2 EXERCISE 1 CREATING A GRID INDEX FEATURE FROM EXISTING FEATURES In this exercise you will: Create a new grid index feature using a spatial join Calculate a number field using the Field Calculator function 1. Open your DataDrivenPagesMap.mxd 2. Right-click on the Map Number feature in your Table of Contents a. Choose Joins and Relates i. Choose Join 1. Choose the following options 2. Save the output feature: a. Select the folder located under 3. b. Navigate to your DataDrivenPagesData.mdb c. Type MapGridIndex in the Name: section d. Select File and Personal Geodatabase feature classes in the Save as Type section 3. Turn the MapGridIndex feature off Using Data Driven Pages Page 2 of 11

3 4. Open the MapGridIndex attribute table a. Confirm you don t have any duplicates i. Right-click on the TWPRANGNO field Select OK ii. Select Summarize 1. Select Yes to add results table to map 2. Scroll down and open the table Sum_Output that was added in Table of Contents 3. Review results a. Under the Count_TWPRANGNO you should only have 1 in each record (this shows there is only 1 record per Twp-Rge) 5. In the MapGridIndex attribute table, under Table Options, Select Add Field a. Add a short integer field called PageNumber (This field will be used for sorting your pages during your export) 6. Right-click the PageNumber field and select Field Calculator 7. In the Fields: window double-click MapNo a. OK 8. In your Table of Contents reselect the List by Drawing Order button 9. Save your map Your Map Grid Index feature is now ready to use. 4 EXERCISE 2: SETTING UP A DATA DRIVEN PAGES DIALOG BOX 1. Turn on your Data Driven Pages toolbar if it s not visible a. Navigate to the Customize tab i. Select Toolbars and choose Data Driven Pages 2. On your Data Driven Pages toolbar select Data Driven Page Setup 3. Choose the following settings: Using Data Driven Pages Page 4 of 11

5 EXERCISE 3: SETTING UP PRINT/PAGE PROPERTIES 1. Under File Go to Page and Print Setup 2. Choose the following settings: 3. Select the Properties button in the Printer Setup section a. Choose the following settings: 4. Save your map Using Data Driven Pages Page 5 of 11

6 EXERCISE 4: CREATING A MAP LAYOUT In this exercise you will: Set and snap to page guides Insert map elements o Graphics o Scale bar o Inset map o Legend Set extent indicators for inset map Set Legend properties Insert dynamic text o Current date o Page name o Other dynamic text o Set dynamic text properties 1. Go to your Layout View if you are in Data View 2. INSERT NEATLINE: Go to your Insert tab on your menu and select Neatline a. Choose the following properties: i. Place inside margins ii. 2 Gap iii. 0 Rounding iv. 2 pt Border v. Select <None> for your Background 3. SETTING GUIDES: Set your Page Guides by clicking on your rulers a. These guides will help align your map elements. You will see the measurement in the top left part of your map area when you click and hold on a measurement on your ruler b. Set two on the top ruler.10 and 2.70 c. Set two on the left ruler 3.40 and.10 d. Turn your Snap to Guides on by right-clicking in the white space around your map layout and choosing Guides and Snap to Guides 4. INSERT GRAPHICS: Turn on your Drawing toolbar if it s not on a. Insert 1 rectangle with black line color, without fill within the guides that will create section 1 shown below Using Data Driven Pages Page 6 of 11

7 5. INSERTING SCALE BAR: In Section 4 (Make sure you are in the correct Data Frame) a. Under the Insert tab on your menu choose Scale bar i. Select Scale Line 1 b. Align horizontally to the center in Section 4 i. Right-click and Select Properties 1. Go to Size and Position tab a. Set Anchor Point to Center c. Now align your scale bar vertically to the center of Section 4 i. To move an object when Snap to Guides is set-select the object then hold the Shift key and press the up, down, left, or right arrows 6. INSERTING LEGEND: Go to the Insert tab on your menu and select Insert Legend a. Select these layers to include in your legend b. Click Next throughout, accepting all the defaults c. Click Finish d. Right-Click on the Legend and go to Properties e. On the Items tab choose Select All then Style i. Choose Horizontal Single symbol Label Only f. On the Items tab choose Select All then, under the Map Extent Options check mark Only show classes that are visible in the current map extent and Use current index feature as the map extent (data driven pages) Using Data Driven Pages Page 7 of 11

8 g. On Layout tab select Fixed Frame and set 5 pt for minimum size h. On Frame tab select i. 1.0 Point border ii. Color transparent iii. Gap: X 3pt and Y 3pts i. On the Size and Position tab set your Anchor Point to Center j. Click Apply k. Size your legend within Section 1 l. Adjust the size until this symbol [ ] disappears. This symbol means that not all of your legend contents fit within the size you have specified. 7. Save your map Using Data Driven Pages Page 8 of 11

9 8. INSERTING INSET MAP: Under the Insert tab on your menu choose Data Frame a. Drag Map Number feature into your new data frame in the Table of Contents b. Adjust your inset map to fit within Section 5 (If you don t see it, you may need to bring it to front by right-clicking, selecting Order, then Bring to Front) c. Right-click on your Map Number feature in your New Data Frame and zoom to layer d. Right-click and choose Properties i. Under Labels tab - change the font size to 11 pt and text to black ii. Under the Symbology tab - change the symbology to: 1. 1 width 2. Black Line 3. Without Fill for width and line color black without fill iii. Set Extent Indicators 1. Right-click New Data Frame in your Table of Contents a. Select Properties i. Then the Extent Indicators tab ii. Under Other data frames: section 1. Highlight Layers 2. Hit the to move the Layers data frame to the Show extent indicator for these data frames section iii. Accept the defaults iv. Click OK e. In your table of contents right-click on your Layers Data Frame and Activate f. Save your map Using Data Driven Pages Page 9 of 11

10 9. INSERT PICTURE: Under the Insert tab on your menu select Picture a. Navigate to MWEUUG Logo.png that was included in your data i. Select Open ii. Adjust the Image to be Centered in Section 2 (you may have to hold the shift and move the image with your Up, Down arrows to adjust to vertical center) iii. Right-click the image and under the Picture tab select the check box Save Image as Part of Document 10. INSERT DATE DYNAMIC TEXT Under the Insert tab on your menu select Dynamic Text and choose Current Date a. Place this somewhere on your map i. You can adjust the properties by right-clicking and adjusting the expression in the Text: field ii. The Help menu offers different codes to use 11. INSERT INDEX LAYER DYNAMIC TEXT: Under the Insert tab on your menu select Dynamic Text and choose Data Driven Page Name a. Place this Centered in Section 3 b. Right-Click and choose Properties i. Under the Text tab for the Text: field Add MAP in front of <dyn type="page" property="name"/> 1. Choose Center Alignment button 2. Select Change Symbol a. Change to Arial, Bold, Size 28 Using Data Driven Pages Page 10 of 11

11 12. INSERT INDEX LAYER ATTRIBUTE DYNAMIC TEXT: Under the Insert tab on your menu select Dynamic Text and select Data Driven Page Attribute a. From the Index layer field list choose COUNTY_N b. Place the dynamic text above your Map Number in Section 3 Right-click and choose Properties i. Center Align and add (space) COUNTY to the end of the expression in the Text: field ii. Select the Size and Position tab and choose the Center box under the Anchor Point section iii. Repeat this process for NAME 1. Add (space) TOWNSHIP and place underneath Map Number in Section Save your map EXERCISE 5: EXPORT YOUR MAP TO PDF FORMAT 1. On your Data Driven Pages Toolbar click the Open Attribute Table button. 2. Select top 5 records 3. Under the File tab on your menu, select Export Map a. Under the Pages tab, if you have Show Selection Symbology checked uncheck it b. Name your file and save 4. Open your pdf and review the dynamic changes between each map Using Data Driven Pages Page 11 of 11
