3 3 administrative tools Admin tools are available to district administrators, principals, and other designated leaders such as coaches or teacher leaders. PD 360 users with admin rights can assign administrative access to other users as needed. There are two levels of administrative privileges: 1) District-level privileges allow admin rights for all schools (or other licensed sites) in a district. 2) School-level privileges allow admin rights for an individual school. This User Guide outlines basic Admin Tools available to PD 360 users with school-level privileges. ON-DEMAND ADMIN TOOLS To open On-Demand Admin Tools: Click Admin icon on Application Bar. 4 4 user tools: add user Click Add/Edit Users under User Tools menu. Check Filter out inactive schools box as needed. Step 2: Add User Enter user information in spaces provided under User Information. Login name is the address. Password is pd360. NOTE: When you save or change user information, PD 360 will send an automatic notice to the user with new log-in instructions School Improvement Network West Center Street, Midvale, UT

5 5 Step 3: Assign License(s) Each PD 360 user must be assigned a seat within their current license. Check the Assign box to assign a seat in the license. The number of remaining seats in each license is indicated in the Remaining seats column. To clear all choices, click Clear. Click Create User. Step 4 (Optional) Grant or modify Administrative rights. Click on Admin Tools Access tab. Click Modify Access button to open Modify Admin Tools Access window. Click Grant District-Level Access button or Grant School-Level Access button to assign access rights. 6 6 USER TOOLS: EDIT USERS To edit an existing user, Click Add/Edit Users under User Tools menu. Browse or search for user. Enter search terms in Search current users by last name or address in text box provided. Click Search button, -or- Browse through listed users in the selected school/group. Click on user name to view and modify information under User Information, Assign Seats, Admin Tools Access, or Courses tabs. 7 7 USER TOOLS: MOVE USERS NOTE: This function is only available to users with district-level admin privileges. Select District and School where the user is currently located. For district-wide, select none-select district. Select a school. Click Move Users under User Tools menu. Step 1: Select user name under Users at the Selected School/Group tab, or use Search Users function. Hints: To sort columns alphabetically, click on the column title. Use computer keyboard shortcuts Shift + click or Ctrl + click to select more than one user. The number of people assigned to this school is displayed. 8 8 Reports can be also be accessed by clicking Reports on the ipad (not available in the iphone/ipod applications). Step 2: Choose new location by district or school/group. Step 3: Click Move User(s) button. USER TOOLS: IMPORT USERS Click Import Users under User Tools menu. 9 9 Step 2: Upload your file Click Browse Your Computer Files button to select and open file to import. NOTE: The file must be a tab-delimited text file. This type of file can be easily exported from an Excel spreadsheet with three (3) columns: "last name," "first name," and " address" in that order School Improvement Network West Center Street, Midvale, UT

10 10 Step 3: The file will populate in the Verify User Info window. Verify that the information is correct. Step 4: Assign a password. It is recommended that you begin by using pd360 as the initial password. Each new user will be prompted to change and personalize their password at their first log-in. Step 5: Choose licenses. Imported users will not be assigned a seat in the chosen license unless the Assign box is checked. Step 6: Select any Additional Options. 11 11 LOGIN/PASSWORD lookup Click Login/Password Lookup under User Tools menu. Step 1: Select school or district location from drop-down menus. Step 2: Select user name under Users at the Selected School/Group tab, or use Search Users function. (Use computer keyboard shortcuts Shift + click or Ctrl + click to select more than one user.) Step 3: Click Add all users to list button or Add selected user(s) to list button. Selected user addresses will populate recipients list box. 12 12 USER TOOLS: FEEDBACK To send feedback to PD 360 individual users or groups: Step 1: Click Feedback under User Tools menu. Step 2: Select School/District where the user(s) is located. 13 13 Type text message in Message window provided. Click Send to send message to designated recipients. Click Clear to clear message fields. LICENSE TOOLS License Tools are used as a final step in creating courses. (See CUSTOM COURSE CREATION, pg. 21.) To customize user licenses: Click License Customization under License Tools menu. Step 1: Select school or district location from drop-down menus. Step 2: Select license name to view details. Enter text or edit existing information in spaces provided. 16 16 content TOOLS NOTE: This tool facilitates setup of a local content server, which must be coordinated with the help of School Improvement Network tech support. Please contact us at or support@schoolimprovement.com before attempting to add or edit a content server. Click Add/Edit Content Servers under License Tools menu. 17 17 FOCUS OBJECTIVES To add or edit Focus Objectives: Step 2: Select school or district location from drop-down menus. Step 1: Click Add/Edit Focus Objectives button. To set up district focus objectives, click on District. Click on School to select a school. Select none to build at the district level. Step 3: 1. To insert a pre-made template, select Insert Template button. Select Focus Objective from the drop-down menu. Select Insert School Improvement Network West Center Street, Midvale, UT

18 18 2. To insert a new Folder, select the Insert Folder button. Your new folder will be called Focus Objective Folder. Click on the folder to edit information. Make changes to the folder title and description. Info button link, pop-up description, display order, and start and end dates. Optional: Enter URL in INFO Button Website space provided. Optional: Enter descriptive text for your focus objective in Popup Description space provided. Optional: Change Display Order for this focus objective to identify the order in which objectives appear on main page. Select Save Changes or Delete. Select Toggle on Focus Objectives or Toggle off Focus Objectives. 19 19 Adding content to a Focus Objective 1. Select the focus objective folder title. 2. Select Add New Content 3. Select content from the right side of the screen, and drag it to your folder. Note: Folders can not be dragged to a focus objective. Only individual segments can be dragged. 4. To search for PD 360 video content to add to your folder, select Search For Content. 5. Repeat steps 3 until you have added all of the video content you want to have in your focus objective folder. Toggling Focus Objectives On/Off To make a focus objective active and visible to the educators in your school, district, or state, they must be toggled on. To toggle focus objective on or off, select Toggle Focus Objectives under Focus Objective Tools from the On-Demand Admin Tools menu School Improvement Network West Center Street, Midvale, UT

21 21 CUSTOM COURSES CREATION To add or edit Custom Courses: To add or edit Custom Courses, select the Admin icon from the toolbar. Step 1: From the On-Demand Admin Tools menu, select Add/Edit Custom Courses. Step 2: Select District and School level for the course. Note: To make the course District-wide, select (none select district) from the drop-down menu School Improvement Network West Center Street, Midvale, UT

22 22 Step 3: If desired, select an existing course from the Under Construction or Active category to copy. Click Copy next to the course name. (To select from expired courses, choose Expired Courses tab.) -or- Click Select a premade template to copy. Select the template from the drop-down menu. Then click Copy Template. -or- Select Add New Course. Your new course will appear at the bottom of the new courses list. It will be named New Custom Course or Copy of.... 23 23 Step 4: Name your course by typing in the Template Name field. Note: If it is a premade template, customize the title to your needs. Step 5: Enter the number of participant seats. (Enter -1 for unlimited number of seats.) Step 6: Enter start and end dates. (Enter a date at least one week before and one week after the current date.) Step 7: Type a course description in text box provided (Desc). Note: This step is required. Step 8: Click Save Course button School Improvement Network West Center Street, Midvale, UT

24 24 Adding Tasks to a Custom Course: To add course tasks for participants to complete: Step 1: Double-click the course name from the Under Construction Courses list to open it. Step 2: Click and drag a task from the Add New Tasks list to the Current Tasks area School Improvement Network West Center Street, Midvale, UT

25 25 Step 3: Edit task name, description, and task function by clicking on the task name. An Edit Task window will open for each task, with different options depending on the task type. Enter a Task Name and Description for every type of task. Check the Make Optional box if this task isn t required to complete the course. Check the Require Facilitation to require a facilitator to mark the task complete. If this box is checked, the course facilitator is required to verify task completion by each course participant. Click Delete Task to delete the task (before the course is activated). Step 4: Click Save Task. Step 5: Repeat Steps 1-4 until all of the tasks have been built. Task Types Video: Select PD 360 video learning segment by highlighting a video segment name. Name the task by typing in the Task Name field, add a Description. Click Save Task. Off-site links: Enter URL link to another website. Forum Begin: Prompts the participant to enter the title and message for a new discussion thread in the course Learning Community. Forum Post: Links participant to a discussion thread in the course Learning Community. Free Response Question: Create response questions for participants. Click Add Question to add a new question. Click on the question name to edit it. Click Save. Multiple-Choice Question: Create multiple-choice questions for participants. Answers will be automatically corrected according to your answer key. Click Add Question to add a new question. Click on the question name to edit it. Click Add Option to add multiple-choice answers. Put a check mark in the box provided for the correct answer. To delete an option, click Delete Option. When you are done, click Save. File Upload: Prompts participants to upload a file or document to the course Learning Community. File Download: Upload a file or document for course participants to download. Generic: Allows you to type instructions or information for participants. Folder: Organize multiple related tasks into folders. Drag a folder to the bottom of the task list, and then drag related tasks to the folder. After you have populated the folder with tasks, drag the folder to the desired location in the Current Task list School Improvement Network West Center Street, Midvale, UT

26 26 When a course is activated, a community is automatically created. Off-site links, forum posts and files will be stored in this community. To locate the community, select Communities from the Application bar, then click Courses to expand. Click on the name of your course to open the links, forums and files 2011 School Improvement Network West Center Street, Midvale, UT

27 27 To activate new course: Courses must be activated to be available for course participants. Step 1: Select the course name from the Custom Courses list. Step 2: Click ACTIVATE Course button. NOTE: You are limited in the modifications you can make to activated courses. Activated courses may not be deleted from PD School Improvement Network West Center Street, Midvale, UT

28 28 CUSTOM COURSES CREATION To customize a course: Select Courses Admin Tools from the application menu. (This option will appear after you have created a new PD 360 custom course.) Select your course from the drop-down menu. Select Course Customization button. Choose an option for adding a course syllabus (optional). Enter a URL to an online syllabus. Type the URL in the text box provided. Click Save button. Upload syllabus in PDF format. Click Upload a Syllabus file button and follow the prompts. Limited options for editing tasks are available in the Course Admin Tools. To edit a task, click on the name of the task. Edit options are found on the right side of the screen. In this example, the task name and description cannot be edited, but beginning and ending dates and whether or not to require facilitation of this task can be edited School Improvement Network West Center Street, Midvale, UT

29 29 PD 360 ADMINISTRATIVE TOOLS To assign seats: Assign participants a seat in an active course in one of three ways: 1. To assign multiple people to the course, select Assign Seats under License Tools, located in the On-Demand Tools menu. a. Select course name from the License Name list. b. Click Assign Seats. c. Click Assign button next to chosen user name. d. Click Assign All button to provide seats for all listed users. Please note, once a seat is assigned, it cannot be reassigned. 2. To assign a single participant to the course, select Add/Edit User under User Tools, located in the On-Demand Tools menu. a. Select the person to add to the course license. Details of that person s account will open. b. Locate the course name in the Available Licenses section. Check the box in the Assign column of the license. 30 30 3. Send a course registration code via to participants. A course registration code can be found in one of two ways. a. Select Add/Edit Custom Courses from On-Demand Admin Tools menu. Click on course name from Active Courses list. Registration code is listed as Self Registration License Key. b. Click on Course Admin Tools tab. Select course title from drop- down list. Click on Course Info. Registration code is listed as Course Registration Code. 31 31 PD 360 ADMINISTRATIVE TOOLS To add a course facilitator: Course Facilitation Adding a course facilitator Click on Courses Admin Tools tab. Select course title from drop-down list. Click on Course User Tool. Select name from the Course Participants list. Click Add Facilitator. On this screen, you can also send an to the course facilitators and participants by clicking on the envelope by their names. To facilitate a course: If the Require Facilitation box is selected for a task, the facilitator must review and mark the task complete for the participant to get credit for that task. Click on Courses Admin Tools tab. Select course title from drop-down list. Course Facilitators can: Mark course tasks complete. Provide feedback to course participants. 32 32 Pending Tasks will highlight tasks that are waiting for facilitation to be marked complete. These tasks will be highlighted in yellow. To mark course tasks complete: 3. Find the task to facilitate by clicking Pending Tasks, Browse by user, or Browse by task. 4. Double click task name to view task details and mark task Complete or Incomplete. 33 33 Select Browse by user to see how the participants are progressing in the course. Completed tasks will be highlighted in green, pending tasks will be highlighted in yellow and tasks marked incomplete will be highlighted in red. A little note icon in the right corner indicates there have been notes from the facilitator or participant on that task. Select Browse by Task to view the course by task. Select a task to see if participants have completed tasks. To leave feedback/comments: 1. Click on Courses Admin Tools tab. 2. Select Facilitation from tools menu. 3. In the Browse by user view, click on participant s name, select task for feedback. 4. In the Browse by Task view, click on the task, then select the participants name. 5. 34 34 To run course reports: 1. Click on Courses Admin Tools tab. 2. Select Course Reports from Course Tools menu. 3. Select report from Choose a Report Type drop-down list. 4. If Individual Course Report is selected, select course participant from the user list. 5. Select the format for the report (pdf, csv or xls). 6. 35 35 COLLABORATIVE VIEWING Collaborative viewing is an important tool used to grant credit to members of a group for time spent watching a video segment on a single computer or as part of a group presentation. To create Viewing List: Click Viewing List Creation under Collaborative Viewing menu School Improvement Network West Center Street, Midvale, UT

36 36 Type name or title of the viewing list or the name of the group in Create New List field. Select school/district to bring up user list. Click Add button next to name of user to be added. Repeat for each new member to be added. Use Search Users field to find a user name. NOTE: Viewing List saves automatically School Improvement Network West Center Street, Midvale, UT

37 37 Click Collaborative Viewing under Collaborative Viewing menu. Step 1: Identify the date the group viewed the video. NOTE: The system will not grant credit for a future date. Credit can only be granted after the video has been viewed. Step 2: (Optional) Check box as a reminder to participants to respond to the Reflection Questions for the segment viewed. Step 3: Select Viewer List (created previously). Step 4: Select the video segment viewed. Step 5: Click Apply Viewing Credit button. 38 38 REPORTS To open Reports: 1. Click Dashboard, Reports, Goals under User Tools menu. 2. Click on Reports tab. 3. Select the Date Range for the report. 4. Choose report type as listed (pdf, csv or xls). 5. Follow directions as stated with the report. 6. Click Run Report. Individual User Detail Report Produces a summary and a.pdf,.csv, or.xls file detailing individual user activity. Enter date range and click Retrieve User List button. Select View a Detailed Report button. Only the names of users that have been into PD 360 and used the functions will appear in the user list. User Usage Summary Report (by school) Produces.pdf,.csv, or.xls file showing info for all users within a school. If this report is run at the district level, results are shown for the top fifteen users for each school in the district. Details include minutes, programs, video learning segments, and number of answers to Reflection and Follow-up Questions. Names of users are listed according to the level of usage. 42 42 REPORTS: DASHBOARD The Dashboard tool displays graphs and charts indicating PD 360 usage for the last 12 months. To open Dashboard: Click Dashboard, Reports, Goals under User Tools menu. Click on Dashboard tab School Improvement Network West Center Street, Midvale, UT

43 43 The Dashboard is a graphical representation of six PD 360 statistics that can give you a quick view of the usage in your school/district. The default view shows a snapshot of all six reports. To expand any of the windows, click the square icon. To minimize the window, click the minimize icon. To resize the window to the original size, click the resize icon. The charts are interactive. You can drill down and get more detailed information by clicking on any of the individual bars in the graphs or the pieces of the pie chart. Bar charts can also be viewed as line charts. Click on Bar Chart to open the drop-down menu. Select either Bar Chart or Line Chart. Segments Viewed displays the total number of segments viewed each month for the current month and the previous 12 months. Community Participation displays total number of community posts and file or resource uploads for the current month and the previous 12 months School Improvement Network West Center Street, Midvale, UT

44 44 Reflection Questions displays reflection question activity for the current and previous 12 months. Green represents the number of completed reflection questions; orange represents the number of incomplete reflection questions; and grey represents the number of follow-up reflection questions completed. Top 10 Most Popular Segments displays the top 10 video segments viewed by your district/school for the current month and the previous 12 months. The number of views is listed beside the segment titles. Clicking on the video segment title will open that segment. Unique Users Who Viewed Segments displays the number of individuals who viewed PD 360 segments for the current month and the previous 12 months. 45 45 Common Core Admin Tools Common Core Groups is a feature which allows administrators to create groups of educators to discuss and work together to implement the common core. To create a common core group, click Common Core Teams in the On-Demand Admin Tools menu under Common Core. Step 1: Select the District/School level where the group will exist. Step 2: Select Create New. Step 3: Assign a name to the group and add a description. Step 4: Select group members by clicking the Add To Team button next to the member s name. Step 5: Click Create new Team. To edit a group: Step 1: Click on the group name. Step 2: Make desired changes to the Team Name or Description. Step 3: To remove a member, click on the current users tab and click the Remove button next to the member s name. 46 46 COMMUNITY ADMIN TOOLS The Community Admin Tools allow you to make changes in forum threads, files, and resources. To open Community Admin Tools: Click Community Admin Tools in the Application Menu. Select Browse or Search to locate the community you wish to edit. Click Community Admin Tools in the Application Menu. Select Browse or Search to locate the community you wish to edit. Editing community items. Threads and Resources To make a thread, file, or resource sticky, which means it will stay at the top of the forum, click in the column with the green flag. The thread, file, or resource will now appear in the top list of sticky threads and the green flag will show up. To remove the thread, file, or resource as a sticky thread, click the flag again and it will move back to the list of normal threads.
