7 Preface Preface This manual describes how to use the DECT Manager for configuring and maintaining a Business Mobility IP DECT Release 5 and Release 6 system. This manual does not describe how to install a Business Mobility IP DECT system. This is done in the Business Mobility IP Customer Engineer Manual. The following tasks are described in this manual: how to manage subscriptions; how to prepare subscriptions for another system; how to manage DECT Access Points; how to enter new licence information; how to create and restore a backup of subscription data. how to update handset firmware. Disclaimer: Our products are subject to continual development and improvement. 8 Introduction 1 Introduction This chapter gives you an overview of the DECT Manager application for IP DECT. It will guide you through the main window. Note: The language of the DAP Manager web interface depends on the regional settings in Windows. To change, go to: Control Panel Regional and Language Options Format. If you have received an message with a link to the DECT Manager application, you should use that link to start the DECT Manager via Internet Explorer. If not, you can start the Internet Explorer and browse to the internet address (URL) of the DECT Manager (e.g. You will see the following screen: Figure 1-1 The main window NEC Nederland B.V Page 8 IP DECT Networking Manual
9 Introduction This window can be divided into the following parts: 1. Menu list Here you see the features offered by the DECT Manager IP DECT. Note: Subscriptions; to do subscription management. Access Points; to reboot the DECT Access Points and view the configuration data. The numbers between brackets indicate the number of present / working Access Points. Licences; to enter and view licence information. Note that the Licences menu is not displayed in IP DECT Release 5, because it is licence free. If the Licenses menu is not displayed, it means that the licenses are integrated in your product, and you don t need to enter the licenses manually. Add Number Range; to enter the available extension numbers. Backup (Export); to create a backup of the subscription data. History; to view history of the DECT Access Points status. Pack Up & Go; to prepare subscription data for use in another system and to export multi-site subscriptions. Get Archive; to generate an archive file containing all relevant system data including diagnostics data Handset Firmware Update; to upload new software (firmware) to handsets. Note: Handset Firmware Update is only available from IP DECT Release 4.1 and higher. Also note that Handset Firmware Update is available for handsets that support this feature. 2. Task list Here you see the available tasks of a feature. For example the feature Subscriptions has the tasks Enable, Disable, Terminate and Delete Number. 3. 10 Subscriptions 2 Subscriptions 2.1 General Information Before it can be used, a handset (also known as portable telephone, portable part or PP) must subscribe to the system. That means that it must be registered by the DECT Manager. Note: If your system requires licenses ( Licences menu is displayed), make sure that you have the required licenses (see Chapter 4 Licenses (Not Applicable for IP DECT Rel. 5) Note: If the extension numbers that you want to subscribe are not available in the list, you must enter the required extension numbers using the Add Number Range menu (see Chapter 5 Add Number Range With Disable you remove the subscription data from the system and from the handset. With Terminate you only remove it from the system. Start the DECT Manager. 2.2 How to Subscribe a Handset PROCEDURE: How to Subscribe a Handset Preconditions The correct licence information must be entered. You can never subscribe more handsets, than specified in the licence. The extension number must already have been assigned in the DECT Manager and also in the PABX to which the Business Mobility IP DECT system is connected. Have the handset ready. There are handset models (non-nec Unified Solutions) that request for the PARK (Portable Access Rights Key) during the subscription procedure. You need to enter this PARK only if there are other DECT systems in the environment which are operational and in Subscription mode! The PARK is displayed in the information area in the DECT Manager. 11 Subscriptions Actions 1. Select the required available extension number(s). If the required number is not visible, you may need to select another page. The page number is displayed in the top and bottom rows of the subscriptions table. In our example there are two pages. You can use shift and click to select a range of numbers. 2. Click on Enable (or press shift+e) or Enable for Multi-Site (or press shift+m). 3. Now the PIN will be shown. A Personal Identification Number (PIN) is generated by the DECT Manager on each subscribe operation and only displayed while the subscription status is 'enabled'. (If required, you can change the displayed PIN code. When the subscription is in the enabled state and the PIN code is displayed, click the PIN code and change the code into a code that you prefer and click OK. This can be useful when subscribing a handset that requires a fixed PIN (Authentication) code.) 4. Enter the PIN from the handset within 2 minutes. If the PIN is not entered within 2 minutes, the subscription mode is terminated for that specific extension number and the subscription process must be started from the beginning. Note: Enable for Multi-Site is only visible if the system has a SARI. The Secondary Access Rights (SARI) is used if you want to use a handset on more than one DECT system but with the same subscription record in the handset. You subscribe the handset to one system and copy the subscription record to other systems, all having the same SARI. You don't need to subscribe the handset to the other systems but use the Export (multi-site) option in the Pack Up & Go menu to copy the subscription record to other systems. 12 Subscriptions 2.3 How to Disable a Subscription PROCEDURE: How to disable Subscription Actions 1. Select the required available extension number(s). (Use shift and click to select a range.) 2. Click on Disable. Additional Information When a subscription is disabled, it is put in the blacklist. The system will try to reach the handset and remove the subscription data from it. The extension number is free again and the handset can be registered again (e.g. with another extension number). Note that the user cannot make and receive calls while the handset is disabled. 2.4 How to Remove a Subscription WARNING: Be careful using this option. Only use it if the hand-set is not available anymore (e.g. broken or lost). When a subscription is removed, the subscription data in the handset is not cleared. It must be done manually on the handset afterwards. PROCEDURE: How to remove subscription Actions 1. Select the required available extension number(s). (Use shift and click to select a range.) 2. 13 Subscriptions 2.5 How to change the Extension Number of a Subscribed Extension PROCEDURE: How to change the extension number of an already subscribed handset Actions 1. Select the required available extension number(s). 2. Click on Disable. When the status changes to "Free", the subscription data is removed from the handset and the system. 3. If necessary, in the PABX change the old extension number into the new number. 4. Re-enter the DECT Manager and select the required extension number. 5. Click on Enable or press shift+e. 6. Now the PIN will be shown. 7. Enter the PIN from the handset within 2 minutes. 2.6 How to Use the Filter The Filter allows you to display certain numbers or numbers with certain characteristics. 14 Subscriptions Figure 2-1 The main window The menu items that are displayed are self explaining. 2.7 Present/Absent Statuses The Subscriptions window in the DAP Manager IP DECT shows two columns indicating the status of a handset: Presence This shows the presence status of the handset in the DECT system. When the IP DECT system detects that the handset is not present anymore, the status changes from present to absent. Changing the status to absent can happen if one of the following cases occurs: Handset is switched off. (Applicable for handset types: C922, C933, C944, i600, C124 and all other handset delivered after year 2005.) Handset is put in charger in silent charging mode. (Applicable for handset types: C933, C944, i600, C124 and all other handset delivered after year 2005.) When handset is out of reach (or switched off) the system may detect that the handset is not reachable anymore and automatically changes the status to absent. This function and timing involved depends on system customized settings. If this function is enabled in the IP DECT system, it takes 15 to 60 minutes before the system detects that the handset is not reachable anymore. NEC Nederland B.V Page 14 IP DECT Networking Manual
15 Subscriptions Registration status This reflects the status of the handset in the PBX. It can be Registered or Absent. If the status is Registered, the handset is registered in the PBX and usually can be used. If the status is Absent, it means that the handset is not registered in the PABX and cannot make calls. If the handset is not registered in the PBX, a call to the handset will normally be treated as number not obtainable or Logged out (depending on the type of PABX). Note: The Presence status of a handset can be Absent while the Registration status is still Registered in the PABX. This condition may exist for a short time only. Normally, the Registration status will automatically adapt to the correct status. Note that in some PABX types the Registration status remains in the Registered condition although the Presence status of the handset is Absent. Note: The Registration status may show an indication that starts with an E. (e.g. E.254) This is a technical code for engineers. 16 Access Points 3 Access Points The DECT Access Point (DAP) is the actual DECT transmitter/receiver. When you click on Access Point in the menu list, you will see the following screen: DECT Access Points (DAPs) are identified by their Radio Part Number (RPN). In the work space, the DECT Manager displays the status of the present DAPs. The other information is for the engineer. It is generated by the system and cannot be changed here. The number of channels on a DAP is always 12. (In case of an older Release of IP DECT which operates in licensed mode, the number of channels can be lower than 12.) You can change the comment field to specify e.g. the position of the DAP in a building. Click Edit to change the text in the Comment field. Note: It is possible to change the RPN of a DAP by editing the RPN field. This should only be done by authorized personal. In the task area you see: Reboot, Reboot All, Delete and Set number of channels. You may want to reboot a DAP for a software upgrade or if the DAP is not functioning properly anymore. 17 Access Points Delete is used to remove radios that are defect and cannot be repaired anymore. However, delete should only be used by a qualified engineer because it can have serious consequences for the system regarding subscriptions and synchronization structure. 18 Licenses 4 Licenses (Not Applicable for IP DECT Rel. 5 Note: If the Licenses window is not displayed or partly displayed, it means that the licenses are integrated in your product, and you don t need to enter the licenses manually. Note: IP DECT Release 5 does not require licenses therefore, in IP DECT Release 5, the Licenses window is not available. Here you enter (new) license information. You must enter the license information before you can enable subscriptions. You can never subscribe more handsets than specified in your license. When you prepare subscriptions for use in another system, no extra licences are required. The following license items can be displayed: Number of handsets The number that you enter in the this field is the maximum number of possible subscriptions. This is the sum of single site handsets and multi-site handsets that are NEC Nederland B.V Page 18 IP DECT Networking Manual
19 Licenses subscribed on this system. Number of G.729 calls This is the maximum number of simultaneous calls in the system using the G.729 compression technique. Note that in Release 4.2, the system ignores this license and the actual number of simultaneous G.729 calls is not limited by this license. Therefore you don t see the G.729 anymore under the menu Licenses. If you have a license for G.729 calls you still need to enter your license here (although not used) otherwise your license string is not accepted. Number of 2 channel upgrades Number of channels that can be assigned to the DAPs. This is always in steps of two, therefore it is called 2 channel upgrades. Number of Branch Office DAPs This is the maximum number of DAPs that can exist in a Branch Office. Note that from Release 4.1 onwards, the system ignores this license and the actual number of Branch Office DAPs is not limited anymore by this license. Therefore you don t see the Branch Office DAPs anymore under the menu Licenses. If you have a license for Branch Office DAPs you still need to enter your license here (although not used) otherwise your license string is not accepted. Licence Key 32 digit key to enable your licenses. Number of multi-site handsets The maximum number of handsets that can be subscribed as multi site handsets. Note that this number is associated with the Multi site license key. Licence Key 32 digit key to enable your licence for multi site handsets. 20 Add Number Range 5 Add Number Range 5.1 General - Manual Assignment Before you can enable subscriptions, you must define available extension numbers. You can enter the subscription numbers manually or you you can import extension numbers from a file. Note: The numbers that you enter here must also have been assigned in the PABX to which the IP DECT system is connected. Note: Do not enter to many extension numbers. If you must delete superfluous extension numbers later on, you must delete them in sets of ten extension numbers at the time. NEC Nederland B.V Page 20 IP DECT Networking Manual
21 Add Number Range 5.2 Importing a CSV File Instead of entering the number range manually, you can import a number range from a.csv file (phone book). Note: When the import of a file was successful, you will see the results in the Subscriptions window. Importing is described in the following procedure: PROCEDURE: Importing a csv file. Actions 1. Click the Browse button. 2. In the window that is displayed, navigate to the csv file that contains the extension numbers (phone book). 3. Click OK. The file contents is imported. 4. Click the Subscriptions menu to check if the extension numbers are imported properly. 5.3 CSV File Format The contents of the csv file should look like the following examples: Plain csv file. The most simple file can be a simple text file stored as CS file, see the example below. The contents should look like the example below. 22 Pack Up & Go Central Directory CSV file. When you are using the Central Directory Access tool with an xls file, you can convert this xls file to csv format using Microsoft Office Excel. 23 Backup (Export) 6 Backup (Export) You can make a safety copy of the system settings and the subscription database, to be used in case the Business Mobility IP DECT system breaks down or the database gets corrupt in the Business Mobility IP DECT system. PROCEDURE: How to backup subscription data Actions 1. Click on Backup. 2. In the File Download window, enter an understandable name for this file (the default name is: <system name>_<date>_<time>.zip). 3. Click on Save. Restoring the Backup must be done by a qualified Business Mobility IP DECT engineer. You cannot Restore the backup/export file in this WEB interface.. 24 History 7 History You can view the reboot history of the DECT Access Points for diagnostic purposes. PROCEDURE: How to view the History Actions 1. Click on History. 2. Now the History is shown in a new window. Note that this window contains reboot data of the DAPs including development data that is not readable. (the default name is DAP-History.log). PROCEDURE: How to store the History in a log file Actions 1. Right Mouse click on History. 2. In the Popup menu, click Save target as. 3. In the Save as window, give the file a recognizable name as define the path where the file must be saved. The default name is DAP-History.txt. 4. Save the file. 25 Pack & Go 8 Pack Up & Go You can prepare subscriptions for use in another system. You can also export multi-site subscriptions for use in multi-site systems. In both cases the result is an xml file which you can import at the target system. The host system remains fully operational during the pre-subscription process. PROCEDURE: How to prepare subscriptions Preconditions The PARI of the host system differs from the PARI in the target system. In the DECT Manager you enter the PARI of the target system. Each DECT System has a unique (worldwide) identifier: the Primary Access Rights Identifier (PARI). This identifier is always transmitted by all DAPs as a beacon. The portable recognizes this beacon and will be listening to that signal, to see if there is a call for it. In case of multi-site subscriptions, you must also enter the SARI. Handsets to be subscribed must be within reach of the host's radio signals. Actions 1. Click on Pack Up & Go. 2. Enter the PARI of the target system and click on OK. To be able to enter the SARI, mark the Multi-site subscriptions option. 3. Add a subscription number range for the target system. If you want to add another range, click on Add Number Range in the menu list. 4. Subscribe the handsets. 5. Click on Export (Prepared). 6. In the File Download window, enter an understandable name for this file (the default name is Export.xml). 7. Click on Clear Host. NEC Nederland B.V Page 25 IP DECT Networking Manual
26 Pack Up & Go PROCEDURE: How to import subscriptions Actions 1. Make the subscription data file (default name: Export.xml) available to the target system's DECT Manager. 2. In the DECT Manager click on Pack Up & Go. 3. Click on Import. 4. Enter the name and location of the subscription data file or browse to it. 5. Click on Open. 6. Click on OK. PROCEDURE: How to export subscriptions for multi-site usage Preconditions The portables are subscribed and enabled for multi-site. All systems have the same SARI. Actions 1. 28 Get Archive 9 Get Archive Get Archive creates an file with all relevant system settings, third line maintenance data and performance data. If there are problems in the system, the help desk can ask you to get an archive file and send it to the help desk for further analysis. PROCEDURE: Getting an Archive Actions 1. Click the Get Archive menu item. 2. You will see the following window displayed. 3. You have the following options: Generate and save a new archive file. This means that an archive file is created when you click OK. Save the nightly generated archive file. Always at midnight an archive is automatically created. When you select the option Save the nightly..., a copy of this automatically created file is taken. Send by to If you select this option the file is send to the address that you can specify. Note, this will only work if the DAP Controller/Manager is correctly set up for sending messages. Select the option that the maintenance people (e.g. help desk) has asked you. 4. If you have chosen to save a file, a window pops up, asking you what you want to do with the file: open, save (cancel, more info). 30 Handset Firmware Update 10 Handset Firmware Update 10.1 General Information The Handset Firmware Update allows you to install new firmware (software) in the handsets. There are a few important remarks: Updating does not disturb the normal operation of the handset. The user will NOT notice that firmware updating takes place. The new firmware package is activated after the handset has been switched off and on again or one minute after the handset has been placed in the charger. There are a few important notes: Note: Handset Firmware Update is available for a handsets that supports this feature. When you go to the Define Handset Packages, you will see a list of handsets that allow firmware upgrading via this feature. Note: The Firmware Upload service must be running. If not, a qualified engineer must start the service first. Note: There are two operation modes: Manual updating and Automatic updating. Please read the differences in the next subsection Manual - Automatic Update Manual When Manual operation is chosen, you must setup the configurable items and after that start the update procedure manually. During the update, configuration items remain accessible to make changes Automatic When you select Automatic update, handsets will be updated automatically without manual intervention. When a new handset contains an older package than specified in the Handset Update configuration, it will automatically get the latest package without manual intervention. 31 Handset Firmware Update When automatic update activated, a number of configuration settings are greyed out and not accessible. Only after disabling the automatic mode and switching to pause allows you to make changes again. Downgrading of the handsets is not possible in Automatic mode. When a handset is updated, it will automatically be removed from the Update handset list to avoid polution in the Update Handsets list. Scanning interval to check if there are handsets that must be updated, is 15 minutes. Screen refresh interval is 30 seconds Procedures to Update Firmware PROCEDURE: How to Update Handset Firmware Actions 1. Make sure that you have the required firmware file(s). The file extension of such a file should be.bin. 2. Put the firmware file in the following directory: For Windows 2008 or Windows 7: C:\ProgramData\Nec\DAP Controller\ Older Windows versions: C:\Documents and Settings\All Users\Application Data\Nec\DAP Controller\ When it is not possible to put the firmware packages in the above mentioned directory, you can browse to the package in one of the following steps. 3. Click the menu Handset Firmware Update in the Main Window. 4. The Handset Firmware Update window is displayed. Click the menu option Configuration. 5. You will see the following window displayed. 32 Handset Firmware Update 6. In this screen you can enable automatic handset update. If you want to use Automatic Update, first define you configuration and then activate the Automatic Update. Note: When you check the check box Automatic Firmware Update, it seems as if nothing happens because it takes some time before it is activated. Please wait. 33 Handset Firmware Update Maximum number of simultaneous updates (default) This is the default maximum number of simultaneous updates that will take place outside the periods that you define in Define Update Periods. Maximum number of retries for non fatal errors Specifies the maximum number of retries for non fatal errors. Retry interval (minutes) In the table Define Update Periods you must specify the days of the week and the time period for each day that updating may take place. It is strongly recommended to let the system do the updating in the out-of-office periods. The handset does not go down during firmware updating, but it reduces the number of available channels on a radio. Click OK. 7. Make sure that you have the new firmware packet available on the harddisk. 8. Click the menu option Define Handset Packages. You will see the following screen displayed. Note: When you have copied the firmware package(s) into the system directory (see step 2), you should see this/these package(s) displayed. IP DECT Networking Manual Page 33 NEC Nederland B.V. 2012
34 Handset Firmware Update 9. In the pane Select Handset Type, select the handset type that you want to provide with new software. 10. If you have copied the firmware already into the system directory (see step 2 in this procedure) you can skip this step. Browse to the new firmware package (e.g. G355_v0302.bin) and click the upload button. Uploading means that the packet is visible in the right hand pane. Note that the upload button does not execute an upload to the handsets yet! Note: After you have clicked Upload it can take up to two minutes before you see the package displayed in the right hand pane. Just wait. NEC Nederland B.V Page 34 IP DECT Networking Manual
35 Handset Firmware Update 11. Click the handset/package relation in the left hand pane, to show the available firmware packages in the right column. 12. In the right hand pane, click the package and then click Select. 13. Execute step 7 to 10 for all handsets types that needs to have a new package. 14. In the menu, click Add Handsets. Please note, that you do not need to fill in the handsets in case you want to use Automatic Update. In Automatic Update mode, the handsets are automatically selected, the system recognizes the type of handset. In the window that is displayed, add the handsets that you want to involve in the firmware update. See following screen. After you have entered the handset extension number range, click OK. 15. Click the menu Update Handsets. You see a list of handsets involved in the update process. IP DECT Networking Manual Page 35 NEC Nederland B.V. 2012
36 Handset Firmware Update 16. Click Start Update in order to start the update process OR click Configuration and then activate Automatic Update. 17. The update will start according to the time schedule that you have defined. 18. Click the menu Update Handsets. You see the actual status of the update process. See following screen capture. Note that the screen capture is made in Automatic Update mode. That is why some menu options are greyed out in the left part of the window. 19. When the update procedure is finished, the handset will still be using the old firmware packet. To activate the new firmware, the handset must be restarted. There are two options in restarting: When the handset is in the charger, the handset will automatically execute a restart after one minute. No manual intervention needed. When the handset is not in the charger and you want to activate the new software immediately, you must switch off the handset and switch it on again. When the handset switches over to the new firmware packet, you will see the following in the display: NEC Nederland B.V Page 36 IP DECT Networking Manual

After the update process is finished, you must clean up the handsets list using one of the following menu items: Remove Handsets or Remove Ready Handsets.
