3 1 Introduction This document is the installation and configuration guide for the CatDV ADA Archive Additions. The Archive Additions provide an integration layer between CatDV and ADA supporting Archive, Backup, Retrieve and Reporting functions. The Archive Additions are developed by QLS Distribution Ltd, and resold by Square Box Systems. Technical and Sales Support is provided via the normal CatDV process. This document is intended for a technical audience, specifically those responsible for installation or support of the Archive Additions, CatDV and / or ADA. A working knowledge of ADA and CatDV is assumed. 4 2 Product Overview Atempo Digital Archive provides highly configurable data lifecycle management supporting many platforms and file systems. The CatDV-ADA solution leverages the power of CatDV Enterprise Server and Atempo Digital Archive to provide an intuitive user interface to the complex task of backup and archiving of digital assets. CatDV-ADA Archive primarily deals with media location, whether online or committed to archive for long-term storage of digital assets. Research has shown that a small percentage of archived files may be needed for future events but protection of all assets will ensure availability. Considering the cost of high bandwidth storage, CatDV-ADA may also be employed for edit with proxy workflows where the high definition media is required for final conform tasks. CatDV provides first class media asset management and is the essential control component for your metadata, including file location and historical events relating to archive operations. Whilst CatDV-ADA directs media by operator request, CatDV receives tracking metadata detailing the media location at any point in time. Please ensure you have a means of periodic back up of your CatDV Server database and ADA, as the information contained represents your media asset management investment. The user interface for CatDV-ADA consists of six actions to empower nominated operators with archive related tasks. The product aims to be simple in use but incorporates sophisticated routines for validity checking and early reporting to keep the user aware of archive related events. Whilst the Archivist initiates archive related tasks, the Worker (Macintosh) is employed for queuing, processing and ADA communication. This method permits the use of multiple Archivists without imposing additional load to the workstations in use. CatDV-ADA Archive supports Mac and Windows file paths. Operations are performed at the master clip level, the individual record of a CatDV import. Atempo may be used with a wide variety of storage systems, the design accommodates SAN technologies from volume to file level write access, details will be shown later in this document. The CatDV-ADA Solution comprises several additional programs to a standard CatDV Enterprise Server deployment. 4

5 3 Example Deployment Architecture The following diagram illustrates the platform possibilities and software additions to be made in a typical system. 5

6 4 Pre-Requisites This section describes the items that are required before an installation should be attempted. 1. A CatDV server (v6.6 or above) and clients (v9 or above) installed (on either Mac or Windows) 2. A CatDV worker (v4 or above) installed and running on a Macintosh OSX 10.6 or above 3. CatDV running on appropriate hardware according to CatDV System requirements. 4. Appropriate CatDV path mappings if network paths on the CatDV clients (Pro, Enterprise or Pegasus), Server and Worker are different. 5. Atempo Digital Archive (ADA) Server or above is already functioning and accessible on the network. 6. Appropriate networking so that CatDV clients, the CatDV Server, the CatDV Worker and the Atempo Digital Archive (ADA) can see the footage on the chosen storage. The CatDV Worker and Server may be on separate machines or potentially on the same machine if it s a Mac depending on the CatDV deployment. The Worker requires access to the project media in order to manipulate files to and from ADA. This may consist of fiber or Ethernet accessible storage with SAN agents providing connectivity. It may be useful to perform the following steps to verify the set up above has completed successfully: 1. Test storage connectivity to ensure the volumes holding high-resolution media are accessible by the Worker and Archivist workstation. Archiving and retrieval operations require file movement so the highest bandwidth medium is preferred. Consider path mappings and thoroughly test if you need to support Windows and Mac clients as clips imported to CatDV from Windows users will require path mappings in some Worker actions. CatDV supports the use of proxies, which are not affected by archive or backup operations. 2. Ensure the CatDV Worker is installed and licensed. It is recommended that the Worker folder be installed to the /Applications folder of the Mac. Configure the Worker to connect to CatDV Server where the login account has sufficient permissions to access/modify any clip in the system considered for archive or retrieval. Please refer to CatDV Worker documentation for more information on how to install and configure the product. You may wish to place your own Worker scripts for other tasks on the same machine; this can be carried out at any time, as CatDV- ADA will add archive tasks during configuration. 6

7 5 Installation Instructions For CatDV-ADA Archive Solution CatDV-ADA Archive Additions installation is a two part process requiring a Macintosh CatDV Worker for the archive engine components and either Mac or Windows for the CatDV desktop clients (CatDV Pro, CatDV Enterprise or CatDV Pegasus). CatDV-ADA Archive Additions must be installed on each of the CatDV Pro clients that require archive tools. It can be installed on both Mac and Windows platforms. Please read the following notes for guidance on when and where to carry out the installation. A CatDV Worker running under Mac OSX is required to action the archive/backup or retrieval requests generated by the Archivist. The Worker centrally manages archive requests from the different CatDV workstations. The Worker also requires the addition of an ADA agent, or server, to allow communication between CatDV Worker and ADA. This is described below The process for installation is as follows: 1. Install the ADA Agent 2. Install Worker Additions 3. Configure ADA 4. Configure Archive Additions 5. Create a Worker Folder Share 6. Install the Client Additions Use the usual administrative account for installation. The installation guide provides a step-by-step worked example. For simplicity the documentation cover the set up of a disk based archive. The process is identical and the documentation also describes any tape specific features. The following diagram shows an ADA policy configuration working with CatDV-ADA Archive. Note that in this case the ADA Server (database) also resides on the Worker machine. Often the ADA Server would be on a separate system so only the ADA Agent would be required on the Worker. ADA Administration and ADA User Interface are separate GUI management tools and may be run from any machine on the network. 7

8 5.1 Install the ADA Agent Install the ADA Agent on to the Worker node. Accept the installation path recommendations, as it will simplify configuration options of CatDV-ADA later. It is assumed that an Atempo Digital Archive Server with database is already functioning and accessible on your network. Please refer to ADA documentation for agent or server installation details. Resolve any communication problems between agents and server by DNS or the use of host entries. There are a number of ADA parameters to configure prior to use with CatDV. Irrespective of whether the deployment has functional tape library, new archive policies are required that will communicate CatDV instructions and metadata. 5.2 Install the Worker Additions Run the installer for the CatDV ADA Worker Additions and follow the instructions. 5.3 Configure ADA Launch Atempo Digital Archive Administration and login to the ADA server. The root user password is blank on a new ADA server installation. 8

9 The following screen shots are taken from a configured ADA Server with hints as to how the values were entered. Please refer to Atempo documentation for further information. The process consists of naming an element, setting values and selecting Save Declaring the ADA Platform This example is using the Worker as ADA Server so only one platform is declared. Note that if your ADA Server resides on another machine then both must be declared. Hint: New New Platform. Drop Name box to select local host and Save. 9

10 5.3.2 Declaring the Retention Policy The retention period is under your control. This is usually infinite. Hint: New New Retention. Name and select a value (<without> means infinite) Declaring the Storage Manager and Container This example uses a simple disk store for the archive. Whilst a tape library is probably the target in your environment, your selection of Type in the following screen shot will depend on how your tape library is controlled. Please refer to the setup documentation for your appliance. Hint: New New Storage Manager. Name and select Type and Save 10

11 Hint: Highlight your entry New Storage Manager Container and complete as appropriate for your archive device. Save Select the Storage Manager Container to complete the form. The example is using storage on the local Macintosh for demonstration. 11

12 5.3.4 Declaring the Archiving Policy Hint: New New Archiving Policy. Select Retention and Storage Manager Container - Save Declaring the CatDV- ADA Metadata The clip metadata stored by CatDV is also stored in ADA. This will permit archive searches based on metadata within ADA. The following illustrates support for basic fields exported by CatDV. Select Server Information in the left panel to reveal Metadata Hint: New New Organization. Enter catdv and Save. 12

13 Highlight the catdv entry and select New New Metadata. Untitled appears. Complete the Name, Label then Save for each of the entries listed in the previous screen shot Declaring the ADA Project Archive The next step involves the creation of a Project Archive to combine the elements previously entered. Hint: New New Archive. Complete as per the following screen shot and Save. 13

14 Note All items in Default User Rights on Archives set to Yes. Select Show All to reveal the metadata collections then place a tick against each item under catdv. The Project Archive name you have entered will be required by the CatDV-ADA configuration program explained later. 14

15 5.3.7 Defining the ADA Task CatDV-ADA Worker Additions installed the folders and files required, so use the Select buttons to complete. Select Tasks New New Task and complete the form as follows: The CatDV-ADA Settings program will require the Task name you have entered at a later stage. The final step is to modify Default Settings as shown. This will ensure media names are reported. 15

16 This completes the configuration of ADA. 5.4 Configuring CatDV-ADA Archive. Locate and launch the file named SettingsApp.jar in /Applications/CatDVArchive/Bin folder on the Worker. Note: Please leave the folders, programs and jar files in the original install locations under /Applications/CatDVArchive. An alias may be created for CatDV Archive Settings but do not relocate any files or folders under /Applications/CatDVArchive as errors will occur. A window similar to the following will appear: 16

17 5.4.1 Settings Parameter Description The Settings utility opens on the General tab. Modifications to any parameter in General and ADA must be Saved using the File menu before entering the Pre Flight tab. CatDV Worker Directory The path to the Worker directory may need modification if your version differs. Use the browse button to select the catdv file in your Worker folder. Please take care if you retain older versions that you select the Worker normally in use. The path displayed under the CatDV Worker Directory reports the Worker configuration file path (varies for version) and is not editable. Note if the CatDV Worker is upgraded the CatDV Worker Directory field may need to be updated Queue The queue parameters provide some control over the maximum number of file move requests that are embedded in one ADA job submission. The batch size allows the user to control whether few (large clip sizes) to many (smaller clips) comprise a single ADA job. 17

18 5.4.2 The ADA Tab General ADA Bin Directory Use the browse button to select Atempo s Bin folder. Default is shown. Server ID: This is the ID of the ADA Server This can be obtained by logging into Atempo Digital Archive User Interface and selecting i (in the top right hand corner). 18

19 Archive Name: This must match the project archive you created in ADA. Web Server Host, Port and Key are best discovered by running an ADA utility on the ADA Server (which includes includes the ADA database). In this example it happens to be the Worker check in your deployment. Extract from Atempo documentation: On the Atempo Digital Archive Server: [Windows] Choose Start - All Programs-Atempo Digital Archive - Atempo Digital Archive Environment Command Prompt. [Mac OS-Unix] Open a terminal in the directory $ADA_HOME$/Binary and set the Atempo Digital Archive environment by running the..ada.sh command. Type the command: ada_service -build_url -identity user:password The command returns the URL corresponding to your environment. The following is the result of running the commands on the Macintosh used in the example, as this machine is also the ADA Server: 19

20 The Web Server name appears after The Web Port is next, 80 The Web Key is the group of alpha numeric between meta/ and before /ADA/WS ADA Task Username: This is normally root ADA Task Password: The password associated with the above account. ADA Task Name: This must match the task you created in ADA. Max Running Jobs: Default value = 3 This represents the maximum number of concurrent archive jobs Pre Flight Tab of CatDV Archive Settings. When all the settings have been entered, select File and Save. Click on the Pre Flight tab of the CatDV Archive Settings window. This is initially blank but select Run Pre Flight and a series of actions will commence, the results will appear in the window. The values entered in Settings are committed to a number of program support files along with a series of environment checks. Example output of Pre Flight check ADA and CatDV Worker entries are tested and will show an error if incorrect. Check your settings, make corrections and Save before running Pre Flight again. Web Server, Web Key and Web Port are tested and will indicate errors if communication fails. Check Settings, correct entry and Save before running Pre Flight again. This utility may be run at anytime to verify program integrity or apply changes, please remember to Save any changes made in General or ADA tabs before running a Pre 20

21 Flight. The Worker scripts are also checked and three actions are injected relating to archive functions, where required The License Tab CatDV-ADA Archive requires a license for operation. The customer receives one or more files which must be copied to /Applications/CatDVArchive/Bin/License folder on the Worker. The license details may then be viewed in the License tab window of the CatDV Archive Settings utility. Viewing License Detail Note the above displays an expiry date which is ignored as the license Status is Full. A Status of Demo will be displayed for time limited licenses. Service The background services Archive, Engine and Retrieve may be Started or Stopped by the buttons provided. The numeric boxes are enabled when the related service is stopped to allow changes, please remember to Start services before leaving the utility. The numerals indicate repeat intervals in minutes, it is recommended that Engine is set for 1 as this service updates CatDV records with the latest archive status. Archive and Retrieve will determine how frequently to prepare submissions to ADA. The settings shown allow quick responses for setup testing and demonstration but longer times may be more realistic for production. The buttons are highlighted blue when a service is running. 5.5 Create a Worker Folder Share Archivists have a command named ADA Archive Statistics in the CatDV Pro Tools menu 21

22 to display historic throughput of archive related events. The Worker hosts the application and summary data which must be accessible from the Archivists workstations. If your installation requires the use of CatDV path equivalence, as is the case when Mac and Windows clients are used, the Worker needs to provide the path equivalence entries to the archivist workstation and is also achieved through the use of this shared folder. Create a new standard user account on the Worker named ADAArchive with a password of ADAArchive. This will be used to restrict access to Archivists. A folder named /Applications/CatDVArchive/Results exists in the Worker system disk, which requires sharing over afp and smb (if any CatDV Pro clients are running Windows). Open system preferences Sharing and select File Sharing. Add a new share and browse to /Applications/CatDVArchive/Results Add the user ADAArchive to the Results share and give read access. Select Options to modify protocols. 5.6 Install the CatDV Client Additions Run the installer and follow the instructions. Restart the CatDV desktop client. 22

23 6 Testing the Installation Start the CatDV Worker and verify that backup, archive and retrieve actions have been added and enabled: Move To Archive and Copy To Archive may require the addition of path mappings in support of Windows file paths. The following example interprets Z: in CatDV media paths to /Volumes/store1 allowing the Mac Worker to interpret Windows file paths. Ensure the Worker has access to all media storage volumes, preferably read/write to complete archive and restore requests. Check that path mappings are valid by running CatDV Pro on the Worker, open a catalog with Windows paths to ascertain the required path mapping entry as it will be the same for CatDV Worker. Whilst it is possible to backup a read only volume, it is not possible to restore or delete files unless write access is granted to the Worker. Leave the Worker running, it s time to prepare a client. 23

24 Install CatDV-ADA Archivist Additions on to a workstation, using the appropriate edition, OSX or Windows. Note: CatDV Pro should exist and be licensed on the selected machine. Launch CatDV Pro and check the Tools menu, additional commands are available: The archive tools will only exist on the CatDV Pro workstations that have received the CatDV-ADA Archivist Additions. Normal CatDV users cannot initiate archive functions or interfere, allowing the delegation of archive responsibilities. The Archivist Operation Guide also provides information on the use of these commands. CatDV-ADA Archive will create archive related metadata fields (on access) to aid searching and easily view archive status. The new metadata fields are generated by submitting archive and retrieve requests to prime the system and will occur during initial tests. Copy a few clips into a test folder, then import to CatDV and publish the catalog. Select one or more of the clips and right click the selection to choose Move To Archive or select the same action from the Tools menu. The first launch of an archive action will result in a dialogue box requesting the Worker IP address if the administrator has shared the /CatDVArchive/Results folder as per Worker setup instructions. The IP address is saved for subsequent use. 24

25 Validity checks are run against your selection and tabs provide details when multiple clips report different validity results. Selecting Submit will publish the request to CatDV Server, Cancel will return to CatDV without making any changes. The acknowledgement message of a submitted archive request: Highlight one of the clips you have just submitted for archive and choose ADA Archive History from the Tools menu. A dialog box will appear: This information is available on any clip and will be updated throughout the archive process. Remember to refresh the CatDV Pro screen in order to view the most recent clip information. The operation was repeated after a few minutes to see details of the completed transaction. The archive test you have conducted should result in offline clip(s) and confirmation from viewing ADA Archive History that the clips are stored in the project archive. Note that the storage manager container is the project archive in this illustration, which follows the example configuration. If your configured project archive is a tape library, then a tape identifier will be shown. i.e. 25

26 Note that ADA provides confirmation that the clip exists in the archive prior to online deletion. Select one or more of the offline, archived clips, right click the selection to choose Retrieve From ADA or select the same action from the Tools menu. Submit the request and refresh the CatDV window after a few minutes. The selected clips will appear online (restored to the original file path) and have an archive history similar to the following: Backup To ADA follows a similar process with the exception of deleting online media. CatDV-ADA Archive copies media to the same project archive for backup and archive operations. If clips are in the archive, indicated by CatDV archive status, they may be retrieved using the Retrieve From ADA tool as often as required. ADA Purge Online Files enables the archivist to delete online media that has been backed up or retrieved from the archive and operates directly from the archivist workstation. The CatDV record is maintained within the catalog for future retrieval operations. This utility will check the archive status of selected clips before attempting deletion of the media indicated by the reported media path in CatDV. Example use of ADA Purge Online Files : Selecting Purge results in: 26

27 Note the Purged column now reports true and the user exits the window with the Close button. If the clips fails the purge operation some detail will appear in the Reason column. 27

28 7 Viewing Archive Details in CatDV CatDV Preferences are used to configure Views, Detail Panels and predefined Searches to allow all archive information available for the archivist and whatever you consider useful to the general users. The archive and retrieve operations you performed can now provide archive detail within CatDV views. The following demonstrates how to modify views and searches for the example system, modify the procedure to suit your environment. Open CatDV Preferences and select Metadata Columns under Field Definitions. Change the Type of the arc_job, arc_state, arc_store and ret_job fields to Grouping. Save the changes to the server. Clients will inherit these settings when logging into the same Server/Production Group. This will allow automatic grouping in 'All Fields' under FILTERS. These will filter selected clips for the archive operations of interest. Example of applying Filters to the current CatDV window. 28

29 Existing CatDV Views may be modified to incorporate archive detail of interest to the archivist and informative to any CatDV user. The following new View, ADA Demo, was created to show the archive metadata in operation. Examine the many fields available and experiment with different views and types to suit your archivists and users. This new View was saved to a Production Group in CatDV to be inherited by specific users (Archivists) when they log in. arc_state The current status of the clip arc_store The ADA Project Archive containing the clip 29

30 arc_job The ADA job reference that handled the archive event with the time of submission. ret_job The ADA job reference that handled the retrieve event with the time of submission. The arc_state field could be added to any normal CatDV user View to explain why a clip is offline e.g. Archived. If clips having the same media path are found within CatDV, they will appear offline due to one of them under going an archive request. CatDV-ADA Archive will enter an archive status against all affected clips to explain its current status: The archivist can be asked to retrieve clip (Remote ID) 2040 to put this clip, and any other equivalents, back online Server Smart Folders may be created to view archive details in CatDV. The corresponding query for arc_state: 30

31 Similar queries may be created for arc_job, arc_store and ret_job. The results may be further refined by applying Filters. 31

32 8 Using the ADA UI to Navigate the Archive The archive tools within CatDV provide a simple means of submitting instruction to ADA. The archive may also be accessed through the ADA User Interface. The archive layout simulates the original storage paths but media may be restored to any accessible location through this interface if required. Note: The Archive Status and metadata fields will not be updated to Retrieved From Tape if this method of restore is used. The basic metadata is also stored allowing searches in ADA. 32

33 9 How CatDV-ADA Archive Additions Operates This section describes how the Archive Additions operate including the various queues. The installation of CatDV-ADA Worker Additions created a folder structure that is used to control the flow of requests to ADA. There are several job preparation events prior to communicating with ADA, hence the use of ADA_XML_QUEUE and ADA_XML_PREQUEUE folders. This arrangement also permits a regulated flow of requests to the ADA_XML_INGEST folder, which is where ADA collects archive related jobs. The rate of job submission is controlled by CatDVArchive Settings.jar Archive/Retrieve Batch Size and Max Running Jobs. The system relies upon valid XML formatted files for operation. ADA s response to a presented job is to output a resultant XML file to one of the following folders: ADA_XML_ERROR: If ADA is unable to process an XML request. ADA_XML_REPORT: The target for response files when task analysis is successful. License - Your product license files must be placed here Settings Configuration files for your deployment. Logs Service logs for background processes Results Report program and data ( ADA Archive Statistics ) The remaining folders in /Applications/CatDVArchive provide: Bin - SettingsApp.jar - The configuration program for CatDV-ADA Archive Extensions A copy of the archivist addditional CatDV Pro tools Actions, ArchiveSystem and Lib contain programs and deployment data. 33

34 9.1 Description of the Archive to ADA request The Archivist has logged into CatDV Server and searched or loaded a catalog of clips. Clips are highlighted and Archive To ADA is selected. The Archivist confirms the request (details in Archivist Operational Guide) and the archive status changes are committed to CatDV Server. The Worker will detect the changes during the next poll and create tasks in its queue. Each task is processed very briefly as the Worker simply launches an external program to further process the operation. A Completed status of archive tasks in CatDV Worker indicates the commencement of a linked operation, there are several more processes handled by background programs in support of archive functions. A typical view of archive requests in CatDV Worker the Worker execution is brief. CatDV-ADA Archive manipulates XML files relating to each clip within the queue folders for presentation to ADA. A view of the QUEUE folders during active jobs Files are modified and relocated within the folder structure during processing. Whilst they may be viewed do not modify the contents, as errors will result. A view of ADA Jobs showing archive operations 34

35 Each phase of a clip archive operation results in CatDV Server receiving archive status updates from CatDV-ADA Archive background programs. The time taken for archive completion is dependent upon factors such as ADA current tasks and type of archive, but the Archive Status updates happen within a minute (CatDVArchive Settings.jar Service-Engine) of obtaining confirmation of each process. 35

36 10 Troubleshooting All services must be functional to process archive functions. CatDV Server must accept the archive/retrieve requests so server login is required. The Worker Actions must be running, if metadata fields do not appear when a requested clip record is refreshed then check the Worker status. Engine, Archive and Retrieve programs of CatDV-ADA Archive must be running to liaise between CatDV Server and ADA, launch /Applications/CatDVArchive/Bin/SettingApp.jar and view the service tab for the condition of these services. The Pre-Flight utility may be used to provide some guidance on communication or configuration problems. There is little room for error in the CatDV Archive Settings entered and committed during the Pre Flight process. If Pre Flight does not report errors, it is worthwhile submitting an archive of test assets to the intended archive via the Atempo Digital Archive User Interface. Whilst this action bypasses a lot of automation, it will convince you that ADA has access to the media and submissions to your archive are successful. Check Jobs in Atempo Digital Archive Administration for any problems with this request. Apart from the entries in CatDV Archive Settings relating to the ADA Server, the ADA task name and Archive Name will not be validated until a job is submitted to ADA, accuracy is essential. Do not confuse ADA Archive Policy with the Project Archive the ADA Task and ADA Project Archive name are required in CatDV Archive Settings. Remember to Save any modifications you make in Settings before running Pre Flight. When the CatDV Worker triggers a backup or archive action, the file paths are determined by path mapping associated with the event. Each entry relates to the path to be used by the Worker and entered into Archive Status. /Applications/CatDVArchive/Logs/Service.log recycles at 5MB and a new one is generated. Logs are maintained up to a count of twenty. The installation of CatDV Archivist Additions places additional files into a general Java extensions folder of the CatDV Pro client. This should allow for future upgrades to CatDV. As the archive function includes a final deletion of the online file, the Worker must have the ability to delete items on the storage location indicated by CatDV media path (or equivalent path if in Windows format). If the Worker has the volume mounted as read only then the file deletion will not be successful. This can occur in some SAN storage environments where read/write access is only given to a single user at any one time. The ADA Purge Online Files may be used when the archivist workstation has read/write access to the volumes concerned. CatDV-ADA Archive will set an archive status of Archived To Tape Manual Delete Required and may be viewed in ADA Archive History or arc_state. CatDV Pro on the Windows platform may exhibit a file lock by merely having the clip selected. This can be avoided by modifying CatDV Preferences to Avoid pre-loading movie as shown. 36

37 CatDV-ADA Archive does not prevent subsequent backup/archive requests, if so desired. The validity checks will report if an operation cannot be completed due to the current archive status of the clips involved. E.g. it is not possible to restore clips, which have not yet been archived, or attempting to archive a clip that is currently offline. If media is imported to CatDV via a Macintosh but archived by a Windows client, (or vice versa) a special case exists where this condition is discovered during media checks: The archivist may Submit the request as normal providing path equivalence mappings are valid in Worker tasks ( Move To Archive and Copy To Archive ). ADA Archive Statistics requires the archivist to enter the Worker IP address and credentials at the initial launch. Subsequent use of the tool relies upon a locally saved settings file in ~/Library/Application Support/CatDVArchive (Mac) or ~\appdata\local\catdvarchive (PC). This file should be deleted if the target Worker or its IP address ever has to change. 37
