1 Inquiry Setup Visit the OzeScribe website ( and click on Client Login Log in to with the details we have provided. Emdat Trusted Site Components needs to be installed once per computer. The first time you log into you will see the screen below. You must select the click here link. You will then be prompted to install Emdat Trusted Site Component. You must click the Run button. Please be patient as this needs to downloaded to your computer which, depending on your internet connection, could take some time.

2 Setup Once it has downloaded to your computer you will be prompted with a security message. You must click Run. Again please be patient until it completely installs. After installation you will be taken to the login screen. From now on you will not need to install anything else. This will be the screen you see when you login. You can now log in as normal with your details.

3 Inquiry Home Page Please note the following important tabs in the User Menu Telephone Dictation Instructions: Opens a downloadable guide for use with the InTouch Telephone Dictation Service. Help Desk Support: Contains contact details for OzeScribe support. Folder Notification Options: Allows you to configure notifications alerting you to letters in your workflow. Reports: Reports detailing transcription volumes, billing details and the like are provided for your internal audits. Preferences: Allows you to modify preference. Maintenance: Provides access to associate and patient information. Change Password: Allows you to change your password. To reset your password, contact us directly. A very important feature on your home page is the information section. Please glance daily for latest news from us, if we have nothing to say, the latest news section will be blank

4 Search All/Archive The Search All/Archive tab allows you to search for transcriptions in the system without knowing specifically where a document is in the workflow. After searching for letters, the location of the letter (eg My Transcriptions) will appear in the Actions column (see below). You can print letters from within the Search All/Archive tab using the action keys. See the My Transcriptions Folder section for more details on the action keys. Clinician Select a clinician to narrow the search results Dates Enter a date range to narrow the results Search Click to begin the search Patient Name Search for a letter by patient name either surname or first name Results Per Page Show more results per page when there are a large number of search results Patient ID Search for a letter by entering the patient ID

5 Invalidating Transcriptions In the Transcription Viewer, click the Info icon 1. The Change To drop-down list should be selected as Invalidated 2. Click Save and Close

6 Folder notification options Folder Notification Options allows you to configure alerts to notify you when new items are received in your My Transcriptions or Internal Mail folders. In the Home page, click on the Folder Notification Options link. 1. Enter the address that you would like the notification sent to. 2. Click on the Add New Notification Time. Select the days of the week that you would like your notification s to be sent, and also select the time of day that you would like to receive them.

7 Clinician s Section Dictation Tips Please take care when dictating to be as clear as possible. Try to keep your telephone, recorder or smartphone at the same distance from your mouth as you would when talking on the phone. To avoid confusion, try to not converse outside the dictation simply pause the recording then resume when ready. Please do not eat while dictating. When dictating, please make an effort to dictate all essential fields. Appointment date. Patient name, date of birth and UR. Referring doctor s name, clinic name and location. The more information you provide the better, regardless of the data available to our transcriptionists. This will decrease the turnaround time of the letter, increase accuracy and reduce the editing work for you and your administrators when typed. Order of Dictation If unsure of what order to dictate a letter or report, simply visualize how the letter looks and dictate the required fields from top to bottom. 1. Appointment date date, month and year. 2. Primary recipient name and address recipient name, clinic name, street, suburb, state and postcode. You can also dictate copies to CCs. If you would like to send a copy to the patient or the patient s family, simply dictate copy to patient or copy to family 3. Greeting eg Dear John 4. Patient re section re Mr John Smith, 123 Burke Street, Melbourne, Victoria Patient UR Body of letter Thank you for referring 6. Signoff Comments You can also dictate comments to be left for staff with details of special instructions or attachments, eg Please enclose most recent EEG report. Using is OzeScribe s online portal where you can review and edit letters prior to them being sent. 1. To log in, go to 2. Enter your username and password. 3. Enter your client code. 4. Click on the My Transcriptions folder to display your list of letters.

8 Clinician s Section The My Transcriptions folder contains your transcribed letters (see below). View letter Opens letter in Transcription Viewer Edit letter Opens letter in Transcription Editor View comment Green icon indicates letter has a comment attached Complete selected transcriptions Complete all transcriptions Completing a letter will insert the words Electronically approved by above your name and move the letter to the queue for delivery.

9 Clinician s Section TRANSCRIPTION VIEWER - Clicking on the View icon takes you to the Transcription Viewer Preview Previews the letter as it will look when printed Info You can invalidate a letter from here. Click the Info icon and select Invalidated from the dropdown list. Save your changes. Edit Opens letter in Transcription Editor Complete/next Moves the letter to the next stage in the workflow and then views the next letter Complete Moves the letter to the next stage in the workflow and exits back to the My Transcriptions folder Comment Green icon indicates letter has a comment attached

10 Clinician s Section TRANSCRIPTION EDITOR - Clicking on the Edit icon takes you to the Transcription Editor Add an associate to the letter Complete letter And move to the next letter in the My Transcriptions folder Complete letter And exit back to the My Transcriptions folder Add an authenticator Adds an additional reviewer to the letter Display the patient info Shows patient address and phone number Patient demographics Clinician/appointments section Body of letter Associates section Make selected associate primary (first on letter) Standard letters should have a primary recipient selected Delete associate You can always add them again Search for associate Search by name or location

Emdat mobile cannot make changes to an uploaded dictation. Tap to save a dictation. A saved dictation can be reopened and changed. INFO View Dictate from this view Change Document Type or Location Tap to add a patient ID if you have created a dictation which is not linked to an appointment Tap to start recording dictation Mark dictation as STAT
