3 1 Overall Introduction SmartEars is an application which facilitates various aspects of browsing files and directories in any computer using a voice-activated interface. This application has been developed for people who cannot use any manually operated input device other than a microphone. In this document, we give details regarding the features, interface design, system architecture and the entire test design of the system. We also include an installation and command set manual for non-technical users of this application. 1.1 Glossary Term SmartEars voice-command apology User Audio Response sequence Visual Response sequence Definition The name of the developed Voice-Activated File Browser. The words within quotes are voice commands issued by the user of the software system. This is the standard audio response generated by the system when a command is not identified as a valid command, either due to issue of an incorrect / nonexistent command, or due to the inadequacies of the speech-recognition system. A person who interacts with the software system. The output generated by the system in the auditory operation mode The output generated by the system in the visual operation mode 1.2 Product Perspective SmartEars is designed to be an independent and self contained system. It has one active actor, the user, who will interact through speech. The software system will interpret the user s commands and act accordingly. The software can run in two modes of operation: Auditory: Only auditory output can be provided in this mode. Visual: Only visual output can be provided in this mode. Switching between modes is considered out of the scope of the interface. It would be done through mouse or keyboard operations. 2

4 2 Installation Guide 2.1 Installation 1. Upon running the Setup.exe file, the dialog above appears. Please click Next to proceed. 2. Select the directory where you want to install SmartEars by clicking the Browse button and selecting the appropriate destination. Click Next to proceed. 3

5 3. Click Next to proceed, after confirming all the install details. 4. Please wait for a minute or two before Windows asks for your permission to install SmartEars. Click Yes to proceed. 4

6 5. The install progress bar will appear, showing the degree of completeness of installation. Wait till the installation completes. 6. Click Finish. SmartEars has now installed and is ready to use! (A desktop shortcut is created). 5

7 2.2 Uninstalling SmartEars To uninstall, go to Control Panel and click on Uninstall, or run the Setup.exe file. Select Remove SmartEars, and click on Finish to proceed. The uninstallation will begin. Wait till the uninstallation completes. 6

8 Uninstallation successfully completed. 2.3 System Requirements The application requires the presence of following specifications in any system using it. Operating System: Windows 7 or higher Microsoft Speech Recognizer 8.0 or higher for Windows A microphone to input voice commands.net framework 4.0 or higher for Windows DirectX for rendering GUI Presence of PDF reader which is set as the default application of.pdf documents Presence of Microsoft Word for.doc and.docx documents Presence of notepad for opening plain text files. 7

9 3 Usage and Feature Listing In this section, we describe all the features that are included in SmartEars. The exhaustive command list, the input and output specifications of each command have also been described in detail. Additionally, we have also added the justification for additional features, that were not part of the client s initial requirement list. 3.1 Starting SmartEars The user starts the software by one of the following actions: Clicking on the Software Icon Shortcut created on the Desktop (created after installation). Through the Start Menu. The file browser of the software will park at a previously set home directory. Depending on the mode selected, an auditory / visual output will be provided. Video mode is set as the default mode on application startup. However upon the activation of the software, the user can change modes to Visual or Auditory by means of an input device such as the mouse. In the remaining of this section, we give a detailed overview of all the commands supported by SmartEars. Note that, in this application. we have used a fixed prefix, SmartEars for every command (except for Dictation commands) because this reduces significantly the execution of commands resulting from external noise input and hence avoids false positives. The word SmartEars is both multi-word and polysyllabic, and is hence ideal for such a prefix. Such a scheme has been used earlier by speech recognition systems in Apple computers. 1. The command set works in the following five modes internally (Other than the high level audio/visual mode). We describe each of these modes in detail, along with the transition diagram in the system architecture. 1. Normal Mode 2. Enumerate Mode (em): When files or directories are enumerated. 3. Search Mode (sm): When searching feature is used. 4. Browsing Mode (bm): When browsing of files and directories is done using select and explore. 5. In such a case the software will issue a message in which the possible files are listed along with a number beside them. The user must then either: Select the number beside the file to open the corresponding file by giving the command 1, 2, and so on. Exit the File Open Mode by giving the command Cancel. As an example, consider a directory containing Hello World.txt and Hello World.docx. If the user says SmartEars Open File Hello World, the system will issue a pop-up message as follows: 1. Hello World.txt 2. Hello World.docx The user should say 1 to open Hello World.txt, or 2 to open Hello World.docx, or Cancel to exit the File Open mode. 10

Unlike the other commands, we have not used SmartEars as a prefix for the dictation commands because 1. Once we enter the search mode, it is expected that we will enter the search string without significant delay and exit the search mode quickly. This reduces the probability of execution of commands due to noise. 2. On the other hand, even if characters are added due to noise, it is very easy to revert the action. We use the commands below because of the following reasons: 1. We cannot directly use the alphabets A-Z because of a high degree of phonetic similarity between them. 2. The NATO phonetic alphabets are used because they are easily distinguishable by humans as well as computers. This is the same reason why they are used for military purposes. 14

16 3. The use of quad-grams makes search user-friendly by not requiring the user to remember any codes / words, as in NATO phonetic alphabets. It also ensures negligible false positives and a very high correct detection rate, better than that offered by bi-grams and tri-grams. In the case that the command was not identified, the system will respond with an apology, as described in the glossary. 1. Entering a specific directory within the present directory Input: SmartEars Directory Open directory name Visual Response sequence: The file browser will display the contents of the directory name directory. If a non-existent directory name is announced, it will issue an apology, or might enter a wrong directory as a result of maximal matching with the name of a similar-sounding directory that exists. Auditory Response sequence: The software will acknowledge the recognition and subsequent execution of the command with Entering directory name. If a non-existent 15

17 directory name is announced, it will issue an apology, or might enter a wrong directory as a result of maximal matching with the name of a similar-sounding directory that exists. 2. Going to the previous directory, one level up Input: SmartEars Go To Parent Directory Visual Response sequence: The file browser will display the contents of the directory one level up. If the browser is in the home directory, it will not go further up, but continue displaying the home directory. Auditory Response sequence: The software will acknowledge the recognition and subsequent execution of the command with Going Back. If the browser is in the home directory, it will not go further up, but continue displaying the home directory and announce Already At Home. Cannot Go Further Back. 3. Scrolling Input: SmartEars Scroll Up or SmartEars Scroll Down. Additionally, SmartEars Page Up or SmartEars Page Down when a file is open. Visual Response sequence: The software will scroll up / down in the file browser or the currently open file application, whichever is in focus, as per the command. If scrolling is not possible in the present view, it will not scroll. Auditory Response sequence: Not applicable in the Auditory Mode. 4. Enumeration of directory contents Input: SmartEars Enumerate Directories or SmartEars Enumerate Files Visual Response sequence: The file browser will display only the directories or the files present in the current directory, upon the respective command. Browsing files and entering or opening the displayed contents is allowed. The current directory view can be brought back by issuing SmartEars Refresh View. Auditory Response sequence: The software will enumerate all the directories / files depending on the respective command above, in the format Directory number sequence number, directory name or File number sequence number, f ile name. The output can be stopped any time by issuing any valid command. 5. Browsing through directories and files The browsing action consists of the following phases: Phase I: Input: SmartEars Browse Directories or SmartEars Browse Files Visual Response sequence: The software enters the Browsing Mode, and highlights the first directory, or the first file, as per the respective command. If no directories / files are present, no action is taken. Auditory Response sequence: The software will acknowledge the recognition and subsequent execution of the command with Entering Browsing Directories, or Entering Browsing Files respectively. It also announces the name of the first directory / file in the 16

18 manner Directory Number. 1, directory name or File Number. 1, f ile name, respectively. Phase II: Input: SmartEars Next Directory / File or SmartEars Previous Directory / File Visual Response sequence: The next / previous directory / file is highlighted in a circular manner. Auditory Response sequence: The software announces the next / previous directory / file in a circular manner in the fashion Directory Number directory number directory name or File Number f ile number f ile name, respectively. Phase III: Input: SmartEars Open Directory or SmartEars Open File Visual Response sequence: The software opens the presently highlighted directory or file using the default application. Auditory Response sequence: The software will open the directory / file whose name was last announced, and issue replies appropriate to the action of opening directories or files. Phase IV: Input: SmartEars Leave Browsing Directories or SmartEars Leave Browsing Files Visual Response sequence: The software leaves the Browsing Mode and removes the highlight. It displays the current directory contents. Auditory Response sequence: The software will acknowledge the recognition and subsequent execution of the command with Leaving Browsing Directories, or Leaving Browsing Files respectively. 6. Opening a file Input: SmartEars File Open f ile name The application supports opening of.docx,.doc,.pdf, and all plain text files (like.txt,.c,.ini etc.) If there exists only one file by the name entered, the following happens: Visual Response sequence: Opens the file with the default application on Windows. Auditory Response sequence: The file is opened and a confirmation Opening file f ile name is announced. If there exist multiple files by the same name, extension exclusive: Visual Response sequence: Shows a list of files the user probably meant to open in a pop-up message box, along with numbers beside each. Auditory Response sequence: It is announced to the user that multiple files exists and the probable files are listed in the manner File number f ile number f ile name.extension. Input: f ile number to open the corresponding file, or Cancel to exit this File Open Mode and return to contents of current directory. 17

19 7. Closing an open file application Input: SmartEars Close Application Visual Response sequence: Closes the application currently in focus. This is not available for the file browser software, only on file applications. Auditory Response sequence: The file application is closed and a confirmation Closing Application is announced. The focus returns to either the file browser or some other open application. 8. Searching for a directory / file in the directory structure The find function consists of the following phases: Phase I: Input: SmartEars Search By Name or SmartEars Show Previous Search Results Visual Response sequence: The software enters into the search mode. The search string bar is now visible. Previous search results are displayed upon issuing the corresponding command. Auditory Response sequence: The software enters into the search mode and announces Entering search mode. Please spell out search string. Phase II: Input: Any substring of the name of the file to be searched, alphabet by alphabet. For A, say A, B, C, D ; for B, say B, C, D, E ; for X, say X, Y, Z, A ; and for Z, say Z, A, B, C. (The alphabet to be entered along with the next three alphabets in a wrap-around fashion). The NATO phonetic alphabet set Alpha, Bravo, Charlie,.. is also available. For numerals, say number 1, and the like. The (underscore) character, as well as the. (fullstop) character is available. For a complete overview, please view The Dictation Commands To delete the last entered alphabet, say SmartEars Cancel Last Character. To begin the recursive directory search 2, say SmartEars Start Complete Search. To search within the present directory only, say SmartEars Search Present Directory. To leave the Search Mode, say SmartEars Leave Search Mode. Visual Response sequence: The software adds alphabets one by one in the search bar. It begins searching upon issue of the SmartEars Start Complete Search or SmartEars Search Present Directory command. Upon finishing the search, it displays the results with their paths alongside them. Leaving the Search Mode results in the display of the current directory contents. Auditory Response sequence: The software adds alphabets one by one in the search bar and announces the addition of each alphabet. It begins searching upon issue of the SmartEars Start Complete Search command, along with audio confirmation of the same. Leaving results in an audio confirmation Leaving Search Mode. 20 edly canceling, and making the search string empty, it announces Search String Empty Phase III: Input: Upon obtaining the search results, the user can navigate into any of the directories or files displayed as part of the search results. Browsing files and directories is also allowed. The user can also dismiss the search results by saying SmartEars Dismiss Search Results, and go to the directory from where the search was performed. Visual Response sequence: Entering a directory or opening a file works as mentioned above. Dismissing the results displays the directory from where the search was performed. Auditory Response sequence: Entering a directory or opening a file works as mentioned above. Dismissing the results gives an audio confirmation Dismissing search results. 9. Reading out text of an open file Input: SmartEars Read Out Text Visual Response sequence: Not applicable in the Visual Mode. Auditory Response sequence: If any text is extractable from the presently open file, as is the case with most.doc,.docx,.pdf, and.txt files, the software starts reading out text contents. 10. Pausing reading out text of an open file Input: SmartEars Pause Reading Text Visual Response sequence: Not applicable in the Visual Mode. Auditory Response sequence: The command is available only when the file contents are presently being read. Upon this command, the reading out of text is stopped. 11. Resume reading out text of an open file Input: SmartEars Resume Reading Text Visual Response sequence: Not applicable in the Visual Mode. Auditory Response sequence: The command is available only when the reading of the file contents have been paused. Upon this command, the reading out of text is resumed again. 12. Stopping reading out text of an open file Input: SmartEars Stop Reading Text Visual Response sequence: Not applicable in the Visual Mode. Auditory Response sequence: This works only when the software is reading out an open file s contents. The software immediately stops reading out text upon issue of this command. If we issue the SmartEars Read Out Text command once again, it begins reading from the start of the file. 19

21 3.5.2 Additional Features The following Input - Response pairs are observed when the vocal command is correctly interpreted by the software system. In the case that the command was not identified, the system will respond with an apology, as described in the glossary. 1. Summarize the contents of the present directory Input: SmartEars Directory Summary Visual Response sequence: A pop-up message will be generated displaying the number of directories and files in the current directory. This will close upon any other auditory input. Auditory Response sequence: The software will announce the summary in the format Current directory contains X directories(s) and Y file(s). Justification for inclusion: Upon opening a directory, a user generally wishes to know a brief summary of its contents without actually requiring the explicit listing of all files and sub-directories. Such a feature is useful when the directory contains a large number of files and / or sub-directories, and even more so for a user who cannot see. 2. Jump to the home directory Input: SmartEars Go To Home Directory Visual Response sequence: The file browser will display the home directory, no matter which directory was previously being displayed. Auditory Response sequence: The software will acknowledge the recognition and subsequent execution of the command with Going Home. Justification for inclusion: Many a time, users wish to go back to the point they started from, and using SmartEars Go To Parent Directory to go home when many levels down can be tedious. This provides a convenient shortcut. 3. Switch between open applications Input: SmartEars Switch Application Visual Response sequence: The software will switch between the applications opened through SmartEars and the file browser in a circular manner. Auditory Response sequence: The software will switch between the applications opened through SmartEars and the file browser in a circular manner, and announce the application to which the focus has now shifted. Justification for inclusion: When a user has opened a file with the default application and wishes to go back to the file browser, either to open another file, or to perform other available actions, this command is of immense value. Without this command, a user cannot open multiple files at the same time, and has to exit the currently open file to return to the file browser. 4. Display previous search results Input: SmartEars Display Previous Search Results 20

22 Visual Response sequence: The software will display the results of the previously performed search (does not remember searches after closing application). If no search was performed previously, it does not change the presently displayed content. Auditory Response sequence: The software loads the previously performed search results, and announces the same with Loading Previous Search Results. Justification for inclusion: Very often, a user might enter a wrong directory, or open a wrong file from amongst the search results, and would not want to go through the trouble of performing the search again and dictating the entire search string again. In such a case, the results of the previous search can be displayed or brought back with a single command, thereby significantly increasing convenience in a meaningful way. 5. Shortcut to go to a particular directory Input: SmartEars Bookmark Present Location, SmartEars Open Bookmark bookmark number, SmartEars List All Bookmarks, SmartEars Delete Bookmark bookmark number Visual Response sequence: A bookmark will be created in the current directory upon the issue of the first command, and a bookmark number would be generated corresponding to the current directory. The delete command will delete the corresponding bookmark. The file browser will display the contents of the folder associated with the given bookmark number upon issue of the second command. Auditory Response sequence: The software will announce the creation of the bookmark and the opening of the bookmarked directory appropriately.
