2 About The Trial System Unregistered software will operate in trial mode. In trial mode, everything about the software is 100% fully-operational, and there is no time limit imposed. It can even be installed in a network environment. The one restriction is that the software will only allow a maximum of 100 total clients, matters, and other parties to be maintained in the database at any one time. If you exceed the database limit of the trial system, the software will become disabled after 30 additional uses. To purchase a license to use the software on a continued basis without database limitations, press the green [Order Here] button at the bottom of the main conflict screen. Download and Installation Instructions You can run the CNSETUP.EXE program directly from the website, or you can download it to your computer first, and then run it from there. Launch the CNSETUP.EXE program, and the following Welcome screen appears. Click Next. Quick Start Guide Page 1

3 If you agree with the terms of the agreement, select I accept the terms in the license agreement. Click Next. You will be asked to select a destination folder. The default is C:\LSS, but you can change this to any location you want including a network drive. Make a note of this location so you can create a shortcut to access the program once the installation is complete. Click Next. The software installation is complete. Click Finish. Desktop Shortcut The setup program should have placed a new shortcut to the LSS Conflict of Interest System on your Windows desktop. If it did not, you will need to create the shortcut manually. 4 Point your mouse to an empty area on your Windows desktop Right-click, select New, then Shortcut Type C:\LSS\CNSIGNON.EXE then click Next If you installed the program in a location other than c:\lss (the default), then substitute your actual drive and directory name in place of c:\lss above. Type a name for your shortcut, such as LSS Conflict of Interest then click Finish If you installed the software in a network environment, you can repeat this process to create shortcuts on other computers that will access the software as well. Make sure to check the on-screen help along the way for additional information. After using the software for a short while, you will probably want to read the comprehensive User Guide. In addition to the topics described here, you will find information about Security, Printing Reports and Advanced Techniques that will lead to greater efficiency and ease of use. Timekeepers are people in your firm (usually attorneys) who are responsible for establishing new clients, managing cases and/or performing legal work. Every client, matter and other conflict name in the system will be associated with a timekeeper. Before using the LSS Conflict of Interest System, you must define your timekeepers. Timekeeper definitions include two pieces of information a code (usually initials) and a name. To create timekeepers, press the [Timekeepers] button in the Administration box. 5 Press [Add Timekeeper], type a timekeeper code and the full name, then press [Save]. Repeat this process until all timekeepers have been defined. Conflict types describe why a particular name may pose a potential conflict of interest to your firm. Two conflict types (clients and matters) are already built into the system. Clients and matters by default become part of your conflict database. There are other names however that you will need to include in your conflict database, and each of these names will be associated with a conflict type. Examples of conflict types include: Relative, Spouse, Witness, Defendant, Vendor and Officer. Conflict Type definitions include two pieces of information a code and a description. The code can be up to two characters in length (numbers or letters). The description can be up to twenty characters in length. To create conflict types, press the [Conflict Types] button in the Administration box. Press [Add Type], type a conflict type code and a description, then press [Save]. Repeat this process until all conflict types have been defined. You can come back and add more conflict types at any time. Clients are entities (i.e. individuals or businesses) that your firm represents. Clients, by default, become part of your conflict database. Four pieces of information are required when establishing a client a number (code), the client s name, the assigned contact attorney, and an open date. The code can be up to ten characters in length (numbers or letters). Names of individuals are usually entered in last name, first name format in order to produce alphabetic listings and to maintain consistency for more reliable conflict searches. The contact attorney is the timekeeper who originated this entity as a client for your firm. Quick Start Guide Page 4

6 To create clients, press the [Clients] button in the Maintenance box. Press [Add Client], type the required information, then press [Save]. Repeat this process to add more clients. Matters are the individual cases that you represent for a client (i.e. Land Sale Agreement or Estate Planning). Every client can have one or more matters associated with it. Matters, by default, become part of your conflict database. Five pieces of information are required when establishing a matter the client number to which this matter belongs, a matter number (code), a matter description, the assigned responsible attorney, and an open date. The matter code can be up to ten characters in length (numbers or letters). The responsible attorney is the timekeeper who is responsible for managing the case. To create a matter, press the [Matters] button in the Maintenance box. Select an existing client from the list by clicking on a name, press [Add Matter], type the required information, then press [Save]. Repeat this process to add more matters. Other parties are all the other names (besides clients and matters) that make up your conflict database. These can be names of companies or individuals related to your clients and matters, or they can be names that are totally unrelated. To enter other parties, press the [Other Parties] button in the Maintenance box. Press [Add Name], type the name, then press [Save]. Names of individuals are usually entered in last name, first name format in order to produce alphabetic listings and to maintain consistency for more reliable conflict searches. 7 Now press [Add Conflict] to further describe the relationship of this other party. This includes the selection of a conflict type, identifying a client and matter number associated with this name (if such a relationship exists), as well as specifying a timekeeper and date. Complete any necessary fields and press [Save]. Note: A single name can be associated with any number of clients and matters. The comprehensive User Guide provides more information on this topic. Note: This Quick Start Guide shows how to add a client, a matter, and other parties in three separate and simple steps. A more efficient way would be to enter a client, a matter and all related parties all in a single step. The User Guide offers advanced techniques that will allow you to enter everything in one efficient step. Now that you ve added a few clients, matters and other parties, you can begin to experiment with the power of the Conflict Inquiry. Press the large [Search Conflict Inquiry] button at the topcenter of the screen. Type a name, or part of a name, in the name search field. Select the search method that you wish to use, then press the [Search] button. Each search method will yield different results. Following is a brief description of the three search methods available: Literal Name: Names are selected based on the (nearly) literal way in which they have been entered into the system. For example, performing a literal name search for "John" would display all names beginning with the letters JOHN - "Johnson, Frank", "Johnathon Brown", and "Johns Electrical". It would NOT include "Smith, John" because this name does not begin with "John". The more letters you type, the more specific the search will be. You can also use the "?" as a wild card in place of a specific letter. For example, searching for "Anders?n, Rob" will locate the Quick Start Guide Page 6

8 names "Anderson, Robert" and "Andersen, Robbins and Castle, LLP". Literal name searches include client names, matter descriptions and conflict names. Full Text Phrase: Names are selected based on any phrases within the name that begin with the letters typed in the search. For example, performing a full text phrase search for "John Smith" would display all names containing both a phrase beginning with the letters JOHN and another phrase beginning with the letters SMITH - "John Smith", "Smith, John", and "Smithers, Johnathon". You can also use the "?" as a wild card in place of a specific letter. Full text phrase searches include client names, client comments, matter descriptions, matter comments, conflict names and conflict descriptions. Sounds Like: This method works in nearly the same way as the full text phrase method, except that phrases are matched based on their phonetic representation. For example, performing a sounds like search for "Schafer, John" would display all names containing both a phrase that sounds like SCHAFER and another phrase that sounds like JOHN - "John Schaeffer" and "Jon Schafer". It would NOT include "Johnathon Schaeffer" because "Johnathon" and "John" do not have the same phonetic representation. Keep in mind that phonetic representations are not 100% accurate and therefore the sounds like searches are the least precise of the three methods offered. Wild card characters are not allowed with sounds like searches. Sounds like searches include client names, client comments, matter descriptions, matter comments, conflict names and conflict descriptions. The system will display any names that match your search criteria. Click on a name for more information about the potential conflict. Troubleshooting When installed as a stand-alone program on your local C: drive, it is unlikely that you ll have any trouble launching the program. If you ve installed the program to a shared folder on a network and receive an error message when starting the system, there are three additional settings that should be checked. 9 Shortcut Problem. As described in this error message, there is a problem with the shortcut used for the LSS Conflict of Interest System. Most commonly, it is the result of creating a shortcut by browsing to a network folder, or specifying a UNC share name rather than a mapped drive letter. Follow the instructions shown in the message and try the shortcut again. An example of the shortcut properties described in this message is shown below. Notice the field at the left, highlighted in blue. This is the Start In parameter, and it must contain the same path structure as listed in the Target field above it. The only difference is that the Start In field does not include the \CNSIGNON.EXE at the end. When the software is installed to a share name rather than a drive letter, you must fill in this field manually. Quick Start Guide Page 8

10 Network Security. When installed to a file server or a shared folder on another computer, the operating system must be configured to allow full access to the LSS folder. The error message shown here indicates that security permissions are not correct. There are two places that need to be checked Share Permissions and File/Folder Security Permissions. Setting Share Permissions: At the computer where the software was installed, right-click the shared folder through which other users access this program. The shared folder may be a higher-level folder than the one specified during the installation. Select Sharing and Security, select the Sharing tab, and press the Permissions button within the Share this folder group box. Make sure that all users who access LSS are listed, or that a group consisting of these users is listed, and that full access is specified. Setting File/Folder Security Permissions: At the computer where the software was installed, right-click the actual LSS folder into which the software was installed. Select Sharing and Security, select the Security tab. Make sure that all users who access LSS are listed, or that a group consisting of these users is listed, and that full access is specified. 11 Uninstallation Instructions If you wish to uninstall the software, simply delete the shortcut and the folder in which the software was installed. To delete the shortcut, point your mouse at the shortcut, right-click and select Delete. To delete the folder, go to My Computer, select the drive where the software was installed, right-click the LSS folder and select Delete. Quick Start Guide Page 10
