3 Introduction The release of version 8 brings a whole range of innovative functions to the d.3ecm Enterprise Content Management platform. In the administration, that means continued simplification and improved system performance. Learn about the other highlights that the upgrade has to offer. d.3 smart explorer Modern user interfaces d.3 smart explorer and other product components provide a pleasant and clearly arranged user interface with a cutting-edge design. Revised user concept A context-sensitive menu bar above the result list provides clarity with the functions and actions that can be performed in the current context. Detailed view An intuitive new detailed view is provided to display documents and dossiers. The splitscreen display is ideal for browsing through hit lists and results, while the full screen is perfect for reading documents. Longer hit lists can be filtered and grouped with the useful fade-out function. These new features let you adapt the detailed view to the requirements of your current situation. One-field search When you open a new tab, you are provided with a full text search field for quick searches. You can select time periods and categories for this search field to restrict the search. You can also use the settings to choose to display the advanced search directly after you open a new tab. Splitscreen view By clicking a button on the right of the d.3 smart explorer, you can change the detailed view mode from full screen to hidden and then splitscreen and back to full screen. Tab navigation The tab navigation makes it easy for you to switch back and forth between different searches and your open mailbox. It works in the exact same way as a browser. Multiple grouping and sorting options Version also lets you group and sort hit lists according to multiple criteria. You can also expand and collapse subsections of a group. The settings that you select for a category are saved on your computer. Search result facets When you perform a search, you are provided with facets are displayed above the hit list that let you filter it further. When the facets are expanded, you can further restrict the search within the facets. Increased startup performance When you start the d.3 smart explorer, you can instantly view which modules are currently being loaded. Enhancements, also called dxp,

4 are also listed in the splash screen. Displaying additional search results Search results are displayed on three levels. The amounts for levels 1 and 2 can be set in the options (250 and 2,000 by default), and then up to 25,000 hits can be displayed in the third level. Activities stream The activity stream gives you a quick overview of the entire life cycle of your document or all of the activities that were performed within a dossier. The Activities drawer displays the last activities performed by the user or last activities within the whole system. The Activities docking window displays all the changes to a document in chronological order. For dossiers, it also displays all the changes within the dossier. Process portal and form integration The process portal lets you digitize business processes and integrate workflows without documents. It also makes forms for orders, vacation applications and much more available to all d.3 users. You can even centrally integrate links to the intranet or other websites in the network or online in the process portal as a way of sharing sources of information and knowledge. The process portal provides you with a digital space that you can shape with your own processes and information. The name Process Portal is set by default and can be changed at any time by the d.3 administrator. Enhanced DXP interface The DXP interface has been enhanced by allowing you to integrate a new tab into the detailed view. Your own forms or MiniApps You can add your own forms or MiniApps to a document or dossier either as an additional view in the detailed view or as an action provided via the context menu. You can also display other dynamic information about this object in addition to the advanced document/dossier properties. For example: you can display information and actions from the ERP/CRM system for a customer dossier. Searching within the displayed hit list When you press CTRL+F on a tab with a full hit list, a search panel opens in the top right corner above the toolbar menu. You can then perform a case-sensitive search or search for parts of words. User icon with new menu items You can use the new user icon to configure settings for notifications and simplified operation (accessibility). For instance, would you like to be notified about workflows or upcoming key dates by ? No problem. Simplified operation makes it much easier for you to identify the status of your documents. Simplified document storage Thanks to the useful drag-and-drop feature, it is now even easier for you to store documents in the d.3 repository. You manually save the document using a drop zone in the header area of the d.3 smart explorer. Exporting search result lists With the search result list export feature, you can access your result lists again and again or simply make them available to your colleagues

5 and staff. The feature lets you ensure that everyone is looking at the same document. d.3 smart start Using names of the months The search entry in d.3 smart start lets you search for names of the month. Opening the process portal and forms in d.ecs forms The process portal and forms in d.ecs forms can be opened from d.3 smart start. d.3 view New d.3 view user interface The d.3 view user interface has been redesigned and adapted to the modern design of the new d.3 smart explorer. The size of the d.3 view can be changed and the redlining view has been optimized. New rights If a user does not have the rights to export a document, all the Print, Save and Send to elements that aid the export are deactivated in the d.3 view. Redlinings in the overview Documents involved in longer processing frequently include a number of redlinings. This new function lets you detect where which redlinings are in the document. Identifying a PDF/A version The navigation view that appears displays information about the PDF/A version for the user. You can also open the document in the PDF viewer based on the MIME type. d.3 explorer folder browser New user interface for the d.3 explorer folder browser The d.3 explorer folder browser user interface has been redesigned and adapted to the modern design of the new d.3 smart explorer. New search functions In the d.3 explorer folder browser, you can perform searches of the whole dossier, including its children, in the structured display mode. d.3 explorer work item view New user interface for the d.3 explorer work item view The d.3 explorer work item view user interface has been redesigned and adapted to the modern design of the new d.3 smart explorer. Full screen mode for the d.3 workitem view The preview for the d.3 workitem view lets you switch to a full screen mode. The corresponding icon is located below the display. d.3 import New d.3 import user interface The d.3 import user interfaces have been redesigned and adapted to the modern design of the new d.3 smart explorer. Storage in Last edited dossiers By default, the last 20 edited user dossiers are always displayed under Last edited dossiers. New Store and go to workflow menu During an import, you can select and start a workflow directly from the Store and go to

6 workflow menu. If an input dialog is configured for the workflow using the immediate start function, the relevant input form also opens. d.3 admin Transport system Changes can be made only if you first create a project or select one with an open milestone. The configuration changes that were made are then recorded at this milestone in the project and can be transferred to a specific destination system via export and import. You can then allocate various specialist subjects (for instance, work on commercial document types, work on personnel dossiers and work on project dossiers) to different projects and from the development or test environment to the production environment at different points in time. View mode/editing mode The d.3 administration has been fundamentally revised and conceptually enhanced. Version 8 now distinguishes between view mode and editing mode. Sub-administration Specific sub-administration rights can be granted to users. The user in question can then call only selected menus within the administration. There is also a distinction between view rights and change rights. Enhanced authorizations The authorization concept has also been refined. There is now a distinction between the read right and export right for documents. You cannot use a read right to open and edit the document in an external application. Sending, saving and printing the document are also no longer possible in this case. In addition, the authorizations for changing properties have also been refined. You can use a separate right to decide whether changes to a category are permitted as well as changes to the values of the advanced properties. End of the retention period The user can also remove the information from the document properties once the document has reached the end of its retention period. Enhancement of colored markings around texts In addition to the colored markings, descriptions entered by the administration can also be displayed when the mouse is moved over items. Data backup An automatic, time-controlled data backup is generated by . New function in the user administration Before you remove a user or group, you are asked whether any documents are currently in processing and the number of them that are. Document Tree tab The new Document Tree tab provides a clearly arranged display for mapping the directory structure. New log view In d.3 admin, you can export changes to the current selected milestone that are displayed in the log as a file using a CSV export button. New design and functions for the d.3 admin user interface The d.3 admin user interface can be customized. The Log, System Status and Navigation display windows can optionally be added and removed in the view in the menu. Multiple assignment of document types to document collections When you assign document types to the document collections, you can select and edit multiple documents simultaneously. Full screen mode for d.3 admin The d.3 admin user interface and a large number of dialog boxes can be used with a convenient and clearly arranged full screen mode. d.3 project manager The d.3 project manager lets you make changes to projects and milestones, subsequently add master data objects to projects, and determine synchronization IDs for master data objects. d.3 import converter The d.3 import converter lets you convert installation files for master data into the transport system XML format that was introduced with d.3ecm version 8. Watermark module The d.3 admin module for configuring watermarks functions on the basis of document classes and enhanced properties. Specified documents can now be displayed exclusively with watermarks. d.3 basis workflows New design and functions for d.3 basis workflows d.3 version provides a new version and appearance for d.3 basis workflows. The four workflows, which each support only one of the In progress, In review, Approval and Information task types, are now available only in the forwarding workflow and are no longer available separately. d.3 CMIS connector (optional) Content Management Interoperability Services CMIS is an open and manufacturer-independent standard for connecting Content Management systems. The d.3 CMIS connector enables access to d.3 repositories in compliance with the CMIS standard. It supports client applications that operate in accordance with version 1.0 or version 1.1 of the OASIS CMIS standard.

8 d.3 login Login different colors for the tray icon Administrators can select between four colors for repositories in the tray icon. License behavior The usage of licenses for concurrent users has been harmonized with the d.3 smart explorer. That means that the license is released after 30 minutes of activity in the same way as other d.3 applications. Web authentication with d.3 login d.3 login also now supports web authentication. The d.velop AG infrastructure setup must be installed to do so. d.3 server Changing data structures for file retention in the document tree Previously, during status transfers and versioning, a large number of file operations were executed by moving files to other directories and also by renaming them. With version 8.0.0, the file names and directory structures remain stable regardless of which changes were made to a document. The conversion to these new structures takes place during the asynchronous update in the operation. As part of these conversions, the notes and OCR files from the file system are stored to the database so that you have fewer small files and fewer of the backup problems associated with them. The process for storing files to an external storage system is the same as before. The two previous areas for the document cache are now merged. Optimization of the full text search An authorization check is always performed in combination with the full text search. In version 8, a search algorithm has been created that performs a parallel search for eligible results when there are a large number of full text results and uses them to restrict the full text index. As a result, searches that were previously slow are now completed more quickly. New NOSQL caching technology Instead of Couchbase, d.3 now uses the d.velop component jstore, which is based on Redis, for caching. d.3ecm Changes to functions for digital signatures Technical processing of digital document signatures has been fundamentally revised in version and made more flexible for country-specific regulatory systems. The revision includes modified API calls and processing methods. UTF-8 support d.3ecm version 8 consistently supports Unicode including in clients. Vulnerable workarounds using best fitting code page methods are therefore no longer supported by the server.

9 New user interfaces The user interfaces have been redesigned and adapted to the modern design of the new d.3 smart explorer. The redesign affects the following product components: d.3 view, d.3 explorer folder browser, d.3 explorer workitem view and d.3 import. d.3ecm update Asynchronous update mechanism In version 8.0.0, the data model is optimized and enhanced at both database and file level. These optimizations and enhancements include moving the data and files. To prevent long system interruptions related to the update, an asynchronous update mechanism has been developed that converts the old data into new data in the background after you launch version 8. You can view the progress of this conversion on a website. Advance simulations An update checker has been developed for version 8. This feature simulates conversions before the update to version without actually executing them. You can run the update checker in a running installation and resolve issues with inconsistent data in advance before the actual upgrade to version That ensures that you can upgrade your d.3ecm system to version 8 without any issues.
