1 Using Stanford Community itunes Stanford s itunes Community partnership provides a great place for sharing and presenting Stanford community course materials, including talks, movies, and other content. The website even allows students to upload and share music and movie files for class discussion via a dropbox feature. This handy (I hope it s handy) guide, will walk you through the basics of uploading files and editing the itunes course page. Here are all of the sections of this walk-through (it looks long, but it s actually pretty simple). 2 Requesting a New Community Topic To request a new Community Topic/Page please jsabol@stanford.edu. UPLOADING, MOVING, AND DELETING FILES Uploading files to your itunes Community Page (1) Click on the link on the left side of the window titled Upload Files. (2) A new window will open in your browser with the itunes file upload page. Here you can select which section of the itunes community page you would like the file to appear in by clicking on the appropriate tab. 2
3 The trash tab is for files that you want to delete and won t be shown on the site that your students will view, so you want to make sure you re not in the trash tab. (3) Once you ve selected the desired tab, click the Add Track(s) button. (4) Click the Choose File button that appears at the bottom of the track list. (5) A prompt will open up asking you to locate the file you wish to upload. You can upload audio files in MP3 and AAC format; video files in MPEG4 (mp4) and Quicktime (mov); and PDF files. In order to view PDF files, however, the access for 3
4 the tab must be set to Download rather than Streaming. See how to do that below. If you submit an unsupported file type, the page will give you an error message. Click the Add Track(s) button again to submit a different file. (6) The file show a progress bar of much its uploaded (unless it s really small). While it s uploading, you can upload other files. At any time, you can cancel the upload by pressing the x next to the download progress indicator. (7) And you re done! The files should appear on the itunes page in your itunes window when you click the Return to itunes button. Moving and Deleting Files Between Sections of the itunes Course Page In the event that you want to move a file to a different section of your itunes course site, you uploaded a file to the wrong section of your course site, or you want to delete a file, here s how to do it. (1) Click the checkbox to the left of the file(s) that you wish to move or delete in the itunes file upload window. 4
5 (2) Click the box under the Move Selected Tracks To: heading to open a pull-down menu. In the menu should be a list of all the sections of your course site as well as the trash. If you wish to delete files, select the trash, otherwise select the section of your site you want the file moved to. The files will automatically be moved after selecting an option. Note: If you ever move something to the trash accidentally, you can always go to the Trash Tab and move it back. All contents of the trash stay there until you click the Empty Trash button in the Trash tab. 5
6 Emptying the Trash The contents of the trash stay in a special Trash Tab until they are manually deleted. The trash tab can only be viewed in the administrator view, not the student view. (1) You can delete the trash by first going to the itunes Upload Files Page in your internet browser and clicking the Trash tab. (2) Once in the trash tab. then click the Empty Trash button as seen below. (3) After clicking the Empty Trash button, you ll see the following screen when the trash is empty: 6
7 EDITING YOUR itunes COURSE PAGE Entering the Editing Mode Make sure you ve entered the administrator s view of the itunes page. Once there, click the Edit Page link on the right. A bunch of new buttons should pop up, and your screen should look something like this: Now we re talkin Turkey, let s make some edits. 7
8 Making New Tabs (Sections) Your itunes course page can be divided into different tabs that contain different files, and have different degrees of viewing access (streaming, download, etc.). It s easy to do and makes things organized, so here s how to do it: (1) There should be a new tab that appears to the right of all the other tabs in the edit mode, click the + on that tab. (2) A new tab will appear to the left of the Trash Tab. Type in the name that you want to give this tab/section and press Enter or Return on your keyboard. (3) Yay! You re done! 8
9 Deleting Tabs/Sections If you have too many tabs, or tabs you just don t want anymore, you can delete them. Conveniently (or inconveniently), all files in a tab that you delete will be moved to the trash when you delete them. If you wish to keep some of these files, be sure to move them to another tab before deleting the undesired tab. (See: How to Move Files Between Tabs/Sections of the itunes Course Page.) Note: You must have AT LEAST one tab in your page, so the option to delete the only tab (other than the Trash tab) in your page will not be available to you. (1) Select the unwanted tab/section by clicking on it in the itunes window. (2) On the gray tab to the right of the Trash tab, click the circle icon with a line through it. You ll find this button on the far right of the gray tab. Rearranging Tabs/Sections You can rearrange tabs if you don t like the order they re in, it s easy as: (1) Select the tab you wish to move by clicking on it in the itunes window. (2) Click the arrow on the gray tab on the far right in the direction that you wish to move the selected tab. 9
10 Editing the Name of an Existing Tab/Section You can edit the name of an existing Tab by clicking the pencil icon to the right of the tab s name. Changing the Page Picture (1) You can change the picture from the default Academic picture by clicking the pencil icon at the borrom right corner of the picture. (2) A new browser window will open up. Click the Choose File button to choose the desired picture for the site. 10
11 Editing the Page Description and Owner s List You can actually put any information you want in these two sections, but itunes offers Artist and Description information as suggestions. By default this information is left completely blank. (1) To edit this information click the two buttons that say Edit under the course title. (2) The top button is for editing the Artist, while the bottom button is for editing the Description. Clicking the button will open a text box. Type in the desired Text and click OK. 11
12 Changing the View/Download Access of a Tab/Section You can change the access of tabs or sections so that students can either stream, download, or not view the contents in a tab. You unfortunately cannot set this access on a file-by-file basis, so make sure that all of the files in a specific tab are ones that you want to all have the same access setting. (1) Click the tab which you desire to change the access setting for. (2) On the right, you ll see a header (in red) that says, Access for COURSE NAME. There should be two pull down menus, one that says Student ID to the left of it, and one that says Member to the left of it. Student ID: These are the permission settings for Stanford students with a valid SUID and password. Students will have to login to see this material. Members: These are the permissions for itunes members, so people in the public who have an itunes account. Generally, unless you want the material in your course available to everyone, you would want to leave the permission setting as No Access (3) Click the permission settings drop down menu for either students or members. You ll be presented with a list of options: 12
13 No Access: Prevents this user group from accessing this section of the course site. The tab for this section will not appear in the user s itunes when they come to the page. Streaming: Allows users to stream data from itunes. They won t be able to download anything, but will be able to view or listen to media online. Download: Allows users to download data from this tab/section. All data can be saved to the user s computer. Be sure that NO COPYRIGHT media is available for download. Note: If you have pdf files uploaded to a section, users will only be able to read them if you have them available for download. STREAMING will NOT allow the users to view the pdf files. Because the tab/section they are in must be set to download, it is best to have them in their own section of the site. Drop Box: Allows users to upload media into this tab/section. See: Creating a Drop Box for Other Users Media Submissions. Shared: What does this do? That s a good question. I m still figuring this one out. Creating a Drop Box for Other Users Media Submissions One of the great features about the Stanford itunes program is that students can share their media with their classmates and teaching staff. You can do this by creating a drop box on your itunes course page. Media that is uploaded to this course page can be streamed from itunes by other students. Note: Because the media can only be streamed, if students upload pdf files, they can only be read by the page administrators. The administrators can, however, move the pdf files to another part of the site (See: How to Move/Delete Files Between Sections of Your itunes Course Page) to make them available for download by all students. (1) Create a new tab or select an existing tab/section that you would like to become the drop box. Remember, media files in the drop box can only be streamed. (2) Set the Student ID permissions for this tab/section to be Drop Box. 13
14 Now when students come to your course page they will have an Upload Files option available to them in the upper right corner of the course page: When students click on the Upload Files link, their web browser will open, and they will see the following page: Students will only have the option of uploading files. Only you (the administrator) can delete or move the files they upload. 14
