Detailed information about the features in these releases can be found in the release notes for each version, available from the PowerLink Members website. All of these features are included in the current software, YearOne PowerLink version 3. (Each PowerLink release always includes the features from all previous releases.) YearOne PowerLink version June 2012 YearOne PowerLink version March 2012 YearOne PowerLink version January 2012 YearOne PowerLink version 2.07 SR March 2011 YearOne PowerLink version 2.07 SR March 2011 YearOne PowerLink version 2.07 SR November 2010 YearOne PowerLink version 2.07 SR August 2010 YearOne PowerLink version 2.07 SR July 2010 YearOne PowerLink version April 2010 Obsolete versions of Windows operating systems YearOne PowerLink cannot be installed on Windows 95, Windows 98 and Windows NT operating systems. These products have not been supported by Microsoft since 2002 (2000 in the case of Windows 95) and they are no longer suitable for business purposes. If you are still using these obsolete operating systems, YearOne Software recommends that you upgrade to a current operating system. Version 3.10 Release Notes June 2012 Page 2 of 12
3 Before you upgrade important information Essential upgrade tasks all users You may need to know about or complete some essential tasks before or after you upgrade. To check if this is necessary, first identify your current version of YearOne PowerLink (Setups System Data Service Options). Then find your current version in the table below and carry out the necessary tasks listed for it and all more recent versions. Your version Module Essential tasks Explanation/Reference 2.07XXXXXX (April March 2011) Data Service The Data Service installation now automatically stops and starts the service during installation. This requires a valid user name and password with administrative rights to be entered. Some Data Service features (eg. ODBC) require a user logon account. Validation of the user account may take several minutes resulting in a delay during the installation. ClearView ClearView users must install a compatible version after installing PowerLink 3.10 the Compatible version is ClearView Older versions of ClearView are not compatible. The databases for PowerLink and ClearView are shared and have changed from previous versions. Database Due to a database conversion being required, users are advised to ensure that a backup is made before logging into each company. The underlying database used by PowerLink has been upgraded to one with larger capacity and better performance. Program Shortcuts The PowerLink Installer will overwrite existing YearOne PowerLink 2 shortcuts. If you have customised the shortcuts using /CMD options then you need to add these back after the installation. The program location has changed. Refer to Installing PowerLink in the Getting Started Guide. Financial Controller Due to the release of Attaché ClearView Financial Controller, the PowerLink Financial Controller module is no longer supported. Contact your Attaché Consultant to arrange your upgrade to ClearView Financial Controller. Cash Flow Forecaster Due to the release of Attaché ClearView Cash Flow Forecaster, the PowerLink Cash Flow Forecaster module is no longer supported. Contact your Attaché Consultant to arrange your upgrade to ClearView Cash Flow Forecaster. Report Designer The data type returned by a SWITCH function in a UNION query may return different data type causing invalid information to be displayed. Affected queries will be converted to use nested IIF. Refer to the Report Designer section of the Release Notes. 2.06XXXXXX (January 2009) Job Costing and Batch and Serial Number Tracking The Host Data Manager has been replaced by the Data Service which assumes that all data is up to date. You will need to run reports with Update from Attaché selected. Refer to Upgrading from Version 2.06 in the Getting Started Guide Version 3.10 Release Notes June 2012 Page 3 of 12
4 External Account Companies Only external payroll companies are supported beyond version Do not upgrade until you have spoken to your consultant. Refer to Upgrading from Version 2.06 in the Getting Started Guide to find out whether this affects you PowerLink (Server) Installer The PowerLink Installer (SETUP.EXE) must be run at the server. This is the computer where your Attaché programs are physically installed. For more detailed information and instructions go to the PowerLink Members website PowerLink Workstation Installer After you install PowerLink at the server, you will need to run plink.exe from the attaché program files at any workstation. Data Service Installer The Data Service Installer (SETUPCVDATASERVICE.MSI) will be launched automatically if required after installing PowerLink on the server. During the Data Service installation, services are stopped and started automatically which requires that a valid user name account and password with sufficient privileges. You will be prompted for this information. Validation of the user account may take some time on some servers which may result in a long delay during the installation. See the Installation section of PowerLink Getting Started Guide for more information. ClearView Users PowerLink version 3.10 is only compatible with ClearView version You must install ClearView version 2.20 after you install PowerLink. For more detailed information and instructions see the Download Centre on the Attaché Members website. Data Service Improvements to Data Initialisation Article ID: 6000 (Feature);2520 (FAQ); The time take to initialise the data depends on how much data there is to read. Progress is displayed in the main toolbar and moves from Data Service is restarting to Data service active (complete). Version 3.10 Release Notes June 2012 Page 4 of 12
5 Active Transactions If there are active transactions such as orders or unpaid invoices which are older than 12 months, these will also be included. Errors during Data Initialisation If you encounter any problems, a message will be displayed in the main toolbar. You can fix most issues using the Data Repair utility in the Data Service Options. Open the Data Service Options from the main toolbar while logged in as a password level 1 user. Select the Companies tab. Select the company you want to repair data, and then press the Repair Data button. Extending Attache Data History Article ID: 6000 (Feature) If you require more than the default 12 months history, you can do this using the Data Repair utility in the Data Service Options. Open the Data Service Options from the main toolbar while logged in as a password level 1 user. Select the Companies tab. Select the company you want to extend data in, and then press the Repair Data button. Select Transaction Files and select the number of records in the From Last Entered Transaction for the files you need and press the Repair Data button. Restart Service from Data Service Options Article ID: 5978 (Feature) You can restart the data service from the Data Service Options using the Restart Service button. Open the Data Service Options from the main toolbar. Press the Restart Data Service button. The status of the data service will change from Data Service is restarting to Data service active. 6 Note: Restarting of the data service is not required under normal conditions. If you see Data service stopped or Data service active hours ago in the status, then a restart may be required. Repair Indexes in Data Service Options Article ID: 5937 (Feature) You can repair database indexes from the Data Service Options. You can now repair indexes independently of data using the Repair Indexes utility from within the Data Service Options. Open the Data Service Options from the main toolbar while logged in as a password level 1 user. Select the Companies tab. Select the company you want to repair indexes from, and then press the Repair Indexes button. Note: Repair Indexes is not required under normal conditions and should only be used when instructed by YearOne Support. Process Code Changes Option in Data Repair Article ID: 5790 (Feature) You can process code changes from Data Repair. When a customer code is changed in Attaché (using the Tools Company Utilities), PowerLink will not pick up the changes immediately. In fact it may take some time for the changes to ripple through. You can force an update using the Process Code Changes Option in the Data Repair utility. Open the Data Service Options from the main toolbar while logged in as a password level 1 user. Select the Companies tab. Select the company you want to delete data from, and then press the Repair Data button. Select the Process Code Changes check box (which is only enabled if there have been code changes) and press the Repair Data button. This process is the same as running PowerLink Tools Utilities Process Code Changes. Delete Data Option in Data Repair Article ID: 5911 (Feature) Version 3.10 Release Notes June 2012 Page 6 of 12
7 You can delete unnecessary ClearView data from the Data Service Options. Open the Data Service Options from the main toolbar while logged in as a password level 1 user. Select the Companies tab. Select the company you want to delete data from, and then press the Delete Data button. Enter a date range and press Delete Data again. Note: Data should only be deleted when no other users are performing data entry in Attaché for the affected files. Master Files and External Payroll Companies Master Files cannot be deleted from accounts companies. You can only select this option if you want to delete data from an external payroll company. In fact, if an external payroll company is added accidentally via the Data Service Options - Company tab, you will not be able to remove it until you have deleted data. This feature can be used to delete the data, and then the company can be removed using the Remove Company button. Data Service Automatically Detects when Company Data Location has changed Article ID: 6091 An issue where the Data Service does not recognise when the location of the data files has been changed has been resolved. 8 Job Costing GL Costing EOP processing has improved matching between Attache GL Transactions and PowerLink stored Source documents Article ID: 4045 GL Costing requires that the Attaché source documents stored in PowerLink are reconciled with Attache GL Transactions this process is carried out using the program on the menu PowerLink Tools Financial Tools Reconcile Attache GL Postings. The method used to match the transactions has now been updated to take advantage of any extra information that is now being posted to the GL Transaction file in Attache Version The process will match with the new method if the extra information exists or will use the old method. Labour Schedule List displayed alphabetically Article ID: 4611 The Job Maintenance Form Labour Schedule Combo box now displays the Labour Schedules in alphabetical order. New Jobs default Job Status to Optioned Default Job Status Article ID: 5834 New Jobs will default the Job Status to the default Job Status code that can be can be set in PowerLink Setups Job Costing Options - Status Code. Ability to display payment amount on Invoice line Article ID: 5834 Invoice Payment Lines now display the Payment amount in the description field. The invoice balance is also displayed in a field to the left of the tax amount field. Importing Template into Quote uses last used parameters Article ID: 5121 The "Select Template or Quote" dialogue launched in Quote/Invoice maintenance by clicking the Import Template button on the Pricing Tab or Version 3.10 Release Notes June 2012 Page 8 of 12
9 selecting a quote or template in the Template field now remembers the previously used parameters. GL Costing requires ODBC to read module transactions for period Article ID: 5121 GL Costing Reconciliation Process no longer requires ODBC to function. This may take longer to initially read the GL Transactions for calculations but the transactions will be held in a local table throughout the session only updating when pressing Display after first opening the program or changing the month. The Order Field in Attache Customer Invoice KFI Layout Program now allows values to be entered Article ID: 6222 The Order Field in Attache Customer Invoice KFI Layout Program was not allowing users to enter a value this has now been resolved. Attache Invoice Lines are now ordered similarly to the original PowerLink Invoice Article ID: 6277 Attache Invoice lines were intermittently not being created in the same order as the original PowerLink Invoice this has been resolved. New Sites now need to setup Job Costing options before creating a Job Article ID: 6321 New Job Costing Sites are now required to setup Job Costing options before they can create a Job. This will ensure that they have considered the various options before creating Jobs. When they try to create a Job before setting the options they will get the following message. 10 Warning message generated if any Job Costing Option - Attache Job Code Fields set to (None) Article ID: 6321 The Attache Job Code Field options in Job Costing Options identify which fields are used in the Attache Source documents for entering the Job Code. A warning message is now generated if these are set to (None). Job Planner Changes to the Categories in Appointments Tab Article ID: 5773 The Appointment tab has added an Appointment Range type of "Unavailable" which displays the appointments with "Unavailable" status while Appointment Range type of "Active" no longer displays these appointments. Changes to the Categories in Review Tab Article ID: 5773 The Review tab has had an Appointment Range type of "Check Pending" added which displays all appointments from the past which have a "Tentative" or "Confirmed" status. Security Option Screen Now Imports New Employees Article ID: 5954 The Security Option Screen now has "Import New Employees" button. This is used to add any new employees to the Security Options Screen. It is also possible to default the new employees to the default user settings. Option To Hide Inactive Employees Article ID: 6044 Inactive Employees in Attaché can now be hidden in Job Planner. This option is set in Job Planner options on the General tab. 11 Add Appointment form Employee Field has search function added Article ID: 6132 When adding a new appointment to Job Planner it is now possible to search for the employee by clicking on the search icon beside the field. New Task Next Date control defaults to the current system date Article ID: 5806 When creating a New Task in Job Planner the Next Date control was defaulting to 5/10/2011. This has been resolved and the Next Date now defaults to the system date. Reports Designer An expression "Value=Null" when used in an SQL statement will always return Null rather than true or false Article ID: 5677 An expression "Value=Null" when used in an SQL statement will always return Null rather than true or false when using the JET 4 Database engine. This is different then the behavior of JET 3.5 which would return true or false. This will cause issues for any custom reports written in PowerLink 2 or below that use this comparison. The correct thing to use in this situation is the IsNull() function i.e. IsNull(Value) which will return true or false. An upgrade routine has now been implemented that will replace any instance of =Null with Is Null and <>Null with Is Not Null in any Report Designer SQL or Solution Builder Script. Any changes will be recorded in the Attache Company Data/PLNUllEqualityConversion.log. Version 3.10 Release Notes June 2012 Page 11 of 12
12 CRM Deletion of Prospects can be password protected Article ID: 4680 The deletion of Prospects can now have password level protection applied. The password can be applied by going to the menu item. PowerLink Setups Customers Customer Options - Options Tab Enter password in field labelled Prospect Delete Password. s that fail to send now result in a Contact Record of type SendFail. Article ID: 6026 When sending s to multiple individuals an attempt will be made to send an to all recipients. On completion of the attempt any s that failed to be sent will be displayed on a report. Each failed attempt to send creates a contact history record for the customer with type send_fail that displays relevant information. ViewPoint (Dashboard) Gadget Property Filter can now handle an SQL alias Article ID: 47 An issue where when assigning a FILTER using an aliased field in a ViewPoint gadget causes an error in the SQL has been reported. An aliased field is one which is built with the syntax <expression> AS <fieldname>. For example, in many gadgets an alias of BIDATE is used for the date field in the SQL which Calendar gadgets use.
