5 Getting Started with Vision Anywhere (Windows 8) Overview The Vision Anywhere (Windows 8) app gives GPs and other healthcare workers secure access to Vision patient records and appointment information during home visits. It provides both online and offline access, allowing users to view and update patient records and view appointments away from the practice, with or without an internet connection. Vision Anywhere for Windows 8 is currently available via the Windows Store. See Prerequisites and Downloading the Vision Anywhere App. 5

7 Prerequisites Vision To use Vision Anywhere (Windows 8) you must already have a Vision 3 account set up at your practice. You will use these credentials to login to Vision Anywhere. Windows Version Vision Anywhere (Windows 8) requires Windows 8.1 and above. Devices The following devices are supported as a minimum for Vision Anywhere (Windows 8): Surface 2 Surface RT Surface Pro Surface Pro 2 Nokia Lumia 2520 Note - You must have a minimum of 300MB available storage to allow space for the app and any locally stored patients. Connectivity The minimum requirement for connectivity is 3G. Wi-Fi is recommended for faster connectivity. Downloading the Vision Anywhere (Windows 8) App 1. Go to the Windows 8 store. 2. Tap or click in the Search box and type Vision Anywhere. 3. Press Search. 4. Locate the Vision Anywhere app in the search list (you may need to select the App category) and select Install. 5. You can now login to Vision Anywhere. See Logging In and Home Screen. 7
8 Logging In and Home Screen 1. From your Windows 8 device, tap or click the Vision Anywhere button. 2. Now carefully enter your user name and password. This is your address which has been recorded in Vision Control Panel - File Maintenance- Staff Details and Vision password that you use to login to Vision at your practice. If you cannot remember your address or password, please ask the system administrator in your practice to reset it in Vision Control Panel Enter Login Details Note - If you enter the wrong login credentials more than three times, you are locked out of Vision Anywhere. This is regardless of your Vision settings at your practice. You should contact your system administrator and ask them to unlock your account in Organisational Services (system administrators can find out how to do this here htm#53130). 3. Tap or click Sign In. Vision Anywhere opens on the Home screen. This displays the following menus (you may need to swipe or scroll across to see all options): Next Appointment - Shows the details of the patient booked in the next appointment. This is determined by the time on your device and not the order of the patients you have opened in your appointments list. 8
9 Automatic Timeout Appointments A list of all your booked appointments today (you can tap or click the Appointments headings to see booked appointments on future days). From here you can tap or click on a patient name to open the patient record. See Appointments. Encounters Open patient encounters in Vision Anywhere. See Encounters. Downloaded Patients Patients currently stored on your device. See Downloaded Patients and Saving Patients on your Device. Other Functions: Search for a Patient - Find any of you registered patients. From here you can tap or click on a patient name to open the patient record. See Searching for a Patient. Sign out - Sign out of Vision Anywhere. See Logging Out. For security reasons, Vision Anywhere has an automatic timeout of 2 minutes. This means that if the app is left inactive or you navigate to another app on your device, you will need to re-enter your login credentials. Vision Anywhere will open on the last viewed page. Appointments The Appointments menu displays a list of booked appointments for today by default. This is for the logged in user only and you cannot see other people's appointments or appointments which have not been assigned to a clinician ie clinic appointments. Patient records for patients with booked appointments today are automatically downloaded to your device for offline use (they are not counted in the Downloaded Patients menu). From this list you can also open patient records and view future or past appointment bookings by tapping or clicking on the Appointments heading. 1. From the Vision Anywhere home screen, your appointments for today are displayed with the time and duration of the appointment along with the patient name and title. 2. Whether online or offline, simply tap or click on a patient from the Appointments Today list on the Vision Anywhere front screen to display the patient record. 3. The patient record is displayed for you to view and record data. See Viewing a Patient Record and Data Entry. Note - Only your booked appointments are displayed in the list and you cannot move, cancel, or mark patients as seen from the Appointments screen. 4. To get back to your Appointments list and front main screen after viewing a patient record, tap or click the back arrow. 9
10 Encounters in Progress To add data to the patient record, you must first start an encounter where you select the type of encounter you are having with the patient ie Home Visit (this is the same as starting a new consultation in Vision). See Adding Data. If for any reason, you leave the patient record without having saved the encounter type and associated data entries, the patient name is added to the Encounters in Progress screen on the Vision Anywhere front screen, where you can easily tap or click the patient to reopen their record and complete your consultation. Note - Encounters listed in Encounters in Progress remain there for 72 hours, after which they are removed along with any data recorded in the encounter. Downloaded Patients The Downloaded Patients menu on the Vision Anywhere front screen tells you how many patients are currently stored on your device. This does not include patients who have booked appointments as these are automatically downloaded. 1. To open a downloaded patient, from the Downloaded Patients menu on the Vision Anywhere front screen simply tap or click the required patient to open their record. Downloaded Patients Note - Patients are automatically removed from the device after 72 hours. See also Saving Patients on your Device (page 11). 10
11 Searching for a Patient The patient search facility allows you to search for all patients registered at your practice (patients who were transferred out prior to your data being transferred to the Vision Data Hub are not available). You must be online to do this. To search for a patient: 1. From the Vision Anywhere front screen tap or click in the search for a patient box. 2. Enter the first few letters of the patient surname and forename and tap or click search. 3. Matching patients are displayed along with their date of birth, age, gender and NHS number (CHI numbers for Scotland will be available in a future release). 4. If connected to the internet, tap or click the patient name to open the patient record. If you want to download the patient to your device see Saving Patients on your Device. Patients listed in the Appointments menu for today are automatically downloaded to your device when you have an internet connection. 5. The patient record now opens on the Patient Summary screen. See Viewing a Patient Record. Saving Patients on your Device To save a patient into your device so that you can access their record when you don't have an internet connection: 1. From the Vision Anywhere front screen tap or click in the search for a patient box. 2. Enter the first few letters of the patient surname and forename and tap or click search. 3. Matching patients are displayed along with their date of birth, age, gender and NHS number (CHI numbers for Scotland will be available in a future release). 4. Tap, hold and swipe down on the patient name (or right click on the name if using a mouse) and tap or click Download. 5. The patient is now downloaded to your device and is accessible from the Downloaded Patients menu on the Vision Anywhere front screen whilst offline. Remember - Patients listed in the Appointments screen for today's appointments are automatically downloaded to your device when you have an internet connection. Note - Patients are automatically removed from the device after 72 hours. 11
12 Viewing a Patient Record When you have selected a patient from your Appointments, Patient Search or Downloaded Patients menus, the patient record opens on the Patient Summary screen. You may need to swipe or scroll across to see all options. Overview of the Patient Summary Screen Demographics - Displays the patients registered and usual GP, the patient's address and telephone number. Encounters Last Encounter - Displays the date, type, data recorded and clinician for the selected patients last encounter. Add New Encounter - Tap or click to add data for the selected patient. Encounters in Progress - Displays open/unsaved encounters for the selected patient. Tap or click the Encounters heading to see all previous encounters/consultations. Medical History Significant Diagnoses - Priority 1 medical histories. Significant Operations - Priority 1 medical histories in Read chapter 7. Click on the Medical History heading to see all medical history entries. Medications Repeat Medications - All active repeat medication (including expired items). Acute Medications - Last 2 years of acute medication. Click on the Medication heading to see all medication entries. Allergies - All the patients recorded drug and non-drug allergies. Click on the Allergies heading to see all medical history entries. Immunisations - All recorded immunisations. Lifestyle and Examinations - Last recorded height, weight, blood pressure, smoking status, alcohol status and peak flow. Click on the Lifestyle and heading to see all entries. Test Results - Last 2 years of test results. Click on the Test Results heading to see all entries. Clinical Records Browser (accessed by right clicking on the window heading or by swiping down from the very top of the screen) - Displays all entries on the patient record along with encounters and problem headings in chronological order. 12
13 Adding Data To add data, you must first start a new encounter. This is like choosing a consultation type in Vision at your practice. You can then add required data to the encounter by selecting the relevant data entry category(s). You must save the encounter for the data to be written back to the patient record. If you want, you can leave an encounter open and navigate to other screens, returning to the encounter via Encounters in Progress, but you must remember to save the encounter within 72 hours else the data will not be saved. It is good practice to check for any encounters in progress before finishing your visits. Note - You can add patient data whether online or offline. Any data added whilst offline is stored and uploaded to the Vision Data Hub and back to Vision automatically when you next login to Vision Anywhere whilst online, providing the encounter has been saved. 1. Select a patient from your Appointments, Patient Search or Downloaded Patients screen, the patient record opens on the Patient Summary screen. 2. From the Encounter menu tap or click Add New Encounter 3. Select the encounter type from the list. The options are: Acute visit Clinic Emergency consultation Follow-up/routine visit Surgery Consultation Telephone call from a patient Telephone call to a patient. 4. Next, tap or click the Add button to enter further data. You can either search for a Read code or select a data entry form from the list. Searching for Read codes - In the Search for a clinical term box, enter the keyword for the Read term you are looking for. Matching Read codes are displayed as you are typing. Tap or click the required entry. The relevant data entry form is displayed for you to complete. Selecting a data entry form - Choose one of the following data entry forms: Medication (see Adding Medication) Drug Allergy Non-drug Allergy Height Weight Blood Pressure Peak Flow 13
14 Alcohol Smoking Immunisation Test Result Data entry forms display forms which are specific to the selected data category selected ie weight has a box to enter weight details. 5. Tap or click Save to save what you have added in the data entry form. You can continue to select and save different data entry forms via the go to the add consultation. button to add other data until you have finished your 6. Next, from the Current Encounter screen to save your consultation, tap or click Save. If you do not do this the patient record else the patient is added to the Encounters in Progress list and data is not transferred back to the Vision Data Hub. Please note the following: If you are offline, any data is added back to the practice database once you are back online. If you leave a data entry form without saving, you are prompted with "Do you want to leave without saving this entry? Yes/No". Adding Medication 1. Select a patient from your Appointments Today, Patient Search or Downloaded Patients screen, the patient record opens on the Patient Summary screen. 2. Tap or click Add New Encounter. 3. Select the encounter type from the list. The options are: Acute visit Clinic Emergency consultation Follow-up/routine visit Surgery Consultation Telephone call from a patient Telephone call to a patient 4. Next, tap or click the Add button and select Medication. 5. In the Drug Name box, start type the required drug. As you do so, the drug list displays with matching items. You can swipe or scroll up or down to go through the list. When you have found the required item, tap or click it to add it to the form. If required, you can browse the drug list by drug class by selecting. 14
15 6. Complete/change drug class, dosage and frequency, preparation and quantity as required. Depending on the selected item, these may be populated for you from the Gemscript drug dictionary. If you would like the item to be repeatable enter the number of repeats and an optional repeat until date, otherwise the item is added as an acute. 7. Press Save. 8. You can now handwrite the prescription or ask the patient to visit the surgery (or pharmacy if you are using EPS2 in England or CMS in Scotland) to collect it. When the encounter is saved, the prescription is added to Vision with the print item box selected. Editing/Deleting Entries To edit or delete and entry, simply select the entry in the current encounter and choose Edit or Delete. Note - You cannot edit or delete data which has been added outside of the current encounter. Logging Out 1. To logout of Vision Anywhere, tap or click on your name at the top left of the screen. 2. Tap or click Sign Out. Sign Out 15
