2 Introduction to MYOB AccountRight Live AccountRight Live is a next generation cloud accounting service that gives you the choice of doing your accounting on your desktop, in the cloud or both. It is the first service of its kind in Australia and it will revolutionise the way you manage your business. What is Cloud computing? In today s business world data needs to be mobile, transferable and instantly accessible and in essence that is the major benefit of cloud computing using a third party provider to securely host applications and information off site on external servers. Software as a Service or SaaS is driven solely by a web browser; there is no need to install any software locally. In the SaaS model, if the internet is down, there is no access to your accounting software as the data, business logic and user interface are all stored remotely and accessed via a web browser. Each time you make a change to data in the browser that change is sent back to the remote server, which sends back a refreshed screenshot to the browser user showing the new data. Think of Hotmail you can access it from any computer with internet access, but once you log off you lose all access to your Inbox. Software plus Service or S+S provides software and internet-based services together, but both do not have to be used at the same time for it to work. You can still access software even when you are not connected to the internet, because the application is loaded on your local computer. Take itunes for example; you can only shop and download music when you re online, but your library is available for you to access regardless of whether you are connected to the internet or not. AccountRight Live is based on S+S providing the speed and processing power of a desktop application, but avoiding the minor delays which result from accessing a remote server via a browser. Equally important, you can access all your business data without an internet connection giving you peace of mind that data is always accessible if: the internet drops out you want to do some work while travelling your provider stops operating the service. AccountRight Live will be the first S+S cloud accounting software available in Australia. It will truly change the way you do business. You will be able to connect via the cloud with your accountant, certified consultant, bookkeeper and staff, and have an automatic update of all records in real time on your desktop company file. AccountRight Live makes storing your company s data more secure than ever before. When your files are in the cloud, not only are they protected by industry-standard security levels, but everything is synchronised live so anyone you give access to can work on the files at the same time. 3 Restore Clearwater sample file 1. From the File menu select Restore. 2. Click on Browse and locate the Clearwater Backup.zip file from your desktop. Accept the defaults in the Save file area. 3. Click Restore. 18 Software Publications Pty Ltd, 2012
4 Create a new company file Scenario Nat s Nuggets needs a new company file created from the beginning of the financial year. Nat would like to take advantage of the bundle of services available in AccountRight Live. She requires access to her company file at any time or place and she would also like a local synchronised copy on her laptop in case she has no internet access. Nat has purchased a subscription to MYOB AccountRight Plus. Online 1. From the desktop click on the AccountRight Plus icon to launch AccountRight Live. 2. From the Welcome window click on Create a company file. Software Publications Pty Ltd,
5 Task 6: Assign roles to users The way user accounts are set up has changed. You now assign roles to each user account, and the roles will determine the windows a user can access. For example, you can assign the Sales role to staff that record sales and customer payments, and perform other sales-related tasks. If you have existing user accounts set up in your company file, upon upgrading, these will be inactive until you assign roles to them. You need to sign on to the upgraded company file with the Administrator user account, make these user accounts active and assign roles to them. 1. Sign on to the company file as the Administrator. 2. From the Setup menu select User Access. Or Select User Access from the online task bar located in the bottom right side of the program. The User Access window appears. 3. 6 4. In the right pane, deselect the Inactive User option. 5. In the list of roles, select the roles you want to assign to that user. (For information about roles, click the Learn about roles link in this window.) 6. Click Save. 7. Repeat this process for each user account. 8. Click Close. Software Publications Pty Ltd,
7 Go online Once you have upgraded and activated your existing company file you are ready to take the file online. 1. Start AccountRight and open the company file you want to store online. 2. From the File menu choose Go Online (Upload This File). 3. If the MYOB AccountRight Live Log In window appears, log in using your my.myob credentials and click OK. 4. In the message that appears, click Upload now. When the file has finished uploading, a confirmation message appears. 5. 8 Working online/offline You are now ready to take advantage of the features of working online with your company file. You can work from any computer that has an internet connection and a compatible version of AccountRight. Sign on 1. Start AccountRight. 2. Click on Open A Company File and select your company file. 3. Sign on with Administrator access. 4. Click the File menu. 5. Click Go Online (Upload This File) 6. Log in to AccountRight Live using your my.myob log in details. 7. Sign on to your company file. Once logged in to AccountRight Live, you can access all company files that you created or uploaded, and any company files that you have been invited to access. However, to open an online company file, you need to sign on to the file using the specific user ID and password for that file. Software Publications Pty Ltd,
9 Synchronise online file The online company file is always the latest, up-to-date copy, but there could be occasions when you may not have access to the live company file, for example, if your internet connection is interrupted. For this reason, it is recommended that you regularly synchronise the online company file to your local computer. When you synchronise an online file, you are saving all the changes you have made to the online file to a local copy of the file stored on your computer. You need to do an initial synchronisation when you first go online with a company file. This creates a local copy of the file, which will then be synchronised automatically every 20 minutes while you are working online. 1. Start AccountRight. The Welcome window appears. 2.
