1 Vancast PowerPoint AddIn Objective: The PowerPoint AddIn purpose is to allow a presenter to use his own PC to connect to Webcasting-Studio s Control-Room to synchronize any slides change during a live webcast. This plugin, along with the synchronization services deployed by Webcasting-Studio, bring some important advantages: Improves the overall quality of a live webcast because the plugin avoids the human error when changing the slides Allows the Control-Room producer to concentrate in other aspects of the broadcast. His workload will be reduced which, at the end will improve the overall quality of the webcast Allows remote presenters to manage their own presentation by themselves in connection with the webcast Functionality.

2 When a PC with the Vancast PowerPoint AddIn installed and active for a specific event is goes to presentation mode, it immediately starts sending information to a Synchronization service named Autopresentation The event Producer managing the Control-Room will request to connect to the Autopresentation Service. In case one or more presenters are sending information he will have the opportunity to select one of these information flows and decide whether or not to activate the automation service The Control-Room operation philosophy is similar to that of a car s auto-speed function. It can be easily activated or deactivated at any point and in any case the Producer can get instantaneous control over the presentation. It is important to understand that this AddIn does not avoid the preparation of the original slides to a web distributable format; currently Jpeg folders or ispring converted SWF files, in the near future html5 converted slides. Important considerations TheVancast PowerPoint AddIn will only send information to the Sychronization service when the Presenter turns his Powerpoint to Presentation Mode Compatible Equipment The Vancast PowerPoint AddIn is only compatible with Windows PC s with the following Windows and PowerPoint versions installed OS: Windows XP SP3, Windows 7 y Windows 8 PowerPoint: 2003, 2007, 2010 y 2013 Instalation Unzip the VancastPowerPointAddIn.zip file Open the folder with the same name and double-click the setup.exe file Accept a few security verifications. If a previous version of the AddIn was already installed, you may need to uninstall it before (if you try to install before uninstalling you will get a message pointing it) When installation is done, you can check the installation is correct; Open PowerPoint, click on Add-Ins and check the following AddIn.

3 Settings Settings must be updated anytime the AddIn is reinstalled - for new versions-. Additionally some settings must be updated any time you want your PowerPoint to communicate to a Control-Room for a live event Click on Settings and the following dialog window will pop up: Url: The base URL is In order to connect your PowerPoint to a specific event, an event-code must be added after the Slash The event code can be found this way : Go to your Webcasting-Studio Event Management page

4 At this point click Edit of the chosen event. You will obtain: In this screen you can extract the event-code from the URL section of your browser. The event-code is the number after &id=xxxx at the right hand side of the URL. In the above image the event-code is: 726 The Url value you should type for this example is:

5 Origin The Origin field has the purpose of identifying the specific PC that is sending information from any other PC We recommend using a few digits to identify your Webcasting-Studio s account and a few additional digits to identify your PC form others within your organization. Start Date y End Date The selected dates in these fields actually determine the period your PowerPoint will be sending information to the synchronization service The purpose of these setting fields is to avoid sending information from a PC after the event is over A ON OFF signal at the right hand side of the date fields indicates whether or not the AddIn is currently active. Update Settings If any field has been updated, please click Update Settings. INSTALATION TROUBLESHOOTING: On some combination of Windows/Powerpoint versions the installation process fails due to a security control. Problems have been found in: Windows 7 + Powerpoint 2013

6 In order to troubleshoot this problem, follow the next procedure: Right click on setup.exe file Click on Properties Select Digital signatures tab Select the signature named DESARROLLO-X and click Details Click on watch certificate Click on Install Certificate Follow installation process until it is successfully completed Run setup.exe again
