ImageNow DataCapture ImageNow DataCapture automates many steps required in forms processing, such as data extraction and indexing, and provides you with a data output file that you can use in your business application. Your Consultant will assist you in the installation and configuration phases of deploying DataCapture. This document explains the installation and configuration process for DataCapture. Refer to the Technical Specifications for ImageNow 6.6 for additional details on DataCapture system requirements. Important This document assumes you are installing DataCapture for the first time or that you have no earlier versions running on your computer. To update DataCapture or upgrade from a previous version, refer to one of the following documents, available on the Customer Portal: To update from a previous ImageNow 6.x release to the current release of ImageNow, refer to the Update Readme. To upgrade ImageNow from a version earlier than ImageNow 6.0, contact your Account Executive. In Windows, you must install DataCapture in a 32-bit environment. If you installed ImageNow Server on a 64-bit Windows server, follow the steps in this guide to install DataCapture on a remote 32-bit server. For product technical specifications and system requirements, refer to the Product Technical Specifications for your product version. This document is available on the Product Documentation tab of the Customer Portal on To install DataCapture in a production environment or heavily used test environment, you must install ImageNow DataCapture Processing Server on a separate server that is robust enough to handle the processing required for the business solution. The DataCapture Verification Station and Template Designer Tools require a serial software key or a USB dongle key to run. A serial software key is machine specific, and you must generate a new software key to use the component on a different computer. You can move the USB dongle key to different computers. Do not insert the USB dongle key while installing or uninstalling any of the DataCapture components. For better recognition results when scanning, use a scanner that can be set to automatically correct alignment, brightness, contrast, and clarity, such as a Kofax device with VRS. We recommend that you scan forms at 300 dpi. Requirements for ImageNow DataCapture components The following requirements apply to the specified components: ImageNow DataCapture Processing Server Licensing options for this component consist of either a software or hardware license key. While this service must be installed on Windows, it is a remoteable agent that communicates with ImageNow Server computers running on UNIX. ImageNow DataCapture Verification Station The Verification Station must be installed on the same computer as the ImageNow Client. A USB hardware dongle key or serial software key is required to perform verification or move a batch from the DC Read step to the DC Verify step. A USB hardware dongle key is not required for scanning. Window Vista and Windows 7 operating system users: Page 3 of 23

Configure the template batch folder If you install the DataCapture Processing Server on a different computer than ImageNow Server, perform the following step to manually create a templates folder on the ImageNow Server computer that is in addition to the templates folder created automatically on the remote computer: Navigate to the inserver6\datacapture folder on the server computer and, in a Command Prompt window, enter md templates to create a new folder. Note DataCapture does not use the templates folder on the remote server computer. The template batch folder is typically company-name specific and contains template definitions for DataCapture. Configure the DataCapture service 1. On the DataCapture server computer, in the \inserver6\etc folder, open the inserverdc.ini file in a text editor. 2. Under [Key Mapping], you define how DataCapture processes a document when it does not match the template that you specify for a capture profile. When a document is not recognized, it is routed to an error queue in ImageNow Workflow. To configure the [Key Mapping] group, perform the following substeps: 1. Assign the following parameters with the values required to automatically assign document key values to the unrecognized forms: Drawer =Default Folder =DC Failed Tab =<<uniqueid>> F3 =<<date/time>> 2. Optional. Change the default setting for export.file.format from XML to another format such as XLS, TXT, or any format listed in inserverdc.ini. 3. If you want to use an ImageNow form as part of your DataCapture business process, supply an ImageNow form name for worksheet.name. The ImageNow form name must match an ImageNow form name shown in the Management Console. Note Do not specify settings for the template.to.queue, multipage.separator, pages.to.read, or bypass.verification properties. 3. Under [Key Mapping^Template_Name], you define how DataCapture processes a form when it matches the template that you specify for a capture profile. When a document completes the DataCapture process, it is routed to a complete queue in ImageNow Workflow. To configure the [Key Mapping^Template_Name] group, perform the following substeps: 1. Copy the [Key Mapping^Template_Name] group from the end of the inserverdc.ini file and then paste the copied text below the [Key Mapping] group described previously. 2. Rename the [Key Mapping^Template_Name] group title to specify the template batch and, if applicable, a template within the template batch by performing the following substeps: 1. Replace Template_Name with the name of the applicable template batch. Example To use this key mapping group for the InvoiceHF template batch, rename [Key Mapping^Template_Name] as [Key Mapping^InvoiceHF]. Page 8 of 23

2. If DataCapture must use a custom template (instead of the Primary template) from a template batch to read a form, and you want to specify document keys for the form read by the custom template, include the template name after the template batch name in the group title. Separate the names of the template batch and template with a caret. Example DataCapture requires a custom template to process invoices you receive from a vendor named Acme Corporation, and you prefer to assign these invoices document key values. The custom template is named AcmeCorporation and is found in the InvoiceHF template batch. To create a key mapping group for the Acme Corporation invoices, change the group title to [Key Mapping^InvoiceHF^AcmeCorporation]. 3. For Drawer, perform one of the following actions to specify how ImageNow automatically assigns the Drawer value to forms submitted to DataCapture: Enter the name of an ImageNow drawer. Example Drawer=Accounts Payable Enter <<index provided>> for ImageNow to use a drawer value provided in a capture profile. Example Drawer=<<index provided>> Notes For steps to create a capture profile for use with DataCapture, refer to the Create a capture profile section of this document. You must specify the name of an existing ImageNow drawer or the name of a drawer you intend to create in ImageNow. The drawer name can contain up to 40 characters. 4. For Folder, Tab, F3, F4, and F5, to specify how ImageNow automatically assigns the Folder, Tab, F3, F4, and F5 document keys to forms submitted to DataCapture, perform one or a combination of the following two actions: Enter one of the following values based on your document key structure: <<literal>> populates the document key with text you provide, up to a maximum of 39 characters. <<uniqueid>> populates the document key with a unique ID that ImageNow Server generates. <<date/time>> populates the document key with the date and time when ImageNow stores the document. <<index provided>> populates the document key with a value provided in a capture profile. <<BatchID>> populates the document key with a batch ID that ImageNow Server generates. <<BatchSequence>> populates the document key with a batch sequence number that ImageNow Server generates. <<undefined>> does not populate the document key. A value enclosed in {}: ImageNow searches the corresponding field defined in the template and then populates the document key with data found in the recognition results. Example values include the following: {InvoiceNumber}, {InvoiceDate}, {AmountDue}, {Vendor_Number}, {Vendor_Name}, and {Invoice}. Page 9 of 23

Example If you specify document keys in the [Key Mapping^Template_Name] group, and your document key structure uses the Folder, Tab, F3, F4, and F5 document keys, you might assign values such as the following: Folder ={Vendor_Number} Tab ={Vendor_Name} F3 ={Invoice_Number} F4 ={PO_Number} F5 ={Scan_ Date} 5. For doc.type, perform one of the following actions to specify how ImageNow automatically assigns the document type to forms submitted to DataCapture: Enter the name of an ImageNow document type. Example doc.type=invoice Enter <<index provided>> for ImageNow to use a document type value provided in a capture profile. Example doc.type =<<index provided>> Note You must specify the name of an existing ImageNow document type or the name of a document type you intend to create in ImageNow. The document type name can contain up to 40 characters. 4. Optional. Change the default setting for export.file.format from XML to another format such as XLS, TXT, or any format listed in inserverdc.ini. 5. If you want to override the complete.to.queue setting in the [Queue] group, set template.to.queue to an existing workflow queue that you want to use for the specific template you listed in the group heading. For example, instead of sending documents to the DC Completed queue listed for complete.to.queue, you could direct documents to the Accounts Payable DC Completed queue. 6. If you want data in an ImageNow form to be filled in or updated based on data captured by DataCapture for the specified template batch, supply an ImageNow form name for worksheet.name. The ImageNow form name must match an ImageNow form name shown in the Management Console. Also, the ImageNow form data definition must contain nodes and elements that match the XML instance saved in the DataCapture Results. 7. If you want to specify how to separate document pages read by DataCapture based on specified values, for multipage.separator, specify a value or a string of values found in the template batch. Note Enclose the header values in {} and separate each value with a comma. For example, you might specify the value {InvoiceNumber} for the multipage.separator setting to separate a batch of invoices into individual invoices. Additional examples include {Date} and {Phone}, though the values specified for multipage.separator must match values defined in the template batch. 8. Set pages.to.read to all. 9. If you want DataCapture to bypass the DataCapture Verification and Validation steps performed using the Verification Station, set bypass.verification to TRUE. You can verify data outside of DataCapture at a later stage using an ImageNow form. If you want a user to use an ImageNow form to manually verify or validate data that was captured by DataCapture, refer to the Forms section of the ImageNow Administrator Help. 10. Repeat these substeps for each template batch. Page 10 of 23

4. If you installed the DataCapture Processing Server on a different computer than ImageNow Server, under [Remote], change the following settings: 1. Set remoted to TRUE. 2. For server.ip.address, specify the IP address of ImageNow Server. 3. For server.ip.port, specify the port number of ImageNow Server. 4. If needed, change the default setting for user.validation from 1 (DataCapture requires user validation) to 0 (DataCapture does not require user validation). Note Consult Product Support before you change values for the heartbeat.interval, socket.login.timeout, socket.default.timeout, force.server.validation, or reconnect.interval properties. 5. Under [Queue], specify the name of the workflow queues where you want the documents to be placed after they are processed by DataCapture. Three queues are required: one for the documents that pass through DataCapture successfully (DC Completed), one for the documents that fail to match a template (DC Failed), and another for documents that fail to validate against a set of predefined rules that you may have setup (DC Error). For example, you could set each parameter as follows: complete.to.queue =DC Completed fail.to.queue =DC Failed validation.error.to.queue =DC Error Note Instructions to set up workflow queues are outlined in the Configure DataCapture in the ImageNow Client section later in this document. 6. If you installed DataCapture Processing Server behind a firewall or on a different subnetwork than ImageNow Server, under [Message Queuing], change the following settings: 1. Set mq.agent.ip.address.override to TRUE. 2. Set mq.agent.ip.address.override to the appropriate IP address for DataCapture to connect to Message Queuing Agent. 7. Note: To install the Processing Server remotely, you must also configure the [Remote] group in the inserverdc.ini file as outlined in the above Configure the DataCapture service section. Configure DataCapture in the ImageNow Client After you install DataCapture, you must configure it in the ImageNow Client. The following steps guide you through the process to create capture profiles and workflow queues specific to DataCapture. Create a capture profile You must create a capture profile to define the method ImageNow uses to capture a document and the template DataCapture uses to process the document. You can also specify your document keys in the capture profile. Before starting this procedure, ensure that your scanning profile is created. Perform the following steps to create the necessary capture profile: 1. On the ImageNow toolbar, click the down arrow next to Capture and then click Manage Capture Profiles. 2. In the Capture Profiles dialog box, click Create. 3. In the New Capture Profile dialog box, on the General tab, in the General section, type the following: In the Name box, type the name of your profile. Make it short and unique. In the Description box, type a short description of your profile. 4. On the DataCapture tab, perform the following substeps: 1. Select Enable DataCapture. 2. From the Template drop-down list, select the template you want to use. Note The available templates depend on the DataCapture module you purchased and the templates you designed using the Designer tools. These templates must exist in the \inserver6\datacapture\templates folder on the ImageNow Server computer. 3. If you want to append supplementary information to a form read by DataCapture, select Append failed docs to the last successful read. Note You may want to scan supplementary information to accompany each form that DataCapture reads. Although the supplementary information is not extracted into separate values, ImageNow can append it to a successfully read form as additional pages. Doing this keeps related information in the same ImageNow document. 5. On the General tab, under Type, in the Source list, click one of the following options: File Scanner 6. In the Mode list, select Batch, and then select any additional options on the Batch tab and click OK. Page 12 of 23

7. If you selected File on the General tab, on the File tab, under Options, perform one or both of the following actions: Under When opening a file, if you want ImageNow to capture files from the same folder it used during the last session, select the Remember the previous location check box, or select the Use a default directory check box and then enter the name of, or browse to, the directory you want. To empty the folder each time you capture from file, select the Remove files after capture check box. 8. If you selected Scanner on the General tab, then on the Scanner tab, in the Scanning Profile Manager dialog box, select a scanning profile. 9. For any document keys you specified as << index provided >> under [Key Mapping^Template_Name] in the inserverdc.ini file, on the Index Keys tab, select the options you want. Double-click a key to make any changes. If a key is set to Empty, this is a default setting, and no key is set up for that field. 10. Repeat these steps for each template batch that has a key mapping group ([Key Mapping^Template_Name]) in the inserverdc.ini file, and then click Close to return to the ImageNow Client. Note You can configure capture profiles to use with DataCapture on any workstation, though users can only perform DataCapture Verification and Validation on workstations with the Verification Station installed. This provides the ability for users in one location to capture documents and users in another location to later perform the Verification and Validation steps. You do not have to include the DataCapture Verification and Validation steps as part of your business process. You can configure DataCapture to bypass the Verification and Validation steps through the inserverdc.ini file and users could, for example, use an ImageNow form to verify data captured by DataCapture. Create workflow queues You must create a minimum of three workflow queues specific to DataCapture - one for the documents that pass through DataCapture successfully (such as DC Completed ), one for the documents that fail to match a template (such as DC Failed ), and another for documents that fail to validate against a set of predefined rules that you may have setup (such as DC Error ). These are the queues you specified in the [Queue] group of inserverdc.ini. You must also create any additional queues you specified for specific templates through the template.to.queue setting in the [Key Mapping^Template_Name] group in the inserverdc.ini file. The names you assign to the queues you create must be identical to the queue names you specified in inserverdc.ini. Perform the following steps to create the necessary queues: 1. On the ImageNow toolbar, click Manage. 2. In the Management Console, in the left pane, click Workflow. 3. In the right pane, on the Workflow tab, select the process where you want to add the queues and then click Modify. 4. Create the DataCapture queues by performing the following substeps: In the Workflow Designer window, in the left pane, under Queues, select the Work queue and then drag it to the right in your process diagram. Double-click the queue to modify its properties. In the Queue Properties dialog box, in the left pane, select Properties. In the right pane, under General, in the Name box, enter DC Completed or the queue name you specified for the complete.to.queue setting in the inserverdc.ini file In the Queue Properties dialog box, in the left pane, select Users. Page 13 of 23

In the right pane, click Add and perform the following substeps: In the Select Users and Groups dialog box, on the Users tab, under Search for users, Available users, search for the user you want to grant access to the queue. Under Search results, select the user you want to grant access to the queue, click Add and then click OK. In the Queue Properties dialog box, in the right pane, click the row of the user you just added. In the Add and Process columns, click once in each column so that appears in each column, and then click OK. To use an ImageNow form as part of your DataCapture process, in the Queue Properties dialog box, in the left pane, select Forms and then click Add. Note The ImageNow form name must be identical to the form name you listed for the worksheet.name setting in the [Key Mapping] or [Key Mapping^Template Name] groups. In the Select Forms dialog box, under Available forms, select the form you want to associate with this queue and click Add. 5. Repeat the previous substeps to create any remaining queues you specified in the inserverdc.ini file for the fail.to.queue, validation.error.to.queue, and template.to.queue settings. 6. In the process window, reposition each of the new queues as needed. 7. Close the ImageNow Workflow Designer window. Begin using DataCapture After you have DataCapture installed and configured, use the following high-level procedure to begin working with DataCapture in ImageNow. Important To obtain best recognition results with DataCapture, scan the original forms instead of photocopies or faxed forms. Do not put stamps or annotations on the original forms or add annotations to scanned forms. For better recognition results when scanning, use a scanner that can be set to automatically correct alignment, brightness, contrast, and clarity, such as a Kofax device with VRS. We recommend that you scan forms at 300 dpi. 1. Begin at the point of Capture Scan or import a form into ImageNow. The form is scanned or imported in a batch and automatically goes into the Batches grid. 2. Optional. Quality assure each form Open the Batches grid and QA the form. After you do this, the form process automatically begins. Page 14 of 23

3. Optional. Automatic Form Identification runs automatically AutoForm ID identifies a form and assigns a document type, which assists DataCapture with choosing a template. When Automatic Form Identification reads a form format it has not previously identified, the form is routed to a workflow queue where you define a master sample for the form by completing the fields in the Forms pane. 4. DataCapture runs automatically DataCapture performs identification and data extraction. In the Batches grid, the form s state changes to "DC Read." Note If bypass verification is enabled for the forms you are processing with DataCapture, the next step is bypassed and performed later, possibly using an ImageNow form. 5. Optional. Perform verification on DataCapture results using the Verification Station From a computer with the Verification Station installed, in the Batches grid, double-click the batch with DC Read Completed state. This prompts the ImageNow DataCapture Verifier to open in Group verification mode. You use shortcut keys to accept (press the ENTER key), or reject (enter the correct data). Following Group verification, you may need to process some characters in Context verification, which uses the same keys. Following verification, ImageNow assigns document keys to the results, and the form is saved as an ImageNow document in a workflow queue specified in the inserverdc.ini file. 6. Optional. View the data exported by DataCapture and participate in workflow ImageNow DataCapture creates a data output file and stores it as a subobject in ImageNow. Depending on your DataCapture solution, you can view the output data in an ImageNow form or through the DataCapture Results option found on the View menu within ImageNow Viewer. If using an ImageNow form to view the output data, make any needed edits to the information displayed in the form. Then make any needed edits to the index values displayed in the Properties pane and route the ImageNow document according to your processes. Note ImageNow forms are customizable forms created through the ImageNow eforms product suite. 7. Optional. Share validated data with your business application You can configure your system to insert the extracted data from the DataCapture output file into your business application. The output type depends on the type you specified for the export.file.format setting in the inserverdc.ini file. The default is XML; however, XLS, TXT, CVS and DBF are also options. Troubleshoot DataCapture The ImageNow Server has debug logging available specifically for troubleshooting data processing problems. Specific log files for DataCapture reside in the \inserver6\log folder. The names of the files include the dates they were generated so you know which logs files to look in. An example log file name is inserverdc_ log. The [Logging] group in the inserverdc.ini file contains the settings you can adjust to control logging verbosity debug levels and turn logging on or off. Page 15 of 23

Appendix A: Server Configuration Files This section outlines settings you configure in INI files associated with the ImageNow DataCapture installation and setup. They are listed in alphabetical order for quick reference. inow.ini If you install the Processing Server on a remote computer, in the inow.ini file, within the [Data Capture] group, set data.capture.integration to TRUE. Group Setting Options Description Data Capture data.capture.integration TRUE FALSE Specifies whether data capture integration is enabled. TRUE = Enable data capture integration. FALSE = Disable data capture integration. The default is FALSE. inserverdc.ini The following table provides definitions and sample data for the settings in the inserverdc.ini configuration file. This table displays the INI settings under group headings in brackets, for example, [General], in the order the groups appear in the INI file. Each setting offers two or more options, which are defined in the table below along with a description of each setting and its options. Use this table as a guide when customizing the file. Group Setting Options Description General dc.message TRUE FALSE Specifies whether DataCapture displays the FormReader system message when DataCapture is invoked. The default is FALSE. Note that this message is only displayed on the server. submit.to.content. server TRUE FALSE Specifies whether documents are sent to Content Server after DataCapture processing. Content Server (if purchased) allows users to search the content and notes fields of any file type.true = Send documents to Content Server. FALSE = Do not send documents to Content Server. The default is FALSE. Key Drawer Multiple, see description Specifies the method DataCapture uses to automatically assign Page 16 of 23

Group Setting Options Description Mapping Folder Tab F3 F4 F5 doc.type document key values. You can set Drawer and doc.type to: LITERAL = Use a string up to 15 characters that specifies an existing ImageNow drawer or document type. DEFAULT = Use the existing default drawer. The default for Drawer is DEFAULT. You can set Folder, Tab, F3, F4, and F5 to: LITERAL = Use a string up to 39 characters. <<uniqueid>> = Use an ImageNow Server generated Unique ID. <<date/time>> = Use the date and time ImageNow stored the document. <<undefined>> = Do not generate key. <<BatchID>>= Use the ImageNow Server generated batch ID. <<BatchSequence>>= Use the ImageNow Server generated batch sequence. <<index provided>>= Use the value provided in a capture profile. Tip ImageNow attempts to use any value enclosed in {} as a key to search the corresponding field defined in the template. Examples are {InvoiceNumber}, {InvoiceDate}, and {AmountDue}. export.file.format XLS,TXT, DOSTEXT,CSV, DOSCSV,DBF, XML,TXT_UTF16,TXT_UT F8, CSV_UTF16, CSV_UTF8 Specifies the format DataCapture uses to export files. The default is XML. Note The XML file is always created, regardless of the export type. Thus, if TXT is selected, it creates the XML file and the TXT subobjects. template.to.queue Any existing queue If you want to override complete.to.queue, this setting specifies the queue you want Page 17 of 23

Group Setting Options Description DataCapture to use instead of the queue that is specified in complete.to.queue. worksheet.name multipage.separator Any existing ImageNow form Any valid header value, or string of header values If you want to fill in or update an ImageNow form for any DataCapture documents captured using the specified template, this setting specifies the ImageNow form you want to use. Note The ImageNow form name must match a form name shown in the Management Console, and the form data definition must contain nodes and elements matching those in the XML instance saved in the DataCapture Results. If you want to specify how to separate pages, this setting specifies when to stop appending data to a page and start a new page based on the header values on a page. Values are defined in the template. Enclose the header values in {} and separate each value with a comma. This setting is based on unique IDs, so using a {InvoiceNumber} works well. It does not work with values such as the page number. pages.to.read 1, all Specifies whether DataCapture reads the first page or all pages. The default is 1. all.pages.overwrite. doc.data TRUE FALSE If you assigned an ImageNow form name for the worksheet.name setting, you can add this setting to the inserverdc.ini file to specify whether DataCapture updates blank header values. TRUE = If InvoiceAmount is valued in page 1 and page 2, DataCapture saves the 2nd value (which is the last value encountered). FALSE = If InvoiceAmount is valued in page 1 and page 2, DataCapture saves the first value and ignores the rest of the values. If InvoiceAmount is blank in page 1 and valued in page Page 18 of 23

Group Setting Options Description 2, DataCapture saves the page 2 value and ignores the rest of the values. bypass.verification TRUE FALSE Specifies whether data is submitted to the DataCapture Verification Station for the Verification and Validation steps. TRUE = Bypass the Verification and Validation steps accomplished through the DataCapture Verification Station. Data can be verified and validated at a later stage, such as in an ImageNow form. In this case, the data does not pass through the Verification Station. FALSE = Do not bypass the Verification and Validation steps accomplished through the Verification Station. Logging debug.level.file 0 through 6 Specifies the level DataCapture uses to log errors for troubleshooting. Set minimal logging unless you are debugging an issue. If you increase the logging, make sure that you set the logging level back down after you finish debugging. Failure to do so can greatly affect performance and hard disk space. 0 = Turn off logging. 1 through 6 = Turn on logging. The higher the number, the more verbose the logging. For example, 1 offers minimal logging, whereas 6 offers the most information. debug.level.pipe 0 through 6 Specifies the level DataCapture uses to log pipe errors for troubleshooting. Set minimal logging unless you are debugging an issue. If you increase the logging, make sure that you set the logging level back down after you finish debugging. 0 = Turn off logging. 1 through 6 = Turn on logging. The higher the number, the more verbose the logging. For example, 1 offers minimal logging, whereas 6 logging Page 19 of 23

The default is 1. force.server.validation 1, 0 Specifies whether DataCapture forces the server to validate the user ID and password. 1 = Force the server to validate user ID and password. 0 = Do not force the server to validate user ID and password. The default is 0. Note Do not change this value without first consulting Product Support. reconnect.interval Any positive integer Specifies how many seconds DataCapture continues to try to reconnect to ImageNow Server after a lost connection. Note Do not change this value without first consulting Product Support. The default is 60. Queue complete.to.queue Any existing queue Specifies the queue where DataCapture sends pages that are successfully read by DataCapture (DC Completed). fail.to.queue Any existing queue Specifies the queue where DataCapture sends pages that fail to match a template (DC Failed). validation.error.to. queue Any existing queue Specifies the queue where DataCapture sends pages that fail to validate against a set of predefined rules that you may have set up (DC Error).
