37 Introduction The SirsiDynix Symphony Release Notes for SirsiDynix Symphony 3.3 contains information about significant enhancements and corrections included in SirsiDynix Symphony 3.3. This document is arranged as follows. General changes, which can not be easily categorized Changes to the WorkFlows Java and WorkFlows C clients Changes to SirsiDynix Symphony modules, arranged alphabetically by module. Within each module, changes that pertain to multiple wizards or reports are arranged in a General section, followed by sections arranged alphabetically by wizard name or report group. Some modules or products, such as the e-library, contain only enhancements and corrections sections. Typically in each section, or for each wizard or report group, release notes are grouped first by enhancements, then by corrections. Icons may display next to the heading for a release note to indicate whether the software change pertains to the WorkFlows Java client, the WorkFlows C client, or both. When available, these notes contain an internal tracking number used by SirsiDynix to identify software changes. The number displays in parentheses after the text of the note. There are two other related documents available for this release on the SirsiDynix Client Care website ( the SirsiDynix Symphony Administrator Notes and the SirsiDynix Symphony API Notes. The administrator notes are intended to help the system administrator identify the changes that may require additional configuration and are a subset of this document. The supplemental administration information is only available in the SirsiDynix Symphony Administrator Notes. The SirsiDynix Symphony release notes contain details about all significant enhancements and corrections, including changes that do not require any administrative action. Sites that wish to restrict information related to system administration tasks may choose to distribute only the SirsiDynix Symphony release notes to non-administrative users. The SirsiDynix Symphony API Notes are intended for customers who have received API training from SirsiDynix. This document is pass word protected. 39 General Open Source File Now Available from SirsiDynix FTP Server SirsiDynix Symphony utilizes several Open Source packages, and, historically, these packages have been included in the installation and upgrade programs. The installation and upgrade script files have grown considerably large over time, and so SirsiDynix determined that the opensource.tgz file (which includes the Open Source software) should be removed from future installation and upgrade programs. With Version 3.3, the opensource.tgz file will now be available from the SirsiDynix FTP server (ftp.sirsi.com) in a new read-only account, in the /Symphony_3.3 directory. The read-only account access information is as follows: user ID = opensource password = 0pensource (the number zero + pensource ) Sites can FTP to the ftp.sirsi.com and download the Open Source packages used in SirsiDynix Symphony Version 3.3, and all future releases and upgrades. New directories will be created for future SirsiDynix Symphony versions so that users will be able to download the appropriate version of the opensource.tgz file for their version of SirsiDynix Symphony. (UNI-22335) Previous User ID Incorrectly Displayed in Item Glossaries Even though a system was configured to not display the previous user ID in circulation wizards, the item glossaries were displaying this field. Also, the Renew Item prompt window was incorrectly displaying the previous user ID. These issues have been corrected. The item glossaries and Renew Item prompt window will not display the previous user ID if the Display Of Previous User ID Field global configuration policy is set to Do Not Display Previous User ID. 40 Corrections Programs that Closed Socket Connections Caused Microsoft Windows Errors On SirsiDynix Symphony for Windows Servers systems only, programs that close socket connections would exit abnormally and display the Microsoft Windows error reporting dialog. This caused problems with On-line user registration in the e-library, the Review ILL Request wizard, and Hyperion systems. This has been corrected. (UNI-20876) WorkFlows Java Client Became Unresponsive After Pressing ESCAPE Key Previously, the WorkFlows Java client would become unresponsive if a user pressed the ESCAPE key before scanning a barcode in the User ID field. To clear this condition, the user either had to quit the wizard and close the WorkFlows client, or manually enter the Preamble and Postamble characters and then the barcode data. Although this problem was initially found when using the Display User wizard, it was determined that this problem could occur with every field in the Workflows Java client that can accept the input of a string of characters. This has been corrected. (UNI-22070) Some ALT+[character] Menu Shortcuts Clashed with Wizard Next Steps Previously, a user noticed that on the Call Number/Item tab, if she pressed the ALT+L keyboard shortcut to access the Helpers menu, the shortcut would delete an item instead. The cataloging wizard shortcut for the Delete next step button was also ALT+l (lower case L). The user also discovered that other menu shortcuts clashed with wizard next steps, including ALT+M and ALT+Y. Now, the shortcuts for the wizard next steps have been corrected. For example, in the cataloging wizards, to access the Delete next step on the Call Number /Item tab, the user must press ALT+x. The Delete button displays the word Delete and the shortcut key in parentheses (x). Other wizard next step buttons will display the shortcut key as an underlined character. The following wizard next steps required new keyboard shortcuts: Delete ALT+x Return to Search ALT+u Modify ALT+y Modify Holdings ALT+g Add Another Title ALT+r (UNI-20882, UNI-21702) 40 Release Notes

41 Intermittent Unavailable for Display Message in Search If multiple users searched simultaneously and used different libraries or library groups to limit their searches, the users were occasionally receiving "Unavailable for Display" messages when attempting to view the details of a record returned in their search. For example, the first user performed a search against All libraries, then a second user performed a search limited to the Main Library. The first user may have received the "Unavailable for Display" message if they selected a record from their hitlist that was not held by the Main Library. This happened in both WorkFlows and e-library. This has been corrected. (UNI-22978) Automated Halt/Run Script Could Not Find Remote Oracle Server to Start Previously, the auto_haltrun script (the script for halting, initializing, and running the SirsiDynix Symphony servers) was not finding the remove Oracle server to start. Now, for non-windows systems, several checks were added to the auto_haltrun script for remote Oracle configurations. Besides what the script already checked by searching for an Oracle process, the script now checks if Oracle is up, if the first check failed. Changes were made to test the remote configuration to see if Oracle is running or not. Sites that have Oracle installed on a remote system may want to define the following environment variable: SIRSI_ORACLE_NOSTOP Y This setting is used by the Oracle stop script (stop_oracle) for executing the shutdown command. Configuring this variable as Yes (Y) should reduce the unwanted warning messages. (UNI-23955) General 41

42 No Builtin Raster Driver Printer Option Corrected In any wizard that would print a receipt, a site noticed that if the No Builtin Raster Driver option was selected in Preferences > Peripherals > Receipt Printer, and if the Display Receipt Printer Dialog was also selected, the printer dialog box would not display when printing receipts. However, when the No Builtin Raster Driver option is selected, the available printer is a simple dot matrix printer, and there's no point in displaying a view of the printer driver settings, since they are ignored. This has been corrected. Now, the check box for Display Receipt Printer Dialog is unavailable (appears in grey) and cannot be selected when the user selects the No Builtin Raster Driver printer option. 43 Workflows Client General Enhancements WorkFlows Java Client Installation No Longer Requires Administrative Privileges WorkFlows Client for Java client versions before Version 3.3 required administrative privileges on the workstation to install or upgrade the client on individual workstations. Now, the install and upgrade scripts have been modified and migrated to later versions of the InstallShield program which have the ability to execute with a wider range of privileges. Because versions of the WorkFlows Client for Java previous to Version 3.3 were installed and upgraded by users with administrative privileges on the workstation, it will not be possible for a user without administrative privileges to upgrade an earlier version simply by starting the client and following upgrade instructions. For this reason, SirsiDynix recommends that the previous version of the client be un-installed, and the 3.3 version be installed by a user that does not have administrative privileges on the workstation. Once the new version of the client has been installed in this manner, non-administrative users will be able to upgrade the client to future versions simply by clicking on the client icon on the desktop and following the instructions. SirsiDynix recognizes that it may not be practical to uninstall the previous version prior to installing the new version. If this is the case, SirsiDynix recommends that the desktop icon associated with the older version of the client be deleted from the desktop so as not to confuse staff users. System Requirements To install or update to the SirsiDynix Symphony 3.3 WorkFlows Java client, the system must meet the following minimum requirements. OS/Platform: XP, Vista, or Macintosh OS X (10.5 Update 2, Dual Core, 64 bit) RAM minimum: 1 GB, suggested: 2 GB Processor speed minimum: Windows XP (minimum 700 MHz, rec. 1 Ghz) Windows Vista (800 MHz, 1GHz) Mac (2 Ghz) Disk space for WorkFlows: 100 MB free hard disk space Monitor resolution: 1024 x 768 or better TCP/IP networking support Workflows Client 43

44 Ability to connect to a SirsiDynix Symphony 3.3 server Java 1.6 Note: Macintosh supports Java 1.6 only on 64 Bit, Dual Core Macintosh workstations running Leopard OSX 10.5, Update 2 or higher. For Macs that do not meet these requirements, users can run the SirsiDynix Symphony WorkFlows Java client, which requires Java 1.5 rather than Java 1.6, against the SirsiDynix Symphony 3.3. server. Please refer to the client/server specifications for SirsiDynix Symphony for details on Mac hardware specifications. While SirsiDynix has tested the Mac WorkFlows Java Client against SirsiDynix Symphony 3.3, SirsiDynix strongly recommends that sites using Macs that upgrade to Symphony 3.3 make plans to upgrade to the 3.3 version of the Workflows Java client in order to take advantage of new capabilities and corrections and to ensure optimal support. Additional Important Considerations On workstations running the WorkFlows Java client, SirsiDynix recommends setting the virtual memory association to equal twice the amount of physical memory, at minimum. Please work with the system administrator to check the virtual memory setting on each workstation running the WorkFlows Java client, and increase the memory if necessary. The WorkFlows Java client will not affect e-library stations, which will require only a Web browser. Virus protection software should be temporarily disabled while installing the WorkFlows Java client. Installation Steps If the user has never used the WorkFlows Java client on the Windows workstation, or has never installed the client under a particular login username, follow this procedure. Sites with Windows Vista workstations will need to disable User Account Control before non-administrator accounts can install and update the WorkFlows Java client. The following Microsoft documentation explains the User Account Control feature in some detail: cc aspx. To install the WorkFlows Java client on a Windows system 1 Log into the Windows workstation. You should log in as the user who will be installing the WorkFlows Java client. This can be the Administrator or a nonadministrator. 2 The fupd_jwf.exe file from the /Unicorn/Clients directory on the server should already have been copied to your workstation as part of the upgrade process. Locate the fupd_jwf.exe executable file on your workstation and double-click it to launch the Install Shield. 44 Release Notes

45 3 Follow the instructions in the setup windows. Answer the questions posted by the installation program affirmatively. 4 At the end of the install, you will be prompted to connect the client to the Symphony server. The installation will not be complete until you connect the client to the server. Type the server connection information. Allow the WorkFlows Java client to connect to the SirsiDynix Symphony server and transfer server files to the client system. 5 If you are logged on to the Windows workstation as an administrator, the WorkFlows Java client will be installed in the \Program Files\Sirsi\JWF directory on the workstation. This client will be accessible to all users on the workstation, but only the administrator will later be able to update the client to future versions. 6 If you are not logged into the Windows workstation as an administrator, then the WorkFlows Java client will be installed in C:\Documents and Settings\[name]\Sirsi\JWF. Only users logged in under this username will be able to access this client. Only these users will later be able to update this client to future versions. 7 If there are multiple non-administrator users logging into the same workstation with different user names, each user can install his or her own copy of the WorkFlows Java client. Each login user will only see the Desktop icon for his or her own copy of the client, and each login user will only be able to update his or her own copy of the client. (UNI-22481) Enhancements and Changes to Support Cataloging, Importing, and Displaying UNIMARC-formatted Bibliographic and Authority Records Many enhancements were made to the SirsiDynix Symphony system for cataloging, importing, and display UNIMARC-formatted bibliographic and authority records. 46 MARC Record Editor updates SmartPort and Z39.50 Gateway Destination Elements Enhancements Validate Headings helper authorizes UNIMARC fields If a site wishes to use UNIMARC formats on their system, they must be an Oracle/Unicode system. Also, the site must have the MARC Family feature configured for the system. Contact SirsiDynix Client Care about configuring the system for MARC families. During the Version 3.3 upgrade process, the site will need to run an additional conversion script to add the new UNIMARC formats and supporting features. See the following subsections for more information about these UNIMARC enhancements. Sites Can Configure System to Display Only MARC21 Formats, Only UNIMARC Formats, or Both MARC21 and UNIMARC The Display UNIMARC Formats Global Configuration policy has been changed so that sites can configure their systems to display only MARC21 formats, only UNIMARC formats, or both MARC21 and UNIMARC formats in the clients. The policy is now named MARC Format Display. By default, only MARC21 formats display. Currently Delivered Catalog, Authority, and Z39.50 Formats Updated The current UNIMARC catalog, authority, and Z39.50 formats were updated with the latest UNIMARC enhancements. UNIMARC Punctuation Variations Added to Catalog Formats The Punctuations tab now displays for entries in UNIMARC catalog and authority formats, and default punctuation variations have been added to the catalog formats. Bibliographic Record Loading Reports and SmartPort Wizard Now Support UNIMARC Title Control Key and MARC Tag Hierarchy Match and Load Options Data fields in the UNIMARC bibliographic format do not always include the same data as the equivalent MARC21 tags. Previously, the bibliographic load programs did not allow the appropriate options for loading UNIMARC bibliographic records. Now, these programs have been updated, and the title control key options and MARC tag hierarchy options in the reports and wizard have also been updated to display the UNIMARC tag selections. The following reports and wizard have been updated. Authority Map Wizard Enhanced to Accommodate Import of UNIMARC Authority Records To support importing UNIMARC authority records into a SirsiDynix Symphony system, the Authority Map wizard has been enhanced with the following new attributes. MARC Family The MARC Family policy allows the user to choose the type of MARC21 or UNIMARC encoding that applies to a specific set of authority records. Select a MARC Family policy from the drop-down list. (This selection will only appear for sites configured to use MARC Family.) Source of Subject (previously 8/11 source) Identifies the source of the subject heading. For MARC21 records, if the content of the 008 fixed field position 11 affects the authority format that should be assigned, this attribute should be the single character code in the record s 008 field in byte (position) 11 which identifies the source (according to the MARC 21 Authority Format Manual). Type the single character code value. For UNIMARC records, the source of subject heading is defined in the 152 field, subfield b. The value of b is a string instead of a single character code. Because these characters are only used in UNIMARC formats, the helper is only available on SirsiDynix Symphony Unicode/ Oracle systems. The NSB/NSE are non-printable characters and will not display in full record displays or cataloging and authority wizard View panes. The Add NSB/NSE Characters helper is available in the following wizards: Add Title Modify Title Duplicate Title Add Authority Modify Authority Duplicate Authority A new property, Add NSB/NSE Characters, was added to the Helpers tab in the wizards properties. When the user selects this property, and if the format of a record is a UNIMARC format, the helper will display in these wizards. Workflows Client 49

50 Added NSB/NSE Non-filing Characters to UNIMARC Catalog and Authority Format Entries Keyword, Browse, and Authority Variations for the Leading Article Value Because the UNIMARC formats use the NSB/NSE (Non-sorting begin/non-sorting end) characters for non-filing purposes, the NSB/NSE selection will appear on the Keyword, Browse, and Authority tabs for catalog and authority format entries as a Leading Article value selection. In UNIMARC catalog formats, the INDICATOR1 and INDICATOR2 values are no longer available for selection on these entry tabs as they are not used for non-filing purposes. MARC Record Editor Updates The MARC Record Editor in cataloging and authority wizards has been updated to handle cataloging UNIMARC records. The Record Editor allows input and edit of coded fields for cataloging and authority records. The Record Editor help includes updated tooltips and more for UNIMARC records. Users can modify these tooltips using the MARC Record Editor Help wizard. SmartPort and Z39.50 Gateway Destination Element Enhancements The following changes were made to the Z39.50 gateway destination element configurations for SmartPort import of UNIMARC-formatted records. Query Character Set This attribute appears on the Destination tab for the Gateway element type Z3950 Search. The attribute specifies the type of character encoding used in the query sent to this Z39.50 destination. For example, the Library of Congress Z39.50 server expects search query strings to be sent using UTF8 character encoding, so this attribute should be set to UNICODE for the LC destination. Possible values include UNICODE, MARC8, ANSI, CCCII, BIG5, GBK, and UNIMARC. The MARC8 value is the default value. Record Character Set This attribute appears on the Destination tab for the Gateway element type Z3950 Search. The attribute specifies the type of character encoding used in the records of this Z39.50 destination. For example, Chinese sites may use CCCII records, which are also MARC records, but use a different character encoding for Chinese characters. When records are imported into SirsiDynix Symphony from these sites, a different table for conversion is required to convert CCCII records to Unicode records, so this attribute should be set to CCCII. The WorkFlows client will know which character encoding is used by the Z39.50 site based on the value in this field. Possible values include UNICODE, MARC8, ANSI, CCCII, BIG5, GBK, and UNIMARC. 51 Validate Headings Helper Authorizes UNIMARC Fields The Validate Headings helper has been enhanced with the ability to authorize UNIMARC fields. However, since the Propose Authority function of this helper is MARC21 based, the Propose option is not available (the Propose button does not display) if the bibliographic record type is UNIMARC. The Propose Authority option is still available for MARC21-formatted records. (UNI-14598, UNI-16253, UNI-16254, UNI-16255, UNI-17218, UNI-17825, UNI-18087, UNI-18774, UNI-18786, UNI-18814, UNI-19424, UNI-19440, UNI-20135, UNI-20520, UNI-21522, UNI-20661) Outreach Route Records Replace the Outreach Route Policy Previously, an Outreach Route policy was assigned to an outreach user. The Outreach Route policy created by a system administrator contained only delivery interval information to determine the next delivery date for the users. Subsequent delivery dates were set by reports. The new outreach route records replace the Outreach Route policies, and offer much greater flexibility in defining outreach delivery routes and maintaining the list of users assigned to each route. Each delivery route will have an outreach route record. The Outreach Services staff can specify the route ID, route name, the library to which the route belongs, whether the route is active or inactive, and the delivery dates. Outreach users can then be assigned to a particular route and in a specific delivery order. Outreach Services staff can add users to a route at any time, reorder the sequence of the user deliveries, remove users from the route, and set a user s outreach status to inactive (such as when a user goes on vacation and does not want deliveries during that time). With the addition of the new outreach route records, fields have been added or changed in the outreach user record to contain certain pieces of route information for the user. Overview of Outreach Route Records An outreach route record contains the following fields. System administrators or Outreach staff can manually modify these dates as desired. When an outreach user is added to an outreach route, the Last Delivery Date field in the outreach user record is set to NEVER, and the Next Delivery Date field is inherited from the Next Delivery Date field in the route record. Reports will generally maintain the next delivery dates thereafter, but system administrators or Outreach staff can manually edit the Next Delivery Date in the route record and/or outreach user record. Changes to Outreach User Records The Route field has been replaced with the Route ID field. Previously, the Route field contained the name of an Outreach Route policy. The Route ID field now contains the route ID for the outreach route to which the user is assigned. The following fields have been added to the outreach user record. (UNI-9538) Function Key Mapping Error Handling Enhanced After upgrading to Version 3.2.1, a site noticed that the function keys for some wizards on their local toolbars were remapped. Also, a user noticed that when he tried to remap the function keys back to their original values, the wizards were not available for selection in the drop-down lists. The user had to first remove the function key mapping (so that the field was empty), click OK to exit the Function Key Mapping template, then open the template again to assign the new function keys. 52 Release Notes

53 Now, the function key mapping error handling has been improved in both the Function Key Mapping template (accessed from the Preferences/Desktop/Current Toolbar menu) and in Toolbar Management. Function Key Mapping Template In the Function Key Mapping template, if a user attempts to map a function key to a wizard, and that key is already assigned to another wizard, the template will immediately display a detailed message like the following, and list the conflicting wizard/key: Function key conflicts found. Resolve this issue by mapping wizards to unused keys. F5 SmartPort Toolbar Management In Toolbar Management (including Local Toolbar Management and the Toolbar Management wizard), when a user attempts to map a key sequence (function key) to a wizard and that key sequence is already assigned to another wizard, the tool will immediately display a detailed message like the following, and list the conflicting wizard/key: Selected key is already mapped to another wizard. Please select another key. F5 SmartPort Also in Toolbar Management, if a user attempts to paste a wizard to a local toolbar that has a conflicting function key mapping assignment, the Function Key Mapping template will open and display the mapping conflict message. The user can choose to change the key mapping or not change the mapping. In either case, the wizard is pasted to the toolbar. (UNI-21356) Changes to the Find Holding Code Gadget The Find Holding Code gadget is used in many reports, acquisitions wizards, serial wizards, and selection lists wizards, and is used to find a single holding code from a large list of holding codes. This gadget has been modified to better handle very large lists of holding codes (1000+). Previously, when a library staff member used the gadget to select a single holding code in load reports, orderlines, serial controls, or selection list lines, if the system had a large number of holding codes (over 1000), the gadget could take a long time to display all of the codes. Now, the Find Holding Code gadget has been enhanced to retrieve groups of holding codes (about 1000) for browsing. If a site has fewer than 1000 holding codes, there will be no delay when displaying and scrolling through the list of codes. If a site has over 1000 codes, there may be only a slight hesitation when scrolling through the codes as more records are retrieved from the server. Workflows Client 53

54 Additionally, users will notice the following behavior changes in this gadget. When the user initially opens the gadget, there is no list of holding codes. The gadget window is blank until the user selects a search filter and clicks Search. (UNI-14831) Customized Keyword Searching Added for Libraries With Specialized Keyword Searching Needs SirsiDynix Symphony 3.3 has been enhanced with the ability to assist libraries with specialized keyword searching needs, such as the following. The library has a mix of titles with dialect-specific spellings of suffixes. For example, the keyword searching can be customized so the search term colour will generate keyword search results for the color in American English and colour in British English or Canadian English.The customized keyword search can be configured to also return keyword search results for colors and colours as well. The library uses a language that does not form plurals by adding the letter S to singular nouns. The library has other special needs for searching on certain plural forms or suffixes, or including or excluding certain plural forms and suffixes from the keyword search results. The library wants to define special rules for words that are not pluralized (or de-pluralized) by adding (or subtracting) the letter S. For example, the plural of child can be defined as children for keyword searches. Workflows Client 55

56 The library wants to expand abbreviations into a phrase for keyword searches. For example, the keyword search results for the search term U.S.A could be made to include keyword search results for United States of America ( of is assumed to be a stopword). Most libraries will not need to use the specialized keyword searching feature. If the customized keyword searching feature is enabled in a library, the customization will be applied to all keyword searches. Plurals, synonym lists, and abbreviation expansion cannot be selectively turned off by enclosing the search string in double quotes or using other escape sequences in the search term. If the customized keyword searching is not configured carefully, keyword searching could include unexpected or inconsistent search results. To enable this feature in SirsiDynix Symphony, contact SirsiDynix Sales. (UNI-15472) MARC Family Now a SmartPort Option for Importing Authority Records In the WorkFlows Java client, when importing records via SmartPort, the MARC Family option may now be used when importing authority records as well as bibliographic records. This option may be selected in the properties for the SmartPort wizard for those libraries that have the MARC Family option configured. (UNI-17607) Named Station Already in Use Message Has Been Updated Previously, an attempt to connect via the WorkFlows Java client with a named station that was already in use would give the message COMMUNICATION ERROR This has been changed. 57 Corrections Show/Hide Circulation Information Helper Now Works in Acquisitions, Serial Control, and Accountability Wizard Detailed Displays If a user searched a record, clicked the Detailed Display button for that record, and then clicked the Show/Hide Circulation Information helper at the top of the wizard window, the circulation information would not display in the lower left pane of the viewer under the item tree as it should. The circulation information did appear in the right pane of the viewer. This occurred only in the acquisitions, serial control, and accountability wizards. This has been corrected. Now, in the acquisitions, serial control, and accountability wizards, the circulation information will display/not display in the lower left pane under the item tree as the Show/Hide Circulation Information helper is toggled. (UNI-10782) Scrolling Upward When Viewing Long Hit Lists Corrected After upgrading to Version 3.2, users noticed that in wizards that start with the Item Search step, when scrolling downward through a long hit list of search results, the client would momentarily pause about every 30 records or so to retrieve more information for the next 30 records in the list. However, when scrolling upward through the list, the client would pause on each line, which did not seem necessary as the records had been already retrieved from the server. Version 3.2 uses an upgraded version of Java which modified some behaviors that became incompatible with the WorkFlows Java client, and so caused this choppy scrolling behavior. Now, the WorkFlows Java client has been enhanced to cache a larger number of the records last viewed, and will request more records from the server as needed when scrolling downward or upward through a large hit list. (UNI-10725) Right-to-left Orientated Text now Displays Right-justified in View Pane and Search Hit Lists On Unicode systems, when text that belongs to a right-to-left orientated language (such as Arabic or Hebrew) was displayed in the WorkFlows Java client search window, the text was not right-justified in the View Pane or search hit lists. This has been corrected. (UNI-14598) Workflows Client 57

58 Increased Maximum Response Size Value Default to 3,000,000 The Maximum Response Size option appears in Preferences/Desktop Setup menu and is used to specify how many characters are returned from the server before truncating the information retrieved. To view large records, such as a user record with 500 charges and 300 holds, users can increase this value. Previously, the delivered default value for this option was 200,000. Now, the delivered default value has been increased to 3,000,000 to support larger sites that return a lot of data from the server. This change does not affect existing WorkFlows client installations with locally saved Preferences. (UNI-16238) Red S Character for Shadowed Items Not Clearing Properly In the display wizards, such as Item Search and Display, and edit wizards, such as Call Number and Item maintenance, a red S character will display between the location label and location value when the location is shadowed. If a record contains two copies, one in a shadowed location and one not in a shadowed location, when the user selected the copy in the unshadowed location, the red S remained. Also, in the edit wizards, if a user moved a copy from a shadowed location to an unshadowed location, the red S would remain. In both instances, the red S should be cleared from the screen display. This has been corrected. (UNI-13893) Copying and Pasting of Text Works Correctly on Macintosh Systems Text could not be copied and pasted into fields when the WorkFlows Java client was used on Macintosh systems. When the user copied text within the WorkFlows Java client or externally (such as text from a Microsoft Word file), and tried to paste the text into a field in the WorkFlows Java client, the copied text did not display in the field. The WorkFlows Java client has been corrected so the text copy and paste feature works correctly when the client is used on a Macintosh system. (UNI-15674) Improved MARC Holdings Display in View Pane Previously, the MARC holdings display on the Holdings tab in the View pane did not text wrap. Users had to use the scroll bar to view the entire holdings statement. This has been corrected. The MARC holdings statement on the View pane s Holdings tab will now text wrap. 59 Russian Diacritics Didn t Print in WorkFlows Java Client In the WorkFlows Java client when using File--Print Screen a bibliographic record that contained Russian diacritics displayed and printed the Russian diacritics as question marks. This happened with both Internet Explorer and Mozilla Firefox as default browsers. This behavior did not happen if File--Print Preview was used in lieu of File--Print Screen. This has been corrected. The Russian diacritics now display and print properly in both File--Print Screen and File--Print Preview. (UNI-12580) Search Results Display for Search Queries with No Search Terms If a user did a search by specifying a qualifier (such as language or item type) and a particular library or search library group, but no search terms, the following message displayed instead of any search results. Search time limit exceeded, please simplify search and try again. For example, if the user searched for items printed in the Thai language by selecting Thai in the Language list and limited the search to a specific library or search library group, but did not enter a search term, the hitlist would not display any search results even though the library system s collection includes a large number of items in the Thai language. The search program has been changed so that results will be returned for searches where no search term is specified but the search is limited to a qualifier and library or search library group. (UNI-17545) WorkFlows C Client Search Wizard Results Displays Only First Library in a List of Holding Libraries Previously when the Search wizard (Binocular Search) was used in the WorkFlows C Client and returned search results that included multiple copies with a list of holding libraries, only the first library of the possible list displayed, falsely indicating that one library owned all copies of the item. This has been corrected. (UNI-18357) Phrase Searching on Chinese Language Systems Corrected On SirsiDynix Symphony Chinese language systems, a phrase search containing Chinese characters and that contained spaces before the final single quote was not interpreted as a phrase search. The space before the final single quote caused SirsiDynix Symphony to not interpret the input as a phrase. This has been corrected. Spaces after the initial single quote and before the final single quote are now ignored. Chinese characters within the single quotes will now be interpreted as a phrase.(uni-17667) Workflows Client 59

60 Hyperlink Searching of CJK Terms Corrected Previously, hyperlink searching from a heading that was in simplified Chinese retrieved only records that had the same heading in simplified Chinese, and not both simplified and traditional Chinese, as it should. Hyperlinks that were in traditional Chinese retrieved a complete set of results. The hyperlink searching from CJK terms has been corrected. (UNI-19181) Browse Call Number Search Result Always Highlighted the First Call Number/Item Linked to a Title A user was browsing a hitlist of call numbers, manually highlighted a specific call number in the browse hitlist, and then clicked Detailed Display. Instead of the highlighted call number/copy being highlighted in the call number/item tree, the first call number/copy linked to the title was highlighted. The user expected the exact call number she manually highlighted/selected in the browse hitlist to also be highlighted in the item tree. This has been corrected. Now, when an entry is selected from the call number browse hitlist, the wizards will locate a corresponding call number in the View pane and highlight either the exact call number node or its first item if there are items attached. The same selection will be carried over to the call number/item tree on the Call number/item tab of the detailed display. This change affects all catalog searches when browsing by call number in cataloging wizards, serial control wizards, acquisitions wizards, and more. (UNI-18687) Bibliographic Records Imported through SmartPort Now Display?UNAUTHORIZED flag in WorkFlows Java client In the WorkFlows Java client, when importing bibliographic records via SmartPort, after the record is saved and then viewed in a cataloging wizard, tags under authority control with unauthorized headings were not displaying the?unauthorized flag. This worked correctly in the WorkFlows C client. This has been corrected. (UNI-19109) Message No Longer Displays During Order Browsing in Libraries Using Oracle Databases In library systems that use Oracle databases, using gadgets that browse orders by order number and fiscal cycle (such as the Fiscal Cycle and Purchase Order gadget), would sometimes cause a message to display. The message typically displayed if the library data contained the same order IDs across fiscal cycles because of past rollovers. The following message would display when the user did an order browse that did not return any results, then did a successful order browse that should have returned a list of orders. order not found 60 Release Notes

61 The order browsing has been corrected so the message no longer displays in error for libraries using Oracle databases and with data that contains the same order IDs across multiple fiscal cycles. (UNI-19194) Unable to Open Some Wizards When Client Language Was Set to Non-English Languages Previously, when the WorkFlows client language was set to French, if a user tried to open the Maintain Sets wizard in the Collection Exchange module, the WorkFlows client became unresponsive. This occurred in any wizards that contained autocomplete verify fields, when the translated field value did not match the field data. This could occur in English, but was most likely to occur when the client was set to a non-english language. For instance, if the auto-complete verify field contained the value AUTOMATIQUE (for auto-generate) on French language systems, but the field data was stored as AUTO, WorkFlows was unable to respond quickly enough to verify the field value, and then would become unresponsive. This has been corrected. (UNI-21668) WorkFlows Removes the Microsoft Byte-Order Mark from Flat Text Files Containing UTF-8 Encoding Before Loading the File on a Server If the user used a Microsoft application (such as Wordpad) to create a file of flat records that contained UTF-8 encoding, the file would not load and could not be imported on a Unicode server. The log file often contained the following message. **First line must be document boundary When a Microsoft application creates a file, the following characters are inserted at the beginning of the file as a byte-order mark (BOM) to indicate that the text contains UTF-8 encoding. ï» The WorkFlows Java client has been changed to check flat record files for Microsoft s BOM that indicates the flat text contains UTF-8 encoding. If the BOM is present, the characters are stripped from the file before the file is loaded on the server. (UNI-19207) Workflows Client 61

62 Unable to Retrieve Non-preferred Names When Ordinal Sorting Is Configured On a system configured for Ordinal sorting, if a user selected a non-preferred name from the author browse bibliographic hit list, where the surname consisted of two or more words separated by a space (such as Al Sayyad), the e-library hitlist displayed the following message and would not display the preferred term. Sorry, no cross references were found And, in the Item Search and Display wizard, the following message displayed in the View pane when the user selected the same non-preferred term in the author browse list. For the : null The cross-reference programs were not handling the Ordinal sorting correctly. This has been corrected. Ordinal sorting is used only by a few sites, typically non-english language European systems that use character sets other than MARC-8 or UTF8. (UNI-18725) French Language Messages Not Displaying Correctly Previously, the French language version of the WorkFlows Java client was displaying incorrect diacritics in some system and error messages. This has been corrected. (UNI-23299) Changes to the WorkFlows C Client For Outreach Routes With SirsiDynix Symphony 3.3, outreach route records are used to manage outreach deliveries and the users assigned to each outreach route. Only the WorkFlows Java client can be used to create, modify, and remove outreach route records. The WorkFlows C client can no longer be used to do the following. 63 Outreach Users Cannot be Created or Modified With the addition of outreach route records to the WorkFlows Java client in SirsiDynix Symphony 3.3, the WorkFlows C client can no longer be used to create or modify outreach users. The following wizards have been disabled and removed from the Outreach toolbar in the WorkFlows C client. Create Outreach Information Modify Outreach Information If a user tries to use one of these wizards on an existing custom toolbar, the following message displays. This operation is not supported in the XVT staff client. Use the Java staff client instead. If an existing outreach user is copied with the Copy User wizard, the new user will not be an outreach user because the outreach information will not be copied to the user record. Outreach Route Policies Cannot Be Created, Modified, or Removed The Outreach Route Policy wizard has been disabled, so Outreach Route policies cannot be created, modified, or removed. Use the WorkFlows Java client with SirsiDynix Symphony 3.3 to create outreach route records. Route ID Field Replaces the Outreach Route Field on the Outreach Tab Various wizards display an Outreach tab when a user with outreach information is selected. In SirsiDynix Symphony 3.3, the Outreach Route policy has been replaced with the use of outreach route records. As a result, the Outreach tab displayed in wizards in the WorkFlows C client will no longer display the name of an Outreach Route policy in the Outreach Route field. The Route ID field replaces the Outreach Route field, and displays the ID of the outreach route to which the user is assigned. The WorkFlows C client cannot be used to assign users to an outreach route. Use the WorkFlows Java client to create outreach route records and to assign users to a particular outreach route. The wizard properties that affect the display of the Outreach tab have also been removed. Copy User Modify User New User Registration The Modify User wizard still has the Interests and Histories tabs, and the properties that affect those tabs. Route Selection Field Removed from the Outreach User Selection Tab In reports that use the Outreach User Selection tab, the Route field has been changed to be a read-only field that cannot be modified. The Policy List gadget has been removed from the Route field since the field can no longer be edited. Outreach Report Group No Longer Available The Outreach report group has been removed. The report tab and the individual reports have been removed from Reports. If Outreach reports were already been scheduled or set as a template before the upgrade to SirsiDynix Symphony 3.3, the scheduled report or template can still be modified, and new reports can be created from the template. In addition, the Outreach report group can still be added to an access list using the User Access policy. However, SirsiDynix does not support the use of Outreach reports in the WorkFlows C client. (UNI-16531) Set ID Search Index Available in Item Search The Item Search and Display wizard, the Item Search in the circulation wizards, and Item Search helper now include the Set ID search option. This search option is available only if the system is configured to use the Circulation Sets feature. When the user selects the Set ID index, Browse and Exact are the only available search options (Keyword is unavailable and appears in grey). The Browse search is selected by default. This search retrieves a list of circulation set names, descriptions, and set types. When the user selects a set name in the search list, the Description tab in the View Pane will display more information about the circulation set, and the Items in Set tab will display a list of the items included in the circulation set. (UNI-19935) Corrections Call Number Browse Corrected After upgrading to Version 3.2.1, users noticed a difference in the results list of a call number browse in the Item Search and Display wizard. If a user browse searched an incomplete call number, the results list displayed the record before the searched call number as the first call number in the list, and the call number the user likely wanted displayed as second in the list. But, the Item Search and Display wizard highlighted the first call number and not the second call number. The user expected to see the second call number highlighted, the call number that most likely matched the user s search. Also, if a user browse searched a complete call number, the wizard would display mixed results. Sometimes the call number would be first in the results list, and sometimes not. The user expected the browse search of an incomplete and complete call number to be consistent. These issues have been corrected. Call number browse now returns the closest hit in the second position of the results list, and the wizard will highlight the second entry in the list. (UNI-21267) Workflows Client 65

66 Updating Current User Corrected Previously, by default, the Item Search and Display wizard would update the Current user record with the previous user ID if the displayed item was linked to the user s previous ID. Library staff members found this too confusing. Several sites requested that the Item Search and Display wizard update the Current user record with the user s current ID, unless the library staff member specifically highlighted the previous user ID in the item record. This has been corrected. (UNI-15777) Charge History Tab on the Call Number/Item Tab Was Not Retaining the Current User After a library staff member highlighted a user on the Charge History tab in the Item Search and Display wizard, and then opened the Display User wizard, the user the staff member previously selected did not become the Current user. The Charge History tab was not retaining the Current user. This has been corrected. (UNI-17464)) String Index Out of Range Message When Selecting Call Number/ Item Tab In certain circumstances, when searching titles in the Item Search and Display wizard, the Call Number/Item tab would not display. If the user clicked Detailed Display and then clicked the Call Number/Item tab, the following system message displayed. 69 Academic Reserves General Enhancements Academic Reservations Module Added to WorkFlows Java Client With Version 3.3, the Academic Reservations module has been added to the WorkFlows Java client. Academic Reservations allow users to make advance reservations on Reserve materials to guarantee that the materials will be available at the Reserve Desk at the requested time. Unlike placing a hold, which requests library materials for use as soon as they become available, making a reservation on a reserve title requests a copy of the title for a specific date and time and for a specific period of time. Other patrons may use the reserve materials until the reservation time period; at that time, the item must be returned to the Reserve Desk so it can be checked out to the patron who made the reservation. SirsiDynix Symphony tracks and schedules reservations for the entire reservation cycle, from the staff preparation of reserve materials, to the actual use of the item, and to the return of reserve materials. The Academic Reservations module includes the following features. Reservation profiles can be created to determine how reservations may be made on reserve items. Reservations can be restricted by item type and by user profile. Reservations may be placed by the minute. Starting and ending dates and times must be specified for each reservation. Reservations can be configured to be unavailable for certain times even though the Reserve Desk is open. Academic Reservations Wizards The academic reservations wizards appear on the Reserves toolbar in the Reservations Information and Maintenance wizard group. The following wizards are used to create, display, modify, and remove reservation information. Create Reservations This wizard guides the user through the process of creating a reservation. A reservation is a means of ensuring the reserve material will be available for a specific date and time in the future. Users can search reserve titles using catalog searches and instructor information and course information searches. Display Title Reservations This wizard displays reservation record(s) for a title. Users can search title reservations using catalog searches, instructor information and course information searches, and job ID search. Once title reservations are identified, the Calendar Options provide the ability to limit the reservations display to a given date range. Academic Reserves 69

70 Display User Reservations This wizard displays reservation record(s) for a specified patron. Modify Reservations This wizard makes changes to the reservation record information. Users can search title reservations using catalog searches, user ID, instructor information and course information searches, and job ID search. Once title reservations are identified, the Calendar Options provide the ability to limit the reservations display to a given date range. Users can modify reservation start and end dates, fixed time slots (if used), the pickup library, and reservation extended information (if used). Remove Title Reservations This wizard removes the reservation record(s) for a title. Users can search title reservations using catalog searches, instructor information and course information searches, and job ID search. Once title reservations are identified, the Calendar Options provide the ability to limit the reservations display to a given date range. Users have the option of removing individual reservations records or all reservations records at once. Remove User Reservations This wizard removes one or more reservations made by the specified patron. Once patron reservations are identified, the Calendar Options provide the ability to limit the reservations display to a given date range. Users have the option of removing individual reservations records or all reservations records at once. For more information about how to use these wizards, see the WorkFlows Java client online Help. Additionally, if a user is linked to any reservation records, the Display User wizard in the Circulation wizard group will display a list of a user s reservations on the Reservations tab. Academic Reservations Policies The following policies need to be configured when using Academic Reservations. Item Type For every type of reserved item that can have reservations placed against it, the item's Reservation Profile must be defined in the Item Type policy. Reservations Profile This new policy was added to the WorkFlows Java client. The Reservations Profile policy defines the optional fixed time periods for which reservations can be made, minimum loan periods, expiration time periods, how far in advance reservations can be made on the items, and how much time to allow before the start of a reservation when a loan period must be shortened due to an upcoming reservation. Reserve Desk The Reservations section of the Reserve Desk policy defines when reservations are unavailable. Users can define the default Reserve Desk in the Reserves Session Settings wizard. User Profile The User Profile policy contains the following three reservation related attributes: Reservation Limit, Eligible for Reservation, and Consecutive Reservation Allowed. Bill Reason If users who make reservations are to be billed for the reservation service using the Bill a User wizard, a new Bill Reason policy may need to be created. 70 Release Notes

71 Circulation Map Before a user can make a reservation on an item, there must be a Circulation Map policy that permits charging of that item type by that user's profile and library. Circulation Rule The Circulation Rule policy determines whether the combination of library, user profile, and item type is chargeable. If it is chargeable, the first test of whether a reservation can be accepted for an item has been passed. Library The Library policy contains a Dates Closed attribute, which impacts Reserve Desks. When making a reservation on a reserved item, the system checks the dates closed of the owning library. If the requested reservation falls within any of the dates listed, the item is said to be Unavailable for reservations, and the reservation is not allowed. For more information about configuring the Academic Reservations module, see Getting Started in Academic Reservations in the WorkFlows Java client online Help. When Academic Reservations is configured on the library s system, the Global Configuration policy, Display Booking Profile in Reserves Wizards, is not available. Additionally, the Booking Profile policy values will not display in reserve control records. Academic Reservations Reports The following Academic Reservations reports are included in the Reserve report group. Count Reservations (Reservationcnt) Counts reservation records List of Reservations (Rsvationlist) Lists reservation records Remove Reservations (Remreservation) Removes reservation records in batch (UNI-7221, UNI-16794, UNI-16958, UNI-17363, UNI-17364, UNI-17366, UNI-17585, UNI-17747, UNI-17587, UNI-18141, UNI-18339, UNI-18341) Corrections Remove Reserve and Modify Reserve Lists Now Have Title Glossaries In the Remove Reserves wizard of the WorkFlows Java client, when a user searched by course or course ID, it was difficult for the user to tell the difference between older and newer editions of a title, in order to determine which one to remove. In the WorkFlows C client, if the user clicked an individual reserve in the Status column, a glossary displayed detailed information about that particular item. Without this functionality, the user had to remove reserves individually, rather than removing an entire course's older reserves at one time. This has been corrected. Now, the Remove Reserve and Modify Reserve lists have title glossaries, which should make it easier to select the correct reserve title. (UNI-13331) Academic Reserves 71

72 Reserve Copies Were Incorrectly Set to the FLAGGED Status In the Create Reserve wizard of the WorkFlows Java client, a new reserved copy's status appeared to be set to FLAGGED by default, even though the user had set the New Status for All Copies default property to ON RESERVE. And, in the Modify Reserve wizard, the display of the record on the Copy tab also appeared to default to FLAGGED because there was no blank line available in the drop-down list. Also, when the user changed the status and clicked Modify, there was no confirmation that the record was modified, and so the user did not know that the record was changed. To confirm the change, user had to go back and display the reserve record. These issues have been corrected. The New Status drop-down list now displays a blank line (by default) for the copy status. (UNI-19468) Removing an Item From Reserves at One Library Made a Hold at Another Library Immediately Available In the Modify Reserve wizard and Remove Reserve wizard, when a user changed the statuses and stage of an item, thereby taking the item off reserve, the item's current location was immediately changed to HOLDS if there was an outstanding hold. The hold was also made available. This resulted in the item being immediately available for holds at a different library without notifying the library staff. This has been corrected. Now, when an item is removed from reserve, the item is sent back to its home location, even if there are outstanding holds. (UNI-23839) Create Reserve Wizard Corrections Adding Items with Active Bookings to Reserve Collection Previously, in the Create Reserve wizard, users were able to add items with active bookings to the reserve collection. This has been corrected. Now, if a user attempts to place an item with active bookings in the reserve collection, the following message will display. 73 Modify Reserve Wizard Corrections Cannot Modify Booking Profile in Reserve Record Previously, on a system with the Display of Booking Profile Field In Reserve Wizards global configuration policy turned on, a user created a reserve record for a title/item and selected a booking profile for the reserve. After saving the record, the user decided to modify the record using the Modify Reserve wizard. After changing booking profile associated with this reserve, and clicking Modify Reserve, the booking profile changed back to its original value. There was no way to modify the reserve record s booking profile. This has been corrected. (UNI-18591) Remove Reserve Wizard Corrections Remove Reserve Wizard Not Properly Removing Linked Reservation Records In the WorkFlows C client, a library staff member removed a reserve control record using the Remove Reserve wizard, but the wizard did not properly remove all linked reservations records. As a result, the linked user records could not be displayed, and library staff would see the following system message. ITEM database error--unable to process request This has been corrected. If a reserve control record has active reservations, the Remove Reserve wizard will not allow the record to be removed and will display the following message. 74 Renew Reserve Wizard Corrections Unable To Renew a Checked Out Reserve Item Because of Booking Database Error If a user placed an item on reserve with no Media Desk defined (therefore, having no existing bookings or reservations), checked out this reserve item to a patron, and then tried to renew the reserve, the Renew Reserve wizard displayed the following system message. 75 Accountability General Enhancements Search Library Preferences Added to Accountability Wizards The Search Library Preference behavior properties have been added to the accountability wizards that use the Item Search window. The Search Library List Type property allows the SirsiDynix Symphony administrator to control what libraries are accessible in the Search Library list when searching items. The following selections are available. Search by Library is the default option. Search by Library If the user clicks this option, the Search Library List property becomes active. The libraries presented in this property list are defined in Library policies. (This option does not refer to the Search Library policies.) From the drop-down list, select one of the following Search Library lists. 76 Corrections Backward Slashes Appeared in the Accountability Item Extended Information Oracle Systems Only Previously, in the Add Accountability and Modify Accountability wizards, a row of backward slashes displayed in the item notes after the extended information was saved, even though the user never typed the backward slashes in these fields. When the accountable item record was displayed in the Display Accountability wizard, the backward slashes did not appear in the item notes. This occurred on SirsiDynix Symphony Oracle systems only. This has been corrected. (UNI-15723) Delete Accountability Wizard Corrections Classification List Displayed Policy Descriptions Even When System Configured to Display Policy Names Previously, in the Delete Accountability wizard, even though a system was configured to display policy names only, the Classification fields drop-down lists would display the policy descriptions. This has been corrected. (UNI-15724) Modify Accountability Wizard Corrections Print and Print Preview Commands Were Not Available in Modify Accountability Wizard In the Modify Accountability wizard, when the Bibliographic Description helper is enabled, if the user opens the File menu, the Print and Print Preview commands are available. Previously, after a user opened and then closed the Bibliographic Description helper, she then opened the File menu, and noticed that the Print and Print Preview commands were not available. The user could no longer print from the wizard. Additionally, the wrong icon for the Bibliographic Description helper displayed in Modify Accountability wizard. These issues have been corrected. 77 Acquisitions General Enhancements Proration Invoice Link Types Accept Negative Amounts Previously, negative amounts could only be entered in invoice lines linked using a FUND link or an ADJUST link. Acquisitions has been enhanced so proration link types can be used to apply discounts across an invoice. The three proration invoice link types for copy proration, line proration, or price proration (COPY_PRORA, LINE_PRORA, or PRICE_PRORA link types, respectively) now permit negative amounts to be entered in the Amount field of an invoice line. When the invoice is prorated, the negative amounts entered in the proration links will be divided across the order linked lines on the invoice. (UNI-16835) Acquisitions Supports Tax Rebates in Invoices The Acquisitions module and the Acquisition report group have been enhanced to support tax rebates in invoices. In some cases, materials ordered by a library are eligible for a refund of the tax paid on the materials. The refund, or tax rebate, can range from 0% to 100%. The Acquisitions wizards and tools have been enhanced so users can choose to enter tax rebate lines manually on in invoice, or configure Acquisitions settings and policies so the tax rebate invoice lines are calculated automatically and added to the invoice. To support the use of tax rebates in invoices, the following enhancements have been added to Acquisitions. Two new invoice link types (Rebate/Fund and Rebate/Adjust) Workflows for adding tax rebate invoice lines manually or automatically The Acquisitions Session Settings wizard is used to set up the automatic calculation of tax rebate invoice lines. The settings can specify if the tax rebate amounts are to be applied to a specific fund, to the funds specified on the orderlines, or to a default tax fund. Acquisitions 77

78 The following sections of this release note describe the tax rebate invoice lines in greater detail. New Invoice Link Types Created for Tax Rebate Invoice Lines Manually Adding Tax Rebate Invoice Lines Configuring Acquisitions to Calculate Tax Rebates Automatically Automatically Adding Invoice Lines for Tax Rebates Applied to a Fund Automatically Adding Invoice Lines for Tax Rebates Applied to Funds Designated in the Orderline or to a Default Tax Fund New Invoice Link Types Created for Tax Rebate Invoice Lines Two new invoice link types have been created for use with tax rebates. The Rebate/Fund link designates the fund to which the invoice line tax rebate should be applied. The Rebate/Adjust link specifies that the tax rebate is to be applied to the funds designated in the orderline being taxed. Manually Adding Tax Rebate Invoice Lines Users can do the following to manually add tax rebate invoice lines to an invoice. Create a Rebate/Fund linked invoice line by selecting this option from the Link drop-down list. Create a Rebate/Adjust linked invoice line by selecting this option from the Link drop-down list. When a Rebate/Fund link or a Rebate/Adjust link is applied, the user indicates the Tax policy and Tax Handling settings used for the tax rebate invoice line. The Tax selections are limited based on the tax structure that was selected for the invoice. The Tax Handling selections include Exempt, Rebate, Standard, and Zero. For more information about Tax Handling settings, see the Acquisition Configuration section of this document. Configuring Acquisitions to Calculate Tax Rebates Automatically The Acquisitions Sessions Settings wizard properties have been enhanced to support tax rebates as part of the Invoice Tax feature. If the Calculate Invoice Taxes Automatically property is selected in Session Settings, the Tax Calculated flag on the created invoice is set to Y. The taxes and tax rebates (if applicable) will be calculated automatically as invoice lines are created or modified. When the Calculate Invoice Taxes Automatically option is selected, the following fields are available, and these values are required. Tax Calculation Method Allows the user to select a tax and tax rebate calculation method. The Link Tax Amounts to Default Tax Fund option will create Tax/Fund and Rebate/Fund invoice lines for taxes and tax rebates (tax and tax rebate amounts are directly linked to a fund). 79 The Link Tax Amounts to Order Funds or Default Tax Fund option will create Tax/Adjust and Rebate/Adjust invoice lines for taxes and tax rebates similar to an adjust invoice line -- tax and tax rebate amounts are linked to the funds used in the orders entered on the invoice. Default Tax Fund Allows the user to select a default fund to use for tax and tax rebate amounts. When Calculate Invoice Taxes Automatically is selected, this default must be selected. If the Order in Foreign Currencies check box is selected in the Acquisitions Sessions Settings wizard, each automatically-calculated invoice tax rebate line amount is added to the tax rebate totals on the invoice s Invoice tab in the library s native currency and in the vendor currency. Each automatically-calculated tax rebate line includes an Amount field that can be modified if the Allow Edits to Amount Field in System Calculated Tax Invoice Lines property is selected in the Session Settings wizard, allowing for correcting rounding discrepancies. If the Tax Calculated flag is set to Y on the invoice, and the Amount field on an invoice tax rebate line is changed, taxes and tax rebates will no longer be calculated automatically for the invoice. Once a previously-calculated tax or tax rebate amount is changed manually, the user must manually maintain the invoice tax line and tax rebate line information for the invoice. If the tax fund used for automatically created Rebate/Fund linked lines will vary from invoice to invoice, the Display Property Page wizard property for the Add Invoice wizard and the Add Invoice Lines wizard should be set to Wizard Startup. This wizard property setting ensures the user will have the opportunity to review the current default tax fund before creating an invoice or invoice lines with these wizards. If the Calculate Invoice Taxes Automatically check box is selected in Session Settings, and the specified default tax fund does not exist or is overencumbered, the text (Error calculating tax lines) displays with the message text stating that the fund does not exist or the fund exceeded its expenditure limit when the user tries to add an invoice line. Invoice lines for taxes and tax rebates will not be automatically created, and the user must correct the default tax fund selection before the invoice can be created and/or invoice lines can be added. Tax rebate lines are designated with -Tn* appended to the associated invoice line. For example, for invoice line number 0001, the tax rebate invoice line is designated as 0001-T1*. Automatically Adding Invoice Lines for Tax Rebates Applied to Funds Designated in the Orderline or to a Default Tax Fund The Rebate/Adjust tax rebate automatic calculation method is used for tax rebates that are applied to the funds designated in the orderline being taxed, or to a default tax fund. Amounts linked to Rebate/Adjust are designated as tax amounts and accumulate in invoice tax totals. Each tax rebate line is linked to the same orderline as the invoice line that is created. If the invoice line is linked to FUND, Copy Prorated, Line Prorated, or Price Prorated, one or more tax rebate lines linked to Rebate/Fund are added automatically. One tax rebate line is added for every tax specified in the tax structure that has the tax handling set to Rebate. Each tax rebate line is linked to the tax fund that is specified in the Default Tax Fund field in Session Settings. Tax rebate lines are designated with -Tn* appended to the associated invoice line. 81 Automatic Tax Calculation Enhanced for Tax Included in Invoice Line Amounts Some vendors send invoices in which the line item amounts include tax. If SirsiDynix Symphony is set up to automatically calculate tax invoice lines, the user should modify the vendor s vendor record and select the Tax Included in Invoice Line Amounts check box. When the user creates an invoice using the Add Invoice wizard or Add Invoice for Order helper, the invoice inherits the setting of the Tax Included in Invoice Line Amounts check box in the vendor record. As the user adds invoice lines to the invoice, the user is prompted to enter the invoice line amount that includes tax in the Amount Including Tax field. The Amount Including Tax field specifies the vendor final price including tax. SirsiDynix Symphony will do the following when automatically calculating taxes on the invoice line. If the tax handling for all of the taxes (Tax1, Tax2, and Tax3) on the invoice line is set to Exempt or Zero Rated, SirsiDynix Symphony does not add any tax invoice lines. The Amount Including Tax field (vendor final price including tax) and the Amount field (vendor final price) will contain the same value. If the tax handling for any of the taxes (Tax1, Tax2, or Tax3) is set to Standard or Rebate, SirsiDynix Symphony takes the value in the Amount Including Tax field and determines how much of the amount is the vendor final price and how much is tax and/or a tax rebate. SirsiDynix Symphony then creates Tax/Fund, Tax/Adjust, Rebate/Fund, or Rebate/Adjust invoice lines with the proper tax and tax rebate amounts according to the settings in the Acquisitions Session Settings wizard and policies. When X12 invoice information is loaded using the Book X12 Invoices (Bookinvoicex12) report and the Serials X12 Invoices (Serinvoicex12) report, tax invoice lines are not created automatically in the loaded invoices if the vendor includes tax in the invoice line amounts. The following message displays in the report log. Tax lines cannot be loaded for a tax included vendor. The user must edit the loaded invoices and manually add tax and tax rebate invoice lines and adjust the Amount and Amount Including Tax fields in the invoice lines. 82 Changes to Creating, Displaying, and Modifying Invoice Lines for the Acquisitions Material Type and Tax Handling New fields have been added for specifying the acquisitions material type and the tax handling for Tax1, Tax2, and Tax3 for each line of an invoice. Following sections of this release note explain how these fields display or are modified for invoice lines. The acquisitions material type and tax handling enhancements described in this release note have been added to the following tool and helpers. When an invoice line link type is ORDER, ADJUST, or Tax/Adjust, and the Acquisitions Material Type field is populated in the linked orderline, the Acquisitions Material Type field in the invoice line inherits the acquisitions material type set in the orderline. The Acquisitions Material Type field in the invoice line can be changed, if desired. When an invoice line link type is ORDER, ADJUST, or Tax/Adjust, and the Acquisitions Material Type field is not populated in the linked orderline, the acquisitions material type specified in the Default Invoice Line Material Type (Orderline Link) setting in the Session Settings wizard is used for the Acquisitions Material Type field in the invoice line. If the setting in the Session Settings wizard is blank, the Acquisitions Material Type field in the invoice line will be blank. The Acquisitions Material Type field in the invoice line can be changed, if desired. When an invoice line link type is FUND or Tax/Fund, the acquisitions material type specified in the Default Invoice Line Material Type (Fund Link) setting in the Session Settings wizard is used for the Acquisitions Material Type field in the invoice line. If the setting in the Session Settings wizard is blank, the Acquisitions Material Type field in the invoice line will be blank. The Acquisitions Material Type field in the invoice line can be changed, if desired. When an invoice line link type is Copy Prorated, Line Prorated, or Price Prorated, no default acquisitions material type is set, and the Acquisitions Material Type field in the invoice line will be blank. 83 Setting the Default Tax Handling When Creating Invoice Lines When invoice lines are created, the Tax1 Handling, Tax2 Handling, and Tax3 Handling fields may or may not have default values, depending on the acquisitions material type and the Tax Handling Map policy. If the user selects a value in Acquisitions Material Type field, the Tax Handling Map policy is read to determine how to set the Tax Handling fields. If any of the Tax Handling fields is set to Rebate, the Tax Handling Map is read so the corresponding Rebate percentage field is also filled in. If the user does not select a value in the Acquisitions Material Type field, or if no lines in the Tax Handling Map policy apply to the invoice line, the Default Tax1 Handling, Default Tax2 Handling, and Default Tax3 Handling fields in the Session Settings wizard determine the values set for the Tax Handling fields in the invoice line. If any of the Tax Handling fields is set to Rebate, the Session Settings wizard values are checked so the corresponding Rebate percentage field is also filled in. The delivered value for the Default Tax1 Handling, Default Tax2 Handling, and Default Tax3 Handling fields in the Session Settings wizard is Standard. SirsiDynix Symphony will do the following when automatically calculating taxes on the invoice. If a Tax Handling field is set to Standard, the invoice line is subject to the tax, and a tax invoice line is added for the tax. If a Tax Handling field is set to Exempt or Zero Rated, no tax invoice line is added. If the Tax Handling field is set to Rebate, the invoice line is subject to the tax, and a tax invoice line is added for the tax. In this situation, the invoice could be paid before the user discovered the incorrect split funding. The Receive Orders wizard has been enhanced with the Warn When Receiving an Orderline Which Has Amount Split Funding Segments with Amount 0 wizard property. If this property check box is selected, a warning message will display when a recurring order has a split funding segment that contains a zero amount in an amount split multifunding segment. By default, this check box is cleared. If the Tax Exempt Vendor setting is changed in the invoice from N (no) to Y (yes), and the invoice contains tax and (if applicable) tax rebate lines, all tax and tax rebate lines are removed from the invoice. The invoice totals are recalculated, and funds originally specified in the tax and tax rebate lines are adjusted. 90 Message Warns of Vendor Tax Exemption Conflicts If the Tax Exempt Vendor check box is selected in the Vendor Information tab when a vendor record is created or modified, or in the Invoice tab when the invoice is created or modified, the following message displays if the Tax Paid to Vendor check box and/or the Tax Included in Invoice Line Amounts check box is also selected, and the user tries to save the vendor record or the invoice. The vendor tax exemption conflicts with other vendor tax fields. If the Tax Exempt Vendor check box is selected in the vendor record or in the invoice, the Tax Paid to Vendor check box and the Tax Included in Invoice Line Amounts check box must be cleared because they do not apply to a vendor who supplies ordered materials that are exempt from taxes. 95 Holding Codes Entered From the Keyboard Are Made to Be Uppercase Characters If the Holding Code Dropdown List policy in the Global Configuration wizard was set to Disable Holding Code Dropdown List, users had to use the Find Holding Code gadget or type the holding code in the Holding Code field instead of using a drop-down list. If the user typed the holding code, however, the holding code did not display in uppercase characters. This has been corrected so that any holding codes entered from the keyboard are automatically made to be uppercase characters. (UNI-17396) Manage Fund Cycle Records Report Didn t Include User Access Information The Manage Fund Cycle Records report was creating Edit Fund requests but was failing to include the User Access, which resulted in the error message FF Required Field Missing This has been corrected. (UNI-22604) SmartPort Helper in Add Order Wizards Corrected In any of the add order wizards (such as Add Basic Order), if a library staff member used the SmartPort helper to import a record, for multiple orders or orderlines in one wizard session, the imported record files on the server were not being named uniquely. 97 Add Ordered Items to Catalog Wizard Enhancements New Item Price Source Behavior Properties The Add Ordered Items to Catalog wizard was enhanced to accept default price source settings when creating items for the catalog from paid orderlines. The Source of Item Price behavior property was added to this wizard. Under Source of Item Price, the user can click one of the following price options. Paid Price If this option is selected, and the orderline is paid, the item price for the created items will be the actual price paid to the vendor. This option is selected by default. Order Price If this option is selected, and the orderline is paid, the item price for the created items will be the original order price. Order Price or Paid Price, Whichever Is Higher If this option is selected, and the orderline is paid, the item price for the created items will be either the actual price paid to the vendor or the original order price, whichever value is higher. If the orderline is unpaid, the price will always be the orderline discount price, regardless of Source of Item Price setting. (UNI-18717) Cursor Placed in the New Item ID Field After Ordered Copies are Loaded into the Catalog In the Add Ordered Items to Catalog wizard, the cursor remained on the Add/ Update Items button when ordered copies were loaded and added. The wizard has been changed so the cursor is placed in the first New Item ID field in the Distributions screen when ordered copies are loaded. (UNI-19085) AVAIL_SOON Location Was Not Being Properly Set Previously, the Add Ordered Items wizard was not setting the AVAIL_SOON location as expected. In the wizard, a user searched an ordered title, clicked the Add Item check box and clicked Add/Update items. Then, the user clicked Return to Search to move to the next order, and repeated this process to add another item to another title. When the user searched the two ordered titles in Item Search and Display, the first title correctly displayed the new item in the AVAIL_SOON location, but the second title displayed the new item in its home location, STACKS. If the user repeated the add items process without using the Return to Search button to search a second title, the item locations were properly set to AVAIL_SOON. 99 Create Invoice Wizard Corrections User Can Create an Invoice After Correcting a Duplicated Invoice ID If the user was creating an invoice and specified an invoice ID that was already assigned to an existing invoice, the following message displayed. Invoice already exists If the user modified the invoice ID or entered an entirely new invoice ID, the following message displayed, and the user had to exit the wizard and start it again to successfully add the invoice. The Workslip Printing options in the Receive Orders wizard properties determine when an acquisitions workslip should print. The workslip options are as follows. Do Not Print Workslips Does not print a workslip when orderlines are received. This option is selected by default. Print a Workslip When Receiving Orderlines with Holds and/or Extended Information Prints a workslip when any selected orderline being received either has one or more active holds or any level or range, and/or the orderline contains extended information to print on the workslip. Always Print a Workslip When an Orderline is Received Prints a workslip when Receive Orderline is selected to receive a single orderline, or when Receive Selected Orderlines is selected in the receiving tree. (UNI-18700) Quantity Loaded Field Updated Correctly When the Automatically Set Date Loaded for Items Received Wizard Property is Selected If the Automatically Set Date Loaded for Items Received property check box was selected and the Date Received property was set to TODAY in the Received Orders wizard properties, the Quantity Loaded field was not updated when an orderline was received. As a result, the received title would display a status of ON-ORDER when the title displayed in an e-library search results list. The Receive Orders wizard has been corrected so the Quantity Loaded field is updated properly when an orderline is received. 102 Multiple Orderlines De-Selected When Records Are Busy Message Appeared When receiving an order with multiple orderlines, if all the orderlines were not selected to be received, the checkmarks next to the selected orderlines were deselected. This occured in the following scenario. 1) An order with multiple order lines where at least one of the order lines had multiple distributions. 2) One of the distributions for one of the order lines was locked. 3) In the Receive Order wizard, some of the order lines were selected to receive. One of the selected orderlines was the one whose distribution was locked. 4) Upon selection of the Receive button, the Records are busy" message appeared as a result of the orderline whose distribution was locked. The checkboxes of the orderlines that did NOT get received because of the "Records are busy" error were unchecked if at least one distribution got received. This has been corrected. The check boxes will now remain checked and the selected orderlines will be received. (UNI-22974) Reverse Payment of Invoice Wizard Corrections Empty Confirmation Dialog Box No Longer Displays If an invoice was locked, and the Reverse Payment of Invoice wizard s Automatically Change Specific Date Locked to NEVER property was cleared, the Locked invoices cannot be modified message would correctly display if the user tried to reverse payment of a locked invoice. 104 Session Settings Wizard Enhancements Maximum Number of Segments to Display in the View Pane Increased to 200 Segments In the Session Setting Wizard for Acquisitions and Selections Lists, the Number of Segments to Trigger Display of Single Selected Segment in Viewer Pane property had a maximum value of 100 to limit the number of segments that can display simultaneously in the view pane of the Segments interface. The maximum value has been changed to 200 to display all segments for orderlines with as many as 199 segments. While the maximum value has been changed, the delivered property default value remains at 100. 105 Acquisitions Records Searches Acquisitions Maintenance and Display libraries affect acquisitions record searches in various ways. Maintenance and Display libraries affect searches for selection lists, funds, vendors, orders and invoices using the IDs and names specified in those records. They do not limit the item search in acquisitions wizards. They also do not directly impact the display orders associated with an item. The Search Library Preference on the Behavior tab in Acquisitions Session Settings wizard can be used to limit item search options. But, these properties do not set a default. Item search can be for all libraries, library groups, or can be limited to the libraries in the Acquisitions Display Libraries list. Individual selection list, order, and invoice wizards that use the Item Search have properties for the Item Search default. The drop-down lists for Item Library can be limited by the Session Setting behavior property, Search Library Preference. Default properties for the individual wizards can be used to set a different default for the Item Search. When an item is retrieved, by default, the associated orders owned by all acquisitions libraries display. The default wizard property, Orders for Library, can be used to limit that list by default. There is one library that is not controlled with any property setting, and that is on the Order tab in the view pane. The view pane will always display all open orders for all libraries. (UNI-13392) Added Setting to Prompt Before Cancelling On-Order Holds The Session Settings wizard has been enhanced with the Prompt for Confirmation Before Cancelling On-Order Holds property. Previously, if SirsiDynix Symphony was configured to allow holds to be placed on ordered items, and the global property to automatically cancel on-order holds when orders for materials on hold are changed or removed was selected, the on-order holds were made inactive without warning the user. With the Prompt for Confirmation Before Cancelling On-Order Holds property, the following message prompt displays if an orderline with holds is removed or modified such that the holds are about to be cancelled automatically. On-order holds will be cancelled. Proceed? If the user selects OK to confirm the hold cancellation, the orderline is removed or modified, and the on-order holds are cancelled. If the user selects Cancel, the orderline is not removed or modified, and the on-order holds are not cancelled. (UNI-16919) Acquisitions 105

106 New Settings Added to the Session Settings Wizard for the Default Acquisitions Material Type and Tax Handling of Invoice Lines The following new settings have been added to the Session Settings wizard for Acquisitions. The settings are used to specify the default acquisitions material type to set for invoice lines in certain circumstances, and to specify how Tax1, Tax2, and Tax 3 taxes are to be applied to invoice lines. Default Invoice Line Material Type (Orderline Link) specifies the default acquisitions material type to set when ORDER linked invoice lines, ADJUST linked invoice lines, or Tax/Adjust linked invoice lines are created and linked to an orderline that does not specify an acquisitions material type. By default, this property is blank. Default Invoice Line Material Type (Fund Link) specifies the default acquisitions material type to set when FUND linked invoice lines or Tax/Fund linked invoice lines are created and linked to a fund line that does not specify an acquisitions material type. By default, this property is blank. Default Tax1 Handling, Default Tax2 Handling, and Default Tax3 Handling specify the default Tax Handling setting that is to be used for the Tax1 Handling, Tax2 Handling, and/or Tax3 Handling field in invoice lines when the acquisitions material type is not set in an invoice line, or if no line in the Tax Handling map can be applied to determine the acquisitions material type to set for the invoice line. The property can be set to one of the following values. Exempt specifies that the materials are exempt from taxes. Rebate specifies that a percentage of the tax on the materials is returned. When this value is selected, the corresponding Rebate percentage field becomes active. A value from 0% to 100% may be typed into the Rebate percentage field. Standard specifies that the tax is applied to materials without any special exceptions or circumstances. This value is delivered as the selected default. Zero specifies that the tax is applied to materials at a zero rate. Note: The Rebate tax handling is available only if the SirsiDynix Symphony system administrator sets the Tax Rebates setting in the Global Configuration wizard to Use Tax Rebates. The Zero Rated tax handling is available only if the SirsiDynix Symphony system administrator sets the Zero Rated Tax setting in the Global Configuration wizard to Use Zero Rated Tax. 107 Authority Control General Corrections Empty Authority Records Were Left Behind After User Canceled Add Authority or Duplicate Authority When using the Add Authority wizard or Duplicate Authority wizard to create a new authority record, if a user clicked Close without saving the authority record, an empty authority record could be left behind. The empty authority record contained the text **REQUIRED FIELD** in the 150 tag. This has been corrected. Now, the Add Authority and Duplicate Authority wizards properly delete a new authority record when is not saved and the user clicks Close or clicks the Close button (X). Also, authority records cannot be saved if they contain **REQUIRED FIELD** not replaced by actual text. (UNI-15442) Combined Authority Index Entries Not Working Properly When a user was validating a main entry/uniform title combination in a catalog record (a 100/240 combination), the correct heading was displayed by the Validating Headings helper, but when the user selected the authority record in the resulting list and clicked the Get From the List button, the correct heading could not be retrieved. As a result, the heading in the catalog record remained unauthorized. This has been corrected. (UNI-17470) Validate Headings Helper Propose Authority Function Corrected for UNIMARC-formatted Records Since the Propose Authority function in the Validate Headings helper is MARC21 based, the Propose option is not available (the Propose button does not display) if the bibliographic record type is UNIMARC. The Propose Authority option is still available for MARC21-formatted records. (UNI-18774) WorkFlows Client Unresponsive When Validate Headings Helper Finds an Authorized Heading with Invalid Subfields On a system configured for Record Editor Validation, if the Validate Headings helper was used to find an authorized heading, but the heading contained invalid subfields for the catalog format, the WorkFlows Java client would become unresponsive. This has been corrected. The client will now forgo Record Editor Validation for cases where the field contents are changed via the Validate Headings helper as a result of being authorized. 108 Display Authority Wizard Corrections Previously Modified By Field Now Displays on the Control Tab In previous versions of the WorkFlows Java client, the Display Authority wizard did not display the Previously Modified By field on the Control tab for an authority record. Now, the Display Authority wizard displays the Previously Modified By field below the Modified By field on the Control tab. The user access of the operator who most recently modified the authority record displays in the Previously Modified By field. (UNI-16203) Duplicate Authority Wizard Corrections Duplicate Authority Wizard Was Truncating Headings on Non-English Systems Previously on non-english language systems, the Duplicate Authority wizard was overwriting the authority fields, such as 150 and 110, with the translated text of DUPLICATE AUTHORITY, and then truncating the remaining text so that the actual authority heading was truncated. Example: On a French language system, a user searched the authority term fleurs de lis. In the authority record, the text COPIER UNE NOTICE D AUTHORITè Fle appeared in the 150 field, where COPIER UNE NOTICE D AUTHORITè was the translated DUPLICATE AUTHORITY, but the Fle text was the truncated Fleurs de lis heading. DUPLICATE AUTHORITY is added to a duplicated authority record 1XX field so that the user will be reminded to edit the 1XX field after duplicating the record. Select Convert 852 or 049 to 999 to process 852 fields (if they exist) into Holdings 999 fields in the bibliographic record. If one or more 852 fields are found in the record, they will be used to create Holdings 999 fields. The program will not preprocess the 049 fields. Only if the record does not contain an 852 field will 049 fields be used to create Holdings 999 fields. If no 852 fields are found in the record, then the program will look for 049 fields. If 049 fields are found in the record, they will be used to create Holdings 999 fields. Use this option when loading bibliographic records that may contain both an 852 and a 049 field when the user prefers the 852 field be used to create a Holdings 999 field. The 049 field is used to create the Holdings 999 field only if the 852 field does not exist. Select Convert 049 or 852 to 999 to process 049 fields (if they exist) into Holdings 999 fields in the bibliographic record. 112 Formats Updated to Reflect Changes in the MARC 21 Cataloging Standard The SirsiDynix Symphony formats were updated to reflect changes in the MARC 21 cataloging standard. These changes include updates to the bibliographic, authority, holdings, and community information formats. Only new installations will receive the entire set of format changes in the SirsiDynix Symphony installation. For existing sites, the SirsiDynix Symphony 3.3 upgrade will update only the fixed fields (006, 007, and 008 fields) in the formats. For all of the remaining format changes, existing sites will need to modify their bibliographic, authority, holding, and community information formats to match the changes to the MARC 21 cataloging standard. If existing sites had customized field labels and values in the fixed fields, system administrators should review the formats and fix the customization, if necessary, after the upgrade to SirsiDynix Symphony 3.3 is complete. 118 Allow Immediate Label Printing on Call Number/Item Add Tab A new behavior property for Cataloging wizards, Print Labels for New Items, has been added to the properties for the following wizards. Call Number and Item Maintenance Add Items Add Title Duplicate Title When enabled, this new property allows immediate printing of a label when a new item is added. If the new behavior property is disabled, the item is saved as normal. To print a label, click the Print Preview or Print Labels helper. This property is delivered disabled by default. If the new property is enabled and the Automatically option is selected, the label is sent automatically to the printer when the item is saved. If Prompt for Label Template is also selected, the list of label templates displays before the label is sent to the printer. If the new property is enabled and the Print Preview option is selected, the Print Preview helper opens. The Label Templates dialog only displays once, when the first item is added in the current wizard session. It does not display when subsequent items are added during the same wizard session. Use the Print Preview helper to change the default template during a wizard session. If no default label template is defined for a user and the Print Preview or Print Labels helper is enabled, a system message displays. No default label template defined. 119 If a default printer is not defined, the Print dialog appears. If the default printer is defined, the Print dialog does not appear. This behavior property does NOT apply when call numbers and/ or item IDs are being autogenerated. This behavior property does NOT apply in the Add Title wizard when a new title is created and the first new call number and item ID is automatically created. (UNI-13178, UNI-13981) Added Automatic Printing of Labels Using Default Label Templates of Specific Library/Item Type Combinations Cataloging wizards can now be configured to automatically print a book or spine label using a label template specifically defined for a library/item type combination. For example, when the cataloger searches for a title and adds a new item for the MAIN item library with an item type of BOOK, the cataloging wizards can be configured to automatically print a book or spine label and use a label template specifically defined for MAIN/BOOK. If no label template profile is found for the particular library/item type combination, the label will not be printed, and the cataloging wizard will display a message. A new behavior property was added to the Add Item, Add Title, Call Number and Item Maintenance, and Duplicate Title wizards. If the Print Labels for New Items behavior is selected, the Use Label Template Profiles behavior becomes available. If selected, the wizard will use the label template assigned for this library/item type combination found in the Label Template Profiles Map policies. This property applies to both the Automatically and Print Preview options. The cataloging label templates for specific library/item type combinations are defined using the new Label Template Profiles Map wizard on Configuration toolbar under Cataloging Configuration. For more information about this wizard, see the release note in the System Configuration section. (UNI-15609) Cataloging 119

120 Add Subfield Shortcut (CTRL-D) When Cataloging in Non-Latin Languages When cataloging records in a non-latin language, a new shortcut (CTRL-D) has been added to the MARC editor so that subfields may be added without the user having to switch keyboards. This new shortcut is available under the following conditions. The server is a Unicode server. The input keyboard layout at the time CTRL-D is invoked is other than English. The host platform has at least one English language keyboard layout active. Pressing CTRL-D inserts a subfield delimiter and temporarily switches the keyboard to English for entry of the subfield code, and back to the original layout after the subfield code is entered. If the 3 conditions listed above are not met, the subfield delimiter is not inserted and nothing happens in response to the CTRL-D shortcut. Example: If the input language is Arabic and an English language or keyboard is installed, CTRL-D inserts the subfield delimiter and changes the language to English for entry of the subfield code. After entry of the subfield code, the input language returns to Arabic. If CTRL-D inserts a subfield delimiter into a field containing characters with strong right directionality, the subfield delimiter will be embedded in RLM (right-to-left mark) characters, consistent with usage in the Add Subfield helper. (UNI-12707) New Default Property Display View Pane Added to Some Cataloging Wizards The following wizard properties have been enhanced with a new Display View Pane default Search Preferences property. Item Search and Display Add Items Edit Items Call Number and Item Maintenance Duplicate Title Modify Title You now have the choice of making the View Pane appear or not appear by default in select wizards. If you check the Display View Pane check box in wizard properties, the View Pane will appear. If you clear the Display View Pane check box, the View Pane will not appear. 121 The Show/Hide View Pane helper can still be used to toggle on/off the display of the view pane on the search screen. If the Display View Pane property check box is not selected, the view pane on the search screen does not display until the user clicks on the Show/Hide View Pane helper to toggle on the display of the pane. The view pane remains displaying for the wizard session or until the user toggles the Show/Hide View Pane helper off. (UNI-11467) Cataloging Wizards, Helpers, and Report that Support Label Printing Now Limit the Default Template to Bibliographic Types To improve system response time when printing bibliographic labels from cataloging wizards, the Print Preview Labels or Print Labels helpers, or the Print Custom Labels (Printlabels) report, the list of label templates from which the user can select is now limited to bibliographic templates only. In the cataloging wizards and helpers, if the defined default template is not a bibliographic template, the wizard/helper will display a message, and the user will have the opportunity to reset the default label template. In the Print Custom Labels report, the Label Templates tab now only displays bibliographic templates for selection. This limit does not apply to the Label Designer wizard. All template types are displayed in the Label Designer wizard. (UNI-15937) Can Now Assign Available Soon Current Location to New Items as They Are Created Users can now automatically set the current location of items to an Available Soon location as they are created in the cataloging wizards. A new behavior property, Set Current Location of New items to AVAILABLE SOON, was added to the cataloging wizards where users can create new items. When this behavior property is selected, new items will be assigned the first current location (found in policies) of the AVAILABLE_SOON type. When the items are later scanned in a circulation wizard, this location will be automatically removed. The new Available Soon behavior property appears in the following wizards. Add Items Add Title Call Number and Item Maintenance Duplicate Title Cataloging 121

122 The Add Brief Title wizard does not have this new behavior property. (UNI-16504) Tab Display Preference Default Property Added to More Cataloging Wizards The Tab Display Preference default property has been added to more cataloging wizards. By selecting this property, users can set a preference for which tab displays on top in the detailed display. This preference property was previously implemented for the Modify Title wizard, and is now implemented for the following wizards. Item Search and Display Add Title Duplicate Title Review Title Call Number and Item Maintenance Add Items Edit Items Additionally, the wizards have been modified to display a warning message when a user sets a conflicting Tab Display Preference. If the user modifies a Tab Display Preference and it conflicts with another property, the message Tab Display Property Conflict will display. When the user clicks OK in the dialog box, the conflict-causing selection will be removed, and the user can resolve the conflict. For example, if the user selected the MARC Holdings tab to display first, but she did not select to Maintain MARC holdings or did not select the Show MARC holdings property in Item Search and Display, the property conflict message will display. The user can select the MARC holding properties and then select the MARC Holdings tab to display on top. Also, if a property conflict should exist when saving properties, the wizard will prompt the user again to resolve the conflict before saving. If the user saves properties with the conflict, the default tab will display on top in the next wizard session. (UNI-16145, UNI-17092) 122 Release Notes

123 Save Changes Alert Added to MARC Holdings Tab Previously, when a user added or edited a MARC holdings record, she had to explicitly click the Save button in order to save changes before moving to another tab in the bibliographic record. Now, before the user moves from the MARC Holdings tab, the wizard will display an alert dialog box with the following message. Data has been changed. Do you want to save? The user can click Yes to save the changes she made, No to not save the changes, or Cancel to the return to the modify or add MARC holdings window. (UNI-16631) Call Number/Item Tree Displays a New Icon When a Title Has Holds The call number/item tree on the Call Number/Item tab now displays a new icon when a title has any title or item level holds. The title node displays the following icon when there are associated holds. When a title has holds, the call number/item tree would display as follows. This new icon displays for the Item Search and Display wizard and all other cataloging wizards where the call number/item tree displays. (UNI-2937) Label Designer Sample Templates Are Now Delivered with the Version 3.3 Upgrade Previously, only new installations of SirsiDynix Symphony received the Label Designer sample templates when their systems were configured. 124 New Add NSB/NSE Characters Helper for Non-sorting Begin and Non- Sorting End Character Input Unicode Systems Only The new Add NSB/NSE Characters helper was created for adding and viewing the NSB (Non-sorting begin) and NSE (non-sorting end) characters in WorkFlows Java client cataloging and authority wizards. Because these characters are only used in UNIMARC formats, the helper is only available on SirsiDynix Symphony Unicode systems. The NSB/NSE are non-printable characters and will not display in full record displays or cataloging and authority wizard View panes. The Add NSB/NSE Characters helper is available in the following wizards: Add Title Modify Title Duplicate Title Add Authority Modify Authority Duplicate Authority A new property, Add NSB/NSE Characters, was added to the Helpers tab in the wizards properties. When the user selects this property, and if the format of a record is a UNIMARC format, the helper will display in these wizards. To use this helper, the user places the cursor where the non-sorting character should be inserted, selects either NSB Non-sorting Begin or NSE Non-sorting End from the drop-down list that displays next to the helper, and clicks the Add Non-sorting Character icon. The non-sorting character will appear in red in the cataloging template (or authority template) when in edit mode. The non-sorting characters will not appear in the bibliographic and authority View panes or full record displays, when printing with File\PrintPreview and File\PrintScreen, or when using the Bibliographic Description helper. The ALT+N keyboard shortcut can be used to access the helper. Use the UP and DOWN arrow keys to select the character, tab to the Add Non-sorting Character icon, and press ENTER. To delete a non-sorting character, the user can place the cursor before the character (which displays in red) and press Delete or can backspace over the character. (UNI-18814) SirsiDynix Symphony Maximum Z39.50 Record Size Increased to 300,000 Bytes The SirsiDynix Symphony server is now capable of returning records up to 300,000 bytes in size back to a Z39.50 client requesting the record. This only pertains when the MARC record is being sent in XML or SUTRS format. For MARC21 format records, the maximum size is now 65,530 bytes for SirsiDynix clients and 99,999 bytes for those clients which can handle records this large. (UNI-20795) 124 Release Notes

125 Corrections Some Diacritics and Special Characters Caused Incorrect Linking of Paired Fields Previously, the automatic linking feature of WorkFlows for 880 paired fields was linking fields that should not be linked. It was determined that the original implementation of this feature failed to recognize several characters as Latin and caused the incorrect linking behavior. For example, if the text of a repeated 700 field contained the ayn diacritic, it could cause the field to be automatically linked to the first 700 field as a romanized/original script paired field, even though this second 700 field was not in non-latin script. The original implementation failed to recognize the following characters as Latin: 02B9 Soft Sign, Prime/Modifier Letter Prime 02BA Hard Sign, Double Prime/Modifier Letter Double Prime 02BB Ayn/Modifier Letter Turned Comma 02BC Alif/Modifier Letter Apostrophe FE20 Ligature, First Half/Combining Double Inverted Breve FE21 Ligature, Second Half/Combining Ligature Right Half 2113 Script Small L 266F Music Sharp Sign This has been corrected. (UNI-19091) Library Heading for Holdings Not Displaying When Other Copies Were In Shadowed Locations In the WorkFlows clients and the e-library, when the holdings were displayed for a title that had some copies in shadowed locations, the Library heading line was not displaying. This made it appear as though some of the copies belonged to the preceding library in the list. This has been corrected. (UNI-20725) Cataloging 125
