1 IA Field Staff 1. Surface Pro Tablets (AC Only) Assessment Coordinators will be using Surface Pro tablets for their work at home and in the schools. Throughout your time on NAEP, you might encounter several different types of Surface Pro tablets. For your Trainer tablets, you will use Surface Pro 4s. Surface Pro 5s have all the same buttons as the 4s; the Surface Pro 3s just have the volume button on the side as opposed to the top of the tablet. All tablets are only compatible with equipment and accessories provided by Westat. 2 Surface Pro 3 Power button Earphone jack Volume USB port Touchscreen Charging jack Kickstand Each tablet is equipped with an integrated kickstand (shown at right). To open the kickstand, gently pull out the panel with the Windows logo. To change the angle of the tablet, continue pulling out (gently) until the kickstand is in the desired position. The kickstand can also be closed if you wish to lay the tablet flat or walk around with it. Magnetic Connection Keyboard Touchpad The keyboard (shown below) functions as both a tablet cover and a keyboard and uses a magnetic connection to instantly connect with the tablet. To remove, simply pull the cover away. When the cover is folded back behind the screen, keystrokes are automatically disabled to prevent accidental data input (you can also reverse the cover so that the keys are facing the back of the tablet). To return to typing mode, just flip the cover back into keyboard position. Folding the cover in front of the screen shuts off the tablet (although this is not to be used as a shutdown procedure). 3 Charging Charge the tablets using power supply cords. The power supply cord plugs into the side of the tablet, and a light indicates that the tablet is plugged into a power source. Turning On and Logging Into a Tablet 1. Open the keyboard so that it is not covering the screen. 2. Press the Power button on the top of the tablet. 3. The first screen you see when you turn on the tablet is the Lock screen (see image below). It may appear at other times after periods of inactivity, like a screensaver. It displays the time and date, and battery power. Time and date Battery power 4. To dismiss the Lock screen, swipe up on the touchscreen with your finger, or press any key on the keyboard. 5. After dismissing the Lock screen you must select a user account to log into Windows. The available user accounts are listed in the bottom left corner of the Windows account screen. Shown below are the accounts on the admin tablet. Account Device Details FIT Admin and Assessment Not to be used by field staff tablets Internet Admin tablet AC account for internet use (e.g., working on MyNAEP or submitting data to the central server) Router Admin tablet AC account to use with the router on assessment day Monitor Assessment tablet AA account for monitoring Student Assessment tablet Student account for taking the assessment eupdate Assessment tablet AC account to use for system updates 6. When you select a Windows account you will enter the corresponding password. Refer to your password sheet to verify which account and password you should use. IA1.3

4 Interacting With Your Tablet You can interact several ways with your tablet. You can use any of the following input devices: Keyboard. The keyboard includes keys for text input as well as a trackpad (like trackpads that are typically below the keyboard on any laptop) to move the cursor around the screen and select items. Touch. Use your fingers on the touchscreen as you would on a smartphone. Stylus. Styluses are provided for student and staff use. You can tap the stylus to the screen to select items or scroll. Mouse. A mouse is provided to ACs for administrative use. Attach it to the USB port on the upper right side of the tablet. The Desktop You will use the desktop in the Internet account to open programs such as the MyNAEP website, the enaep testing system, and Office 365. To open a program, double-tap on the desktop icon. On the taskbar (bottom of the screen), there is an icon for saved documents (the file folder). You can also view the battery power on the taskbar. Zooming in and out To zoom in and out, use a pinch gesture. Place your thumb and forefinger on the screen and move them toward each other to zoom in or move them apart to zoom out. IA1.4

5 On Screen keyboard You can type using the on-screen keyboard and navigate using touch controls. To bring up the on screen keyboard, either touch inside of a text area, or click on the keyboard icon in the lower right corner of the task bar as illustrated below. When no longer needed, click the small x to hide the on-screen keyboard. Enable on-screen Keyboard On-screen keyboard Power States: Sleep Mode and Shutting Down Shutting down To shut down a tablet use the following keys: Alt + S + (down arrow). Note: If you are on the Windows account screen, this key combination will not work. Instead, you must select the Power icon in the bottom right corner of the screen and then select Shut Down. Sleep mode To put a tablet to sleep, gently tap the Power button on the top of the tablet. To wake up the tablet, press the space bar. The Lock screen will appear. Swipe up or press any key to dismiss the Lock screen. You will return to the screen you were on when you put the tablet to sleep. IA1.5

6 2. Fujitsu Lifebook T902 Laptop (SV and FM Only) Field Managers and Field Supervisors will be using Fujitsu T902 laptops for their NAEP work. The laptops are only compatible with equipment and accessories provided by Westat. Laptop Anatomy Fujitsu T degree Swivel Screen The laptop screen is capable of 180-degree axis rotation. Once fully rotated, the screen can collapse over the keyboard and function as a convertible touchscreen tablet. The screen does not detach from the keyboard. IA1.6

7 On Screen keyboard Once oriented as a tablet, you can type using the on-screen keyboard and navigate using touch controls. To bring up the on screen keyboard, either touch inside of a text area, or click on the keyboard icon in the lower right corner of the task bar as illustrated below. When no longer needed, click the small x to hide the on-screen keyboard. Enable on-screen Keyboard On-screen keyboard Tablet Mode Tablet mode will hide most of the desktop and taskbar icons, whether or not the screen is oriented as a tablet or laptop. To turn off the Tablet Mode feature, Swipe right from the side screen and tap the Tablet Mode box to OFF so that it turns gray. Charging Charge the laptops using only the supplied power cable. The power supply cord plugs into the left corner the laptop. IA1.7

8 Wireless Switch In order to connect to a wireless internet connection such as a MiFi hotspot, the laptop s Wireless Wi-Fi switch must be turned on. The switch is located on the front lip of the keyboard when in normal laptop orientation. Slide the switch to the right ON position to enable wireless. Turning On and Logging Into a Laptop 1. Lift open the laptop cover. 2. Locate the Power switch on the lower right side of the screen (To the right of the buttons labeled A and B ) and slide it to the right to turn on the laptop. 3. The first screen you see when you turn on the laptop is the Lock screen (see image below). It may appear at other times after periods of inactivity, like a screensaver. After dismissing the Lock screen you must select a NAEP user account to log into Windows. The available user account is located on your password sheet. 6. When you select your account you will be prompted to enter the corresponding password. Refer to your password sheet to verify which account and password you should use. 9 The Desktop You will use the desktop (shown below) to open programs such as the MyNAEP website, Microsoft Word/Excel, and Office 365. To open a program, double-tap or double-click on the desktop icon. On the taskbar (bottom of the screen), there is an icon for saved documents (the file folder). You can also view the battery power on the taskbar. Zooming in and out To zoom in and out, use a pinch gesture. Place your thumb and forefinger on the screen and move them toward each other to zoom in or move them apart to zoom out. Power States: Sleep Mode and Shutting Down Shutting down To shut down a laptop press or click the Start button and select the Power icon in the bottom right corner of the screen and then select Shut Down. Sleep mode To put a laptop to sleep, press or click the Start button and select Sleep. To wake up the laptop, slide the Power switch to the right. The Lock screen will appear. Enter your credentials again and you will return to the screen you were on when you put the laptop to sleep. 3. Internet There are several ways to connect your tablet or laptop to the internet. You will receive a Verizon wireless mobile hotspot (MiFi) that will provide an internet connection both at home and on the road. Staff located in Puerto Rico, Alaska, or overseas territories receive a T-Mobile hotspot. You also can connect to a home or hotel network by using a wireless Wi- Fi connection. MiFi You will receive a MiFi with your trainee tablet or Laptop and can be used to connect the admin tablet to the internet wirelessly for MyNAEP work and for transmitting data. The device can be placed near the tablet and will work on battery power. With the MiFi, you can connect to the internet anywhere you have a cellular (cell phone) signal. IA1.9

10 For NAEP 2019, you will receive model 7730L (shown below). You do not need to install any additional software onto the tablet or laptop to use the MiFi. To keep the device charged, connect the device use the provided charging cable to the MiFi Charging Port and connect the cable to the provided AC adapter into an open power outlet. How to view MiFi Name and Password To connect to the internet using your MiFi, you will need to know your MiFi name and password. Follow these instructions to retrieve your MiFi name and password: 1. On the MiFi, press and hold the power button for five seconds to turn the screen on. Wait an additional 30 seconds. 2. If you see a screen New software version on the MiFi, tap to select Install now and wait an additional 2-3 minutes. 3. You should see a display with a "Wi-Fi Name and Password label shown on screen. The screen will shut off after 30 seconds to conserve battery power. Press the power button once to show the display again. 4. On the MiFi screen, lightly tap on Wi-Fi Name and Password". If you do not see Wi-Fi Name/Password on the display header, tap the red left-pointing angle bracket on the top left corner until you return to the first display screen with Wi-Fi Name and Password 5. The MiFi network name is under Wi-Fi Name: and starts with Verizon-MiFi7730L Write down the Wi-Fi name in a secure location such as your password sheet. 6. The password is below "Wi-Fi Password:" Write down this password in a secure location such as your password sheet. IA1.10

11 Power the MiFi On and Off To power on the MiFi, press and hold the power button for five seconds until the display lights up. Wait an additional 30 seconds. After the initial startup screens display, the Home screen and menu options are available. To power off the MiFi, press and hold the power button until the display shows MiFi Powering Off. The MiFi will continue its shutdown process for several seconds and then automatically turn off the display. T-Mobile hotspot only: Slide the switch on the top of the device to the ON position. Connecting to the Internet (Laptop & tablet) 1. Make sure your MiFi or home router is powered on. 2. On the laptop, connect using your NAEP account. On the tablet, log into the Internet Windows account. (Refer to your password sheet for the username/password credentials) 3. Wait for Windows to load. 4. Select the wireless indicator in the lower right corner of the screen. 5. You will see a list of available wireless networks. Select the network that you want to connect to. (If you are connecting to your MiFi, see MiFi Name and Password section above on how to view the MiFi name.) 6. If you plan to connect to the same network frequently, you can select the Connect automatically box so that you do not have to repeat these steps each time. 7. Select the Connect button. 8. Enter the network password. (If you are using your MiFi, see MiFi Name and Password section on page IA1.10 on how to view the password.) T-Mobile Hotspot only: The password is printed on a sticker on the back of the device. 9. The network that you selected will now appear in the list of available networks with the word Connected underneath, indicating that you are connected to that network. If you do not see any networks listed as available, select Network & Internet Settings to check your network settings. Select Wi-Fi in the left menu and make sure Wi-Fi is set to On. IA1.11

12 Select Airplane mode in the left menu and make sure Airplane mode is set to Off. 4. Outlook 365 (Getting Started) Microsoft Outlook 365 is the electronic mail program that you will use for NAEP-related . Outlook 365 allows you to create, receive, send, forward, and reply to messages. You can manage your inbox, create subfolders to archive mail, manage your contacts, and maintain a calendar. To log in to Outlook 365, open your Outlook 365 desktop shortcut or enter the following URL in the address bar of your web browser. Refer to your password sheet for login information for Username and Password. After logging in the application defaults to this screen. Any messages to install software can be ignored. No additional software installation is required to use Outlook 365. To access the Outlook 365 program, select the Outlook link (shown below) after logging in. IA1.12

13 5. Printers ACs and Supervisors are provided printers for printing documents downloaded from NAEP applications or saved directly to the NAEP tablet or Laptop. The following printer models are supported by NAEP. These printers have functionality for printing wirelessly or by connecting via USB cable. New HP OfficeJet 5255 Initial Setup (Factory sealed instructions) If you are opening a new OfficeJet 5255 printer that is new and factory sealed, you may need to do the initial setup after powering it on for the first time. If you see a language selection screen on the printer display after powering it on, follow these steps for navigating the printer s touch display: 1. On the printer, for language, tap on English 2. For region, tap on USA 3. On the next screen, tap on Info 4. On the next screen, tap on Manual Setup 5. You will be prompted to Install Cartridges. Open the cartridge access door, by lifting the printer using both hands upwards. The access door is labeled #5 in the Front View illustration on page IA Remove any cardboard inserts and open the sealed printer cartridges and any attached tape. Insert the black, color (labeled purple) ink, and pull the cartridge levers down. When fully inserted, slowly close the access cover using both hands. 7. On the next screen, wait for the printer to load the cartridges and tap on OK. 8. You will be prompted to load paper. Open the paper tray door, labeled #14 in the Front View illustration on Page IA1.14 and insert letter sized 8.5 x 11 inch paper. You may have to separate out the width guides (Labeled #12) to fit the letter-sized paper. When the paper is loaded, close the paper tray and tap on OK. 9. The printer will prompt to align the printer, tap OK to continue. 10. The printer will print a test page and prompt to scan the printout to complete the alignment. Open the printer lid (Labeled #1) to expose the scanner glass and place the test printout flat on the scanner. When ready, close the lid and tap OK to continue 11. When it is finished, on the next screen tap Info 12. On the next screen, tap Advanced Setup 13. On the next screen, tap Connect Later 14. On the next screen, tap Do Not check 15. On the next screen, uncheck the box, Allow HP to 16. On the next screen, tap Continue 17. On the next screen, tap OK IA1.13

14 HP OfficeJet 4650 & 5255 All-In-One Printer (Anatomy and Wi-Fi Setup) Both of the HP OfficeJet model 4650 and 5255 are multifunction desktop printers that are nearly identical in functions and features. The images and instructions below refer to either model. Front View Rear View IA1.14

15 Control Panel Enable wireless printing using Wi-Fi Direct (HP 4650 & 5255) 1. From the printer control panel display, tap Wi-Fi Direct. 2. Tap Settings, and then tap the OFF/ON slider to turn ON Wi-Fi Direct. 3. Tap Back. 4. Your printer is ready for Wi-Fi connect wireless. Continue to page IA1.18 for detailed instructions for setting up Wi-Fi Connect on your laptop or tablet computer. IA1.15

16 HP OfficeJet 200 Mobile Printer (Anatomy and Wi-Fi Setup) The OfficeJet 200 Mobile printer is a fully portable printer with a rechargeable battery offering basic printing functionality using either a wireless or USB connection. The rechargeable battery includes an LED button on the rear of the printer to monitor the battery level. To conserve battery, if unplugged, the printer will power down when idle after 15 minutes. To access the printer s control panel, lift the top cover up, and then lift the control panel towards you. Front View Rear View IA1.16

17 Control Panel Enable wireless printing using Wi-Fi Direct (HP 200) 1. On the printer control panel, press the Wi-Fi Direct button. You should see the white light next to this button. The Wi-Fi Direct connection status and details are displayed. 2. Press the dash button to select Settings. 3. Press the up/down arrow keys to navigate the menu and highlight Wi-Fi Direct. 4. Press the OK button to confirm. 5. Press the up/down arrow keys to navigate the menu and highlight ON. 6. Press the OK button to confirm. 7. Press the home button to finish. 8. Your printer is ready for Wi-Fi connect wireless. Continue to page IA1.18 for detailed instructions for setting up Wi-Fi Connect on your laptop or tablet computer. IA1.17

18 Connect wirelessly using Wi-Fi Direct (All printer & computer models) IMPORTANT: Before you set up Wi-Fi direct printing, the laptop or tablet computer must be turned on and have wireless enabled. The printer must also have Wi-Fi Direct enabled. Refer to Page IA1.15 for enabling Wi-Fi Direct on the HP 4650 or HP Refer to Page IA1.17 for enabling Wi-Fi Direct on the HP 200 portable printer. Refer to Step 9 on Pages IA1.11 and IA1.12 of this document to check for enabling wireless on the laptop or tablet. Read the following instructions carefully before you begin. 1. On the Laptop or tablet computer Click or tap on the Windows Start Menu. 2. Click or tap on Settings. 3. Click or tap on Devices. 4. On the left side in the Devices menu, Click or tap on Printers & Scanners. 5. Click or tap on + Add a printer or Scanner. The computer will search for available Wi-Fi direct printers. You should see a printer labeled DIRECT for the model printer you wish to connect. If you do not find a DIRECT printer listed, check that you have followed the steps for enabling Wi-Fi Direct. 6. Click or tap on the appropriate DIRECT printer to highlight it and click or tap on the Add device button. 7. On the laptop or tablet, you will be prompted to enter a WPS PIN number. You will have about 90 seconds to enter the PIN number before it expires. 8. On your printers display screen, look for this PIN number and write it down. If the code is entered incorrectly or expires, return to your laptop or tablet and close all open windows and repeat from step 1. OfficeJet 200 only: To show the PIN number on the portable printer, you will need to press the down arrow on the display console to scroll down until the PIN number shows on screen. HP 4650 or 5255 only: The PIN number is readily visible on the desktop printer s display screen. 9. On the laptop or tablet, enter the PIN number in the textbox and click or tap Next and wait about 2-3 minutes. You are now ready to print. Printing a Test Page 1. When connected, you should see the printer appear in the Printers & Scanners list. Click or tap on the model printer to highlight it and click or tap the Manage button. 2. Click or tap on Print a test page IA1.18

19 Connect using USB (All printer & computer models) 1. Before you begin, verify that your laptop or tablet computer is logged in to the desktop screen and the printer is turned on. 2. Plug the larger end of the USB cable from the printer to one of your tablet or laptop s USB port and wait 2-3 minutes. You are now ready to print. Printing a Test Page 1. On your laptop or tablet screen, Click or tap on the Windows Start Menu. 2. Click or tap on Settings. 3. Click or tap on Devices. 4. On the left side in the Devices menu, Click or tap on Printers & Scanners. 5. You should see the printer model appear in the Printers & Scanners list. Click or tap on the model printer to highlight it and click or tap the Manage button. 6. Click or tap on Print a test page. Scanning using 4650 or 5255 (USB connection only Laptop or Tablet) To scan with the 4650 or 5255 model desktop printer, you will need to use the USB connection. 1. On your laptop or tablet screen, Click or tap on the Search Windows Button. 2. Type the phrase scan 3. Under Apps click or tap on Windows Fax and Scan to run the scanning application. 4. Click or tap on the New Scan button, or click on the menu File > New > Scan 5. Click or tap on the Scan button. 6. The scanned image will appear on screen. Click or tap Save as button to store it to your computer s documents folder. Set as default printer (All printer & computer models) If you decide to connect the desktop and portable printer, you may have to ensure one printer is set as the default printer for the printer you will use most often. To set a printer as default do the following: 1. On your laptop or tablet screen, Click or tap on the Windows Start Menu. 2. Click or tap on Settings. 3. Click or tap on Devices. 4. On the left side in the Devices menu, Click or tap on Printers & Scanners. 5. You should see the printer model appear in the Printers & Scanners list. Click or tap on the model printer to highlight it and click or tap the Manage button. 6. Click the Set as Default button. This will ensure every application, such as Word will try to print using this printer first. IA1.19

20 Toggle printing in Grayscale (All printer & computer models) To conserve ink, consider doing most of your printing using greyscale with the lowest print quality. You can toggle greyscale and ink quality by doing the following: 1. On your laptop or tablet screen, Click or tap on the Windows Start Menu. 2. Click or tap on Settings 3. Click or tap on Devices. 4. On the left side in the Devices menu, Click or tap on Printers & Scanners. 5. You should see the printer model appear in the Printers & Scanners list. Click or tap on the model printer to highlight it and click or tap the Manage button. 6. Click or tap on Printing preferences. 7. Click or tap on the Paper/Quality tab. 8. In Quality Settings click or tap Draft In Color click or tap Black & White 9. Click or tap Apply, then OK to confirm the changes. IA1.20
