Introduction 1.1 Hardware requirements and software requirements Hardware requirements Software requirements Operating systems: Microsoft Vista Microsoft Windows 2000 Microsoft Windows XP Microsoft Windows Server 2000 Microsoft Windows Server 3003 There must be installed Java (version 1.5 and newer) on your system. You can find a Java runtime edition on the CD in the subfolder utilities. 2. Installation The installation of the software depends on the kind of installation. It can be installed on a single-user system or on a network system. 2.1 Installation for single-user 1. The content of the CD must be copied to the local hard disc Installation under Microsoft Windows 2000: After copying the files to the hard disc you have to remove the write protection. 2. Now you have to copy the file Matrix32.dll from the subfolder utilities into the system subfolder \system In the subfolder utilities you can find the font Code 39. You have to install it by using system control. In the windows taskbar: start system control fonts There comes a dialog box, where you can see all installed fonts page 5 of 58

6 At the menu item File > install new font you can install the font Code 39 After selecting the subfolder utilities you can see the font Code39mm (TrueType) in the window top left. You have to mark it and finish the installation with the OK Button. 4. Install the PDF printer In the subfolder utilities you can find the file edocprintpro_setup.exe. You have to execute this file. page 6 of 58

8 After the installation of the PDF printer edocprintpro you have to setup it, so that the PDF files will be saved into a folder. Therefore you have to select the menu item Drucker und Faxgeräte in the system control. By selecting the printer edocprintpro with the right mouse button you get to the menu item settings. Now you can see the following dialog box. 5. Setup of the PDF printer In the menu item printer settings you have to make the following settings: page 8 of 58

Setup of the help file For the correct work of the help you have to copy the folder Hilfe to c:\hilfe. 7. Creating the folder Vergleichen and opt You have to create a folder c:\vergleichen and c:\opt on the hard disc c:. Now you can start the program with the file run fencing.bat in the subfolder \Fechten. To make it easier you can create a shortcut on your desktop. After the first start it is necessary to make an update from the data base. 10 After the installation and before every tournament you have to update the master data. Therefore you need a internet connection. The update happens in to steps. 1 st step: The data have to be downloaded from the server. Therefore you use the following way: file 4. update data upload from server (will be corrected to download from server) After successful download of the data you will see the following dialog box. You have to confirm with OK. 2 nd step: after the download you have to integrate the data into the system. Therefore you need the menu item file 4. update data readed data will be taken over. page 10 of 58

11 After executing the menu item the data will be read and the data base will be updated. You also have to check that the tournament guidelines will also be updated (chapter 2.4) 2.4 Tournament guidelines Import of the guidelines After the data update you have to import the new guidelines. Go to menu item file event presettings read presettings Import of the preselection list nations/clubs To be able to use the new list of nations and clubs in the tournament you have to import them in the menu item file event presettings create preselection list nations/clubs. page 11 of 58

12 3. Tournament preparation Before you adjust a competition you have to make an update of the master data. This is described in chapter 2.3. The competitions have to be announced to the DFB, so that they are available in the online portal. Only competitions which are available in the online portal can be controlled with this software. 3.1 Adjust a competition In the program Fencing the tournament mode hast to be defined. First of all the competitions have to be created. This happens by using the following way: progress 1. competition preparation activate / edit competition After the selection of the menu item you will see a dialog box, where you can select a competition from the data base. Therefore you have to select the competition group by using the binoculars next to the array. page 12 of 58

14 Now you can enter the location of the tournament in the array search location and confirm with RETURN. In the appearing list you can select the competition. page 14 of 58

15 Now the competition data will be imported and can be edited if necessary. The season and the competition number will be defined automatically. Nun sind die Turnierdaten entsprechend zu ergänzen. Der Turniertitel kann für jedes Jahr individuell angepasst werden. Dazu klicken Sie bitte das Feld Turnierdaten bearbeiten an. 19 These guidelines are obligatory, because otherwise you can t activate the competition. In the lower part of the dialog box you can select 4 ranking list for the ranking list for the competition. You can select the ranking lists with the buttons After the selection of the button the ranking lists will be shown. These can now be selected. page 19 of 58

22 With the menu item select competition you can select only one competition. 3.2 Administration of the participants Enter the participants The participants can be entered manually or, if the competition was entered by using the online register portal of the DFB, you can import the register file. The import of the register file is described in chapter The manual entering of the participants happens by using the menu item progress 1. competition preparation participant administration. In the array Suchname you can enter the name of the fencer. The input has not to be complete because the search mode starts at the point which corresponds with the entry. The entry has to be confirmed with RETURN. In the upper part of the dialog box you can straighten the search. For page 22 of 58

23 example you can enter the club or the nation in the search array and confirm with enter. The two switches without and with switch the search on or switch it off. After a successful search the participant can be selected in the next dialog box. Attention: The dark marked fencers don t have a valid license. page 23 of 58

24 If the participant will not appear in the list, you have to enter the fencer manually. Therefore you have to click the N button. Now the fencer can be entered in the appearing dialog box. page 24 of 58

26 With the button participant list of the selected competition the list of the participants can be shown. There you can also find the new entered fencer and you can mark him to edit his data. After editing the data of a participant you have to leave the dialog box with the save the updated participant data button. page 26 of 58

27 3.2.3 Edit the ranking of a fencer In the dialog box participant administration you can edit the ranking of a fencer manually by using the button 2. page 27 of 58

28 With the TAB key you can edit the rankingplace of the marked fencer. With the high and TAB key you can edit the rankinglist of the marked fencer Manual changing of the results In exceptional circumstances it is necessary to edit the results retrospectively, because a fencer drops out of a competition, for example because of doping. Therefore you can find two buttons in the lower part of the participant administration dialog box. page 28 of 58

29 Manual entering or correcting of the final placing Delete participant from competition (not present, abandonment, disqualification) Rise up in rank all participants in the ranking list ( start at place) Confirm participants The fencers which are present have to be confirmed. This can happen manually with the menu item progress competition preparation participant administration or with the scanner. With the button select participant (only missing participants) you can show all unconfirmed participants. page 29 of 58

30 With a double click on the participant in the list he will be switched to the status present (J). Another double click switches back to not present (B). Only fencers with status present will be considered for the competition. page 30 of 58

31 You can close the dialog box with the X in the upper right corner Print the list of participants Before the setting of the rounds it is obligatory to print a participant list and to post it, so that all fencers can check if they are on the participant list. After the period of objection the rounds will be set as described in chapter 4.1. The print out of the participant list happens via menu item progress 1. competition preparation participant administration. In the dialog box you can find the button print participant list oft he selected competition. In the appearing dialog box you can select the kind oft he print out. page 31 of 58

32 Depending on the adjustment there will be a direct print out or a preview on the screen. 3.3 Administration of the referees Enter and edit the referees In the data base are all referees which are known. You can search for them by entering the search name. After the confirmation of the search name with RETURN a list with referees appears. With the left binocular it is possible to make fencers to become a referee. The other binocular shows the selected referees for the competition. page 32 of 58

33 The referees can be switched to active or not active. The control happens via the buttons A and N next to the array still active. You can save the changing with the left saving button (disk). Via the right saving button you can enter a new referee. 3.4 Administration of the entry fees Enter received payments page 33 of 58

34 The incoming payment will be confirmed when you select a fencer with the left mouse button and click again on the fencer with the right mouse button. In the column des the announcement switches to from no to yes. With another click on the right mouse button the announcement switches back Print the bills It is possible to print different kinds of bills for the payed entry fees (bill per participant, single bill, print per national association, print per club). 35 3.5 Configure tournament mode It is necessary to define a tournament mode for every competition. Before defining the tournament mode it is necessary to control if the correct competition is selected. The mode will be defined via the menu item progress 1. competition preparation define competition mode. After selecting of this function it appears a dialog box where you can define the parameters of the mode. page 35 of 58

36 First of all the rounds have to be defined via the button pools. Every heat has t be named (for example: preliminary pools, intermediate pools). In the selection array calculating pools after the kind of arrangement of the fencers into the rounds will be defined. Via the button fencers per pool the number of rounds and fencers will be defined. In the lower part of the dialog box the number of qualified fencers after this heat and the following mode will be defined. After entering with the button save you have to confirm. After saving the program switches back to the tournament mode. Now you can define another round or a direct elimination. The definition of a direct elimination happens via the button KO. page 36 of 58

37 In the dialog box the guidelines for the direct elimination have to be defined. Via the binocular it is possible to select the kind of the direct elimination. You have to enter the parameters in the dialog box and close the dialog box by saving it. The program switches back to the tournament mode. There you can print out the tournament mode via the button print. page 37 of 58

So it not necessary to enter the participants manually. Only those fencers who were registered lately have to be entered manually. The manual entering is described in chapter 3.2. For the import of the data it is necessary to download the register file from the internet. The data have to be in the folder c:\fechten\datenrein, so that the program can find the data. Via the menu item Wettbewerb wählen you have to selct the competition which should be imported. Now you can start the import via the menu item progress 1. competition preparation data exchange reading inscription file. page 42 of 58

43 The program will select automatically the correct file, because every competition gets a unique code which corresponds to the online register portal of the DFB. Now you can find the participants in the menu item progress 1. competition preparation participant administration and you can edit them how it is described in chapter Import of the XML file Export oft he XML file page 43 of 58

44 3.9 Data back up Back up (competition) In the dialog box activate competition you can mark the tournaments. After closing the dialog box they will be saved. page 44 of 58

45 After closing the dialog box via the X there will be another dialog box, where you will be asked if you want to save. There should be made a back up after every heat Import (competition) If there was made a back up file of a tournament as described in chapter 3.9.1, you will be able to import the file again. Via the menu item competition preparation data saving reading you can open a dialog box were you can select one of all available back up files. page 45 of 58

46 4. Competition control 4.1 Calculate pools or ED Print the pools After the setting of the rounds you can print them. Therefore you can use 4 different printouts in the dialog box calculate pools or ED. If the tournament is controlled via the program referee, it also will be possible to make the print out there. This way is described in another chapter. page 46 of 58

47 Print an overview of the pools First of all you have to select a heat and a printer. In the following dialog box you can decide if you want to print out the overview with or without the referees. To print the referees it is necessary that the referees were prepared. Example: page 47 of 58

48 If there are problems with the composition of the pools you can edit them via the menu item competition control edit pools manually. This is described in Chapter 4.2. If the pools are ok you can print the slips of the pools in the same dialog box. (2 nd printer in the dialog box print out all pool sheet ) If the heat is a direct elimination you will have to use the printer buttons 3 or 4. With these two buttons you can get an overview from the direct elimination and the slips for the direct elimination. 4.2 Edit pools manually If it is necessary to edit the rounds manually you can do this via the menu item competition control edit pools manually. page 48 of 58

Von Sonja zeigen lassen oder wie Knut????? 4.3 Enter the results The entering of the results can be done via the program Fencing or the program referee. The way of entering the results via the program referee is described in chapter XXX Enter the results of the pools Before entering the results you have to check if you are in the correct competition. You can open the dialog box for entering the results via the menu item competition control acquire results pool results. First of all you have to select the heat and after that the number of the pools. page 49 of 58

50 Now you can enter the results the following way: V or 5 = victory with 5 points 0 or 4 = victory with x points or defeat with x points / = abandonment of a fencer The program automatically detects the victories and calculates the placing. After entering the results of the rounds you have to save via the button save pool result (disc). After calculating all pools you can print the index list. The printing of the index list is described in chapter 5.3. Via the binoculars you can get an overview of the pools. Via the printer icon you can print an overview of the results of the pools. If you need a print out of all results you can get this via the domain results service (chapter 5.2). Using a barcode scanner The program scanner has two functions: The 1 st function is the possibility to enter the participants by scanning the barcode on the license. So the fencer is automatically added to the competition. The 2 nd function is the possibility to enter the results of the rounds and the direct elimination. page 53 of 58

54 8.1 Enter the participants If you want to add the participants via the scanner you have to use the button Passannahme. After clicking on the button Sprachhinweiß an acoustic response is switched on. page 54 of 58

55 If it is impossible to scan the barcode, or the fencer forgot the licence or doesn t have a license, you can show all announced fencers by using the TAB button. In the appearing list you can select the fencer with the left mouse button. 8.2 Enter the results of the rounds and direct elimination On every slip of the rounds or the direct eliminations you can find a barcode in the upper right corner. If you scan the barcode the program will select the correct rounds and a dialog box will appear where you can enter the results. If there is a wrong result you can change the result via the Korrektur button. page 55 of 58

57 In the dialog box you can also edit the data of a fencer if it will be necessary. Therefore you can use the buttons 1 and 2 next to the names. The result of the match has to be entered behind the names. After closing this dialog box you will informed about the progress of the edited competition. 9. Hints and tricks 10.1 installation problems 10.2 Problems with Avira Antivir (version 8) If you use Avira Antivir there may be some problems, because the program detects the file setzeneu.exe as a virus. For this case you have to configure the program so that it won t scan the file. Therefore you start the configuration from AniVir in the expert mode. In the menu item Guard Ausnahmen you select the file setzeneu.exe and confirm with Hinzufügen. You will find the file setzeneu.exe in the main folder (c:\fechten\). You have to leave the dialog box with OK. page 58 of 58
