1 Getting Started With Your HP Tablet Introduction Last year, Facility Services selected a replacement device for the NEC handhelds currently used by equipment maintenance technicians to log and update service calls in CMMS. The new device is an HP laptop with a built-in tablet, enabling technicians to enter data using a stylus pen and/or the keyboard. The model tc4400 runs on the Windows XP platform and provides access to software applications typically available in a Publix office/warehouse environment, such as Microsoft Office Suite and Adobe Acrobat Reader. This document provides technicians with some basic information for using the new device as it relates to CMMS. For more detailed information on the device itself, see the user guide that came with it or the online tutorial (click Start > Programs > Get Going With Tablet PC). Logging On/Off You will need to log on and off your device at least once every work day. This enables your network log-on scripts to run properly. Please do not bypass the scripts as they serve several key functions: Mapping network drives Virus protection updates Application of critical software patches Be sure to let the scripts finish running before logging into CMMS or launching another application. To log on to the tablet device: 1. Power on the device using the power slide switch located on the left side of the unit. An onscreen keyboard appears when you first turn on the device. You can ignore this; it will disappear after you log on to the network. 2. At the Windows logon prompt, type your LAN ID and password in the appropriate fields. Note: Facility Services technicians should always log on to the Corp domain. 2 3. The Odyssey Access Client window appears. This window appears each time you log on to the wireless network. Odyssey Access Client X Before you log on to Windows, you may need to connect to the network. > To connect to the network, check "Use Odyssey... ", select the settings for the network connection, then press [Continue]. > To go right to Windows logon without connecting to the network, uncheck "Use Odyssey... ", then press [Continue]. > To re-enter your Windows logon credentials, press [Cancel logon]. Use Odyssey to connect to the network, using: Make sure this option is selected My personal settings The default settings for this machine New settings that I'll specify using the wizard Continue Cancel logon 4. If you are connecting to the wireless network, leave the Use Odyssey checkbox selected. If connecting to the LAN via a LAN cable, de-select this option. 5. Click the option for using The default settings for this machine. Note: You will have to manually select this option because the device automatically defaults to the last option, which opens a wizard. 6. Click Continue. The Welcome to Table PC screen appears. 7. To take a brief tour of your new device, click Get Going with Tablet PC and follow the onscreen instructions. If you do not wish to take the tour, click the Close button in the upper right corner to close this window. Note: This welcome window may appear each time you log on, unless you check the Do not show me this again checkbox. 3 As you move from store to store throughout the day, you do not have to log off the network each time you leave a store. You can put the device in sleep/standby mode instead (press Function + F3). To exit sleep mode, simply press the power slide switch again on the left side of the unit. In between store visits, you should keep the device charged using a vehicle charger or power inverter. Note: You no longer have to change the ESSID at each store. The wireless network automatically captures that information from the tablet device when you are in the store. LAN Password Changes Always use your tablet device when logging on to the network, even when you are in an office/warehouse environment. This will ensure that all network updates are applied to the device, including your LAN password changes. Do not update your LAN password on any computer other than your tablet PC. Accessing CMMS To access Service Hub/CMMS on your tablet PC: 1. Double-click on your PC desktop. If you do not see this shortcut icon, double-click the Internet Explorer icon and type the following URL in the Address field: The ML application login page appears. 2. Type your CMMS user ID and password in the appropriate fields. 3. Click Login. The Service Hub/CMMS main menu appears. 4. At the end of the work day when you are finished working in CMMS, click. 4 5. Click Submit. 6. Shut down the tablet PC by clicking Start > Shut Down > Shut Down. Wireless Network Your HP tablet is set up to work with the new Publix wireless network. Because the new network includes enhanced security features, you can only operate your device from inside a Publix store. The device will not connect to the network from outside the store (for example, in the parking lot). You will know you have a good network connection if the wireless connection icon in the lower right section of the Windows taskbar is blue (icon resembles a bug) and the wireless indicator light on the front of the unit is lit. If the icon is black, that indicates the device is not connected. Wireless connection icon: Blue = good connection Black = no connection If Your mapped network drives are not available You get a Page Can t Be Displayed error while logging a call Then Log off; then log back on again, letting your logon scripts run in their entirety. You may have temporarily lost your wireless connection. Check the wireless indicator light on the front panel: o o If the indicator light is off, then push the wireless connection button located on the left side of the laptop. This should reset your wireless connection. Note: Placement of this button makes it easy to bump accidentally so always check this first when troubleshooting. 5 Software Applications In addition to CMMS, your tablet device provides access to software applications needed for your daily work, including Microsoft Office, Internet Explorer, and Adobe Acrobat Reader. Online help is available for all of these applications via the built-in application Help menu. Some documentation for Microsoft Office 2003 applications is also available on the Publix Connection intranet site under Resources > References. If you think you need training for these applications, please visit the Facilities Academy intranet site at Outlook Web Access Your tablet device also provides the ability to compose, send, and receive s through Outlook Web Access (OWA). This is a Web-based version of Microsoft Outlook that enables you to access your Publix account remotely. It replaces use of the old Host (EMC2) system. Detailed procedures for using OWA are available in the Outlook Web Access User s Guide included in this documentation package. This user guide is also available on Publix Connection under Resources > References. Note: Do not send or receive (open) large attachments while you are in a store using the wireless network as this causes unnecessary strain on network resources. In general, any documents over 3 MB in size should be saved to your local hard drive (C: drive) and opened at a later time when you are in a non-retail environment. (The file size is typically shown in parentheses after the attachment name. 1,000 KB = 1.0 MB; 2,000 KB = 2.0 MB, etc.) Reporting Problems If you experience any problems while using your device, please follow these escalation guidelines: If Problem is networkrelated Problem is hardwarerelated Problem is softwarerelated Problem is documentation -related (FIIRST) Then Follow troubleshooting tips on page 4 of this document. If problem still exists, then contact Network Support. Contact team leader first (handle issue in same manner as with NEC devices). 6 F/S Centralized Support Team The F/S Centralized Support Team provides 2 nd level support for Service Hub/CMMS issues: Mary Shacter Systems Administrator (x54064) Judy Yingling Support Specialist Call/Workforce (x52035) Anna Boyce Support Specialist Stock/Production (x54864) If you are unable to reach any of the team members above, then contact Network Support at x To expedite problem resolution, it is often helpful to provide support personnel with screen shots of any errors you encounter for troubleshooting purposes. To do this, follow these steps: 1. With the application screen or error message displayed, use the stylus pen to tap the Q Menu button located in the lower right corner of the tablet display. # 3 = Q Menu button The Q menu appears. 7 2. Select either the Capture Window option or Capture Screen option. This step takes a picture of the window/screen and copies it to the Windows Clipboard. The Capture Window option captures only the current active window. The Capture Screen option captures everything that currently appears on the display screen. 3. Open a new, blank Microsoft Word document (select Start > Programs > Microsoft Office > Microsoft Office Word 2003). 4. Press Ctrl + V on your keyboard. This step pastes the screen shot into the blank document. 5. Save the Word document to your local hard drive: Click File > Save. A Save As dialog box opens. Click to create new folder In the Save in field, click the drop-down arrow and select a location to save the file. Tip: You may wish to create a new folder on your desktop to store all screen shots in one location. In the File name field, type a name for your document. It should end with the.doc extension. The Save as type field should say Word Document (*.doc). Click Save. Later, when you are in a non-retail environment, send the Word document containing the screen shot(s) as an attachment using OWA. 8 Customizing Your Tablet PC Settings You can customize various settings on your tablet PC to accommodate your individual working needs. This includes: Changing settings for right-handed or left-handed use Changing the tablet PC screen orientation Customizing tablet buttons and stylus pen actions For more detailed information about how to change these settings, go to the Help and Support Center (Start > Help and Support), and on the left side of the page, select Customizing your computer. 8 Getting Started With Your HP Tablet 03/09/2007
9 Tablet PC Care & Maintenance Your tablet PC is Publix property and should be treated with proper care. Please adhere to the following guidelines regarding PC care and maintenance. Security Precautions In order to maximize the physical security of the tablet PCs, associates are expected to follow these standard guidelines: The tablet device must be kept within eyesight at all times while the technician is working on a job site. If the technician needs to leave the work area (to get a part, speak to a manager, etc.), the device must be carried with them. The tablet device must be kept out-of-sight when stored in a technician s vehicle between jobs. When a technician is fueling the vehicle, eating lunch, etc., the device must be hidden inside the vehicle and the vehicle must be locked. The tablet device must not be stored inside the technician s vehicle overnight or on non-working days. The device should be taken indoors and stored in a safe, secure location. Handling Precautions In order to maximize the reliability and longevity of the tablet devices, associates are expected to follow these standard guidelines: Tablet devices must be transported within the provided carrying case. These cases are designed specifically for the device to provide reasonable protection while the unit is in transit. Tablet devices must not be exposed to extreme environmental conditions including extreme heat, cold, liquids, or other foreign substances. Stylus Care After using the stylus, always store it away by sliding it into the insertion pocket located on the left side of the display monitor. Using the tether accessory will help to prevent loss of the stylus; however, you may wish to tape the tether to the top of the device to avoid getting it caught on anything. Replacement styluses cost approximately $50 each, so extra care should be exercised to avoid loss or damage to the stylus. 03/09/2007 Tablet PC Care & Maintenance 9
10 Using the FIIRST Intranet Site Introduction There is a wealth of information available to you online via the FIIRST intranet site, including detailed Service Hub/CMMS documentation. Accessing FIIRST To access FIIRST: 1. Double-click the Internet Explorer icon on the desktop. 2. In the Address box at the top of the screen, type A Welcome to FIIRST page appears. 3. 11 4. Next, select Online Help in the Navigator pane. The CMMS Documentation page appears. 5. In the Online Help Files section, click the link for the appropriate help file (for field service technicians, this is the Workforce ML link). 6. 12 Sharing Links When you find a help topic that you want to share with another associate, you can send the associate a link to the topic via . To do this: 1. With the help topic displayed on the screen, right-click anywhere on the topic, and select Properties. The file Properties box opens. Copy and paste the entire document path shown in the Address (URL) field into an message. Note: The address for each help topic always ends in.htm. Downloading Documents If you need to download a large document (over 3 MB) from FIIRST or Publix Connection, such as a PDF file, we recommend that you save the file to your local hard drive and then open it from there in a non-retail environment. Whenever possible, avoid working with large files over the wireless network in a store. Mapping to a Store Printer Service technicians are permitted to print small documents, if necessary, in a store by mapping to the 0098 workstation printer located in the computer room/front office. To map to this printer, follow these steps: 1. Select Start > Settings > Printers and Faxes. The Printers and Faxes window opens. 12 Using the FIIRST Intranet Site 03/09/2007

14 5. On the Specify a Printer page, select Connect to this printer. In the Name field, type the printer name in the following format: \\SXXXX0098\printer (where XXXX = the four-digit store number) 6. Click Next. 7. 15 8. Click Finish. The printer is added to the Printers and Faxes window. Printing Documents To print to a newly mapped (added) printer in a store, follow these steps: 1. Open the document you want to print at the store. 2. Select File > Print (or press Ctrl + P). 3. Select the printer you just mapped, and then click OK. 03/09/2007 Using the FIIRST Intranet Site 15
