3 Quick Facts The Bedford/St. Martin s Speech Upload & Annotation Tool is easy-to-use software that lets instructors and students: Upload speeches to any submission space in SpeechClass Add time-based comments privately between instructor and student, or publicly between instructor, student, and peers Create lessons and assign grades using any uploaded speech, whether it s a student speech or one assigned by the instructor Helpful Features Everything fits on one screen. Comments are placed side-by-side with the audio/video so you can comment without leaving the clip. Comment on segments, not seconds. Audio and video are time-based comments should be too. Simple controls let you apply your comment to a specific portion of the clip Automatic comment scrolling. As the clip progresses, comments scroll upwards, allowing you to keep your attention on the clip and comments instead of on your keyboard or mouse Linked comments. Every comment gets a marker on the timeline and a time code on the comment itself. Click either and the tool will show the associated comment and play the segment 2
4 The Upload Tool: Diagram and Explanation Uploading a New Clip 1. Click 'Browse' and choose the audio or video file on your computer you wish to upload. 2. Add Title and Description information. Titles appear above the speech in the Player/Annotator and Descriptions appear in the 'Description' tab. (If you do not specify a title, the file name will appear above the Player/Annotator.) 3. Click 'Upload' NOTE: Upload speeds vary according to Internet connection speed and file size. Generally, you can expect one-to-five minutes per megabyte (MB). 3
5 Locating the Upload Tool SpeechClass submission spaces (e.g. Drop Boxes, Discussion Forums, Blogs, Journals) employ a simple text editor. The text editor has a button for 'Audio/Video Upload.' The 'Link' menu also contains a menu item titled 'Audio/Video Upload.' In addition, certain submission spaces (such as Discussion Forums) also feature an 'Upload Audio/Video' button. Use any of these to launch the Upload Tool. Public vs. Private Submission Spaces Whether an uploaded speech is public or private depends on the submission space. For instance, Blogs and Discussion Forums are public, while Journals and Drop Boxes are private. Refer to your SpeechClass User Guide for more information 4
6 Supported File Types Video: avi, flv, mov, mpeg, mpg, mp4, mv4, qt (QuickTime), wmv, 3gp Audio: avi, asf, flv, mov, mpeg, mpg, mp3, mp4, mv4, qt (QuickTime), wma, wmv, 3gp Terms of Service After clicking 'Upload,' you will be asked to accept the Terms of Service. You must click 'I Agree' to start your upload. Progress Bar The Progress Bar will tell you the status of your upload. Wait until your file finishes uploading and then save your work. IMPORTANT: Do not close the Upload Tool window until uploading is complete. If you attempt to save or submit your work before the uploading process is complete, your submission will not include a link to your clip. 5
7 What Happens Next: The Encoding Process After your file is uploaded, it will be encoded (your file will be compressed). Your file will not be available for use until the encoding process is complete. When Your File is Ready: Confirmation After encoding is complete, you will receive an alerting you that your file is ready to use. NOTE: Your filters may mistakenly redirect the alert to your spam folder. Please be sure to check there if you don t receive confirmation. Accessing Your File Click the link provided in your encoding confirmation . This will take you to your original submission, where you will see a link to your clip. Clicking the link will launch the Player/Annotator in a new window. The uploaded clip will appear in the player, ready for commenting. Submitting a Previous Upload If you have previously uploaded a file and want to add it to another submission space in SpeechClass, use the tab on the right-hand-side of the Upload Tool. 6
8 1. Click once on the file you want to submit. The original Title and Description will auto-populate the Title and Description boxes. 2. If necessary, edit Title and Description for the new assignment/submission space. 3. Click 'Submit' NOTE: If you ever want to change the Title of your clip after it s been uploaded, repeat Step 2. File Sizes & Account Limits Each user is given 300MB of storage space. This is based on the encoded (compressed) file size. If you exceed your allotted space, you will be prompted to delete previously uploaded files to make room for the new upload. Deleting a Previous Upload See 'Delete Selected File' button in above diagram. 1. Click the Submit a Previous Upload tab in the Upload Tool. 2. Click once to highlight the file you want to delete. 3. Click the 'Delete Selected File' button. IMPORTANT: Deleting a file will permanently delete the clip, comments, and description. For this reason, the dialog box below appears to ensure that a file is not deleted prematurely: 7
9 THE PLAYER/ANNOTATOR Diagram and Explanation The Comments Tab Adding Comments 1. Click Add Comments Button. The video will pause and the comment window will expand. Type your comment in the box. 2. Drag the time sliders to select the segment that you are commenting on. 3. Click the 'Add My Comment!' button. NOTE: If you selected a long segment, a dialog will appear asking whether you want to (A) comment on the entire clip or (B) just the portion you originally selected. Your comment will appear in the comment window and a color-coded marker will appear on the timeline. Comments are ordered according to the segment start time. You can click any comment or marker to play the associated segment. NOTE: Multiple comments added to the same second will have a parenthetical number below them. That number represents the total number of comments at that point. 8
10 Comment Colors and What They Mean Comments are color-coded so you can easily see who has commented. Blue = Instructor Yellow = Student (Logged-in User) Gray = Student (Peer) Editing and Deleting Comments To edit: Only the user who added a comment may edit his/her comment. 1. Click the blue Edit link at the bottom-right of the comment to re-open the comment window. 2. Edit your comment. 3. Click the 'Add My Comment!' button to re-post it. To delete: Users can delete any comment they have posted. Instructors can delete any comment by any user. 1. Click the red circle in the comment header. 2. A 'Confirm delete' dialog box will appear. 3. Click 'OK' to delete or 'Cancel' to keep the comment. Downloading Comments Click the 'Download comments' button at the bottom of the Comments Tab to save a.pdf transcript of posted comments. 9
11 Setting Comment Visibility (Instructors Only) Instructors can limit which comments students can see by clicking the 'Settings' button at the top-right of the Comments Tab. 1. Click the 'Settings' button. A panel will expand that asks Which comments can students see? NOTE: Instructor comments are always visible to all students. 2. Select 'Only their own' to allow students to see only their comments and the instructor s. Select 'All comments' to allow students to also see comments posted by their peers NOTE: Comment settings can be changed at any time. For instance, if students are limited to 'Only their comments' during a quiz, the instructor can change the settings to 'All comments' once the quiz is complete so that students can see what their peers said. The Description Tab Descriptions work exactly like comments. Users can add, edit or delete descriptions using the Description tab that appears to the right of the Comments tab. Adding, Editing, and Deleting Descriptions If you did not add a description in the Upload Tool, you can add one from Description tab. Adding: Click the 'Add Description' button to describe your clip. Editing: Click the Edit link at the bottom of the posted description. Deleting: Click the red 'X' circle to delete your description. Only the person who uploads a clip can edit the description, but instructors can delete any description by any user. Downloading a Description Users can also download a.pdf of the description by clicking the 'Download description' button at the bottom of the Description tab. 10
