9 1 Overview 1 Overview The HUAWEI TP3206 Telepresence System (TP3206 or telepresence system for short), the HUAWEI TP3218 Telepresence System (TP3218 or telepresence system for short) and the HUAWEI TP3218S Telepresence System (TP3218S or telepresence system for short) integrates Huawei's proprietary co-optical center and image stitching technology to deliver panoramic and seamless video in a conference room professionally designed to implement a face-to-face remote conference experience. You can hold conferences easily using the touch panel on the multi-functional conference table, and its touch panel's user-friendly user interface allows you to focus on the meeting, not the technology. With simple system configurations and conference management, the TP3206 transmits high-definition (HD) video and stereo audio, supports point-to-point and multipoint conferences, and displays video and a computer's graphical user interface at the same time. The TP3206 provides the ultimate conference experience, linking sites across the globe together. The TP3206, TP3218, and TP3218S have similar functions. The TP3206 and the TP3218 have different quantities of chair rows, tabletop displays, and microphones. The TP3218 and the TP3218S have different quantities of local microphones and second-row tabletop displays. The TP3206 is used as an example in this document. Before you use the telepresence system, refer to the product vendor for version mapping information and to confirm compatibility with other videoconferencing equipment. 10 1 Overview Figure 1-1 TP3206 telepresence room 1.2 Sensory Experience Handshake Effect The telepresence system provides you with true-to-life audio-visual experience. Participants can express their ideas using words, actions, expressions, and eye contact, bringing people closer and helping them build a trustworthy relationship with customers and partners. The telepresence system creates the real time ambience of a round-table conference. The telepresence system even allows users to "shake hands" with remote users. The HD displays make the local participants feel as though they are sitting with the remote participants face to face. In addition, the display on the left and right sides on the screen is the same as the actual settings at the remote end. When a local participant and a remote participant offer their right hands at the same time, a real visual effect of handshake can be experienced Face-to-Face Experience HD video: The telepresence system supports the HD video at 1080p 50Hz or 1080p 60Hz resolution. Eye contact: The telepresence system allows eye contact between participants. That is, remote participants can look straight at local participants. Image stitching: The telepresence system supports the stitching of multiple channels of video streams. For example, when a participant walks along the table, the HD displays can display the continuous and complete motion of the participant. 2

11 1 Overview Sound Localization The telepresence system has professional sound field design and supports wideband audio, stereo, and sound localization. The services and ports not mentioned in the communication port matrix must not be enabled. Of the enabled communication ports, the ports used for system management as well as the protocols used by the ports have access authentication mechanisms. The telepresence system supports media stream encryption and TLS signaling encryption during voice services to ensure user data integrity. Web security During login authentication, the telepresence system uses the Hypertext Transfer Protocol Secure (HTTPS) to transmit the user name and password to the server. User accounts are manageable. Users with the highest level privileges can enable or disable other accounts. All account passwords are changeable. Protection over sensitive data User login passwords are stored in the system after being encrypted using the irreversible message digest algorithm 5 (MD5). By default, the wireless router uses the Wi-Fi protected access II pre-shared key (WPA2-PSK) as the authentication mode. During network gatekeeper (GK) or SIP registration or the process of saving a 4E1 or conference control password, the telepresence system uses HTTPS transmission. During fault location, the telepresence system filters or anonymizes personal data exported from the system. The logs and configuration files exported from the system do not contain any sensitive data. No private encryption algorithms are used. System management and maintenance security The telepresence system supports the maintenance and management using HTTPS and Secure Shell (SSH). The telepresence system's switch performs VLAN partition to separate public and private networks and ensure the communication security within the private network. 4

13 1 Overview The telepresence system software has been scanned using at least one type of mainstream antivirus software before release. The user client software used for system maintenance and management provides a digital signature and verification tool that can be used to verify software integrity during installation and upgrades to protect the software from unauthorized changes. All physical ports used for system management that are visible on the product exterior have access authentication mechanisms. Users must enter their user names and passwords to access the ports. System logs record all user activities and operation commands associated with device or system management for future audits. A log contains all the details, such as the user ID, event time, event type, name of the resource that has been accessed, and access results. The system controls users' rights to access logs. 1.5 Two UIs The telepresence system provides two user interfaces (UIs) for the following two types of users: Telepresence System Manager UI: From this UI, system administrators configure and control devices and set conference parameters. For details, see 2 Using the Telepresence System Manager. Touch panel UI: From this UI, users initiate and control conferences. For details, see 3 Using the Touch Panel. 5

14 2 Using the Telepresence System Manager 2 Using the Telepresence System Manager Use a browser to access the Telepresence System Manager. Then you can manage the devices in the telepresence system, configure conference settings, import or export contacts, and manage scripts. 2.1 Logging In to the Telepresence System Manager Log in to the Telepresence System Manager using a web browser to manage the telepresence system Login Prerequisites Hardware It is recommended that any computer used to access the Telepresence System Manager meet the hardware specifications listed in Table 2-1. 15 2 Using the Telepresence System Manager Configuring the Browser Prerequisites Ensure that the latest patches for the computer operating system and the browser are installed. On the browser, turn off Pop-up Blocker, or add the website address of the Telepresence System Manager to trusted sites. Internet Explorer 8.0 and Firefox 3.5 are used as examples to describe how to configure browsers. The method of configuring other versions of Internet Explorer and Firefox is the similar to that of configuring Internet Explorer 8.0 and Firefox 3.5. Step 1 Launch Internet Explorer. Step 2 Choose Tools > Internet Options to display the Internet Options dialog box. Step 3 Click the Security tab, choose Internet > Custom level to display the Security Settings dialog box. Step 4 Enable Active Scripting and all the parameters under Downloads. Step 5 Click OK to return to the Internet Options dialog box. Step 6 Click Trusted sites and then Sites to display the Trusted sites dialog box. Step 7 In Add this website to the zone, enter the IP address or domain name of the Telepresence System Manager. Step 8 Click Add. Step 9 Click OK to return to the Internet Options dialog box. Step 10 Click OK. To configure Firefox, do the following: From the menu bar of Firefox, choose Tools > Options. From the General tab, enable Show the Downloads window when downloading a file. From the Privacy tab, select Use custom settings for history, select Accept cookies from sites, and click OK to save the settings Using HTTP or HTTPS for Login The Telepresence System Manager supports Hypertext Transfer Protocol (HTTP) and Hypertext Transfer Protocol Secure (HTTPS). HTTPS enhances the security of data transmission. By default, HTTPS is used. For details about how to enable HTTPS, see Setting General Parameters. 7

16 2 Using the Telepresence System Manager Step 1 Open the browser. Step 2 In the address bar, enter the IP address or domain name of the Telepresence System Manager. For example, Step 3 Press Enter to display the login page. Step 4 In User name, enter the user name (admin by default). In Password, enter the password (Change_Me by default). To obtain all administration rights, log in as the super administrator. The user name is superadmin, and the default password is Change_Me. To enhance the data security on the Telepresence System Manager, change the default password. Step 5 From Language, select a language. Step 6 Click Log In. After authentication, the home page of the Telepresence System Manager is displayed, as shown in Figure 2-1. Figure 2-1 Home page of the Telepresence System Manager Configuring Security Settings To ensure system security, it is recommended that you enable HTTPS, enable the SiteCall HTTPS mode, disable the Telnet user account, and change your login password the first time you log in to the system. 8

17 2 Using the Telepresence System Manager Enabling HTTPS The telepresence system supports both HTTPS (enabled by default) and HTTP. If HTTPS is disabled, enable it to ensure secure communication. 1. On the Telepresence System Manager, choose System Settings > General to display the General tab. 2. Under Common Settings, set HTTPS settings to Enable. When HTTPS settings is set to Disable, the telepresence system uses HTTP for communication. After HTTPS is enabled on the Telepresence System Manager, tap > Settings > Advanced Settings > Connection Settings on the touch pane. Then, set the protocol to HTTPS. 3. Click Save. Enabling the SiteCall HTTPS Mode Enable the SiteCall HTTPS mode so the codec uses HTTPS to upload SiteCall conference information to the SMC. This ensures communication security. If you disable the SiteCall HTTPS mode, the codec uses the insecure Transfer Control Protocol (TCP) to upload SiteCall conference information to the SMC. 1. On the Telepresence System Manager, choose System Settings > H.323/SIP to display the H.323/SIP tab. 2. Under H.323, set SiteCall HTTPS mode to Enable. 3. Click Save. Disabling the Telnet User Account The telepresence system allows you to enable and disable the Telnet user account. The Telnet user account is disabled on the system by default. If the Telnet user account is enabled, disable it to ensure system security. 1. On the Telepresence System Manager, choose System Settings > Other Users to display the Other Users tab. 2. Under Debug User Account Status, set Telnet account status to Disable. 3. Click Save. To perform the preceding operations, log in to the Telepresence System Manager as the super administrator. For the super administrator's default user name and password, see the HUAWEI TP1102 Telepresence V100R001C01C02 Security Maintenance. Changing Your Login Password It is recommended that you change your login password the first time you log in to the system. 1. On the Telepresence System Manager, choose System Settings > Login Users or System Settings > Other Users to display the Login Users or Other Users tab. 2. Change your login password and click Save. 9

18 2 Using the Telepresence System Manager Logging Out from the Telepresence System Manager To ensure the security of the Telepresence System Manager, log out from the system after you complete your operations. Click or Exit in the upper right corner to exit the Telepresence System Manager. 2.2 Configuring and Controlling Devices Using the Telepresence System Manager, you can configure and control devices in the telepresence system. For details about how to configure and control the telepresence system, see the HUAWEI TP3206&TP3218&TP3218S Telepresence System Manager Online Help Setting the Product Model You can set which product model is controlled by the Telepresence System Manager. Step 1 Log in to the Telepresence System Manager as the super administrator. Step 2 Click Device Control to display the device topology. Step 3 Right-click Telepresence Host and choose Set Model from the shortcut menu. Step 4 Select the product model to be controlled by the Telepresence System Manager. Step 5 Click Save. A dialog box is displayed to prompt you to restart the telepresence host. Step 6 Click Save Configuring the NMS You can specify an alarm account for the network management system (NMS). When your telepresence system reports its alarms to the NMS, the NMS authenticates it based on this alarm account. Step 1 Click Device Control to display the device topology. Step 2 Right-click Telepresence Host and choose Configure NMS from the shortcut menu. 10

19 2 Using the Telepresence System Manager Step 3 Specify the user name and password for the NMS alarm account. Step 4 Click Save. The user name and password must be the same as those defined on the NMS. The default user name is tpalarm, and the default password is tpalarm@ Configuring the Devices You must configure the devices in the TP3206 independently from the Telepresence System Manager. Step 1 Log in to the Telepresence System Manager as the super administrator. Step 2 Click Wizard and follow the instructions to set the required parameters. You can also configure the following devices independently as required: Codec: Set the network parameters for the codecs. Serial port: Set the device connected to every serial port on the telepresence host. Video port: Set the devices to which the video ports on the telepresence host are connected and their transmission parameters. Audio port: Set the devices to which the audio ports on the telepresence host are connected and their transmission parameters. Set the transmission parameters for every audio port on the telepresence host. Recording system: Set the local recording server's IP address, connection password, and whether presentations are to be recorded. The local recording function is available only when the telepresence system is connected to the local recording server. Power supply: Set the devices connected to each power socket. Telepresence host: Set the IP addresses used by the codecs to connect to the telepresence host. Camera: Set the camera parameters. Administrators (not the super administrator) can configure codec parameters only Controlling Devices Using the Telepresence System Manager, you can control the following devices: Video ports 11

20 2 Using the Telepresence System Manager Audio ports Tabletop displays Power supply Microphones Speakers Recording system Step 1 Click Device Control to display the device topology. Step 2 Control a device. Click the device to be controlled. Microphone: Mute or unmute microphones. s Speaker: Mute or unmute speakers. Right-click the device to be controlled and choose Control. Video port: Select output devices for video inputs. Audio port: Select audio sources for audio output devices and set audio input and output parameters. Tabletop display: Open, stop, or close tabletop displays. Power supply: Power on or off devices. Recording system: Start, pause, or stop recording a conference. Example Figure 2-2 shows the video port control page. 12

21 2 Using the Telepresence System Manager Figure 2-2 Video port control Select a video source from the list on the left and then an output device from the list on the right to set up a relationship between them. To restore the video ports to their default connection settings, click Restore defaults in the lower right corner. It is recommended that you keep the default connection settings. 2.3 Configuring the System The Telepresence System Manager allows you to set the system parameters Setting General Parameters Before using the telepresence system, set the general parameters, including: Site name display parameters Common parameters Time and time zone parameters Icon superimposition parameters Step 1 Click System Settings to display the General page. Step 2 Set the general parameters. 13

Step 3 Click Save Setting Network Parameters Set the parameters of internal and external network interfaces before using the telepresence system. The telepresence host provides internal and external network interfaces. The internal network interface is used for the connection to devices in the telepresence system, such as the touch panel. The external network interface is used for the connection to devices outside the telepresence system. From the home page of the Telepresence System Manager, choose System Settings > Network, set the parameters of the internal and external network interfaces, and click Save Setting 4E1 Parameters If the center codec has a 4E1 interface card installed and 4E1 is selected as the line type, the following parameters must be set: call account, call password, clock mode, and sensitivity. From the home page of the Telepresence System Manager, choose System Settings > 4E1, set 4E1 parameters, and click Save Setting H.323/SIP Parameters The telepresence system supports H.323 and Session Initiation Protocol (SIP). Before making calls, set the registration parameters for each protocol. From the home page of the Telepresence System Manager, choose System Settings > H.323/SIP, set H.323 and SIP parameters, and click Save. To view the SIP and network gatekeeper (GK) registration information about any of the three codecs, on the Device Control, click the corresponding codec, and check the details displayed on the right pane Setting Security and Service Parameters Set security and service parameters that are applicable to H.323 video conferencing systems, and the administrator's phone number. From the home page of the Telepresence System Manager, choose System Settings > Security and Service, set security and service parameters, and click Save Setting Network Fault Tolerance Parameters Appropriate settings of network fault tolerance parameters solve lip synchronization problems during conferences. From the home page of the Telepresence System Manager, choose System Settings > Network Fault Tolerance, set network fault tolerance parameters, and click Save. 14

23 2 Using the Telepresence System Manager Setting Conference Parameters From the Telepresence System Manager, you can set general parameters (such as audio protocol, video protocol, video format, video bandwidth) for initiating conferences. From the home page of the Telepresence System Manager, choose System Settings > Conference, set general conference parameters, and click Save Configuring the Network Address Book To download site records stored in the network address book, set the parameters used for communication between the telepresence host and the network address book server. From the home page of the Telepresence System Manager, choose System Settings > Network Address Book. Set the network address book parameters and click Save Setting Other Peripherals Parameters The telepresence host allows you to control a computer after you set the server Media Access Control (MAC) address on the Telepresence System Manager. From the home page of the Telepresence System Manager, choose System Settings > Other Peripherals, set other peripherals parameters, and click Save. 2.4 Using the Online Help To view the online help, use either of the following methods: Click in the upper right corner of the window to display the home page. From the home page, you can navigate to the desired section. Click on a specific page to view the parameter description, detailed configuration, and operation method. 15

24 3 Using the Touch Panel 3 Using the Touch Panel The touch panel connects to the telepresence host over a Wi-Fi network. From the touch panel, you can hold conferences and perform conference control operations. 3.1 Powering On the Touch panel Step 1 Check that the touch panel is connected to a power supply. The battery life is limited. Therefore, connect the touch panel to a power supply using the power adapter for long-duration conferences. Step 2 Press and hold the power key for at least two seconds. 3.2 Powering On the System The power button on the touch panel turns on or off the telepresence system. Press any side key of the touch panel and follow the onscreen instructions to power on the telepresence system. 16

25 3 Using the Touch Panel It takes about 2 minutes to power on all devices. You can also tap to power off the system. 3.3 Setting Connection Parameters When you log in to the touch panel for the first time, set the parameters of the wireless network and telepresence host. The following uses the procedure for setting WLAN connection parameters on an ASUS touch panel as an example: 1. Tap Apps on the touch panel. On the displayed application screen, tap Settings > Wireless & networks and tap WLAN to allow the touch panel to automatically search for wireless networks. 2. Tap WLAN Settings. On the displayed WLAN networks screen, tap a connected wireless network under WLAN networks. To connect to an unconnected wireless network, set the parameters described in Table 3-1. 26 3 Using the Touch Panel When multiple telepresence hosts are used and the touch panel is already connected to a telepresence host, you must change connection settings to enable the touch panel to connect to another telepresence host. Step 3 Enter the telepresence host IP address, connection protocol, service set identifier (SSID), and touch panel user name and password. The default touch panel user name and password are hid. To change the password, log in to the Telepresence System Manager and choose System Settings > Users. To obtain the case-insensitive SSID, tap Apps > Settings > Wireless & networks > WLAN Settings on the touch panel. Step 4 Tap Save to connect to the telepresence host. Follow-up After the touch panel is restarted, the telepresence system home screen is displayed, as shown in Figure 3-1. Figure 3-1 Telepresence system home screen The PassCode area is available on the touch panel home screen only when the telepresence system supports the PassCode function. If you have exited from the Huawei telepresence screen, tap Apps and then touch panel home screen to access the screen again. on the 18

Displays the keypad. 3.5 Waking Up the Touch Panel If you do not operate the touch panel for a specified period of time (configurable on the Telepresence System Manager) when the following conditions are met, the touch panel goes to sleep: You do not log in to the Telepresence System Manager. The Camera Tuning Tool (CTT) is not connected to the telepresence host. The telepresence host is not being upgraded. The local site is not in a conference. You are not sharing a presentation. The touch panel automatically wakes up in any of the following cases: A call comes in. Presentation sharing starts. 19

28 3 Using the Touch Panel The CTT connects to the telepresence host. The telepresence host starts an upgrade. You log in to the Telepresence System Manager. 3.6 Performing Common Tasks Common tasks include configuring the user interface language; changing administrator passwords; configuring default conference settings; viewing the system information; customizing conference control functions; and using the online help Setting the Language The language settings take effect immediately after your selection. Tap > Settings > Language, and select a language. The user interface (UI) language changes immediately Changing the Password From the touch panel, you can set the password required to access the Advanced Settings screen. This password helps prevent unauthorized changes to telepresence conference parameters. Step 1 Tap > Settings > Advanced Settings > Security Settings. Step 2 In Current password, enter the current password. By default, the password is empty. Step 3 In New password and Confirm password, enter a new password. Step 4 Tap Save. If you forget this password, select Huawei Telepresence from the touch panel's application list and tap Clear Data. After you remove the custom data, you must set the connection parameters again to connect to the telepresence host. If the connection to the telepresence host fails and a message is displayed to indicate that another user has logged in, reconnect to the telepresence host after 2 minutes Viewing Telepresence System Information From the touch panel, you can view the following information: Site Capability: Displays the line types and maximum bandwidth supported by the telepresence system and whether 4E1 point-to-point connection is supported. General Settings: Displays information about the system basics, codecs, and network address book. 20

29 3 Using the Touch Panel System Information: Displays the video protocol, video format, video bandwidth, video frame rate, audio protocol, audio bandwidth, presentation protocol, presentation format, presentation bandwidth, presentation frame rate, presentation type, encryption status, and packet loss ratio of codecs. To view this information, tap > Settings to display the Settings screen. Tap the related button to view the required information Setting General Conference Parameters Before placing calls, set general conference parameters. Step 1 Tap > Settings > General Conference Settings. Step 2 Set the parameters described in Table 3-3. Table 3-3 General Conference parameters Parameter Dial number type Rate Conference password Continuous presence mode Network recording Description Specifies the line type used to call a site. Specifies the conference bandwidth. If a Cisco TelePresence site is to be called, the value of this parameter must be greater than 1.5 Mbit/s. Specifies the conference password. This password is required for a site to request chair control rights and allows anonymous sites to join the conference. Specifies the continuous presence mode for the conference. Specifies whether to enable network recording for the conference. Disable: Network recording is disabled for all conferences. Enable: Network recording is enabled for all conferences. Enable once: Network recording is enabled for the current conference only. NOTE This parameter is available only when Network recording server is enabled. To enable Network recording server, from the telepresence host web interface, choose System Settings > Conference, select Network recording server, and click Save. Step 3 Tap Save. 21

30 3 Using the Touch Panel Configuring Default Conference Settings From the touch panel, you can configure default conference settings. Step 1 Tap > Settings > Advanced Settings > Conference Settings. Step 2 Set conference parameters described intable 3-4. Table 3-4 Conference parameters Parameter Default call type Description Specifies the default protocol used when calling a site. H323: The H.323 protocol is used for audio-visual conferences. 4E1: 4E1 is used for audio-visual conferences. NOTE This option is available only when the telepresence host has a 4E1 interface card installed and 4E1 parameters have been set on the Telepresence System Manager. SIP: The Session Initiation Protocol (SIP) is used for audio-visual conferences. AUTO: The system randomly selects a protocol. Default presentation mode Answer mode Conference security Voice activation sensitivity Interval for Specifies whether the presentation sharing function is supported. Disable: not supported Presentation: supported Specifies the local site's answer mode when there is an incoming call. It is recommended that you set this parameter to Auto. Auto: Calls are answered automatically. Manual: Calls must be answered manually. Specifies whether media stream encryption is enabled for the conference. Insecure conference: not encrypted Secure media conference: encrypted Specifies the sensitivity for the voice activation function used in multipoint conferences. High: Voice activation is performed even when the voice volume is low. Medium: Voice activation is performed when the voice volume is medium to high. Low: Voice activation is performed when the voice volume is high. Specifies the interval for switching between sites when the viewing 22

The value ranges from 5s to 3600s. Specifies the default conference access number. This parameter is available only when the system supports PassCode. Specifies the prefix you need to add when dialing an espace number. This parameter is available only when the espace tab is displayed on the contacts screen. If this option is selected, the system preferentially places a point-to-point call to a site. If this option is selected, and the TP3206 is in a conference, the TP3206 automatically shares a presentation when a presentation source is plugged in. Step 3 Tap OK Customizing Conference Control Functions From the touch panel, you can customize the functions available on the conference control screen. Step 1 Tap > Settings > Advanced Settings > Conference Control Customization. Step 2 Select conference control functions as required. Step 3 Tap Save. Tap All to select all options and Deselect all to deselect all options Using the Online Help Choose to view the entire online help text. 23

32 4 Controlling the Tabletop Displays 4 Controlling the Tabletop Displays Before viewing a presentation, open the tabletop displays. Be careful when closing the tabletop displays and only perform that operation when you are in the conference room, to ensure that no one's hands are trapped while the tabletop displays are closing. If physical buttons are available on the conference table: 1. Press on the table to open a tabletop display. 2. Press and hold to close a tabletop display. If touch-sensitive buttons are available on the conference table: 1. When a tabletop display is closed, tap to open it. 2. When a tabletop display is open, tap to close it. If you tap If you tap when the tabletop is closing or opening, the corresponding action will be suspended. again, the action resumes. Follow-up From the home screen of the touch panel, tap > Tabletop Display to display the tabletop display control screen, where you can Open, Close, or Stop the three tabletop displays. 24

33 5 Starting a Conference 5 Starting a Conference You can use multiple methods to start a conference from the touch panel. If your telepresence system supports the PassCode function, in Access Code and Meeting Passcode, enter the access number and password allocated by the service management center (SMC) when you scheduled a conference, and tap. If the access number allocated by the SMC is the same as the value of Default access code under > Settings > Advanced Settings > Conference Settings, you can join the conference by filling in Meeting Passcode only and tapping. The Access Code is the Unified access number specified on the SMC for the MCU that hosts the desired conference. The Meeting Passcode is the Conference ID specified on the MCU for the desired conference. If the conference you wish to join is password protected, you must tap and enter the password to join the conference. 5.1 Initiating a Conference by Using Different Methods The telepresence system provides multiple paths to initiating a conference. Choose the method you need based on the actual situation. You can call multiple selected sites simultaneously to initiate a multipoint conference. During a multipoint conference, all the sites can hear and view each other Initiating a Conference from Favorite Conferences From the Telepresence System Manager, define multiple conferences. These conferences are favorite conferences. Synchronize the conferences to the touch panel. Then you can initiate a conference using one of the predefined favorite conferences. 25

34 5 Starting a Conference Step 1 From the home screen of the touch panel, tap favorite conferences screen. > Favorite Conferences to display the Step 2 Tap of the desired favorite conference to set the call parameters listed in Table 3-3. Step 3 Tap to place the calls. To call into a favorite conference without setting the call parameters, tap that conference on the favorite conferences screen. To search for a favorite conference, enter the conference name or any participant site name or number and tap. If a favorite conference has only a single remote participant site, tap to view the name, number, type, call rate, and call type of that site. If a favorite conference has multiple remote participant sites, tapping will display only the names and numbers of those sites Initiating a Conference from the Contacts Screen Prerequisites The contacts list stores site information. This saves time as you do not need to enter site information every time you initiate a conference and prevents entry of incorrect IP addresses. You can also search the Lightweight Directory Access Protocol (LDAP) server or espace server for an LDAP site, espace site, or virtual conference room. This helps you quickly select a site to initiate a conference. The touch panel has connected to the telepresence host. The related site information has been saved to the contacts list of the telepresence host. Table 5-1 describes the buttons on the contacts screen. Save Tap this icon to save a found LDAP site or virtual conference room to the local contacts list. Step 1 From the Call screen, tap the Contacts tab. Step 2 Use any of the following methods to initiate a conference: Whether the espace tab is available depends on your settings on the telepresence host. To display the tab, on the Telepresence System Manager, choose System Settings > Network Address Book, select espace Server, and click Save. To search the LDAP server for LDAP sites or virtual conference rooms, enable the LDAP server as follows: On the LDAP Sites or Virtual Conference Room tab, set Directory Server to Enable, set the required parameters, and click Save. Tap the Sites tab, select one or more sites, and tap. Tap the Local Groups tab, select one or more groups, and tap. 27

36 5 Starting a Conference Tap the LDAP Sites tab, select one or more LDAP sites, and tap. Tap the espace tab, Search the espace server for the desired espace sites. Select one or more espace sites. Then, tap. Tap the Virtual Conference Room tab, select a virtual conference room, and tap. To search for a site, group, LDAP site, espace site, or virtual conference room, enter the name or number of the site, group, LDAP site, espace site, or virtual conference room in the search field, and click. Click a letter in the A-Z column on the right pane to display the sites, groups, or virtual conference rooms whose names start with the selected letter. Click # to display those whose names start with digits or symbols. In the contacts list, tap and select a country, city, or area from the drop-down list box. Then, you can find the sites in the selected country, city, or area. On the Contacts tab, tap next to a site entry. Then, you can view the site name, site number, data transmission rate, and call type for the site entry Initiating a Conference from the Keypad Screen You can enter the IP address, number, or URI of a site from the keypad screen to initiate a point-to-point conference. To set conference parameters, tap > Settings > General Conference Settings. For details about the conference parameters, see Table 3-3. Step 1 From the Call screen, tap the Keypad tab. Step 2 Enter the IP address or number of a site. If both local and remote codecs are registered with the same gatekeeper, you can call the site using its number. To place a video call, tap the Video Call tab and enter the IP address or, if both the calling and called party are registered with the gatekeeper (GK), number of the site to be called. Tap to display the full alphanumeric keypad. From this keypad, you can enter the IP address, site number, or URI of the site you wish to call. To place a voice call, tap the Voice Call tab and enter the phone number of the site to be called. Voice calls are available only when a PSTN-E1 has been inserted to the telepresence host. 28
