. The song will then appear in the Library to be put into the playlist. First, You will need to add a blank slide by going into the Editor (top left of the top toolbar. Then clicking on the + at the bottom. Right click the new slide, select New Group > Blank. While in the Editor, Select the lyrics in one of the slides and change the Font and size. We use: PT Sans Caption, Size 63. Then click on Apply All This font will need an adjustment on words with fi together as they tend to merge. To adjust the spacing: Highlight f and add 1 to

11 With new songs, it often helps to play the song to make sure the word flow and arrangement are accurate. New songs will need an arrangement added to them as they are imported with only the Verses, Chorus, Interlude and Bridge separated out. To add an arrangement, click on the Arrangement Icon on the right. This will show the Master arrangement and a darker gray line underneath. Click on the gear on the left and select Add New Arrangement. Name the new arrangment and hit enter. ProPresenter will automatically start the new arrangment with the sections already in the Master document. Click and drag each segment down to the appropriate area. Please make sure that there is a blank slide at the beginning and end of each arrangment, as well as any instrumental breaks. When you re done, click the Arrangement icon again. On songs that have already been added to ProPresenter, right click them once they are in the playlist and click on Select an Arrangement, then the arrangement name. Some of these songs will have 3-4 lines of lyrics per slide. To adjust them down to 2-3 (depending on phrasing within the song), you will go into the Editor, make sure that there is no additional line under the text and pick the spot you want to advance to a new slide. Press Option+Enter to force a new slide. Your lyrics, when done, should look something like this:

12 1- Music and 1 - Announcer Both Segments should have the motion background slide at or towards the beginning with the Orange Stage display icon, a Clock Icon and the multi-screen grey icon. Both are necessary. In 1- Music: The first slide should be the countdown. To change the video each week, you will right click, go to Remove Cue, and click on the video cue. Add the new Countdown video to the video bin in Foreground, Right-click it to add it to the Countdown tag, then click and drag it to the now open blank. Your Go to Next Timer should still be active. If not: The Go To Next Timer should be set to 0s. The motion background slide will be adjusted in the same manner, respectively. (Motion Background tag instead of Countdown tag) That slide should also have a Go To Next Timer of 0s or 1s, and a Stage Display Cue. The Stage Display cue should be Music and will look similar to this:

13 1-Announcer also has a motion background which should be the same as the one in 1- Music with a Stage Display. The Stage Display cue for this one should be Teaching and look similar to this: You can quick edit the Worship Leader or Speakers names by Right Clicking the slide and going to Quick Edit. The popup will look similar to the image below. When you re done editing, click the x in the upper left corner. 1- Teaching If there is an intro video, Remove the old video cue and add the new. Any intro or illustration videos should be tagged for the Current Series as well as Intro Video. Current Series is to have a quick select bin available for the operator. The first slide, should have a Go To Next Timer of 0s, a Multiscreen (set to Video), and a Elapsed Time (blue clock icon). The settings for the Elapsed Time should be Reset and Start Timer. The slide immediately following a video will need a Multiscreen icon set to Lyric. Change the speaker slide with a quick edit as needed. The Go To Next Timer on all name/title slides should be set to 8s. Depending on the series graphic, you may need to move the speakers name. To do so, go into the Editor, and either click+drag the white text box, or use the settings under Adjust to Fit. The last slide in this segment should always be the series graphic.

14 1- Closing The closing is currently set to Series Graphic, Closing Video, Series Graphic. The first Series Graphic should have an Elapsed Time (blue icon) clock to it, The setting for this one should be Stop Timer. Change the video if needed (Right-Click to remove, Click+Drag and drop the new video in.) The Go To Next Timer should be set to 0s. Slideshow Check for outdated slides and hide or delete them as needed from the Slideshow segment. If you are adding new slides, put them in the background section of the video bin, then tag them for Slideshow before dragging and dropping them into the slideshow. All Slides should have a Go To Next timer of 8s. You can set this to all slides by using the Clock icon in the top right corner.
