2 2 Inserting text Adding new text into your blank template. Simply type into the text boxes provided within the template, don t worry about what it looks like for now - you will style the text later. Text from existing materials. If you want to copy a bulk of text from materials created in the past, you should change it to plain text first. (This stops you importing any unwanted styles and formatting into the template that could be used by mistake in the future). To do this copy your existing text then in the template document select Edit > Paste Special. This will open a pop up box - select Unformatted Text and click OK (see example). In the Edit menu you might not see the Paste Special option and will need to expand the list. Text from a poster template that you have previously created. You can copy the styled text from one poster template to another as they will have the same formatting. Don t forget you can also do a save as and type over the existing text to create a new poster rather than use the master template.
3 3 Styling text The styles can be accessed by selecting Format > Styles and formatting, from the main menu. The image below shows the pop-up box that will appear. Make sure the area that has been circled in red reads custom..., this will display all the preset styles. To style a paragraph of text, select it with your cursor, and while highlighted, click on a style from the Styles and Formatting pop-up box. (The red arrows show how the text will change). The Styles are set up with a range of colours on the Bold text style option, these are the CCC brand colours. The colours are limited to aid clarity. Styling your text will create a clear order to your information and help the reader to scan through the information to see if it is of interest to them - if it is they will move closer and read the rest of the message and the call to action. The most common mistakes when putting a poster together is trying to present the information all at once, or having too much information. Heading should be used to explain what you are promoting it can be read from a distance to draw in the reader. Make sure it conveys the main message within 5 words. Sub Head should be used for supporting essential information. This style is also designed to be read from a distance. This is typically used to identify with your audience. Bold Text is used to bring attention to a specific point in your message. This is often the element of your message that contains a deciding factor like, date, time and location or a call to action. Body Text is for the main detail of your message that is designed to be read up close and once the reader has shown an interest.
4 4 Adjusting text For styles to work correctly it is important to know the difference between a paragraph and line return. As you will see from example 1, the text has room for improvement and the orphan needs to be sorted out. As you will see from example 2, the spacing in the styled text does not look right - there is a large gap between the first and second line of the body text. This is because the text has been forced down a line by pressing the Return key - also known as a paragraph return. Styles effect a paragraph of text - the style for body text has automatic paragraph spacing which creates a space after the text when the return key is pressed - ie it creates a paragraph. Example 1 The text above contains an orphan (single word on a line). The line endings also look unbalanced. To force a word down onto the next line without creating a new paragraph you need to hold down the Shift key when you press Return - known as a line return. In example 3 The text has been improved by using line returns to force control the end of a line - but not create a new paragraph. The orphan is now no longer a problem. If you want to view the invisibles on your document they can be toggled on and off in the same toolbar as the save and print options. If you do not see the icon shown below you might need to expand your toolbar or use the arrow at the end. Example 2 The user has tried to return a line down to balance the line endings - but this has created a paragraph rather than a new line. Notice the difference between the line spacing after a paragraph return and a line return. Example 3 The correct way to create a line return is shown above and the orphan is now no longer on its own.
5 5 Printing options The template is set up for an A4 laser printer. Simply print the document as normal. To print A5 flyers you do not have to create an A5 document, you can achieve this by changing the print options. In the Page range section enter 1,1 this will now print page 1, and then print another page 1. To get both your pages to print on one page - in the Zoom section select 2 pages. Templates can be printed in black and white - Click on Properties then on the colour tab and tick the Print in Greyscale check box.
