It is a browserbased application for use with Microsoft Internet Explorer v10 or newer, or Google Chrome. All PCs, laptops, or tablets using this software must have one of these browsers installed. The terms dispense unit and controller are used interchangeably throughout this manual. Terms used Dispense (verb) To deliver fluid from a control valve, spigot, etc., into machinery that requires lubrication, or into a fluid reservoir. Example: Dispense four quarts of oil into the crankcase. Dispense (noun) A system-scheduled instance of dispensing a fluid. Even if a dispense is scheduled, the dispense cycle is not complete until the technician dispenses lubricant or the pending lubrication is cancelled. Example: A four quart dispense is pending. Pending A dispense that has been entered into the system is pending until the dispense cycle is complete either when the fluid is dispensed, the pending action is cancelled, the system encounters and error or the system times out. Pre-dispense A pending dispense mode in which no fluid has been dispensed from the selected hose. Pre-dispense timeout An automatic cancellation of a dispense that occurs when the pre-set time window between a newly entered dispense and actual fluid dispensing is exceeded. Post-dispense A pending dispense mode in which fluid dispensing is in process. A dispense converts from predispense to post-dispense at the moment the selected hose begins to dispense fluid. Post-dispense timeout An automatic cancellation of a dispense that occurs when inactivity during fluid dispensing exceeds a pre-set time window. Hose A dispense point, sometimes referred to as a hose reel, a meter, a control valve, a spigot, etc., for lubricants or other fluids. An oil bar spigot may be referred to as a hose within this software. 2

3 AFCS Enterprise organization The AFCS Enterprise platform interface is arranged by organizational role with administrators, managers and technicians having specific authorizations for performing tasks within the system. Administrators have full access to functions that managers and technicians perform, along with additional access to creating and configuring key system functions. Site, tank and fluid creation is limited to system administrator access. These functions are typically performed only during system installation. Site administrators typically perform ongoing functions and tasks such as managing users and configuring hardware and equipment. The AFCS Enterprise organization chart below represents AFCS Enterprise system access and duties for individuals in your organization. 4 AFCS Enterprise installation work list It is recommended that installers review steps in checklist below to better prepare for installation of AFCS Enterprise. 1 Quoting and pre-work 2 Network pre-work 3 Material arrival 4 Installation day Quoting and pre-work Network options Installed on existing network: AFCS Enterprise system can be installed on existing computer networks. Contact network administrator for installation site(s) and review product specifications for adequate preparation. Create a new network: AFCS Enterprise system can operate its own computer network with any PC or Server running a Windows operating system. Identify PC or server for installation prior to installation day, and verify necessary specifications required to install and run software. Consulting computer specialist is recommended. For further information, see Network Installation, page 5. Site planning considerations for hardware installation 1 Obtain fully dimensioned floor plan for installation site that identifies location of power outlets, network access (if any), tank, tank fluid types, and required number of hose reels. 2 AFCS controllers have 6 control blocks, each supporting one hose reel via pulse meter and solenoid, or air solenoid for pump control. In addition, each block can support one tank monitor probe. 3 AFCS controller is a wall mount unit. Unit weight requires stud mounting, or anchor kits if being mounted on sheet rock. 4 AFCS Hardware requires V AC 50/60 Hz power with 5 amp capacity per unit. System includes a 6 ft. power cord with a standard US 3 prong plug. Material procurement and software Create installation Bill of Materials. Include all materials needed for installation including but not limited to: 1 Correct number of AFCS dispense units 2 Correct number of Combo units 3 Proper length of Combo unit cable (ordering extra is suggested) 4 Proper number and length of Ethernet cables 5 Fluid line and fittings 6 Hose reels 7 Control valves 8 Air solenoids (master and individual) 9 User Access List by Site 10 User Access Pin by List 11 Tank and fluid information 12 Hose and reel location information Order material to ensure on-time delivery 1 Upon receipt of order, verify Bill of Material matches shipping manifest(s). 2 Report corrections to DM as soon as possible. Software installation preparation 1 Note if site is using static or DHCP reserved addressing. 2 If site network is using static addressing, note IP address, default gateway and subnet mask of PC/server. Software installation (ideally completed before hardware installation) 1 Install AFCS Enterprise software. 2 Configure AFCS Enterprise software. Refer to Software use, pg Make backup copy of AFCS system configuration. 4 Power up each AFCS controllers and configure with correct site/ unit number, IP address, subnet mask and default gateway. If using AFCS Enterprise controllers, configure settings using touchscreen interface (refer to ). If using AFCS Enterprise controllers, to configure settings, refer to Upgrading AFCS Enterprise controller installations on page 13 (perform this step close to or on installation day). 5 Coordinate with end user to establish schedule for installation. 4

5 Installation day 1 Install Combo units. Refer to Pulser/valve combo guide Install hose reels and control valves. 3 Install fluid pumps. 4 Install fluid supply lines. 5 Verify all fluid connections are tight. 6 Install Combo Unit cables and wire to AFCS controller blocks. 7 Install air solenoid cables for fluid pump and wire to AFCS blocks. 8 Power on all AFCS controllers and verify controllers are configured properly and can be located in AFCS Enterprise software network analyzer. 9 Generate dispense request on each individual hose and verify corresponding Combo unit is activated and any installed Ready Lights are working properly. 10 Complete programmed dispense for each hose to prime fluid line and purge air from line. Removing all air from line may require several dispenses. 11 Calibrate each hose to assigned DU/pulse meter. 12 Train customer personnel use available manuals and training materials to educate end users on operation of system. 13 Monitor the site operation for a period of time to ensure proper operation and training. 7 Steps to install Enterprise software Computer requirements review In order for AFCS Enterprise software to work properly the computer it is installed on must meet minimum set of requirements, refer to page 5, Network installation. Requirements can be reviewed manually, or prerequisite installer can be run on machine to check for requirements. Prerequisite installer will check computer for proper requirements, and install required files if necessary. Hardware requirements (memory) cannot be detected by prerequisite installer program. If machine cannot be updated to fulfill all software requirements program will inform you. 1 Place PrerequisiteInstaller.exe on machine to be checked. 2 Right click on PrerequisiteInstaller.exe icon and select option to Run as administrator. 3 When prompted by windows to allow program to make changes to computer select Yes. 4 Check box to agree to license terms and conditions and then click Install in lower right corner of form. 5 The following initialization screen will appear while software checks computer for required components. 6 Installer will install required Microsoft components on computer if they don t already exist. Comply with any prompts to install components as program runs. 7 When finished installer program will indicate completion. 7

8 Install Enterprise software If installing software on machine that has never had Enterprise software successfully installed, running PrerequisiteInstaller.exe program on machine is recommended. Program is available for download on download website. If Enterprise has been successfully installed in past on this machine, this step should not be necessary. PrerequisiteInstaller.exe program checks machine for necessary components to install and run Enterprise software, and installs those not currently loaded on machine. To run PrerequisiteInstaller.exe program, right click on.exe file and select Run as administrator. Installer will prompt for permission to run and then report on final status after it has completed. When ready to install Enterprise software, unzip folder contents downloaded from website onto machine to be installed on and follow instructions below: 1 To install software, drag folder named Enterprise <version> from source location onto Desktop of installing user. 2 Navigate to Enterprise Installer Files folder within Enterprise <version> folder. Right click on EnterpriseInstaller.exe file located in Installer folder and select Run as administrator. 3 When prompted to allow program to make changes to computer select Yes. 4 If machine has all required prerequisites for installation, Enterprise installer wizard will appear with list of available installation modes. Options include: 4.1 Install First time installation on machine 4.2 Repair or uninstall Scan current installation and repair any corrupted files or completely remove existing installation 4.3 Upgrade Upgrade previous installation to latest version Available options depend on state of machine, and any previous installations that have been detected. During Repair or Uninstall process, final choice will be given to installing user to perform Repair or Uninstall of Enterprise software. If machine is missing prerequisite requirements, installer will present list of changes needed on machine before installation can proceed. Installer file called PrerequisiteInstaller.exe is available for download to assist with prerequisites. Right click on PrerequisiteInstaller.exe and choose Run as administrator to allow installer file to scan machine and install or upgrade required Windows components. 5 If there are multiple installation options, select desired installation option and click Next to proceed. If this is a fresh installation only option is Install, and it is automatically selected. 8

9 6 Click on check box to confirm you agree to licensing agreement and select Next. This automated database installation will only work if server where database instance is to be created is on same physical or virtual machine that installer is running on. If database needs to be created on another physical machine installer will not have admin rights to create database instance. Installer will fail to create database instance, and database will have to be created in a different way. Contact Alemite Technical support for script that will assist in building database on separate data server. 7 Currently, the only installation folder available for Enterprise software is a hard-coded path to C:\Inetpub\wwwroot\AFCSenterprise. This may change in the future. Select Next to continue. 9

10 8 Currently only data folder available for Enterprise software is a hard-coded path to C:\AFCS. This may change in the future. Select Next to continue. 9 Most applications will use Local DB (local database) option. In this case all that is required on this step is to select server name from left drop-down box provided and then click Test Connection. To open Server drop-down list, click down arrow at right side of drop-down box. Select correct server name. Server name will be local machine name and should be only option available from dropdown list. Clicking on Test Connection verifies everything was setup correctly and provides green light condition as seen above. When green light pops up, Next becomes available to move on to next section. Currently for local databases, SQL Server Instance Name is hard coded to SKFFLUIDCONTROL. This may change in the future. If using Remote DB (remote database) option, put name of DB Server in Server Name field, and if remote SQL Server Instance Name is different from SKFFLUIDCONTROL, replace SKFFLUIDCONTROL with proper SQL Server Instance Name of remote SQL Server instance. This is only suggested for IT professionals. Installer will attempt to create DB on remote SQL Server instance, but success for this will depend on network configuration, firewall settings and installing user s permission settings for remote SQL Server instance. If operation fails contact Technical Support department to provide separate SQL script file for creating DB on remote machine prior to installer process. In this case, installer will recognize DB already exists and verify connection can be established before continuing software installation. 10

11 10 Verify SQL Server Management Studio and IIS Manager applications are not running on machine, and click Install to officially begin installation. 11 Installation process will take a few minutes and may spend time within Database (30%), IIS Features (50%) and Registry Entries (90%) installation phases depending on state of machine and processing speeds. Do not stop application during this process. Proper time must be given for installation to finish. As installer completes necessary tasks a log file called EnterpriseInstaller.log is created and updated. If you feel that installer has hung, check log file for status updates; however, in most cases, this should not be necessary. If you placed Enterprise <version> folder on Desktop, log file called EnterpriseInstaller.log containing record of installation process was placed on desktop as installer ran. Otherwise, log file can be found two directory/folder levels back from location of EnterpriseInstaller.exe file that was used for installation; this is the same directory level as unzipped folder if directory structure is not modified after being unzipped. 11

12 12 Results of installation will be reported. Click Finish to complete installation. 13 If installation returns an error, please contact Alemite technical support and provide copy of installation log for assistance in resolving issue. 12

13 Controller firmware AFCS Enterprise software can control both AFCS Enterprise Dispense Unit controllers and AFCS Enterprise controllers. AFCS Enterprise controller installations AFCS Enterprise controller firmware can be updated from hardware tab in Settings section. Click update firmware to automatically load compliant version of firmware into selected controller. Upgrade AFCS Enterprise controller installations Upgrading an existing AFCS site to AFCS Enterprise software requires firmware upgrade for each controller before they can talk to AFCS Enterprise software. This can be accomplished by using Alemite software application created especially for this process called LoadFirmware5000. This utility loads updated AFCS Enterprise firmware over AFCS Enterprise default xxx subnet. If network does not allow for xxx traffic each controller must be upgraded by Alemite Application Engineer via an on-site visit. The following steps outline firmware upgrade process if using LoadFirmware5000 firmware update utility. 1 Contact Alemite Technical Service prior to installation and request LoadFirmware5000 program. Alemite Technical service will provide the following files: LoadFirmware5000 program File with extension.hex File with extension.map 2 Open Command Prompt (search cmd from windows start menu and one will open) and type ipconfig before pressing Enter key. Record machines Ipv4 address, Subnet Mask and Default Gateway. 3 Configure computer to communicate over xxx subnet by double clicking and configuring Internet Protocol Version 4 (TCP/Ipv4) setting in Network Connection Properties window. For wifi connections For ethernet connections If network does not allow for xxx traffic, each controller must be upgraded by Alemite Application Engineer via site visit. 13

14 4 Before editing, record current settings so they can be restored after process is complete. From Internet Protocol Version 4 (TCP/IPv4) Properties menu set computer up to Use the following IP address and put Ipv4 address, Subnet Mask and Default Gateway into following fields. Then select Advanced. If PC is setup to obtain and IP address automatically, IP addresses have to be manually added. If using static IP addresses, continue to Advanced. 5 Advanced TCP/IP Settings window will give option to Add IP address by clicking Add button. Do this and add IP Address and Subnet Mask Select OK button for all open windows so that new network settings will take effect. 7 Launch LoadFirmware5000 program and fill in appropriate address fields and.hex file. Program each unit individually. 8 When finished return computer to original network settings. 14

15 First time log-in 1 If you are site administrator and logging in for first time, obtain AFCS Enterprise web/ip address, log-in ID, and temporary password from system administrator. 2 Launch web browser shown on computer or tablet. Chrome Microsoft Edge Internet Explorer 3 Web browser home page appears. In address bar (URL), type AFCS Enterprise web address. Use IP address localhost:82. Never have AFCS Enterprise open on more than one tab in browser at any time. Multiple tabs with AFCS Enterprise interface open will result in system malfunctioning. System administrator default log-in ID is Sysadmin. System administrator First time log-in password is Lubr!c@te. Change password immediately after initial log-in. Store new password in secure place. First time log-in instructions apply only if system administrator allows site administrators to create their own passwords. If current username and password are assigned to site administrator, proceed to Software use, pg

16 4 Save page to Bookmarks in Chrome (Favorites in Microsoft Edge or Internet Explorer v10 or newer) by typing Ctrl-D. 5 Pop-up window appears displaying default page title and drop-down menu for bookmark save-to location. 6 From drop menu, select Bookmarks Bar and click OK. Bookmark will appear. There are multiple ways to bookmark page, including clicking star icon located near browser address bar. 7 In Log-in ID text box, enter log-in ID provided by manager or administrator. 8 In Password text box, enter temporary password and click Log In. Password entry is case-sensitive. Log-in ID entry is not case-sensitive. 9 New Password window will appear. 10 Create new password and enter it in New Password field. Password must be at least eight characters in length and is case-sensitive. Passwords can be all numbers, all letters, all special characters, or any combination of these three. 11 Re-enter new password in Confirm Password field and click OK. 12 Regular log-in screen will appear. 16

17 Software use Log-in 1 Navigate to Enterprise website. 2 In Log-in ID text box, enter log-in ID. 3 In Password text box, enter password. 4 Click Log In button. For first time password creation steps, or if prompted to change temporary password, refer to First time log-in, page 15. To change current (not temporary) password, refer to My Profile, pg. 34. Never allow web browser to save password. If prompted to save password, always select No or Never. Disable Save Passwords option in browser settings. Following section applies to system administrator. If site administrator, skip to next section. System administrator After AFCS Enterprise hardware and software installation is complete, system administrator is ready to set up basic system functions. After logging on as system administrator, set of system administrator screen icons are displayed in center of the screen. System administrator is responsible for defining: Sites Users (site administrators) Fluids Tanks 17

18 Sites To access Sites window, click Sites icon at top right of window. Add sites To add new site, click (+) sign in upper right corner of Sites panel. Sites editing panel appears. Input options are: Name Name for site displayed throughout system. Description Description of site. Edit sites To display or edit site details or to activate/ deactivate site, click on site in site list. Site panel appears. Options are: Edit Displays Sites editing panel. Deactivate Deactivates site. Select Deactivate Site to confirm. Enter (site) Accesses site as site administrator. Users Add and manage user accounts through Users window. Click Users icon in top right corner. All users are listed in left side window. Active user accounts are shown in blue. Inactive user accounts are shown in gray. Add new users The Users window functions in same way as it does for site administrators (refer to Manage users, pg. 26) except that system administrator is authorized to assign site administrators. Click (+) sign in upper right corner of Users panel. User Profile editing panel appears. Input options are: Name Name for user displayed throughout system. Log-in ID ID user inputs when logging in. Language User s language preference. DMS employee # User s DMS employee number, if applicable (for systems using DMS). 4-Digit User PIN Input for adding Unit PIN. Click Save to add new user. 18

19 Edit user accounts Administrators manage user accounts and site access through User Profile panel. Click user in Users panel. User Profile panel displays user account with additional inputs: Edit Displays User Profile editing panel. Deactivate Deactivates user. Select Deactivate User to confirm. Change Unit PIN Input for changing Unit PIN. New Password for Browser Log-in Input for changing password. Displays temporary password for entry at log-in. Manage Site Access Displays entry fields/drop menus for site permissions access. System administrators can assign Site Administrator, Manager, Technician or No Access. Select physical location(s) where user has access, if more than one. Role at (site) Assign permission level. Select physical location(s) where user has access, if more than one. Fluids added in Fluids panel are not site specific and are defined globally, system wide. Fluids Fluids are defined for all sites in Fluids panel. To access Fluids add/edit panel, click Fluids icon at top right of window. Add fluids To add new fluid, click (+) sign in upper right corner of Fluids panel. Fluids editing panel appears. Input options are: Description Enter description fluid, such as 10W30. Specific Gravity Enter specific gravity of fluid as defined by fluid manufacturer. This is needed for certain sensors for tank monitoring integration into AFCS system. Edit fluids Click highlighted fluid name to display Fluid panel. Option is: Delete Delete fluid. 19

20 Tanks To access Tanks window, click Tanks icon at top right of window. Add tanks To add new tank, click (+) sign in upper right corner of Tanks panel. Tanks editing panel appears. Input options are: Tank Name Enter tank name, such as 1. Capacity Enter tank capacity (in unit of measure as selected). Unit of Measure Enter unit of measure for tank capacity. Simultaneous Dispensing or Non-Simultaneous Dispensing Select if tank simultaneously supplies different hoses for dispenses or supplies one hose at time (non-simultaneous). Dispense New Fluid or Drain Used Fluid Enter if tank supplies new fluid or receives used fluid (not common). Fluid Assign fluid type to tank. Tanks added in Tanks panel are not site specific and are defined globally, system wide. They are then assigned to site (or multiple sites in some cases). Be sure to assign tank to site(s) after creation. Edit tanks Click highlighted tank name to display Tank panel. Tank panel appears, with hose and tank number shown. Options are: Edit Displays Tanks editing panel. Delete Click to display confirmation window. Select Delete Tank to confirm. Assign to Sites Select tank site from drop-down menu (if multiple sites exist). Assign Fluid Level Measured Volume Enter measured tank volume. Unit of Measure Enter tank unit of measure. If tank is deleted, all hoses associated with that tank are automatically removed from site configuration. 20

21 Site administrator After system elements like fluids and tanks are assigned, administrators can define system settings and prepare sites for operation. After logging on as site administrator, Dispense log is displayed. If system has multiple sites, site names are listed in drop-down menu. Since others may have access to PC, always confirm that username and current site are displayed and log-in information is correct before proceeding. Dispense Log displays data headings and results pertaining to site; however, data headings and results for your site may be different than those listed below. Dispense Log Dispense Log window is displayed with: System icons Name of current user and site (displayed with drop-down menu for multiple sites) Add Dispense button 21

22 Dispense Log displays dispense related data items in table format: # Generates sequential number for each dispense initiated. State Indicates whether dispense has been reviewed by manager and marked as Closed, or has not been reviewed and is still Open. Status Displays dispense status as either Pending, Ending, Error, or Complete. Initiated by Individual who initiates dispense. Hose Hose and fluid selected for dispense. Requested Amount of fluid requested to complete dispense. Dispensed Captures amount of fluid delivered during dispense. Initiated Captures time and date dispense is assigned to technician. Completed Captures time and date dispense is completed by technician. Tank Level Captures fluid level of tank assigned to dispense at time of delivery. Tank level is displayed in amber highlight if tank low level is detected. Log display options For log display options, click box to right of table columns. The following are display options: Show All Displays all dispenses. Show Open Displays open tickets only. Show Closed Displays closed tickets only. Export all data as CSV Exports all dispense log table data to a comma separated value spread sheet (an Excel table). Export all data as PDF Exports all dispense log table data to a PDF (portable document format) file. Columns Lists columns whose display can be toggled on/off. Click Show (*) to select certain types of rows to display, or click check marks/x s to display or hide certain data columns. 22

23 Initiate dispenses 1 Click add symbol (+) to display Dispense input panel. Dispense input boxes vary depending on site. Items such as work order numbers, line item numbers and vehicle odometer readings may need to be entered. Required inputs are marked with (*). Sites with dealer management systems (DMS) may require dispense authorization or other user inputs. Ask site manager for input information specific to your system. 2 Select from hose drop-down menu hose to be dispensed from. 3 Enter fluid quantity to dispense. Fluid flow shuts off automatically when full amount of dispense is reached. 4 Click Dispense button to confirm. New dispense is added at top of Dispense Log with status of Pending. Hoses designated as Free Dispense do not trigger pop-up window requesting quantity. For hoses with this designation, dispense fluid as needed. Flow will not stop automatically. Technician is responsible for manually stopping flow. Confirmed dispense is pending until fully completed, or delivered, ended or stopped before completion, or cancelled by user or system time out. 5 Ready signal (typically green light on hose solenoid valves) will indicate valve is open. 6 Dispense fluid as needed. 7 Once specified quantity is dispensed: Valve will close. Status in Dispense Log changes to Complete. For accuracy purposes, use copy and paste or bar code scanning as often as possible to input dispense information such as order numbers. 23

24 Manage dispenses End pending dispenses 1 Click row with dispense status Pending. 2 Dispense panel appears with data about dispense. 3 Click button labeled End. 4 Confirmation pop-up window will appear. Click End Dispense. Depending on how system and/or pump is configured, pending dispense (predispense mode) can time out if lubrication has not begun, within a set time period. 25 Reports To access Reports panel, click Reports icon at top right of window. Reports can include different information from system, but are divided into two main types of reports Dispenses and Users. Dispenses reports Report Filters/Sort panel for Dispenses Reports has various options for filtering report results: Date Selection Selects start and end dates for report date range. Full Date Range check box Selects start and end dates from beginning of current year to present. Site Limits results to site selected. User Limits results to user selected. Hose Limits results to hose selected. Tank Limits results to tank selected. Fluid Limits results to fluid selected. State Description Limits results to state of ticket, Open or Closed, selected. Status Description Limits results to ticket status selected. HW Status Code Description Filters Dispense Log entries by error status, such as online, offline, tank level low, etc. To run dispense report: 1 Click Dispenses Report. 2 Filter dispense report results by categories shown, if needed. All () is default. 3 Click Run. 4 Dispenses Report appears displaying selected Dispense Log data. 25

26 Users reports Users Reports window has two drop-down menus for filtering report results: Site Limits results to site selected from drop-down menu. User Limits results to user selected from drop-down menu. To run user report: 1 Click Users Report. 2 Filter dispense report results by categories shown, if needed. All () is default. 3 Click Run. 4 Users Report appears, displaying selected Dispense Log data. Manage users Manage user accounts through Users panel. 27 Add new users Administrators are able to create new users, technicians and managers. Click (+) sign in upper right corner of Users panel. User Profile editing panel appears. Input options are: Name Name for user displayed throughout system. Log-in ID ID user inputs when logging in. Language Selects user s language preference. DMS employee # User s DMS employee number, if applicable (for systems using DMS). 4-Digit User PIN Input for adding Unit PIN. Click Save to add new user. Edit user accounts Physical locations and permission levels, technician or manager, must be assigned to all new accounts. Administrators manage user accounts and site access through User Profile panel. Click user in Users panel to display User Profile panel with additional inputs: Edit Displays User Profile editing panel. Change Unit PIN Input for changing Unit PIN. New Password for Browser Log-in Input for changing password. Manage Site Access Displays entry fields/drop menus for assigning site roles. Assignments of Manager, Technician or No Access are options enabled for administrators. Select physical location(s) where user has access, if more than one. Role at (site) Assign site role. Select physical location(s) where user has access, if more than one. Home Select to assign user s primary work site. Selected site is pre-loaded whenever user logs in. 27

28 Site settings Administrators set and manage basic site settings using Settings panel. Click Settings icon in top right corner. Site settings are organized in tabs by category: Preferences Set general preferences. Dispenses Set dispense preferences and add custom dispense inputs. Hardware Define network information and IP addresses for dispense units and keypads. Tanks Manage tank related settings. Hoses View, manage and add hoses. Dealer Management Enable, manage and customize Dealer Management System(s) (DMS). Preferences Under Preferences, administrators set: Site Measurement System Selects base system of measure for site. Site Reporting Summary Unit of Measure Selects base unit of measure for report summaries. Site Decimal Precision Selects decimal places for rounding of numeric values. Site Transaction Printer Enables/ disables selected transaction ticket printer. Dispenses Under Dispenses, administrators set or define: Dispense Time outs: Pre-Dispense Time duration of inactivity allowed between newly entered dispense and actual fluid dispensing. Post Dispense for Preselect Dispenses Time duration of inactivity allowed during fluid dispensing. Post Dispense for Non-Preselect Dispenses Time duration of inactivity allowed during non-preselect (free) dispensing. Require A Valid PIN With Each Dispense Creates required field that validates user PIN ID at each fluid dispense request. 28

29 Customizing dispense fields Define and manage custom dispense log fields specific to site. Dispense fields are listed with: Dispense Field Header Lists custom fields displayed in dispense log. Dispense Field Type Displays field type. Order Displays order of creation. Add Dispense Field Click to display entry fields for creating custom dispense fields in dispense log: Field Type Displays new field type (custom). Field Header Enter new field header. Click Save to add new custom dispense field. Edit Edit dispense field headers. Field Type and Field Header are displayed. Delete Delete dispense field headers. Confirmation pop-up window appears. Click Delete Dispense Field to confirm. 29

30 Hardware Under Hardware, administrators assign and manage: Network information New Dispense Units Keypads Network information Before adding new DUs to AFCS Enterprise network, will need to obtain IP addresses for each new DU. This is done by supplying IT network administrator with MAC address of each DU. Refer to AFCS Enterprise controller manual for further instructions. Network information is typically provided by IT network administrator. Enter network information for: Server IP Address Server Subnet Mask Server Default Gateway Dispense Unit Subnet Mask Dispense Unit Default Gateway Dispense units Under Dispense Units, assign new dispense units (DUs) and manage existing DUs. DUs link dispense points, such as hoses, to AFCS network, allowing remote control and monitoring of dispenses. DUs are listed by: # DU number IP Address IP address for DU New Dispense Unit Displays entry fields for adding DUs: Dispense Unit # Drop-down menu for assigning DU number. List is populated with unassigned numbers. IP Address Assigns IP address of new DU. DU IP addresses are provided from Edit, Delete and Test dispense unit. Edit Displays Dispense Unit # and IP Address entry fields with values for editing. Delete Deletes dispense unit. Confirmation window appears. Click Delete Dispense Unit to confirm. Test Tests linking of dispense unit IP address with AFCS network. Pop-up window is displayed to indicate link success or failure. 30

31 Tank settings Under Tanks tab, settings like tank level assignments and adjustments are managed. Site tanks, created by system administrator, are displayed in left side window. Clicking tank name link (shown in blue) displays information and setting adjustment options for the following: Change Fluid Opens tank fluid panel. Select tank fluid type (i.e. 10W-30). Assign Fluid Level Sets tank fluid volume to present volume as measured in tank. Adjust this setting whenever fluids are added to tank. Assign Fluid Part Number Assigns part number to tank fluid in use (for DMS systems requiring part numbers). Assign Dispense Air Valve Enables and assigns tank air valve control. Gives AFCS system on/off operation control over tank pump air supply. Enable Dispense Air Valve Enable/ disables AFCS control over tank air valve. Valve DU Assigns dispense unit to control valve operation. Valve Port Assigns one of six (maximum) valve ports utilized by air valve as controlled by dispense unit. Assign Warning Levels Assigns three types of fluid level warnings: High Warning Level Assigns limit to alert technicians when high level is reached in used (extracted) oil tank. This option is not common. Low Warning Level Assigns limit to alert technicians when low tank fluid level is reached. When low tank level is reached, dispense log entries status and level data is displayed in yellow highlight. Stop Dispense Level Assigns safety limit for minimum tank fluid volume for dispense operations. When minimum tank level is reached, no new dispenses are allowed. If requested dispense amount will result in fluid level being at or below Stop Dispense Level, then request will be denied and software will warn user of Stop Dispense Level alarm. 31

32 Hoses Under Hoses, assign new hoses and manage existing ones. Hoses are lubricant dispensing points controlled and monitored by AFCS system through assigned dispense units. Hoses are listed with: Hose Hose number Valve DU: Port Valve dispense unit number and assigned port Meter DU: Port Meter dispense unit number and assigned port Tank: Fluid Assigned tank and fluid type Add new hoses Click (+) sign in upper right corner of Hoses panel. Hoses editing panel appears. Input options are (* denotes entry required): Hose Number Assigns hose number. Tank Selects tank number. Tank fluid type is populated by default. Valve DU Selects dispense unit assigned to valve. Valve Port Selects port on dispense unit assigned to valve. Meter DU Selects dispense unit assigned to meter. Meter DU is typically same as valve DU. Meter Port Selects port on dispense unit assigned to meter. Hose Unit of Measure Selects unit of measure for fluid hose will dispense. Pulses / (unit of measure selected) Enters number of meter pulses calibrated to unit of measure selected. Confirm with meter manufacturer value to be entered. Max # of (unit of measure selected) Enters maximum quantity of fluid units that can be released in single dispense. Mode of Operation Selects whether hose dispenses pre-ordered quantities (Preselect) or unrestricted quantities (Free Dispense). Click Save to add hose. Edit hoses To display Hose panel, click on hose in hose list. Hose panel appears, with hose and tank number shown. Options are: Edit Displays Hoses editing panel. Delete Displays delete confirmation window. Select Delete Hose to confirm. Calibrate Displays Hose - Calibrate panel. Calibrate DU/meter pulse readings during system installation. Displayed fields/headings can vary depending on prior selection(s). 32

33 Once quantity is entered, click Dispense and do not refresh or exit screen until dispense is complete. Requested Quantity Enters measurable dispense quantity to calibrate meter pulses per unit of measure. Before entering value, follow on-screen instructions for correctly measuring fluid quantity dispensed. Dispense Initiates dispense from hose. Normal dispense requirements apply. Accept Accepts results. Meter pulses per unit of measure are updated. Abort Dismisses results and exits. Re-enter measurements Re-enters quantity measured. 33

34 Dealer management If your system has dealer management (DMS) installed, enter DMS settings under Dealer Management tab. For specific instructions, refer to dealer management owner s manual. My Profile/Log out My Profile icon in top right of window opens two current user features My Profile and Log Out. My Profile panel enables you to manage: Personal entry number for keypads Passwords My Profile information (by clicking Edit link in blue): Name Name for user displayed throughout system Log-in ID User ID input for logging in Language User s language preference DMS employee # User s DMS employee number, if applicable (for systems using DMS) Log Out logs current user out of system and closes Dispense Log window. Log in window appears. Always Log Out of system every time computer will be unattended. Until you log out, you remain logged into system. (*) denotes required entry. 34

35 Table 1 Troubleshooting Issue or error message Possible cause Resolution AFCS Enterprise malfunctioning. Multiple web browser tabs with AFCS Enterprise interface open. Close all open tabs except one for AFCS Enterprise in web browser. Log out and log back in to verify correct user is logged in. Error when running AFCS installer. Not running program as administrator. Right mouse click on AFCS installer execute file. Click Run as Administrator. Unable to log-in due to incomplete profile. No site access assigned. Contact system administrator for log-in help. Unable to start dispense flow from hose. Pre-dispense time out. Pre-dispense time outs are indicated by Cancelled: Time out displayed in Dispense Log. Initiate new dispense. Another dispense has been initiated on same hose. Hose not set up as required in software settings. Improper wiring of valve/switch or improper assignment of hose in programming. Status displayed is Hose in use. Wait until other dispense is complete or manually end dispense. Technicians are only authorized to end dispenses initiated by themselves. Site managers can cancel any dispenses at their site. All other user types can cancel any or all dispenses for their approved sites. Transaction will be canceled, and volume dispensed will be recorded. Contact site manager to configure hose to required controller output. Repair as needed. Unable to resume dispense flow after interruption. Post-dispense time out. First, evaluate for amount dispensed and amount needed to resume and complete remaining dispense; then initiate new dispense with revised dispense amount. If issue occurs repeatedly, increase post-dispense timeout. 35
