4 Getting Started with DeKalb Physician Portal This brief guide introduces you to some of the key functions of your Web site. To find more information about any of these functions, please refer to the End User Training Guide. This guide covers the following topics: Accessing the Portal Changing Your Password Home Page Message Center Patient Data Getting News & Information Accessing the Portal Your DeKalb Physician Portal is the entire collection of links, applications, and information available to you on your site. You begin every session at the Home Page, which is the first page you see when you log in and acts your entry point into the DeKalb Physician Portal. This section will help you navigate your DeKalb Physician Portal starting at the home page. NOTE: This is a secure site protected by 128-bit encryption. Enter in the address/location bar of your Web browser and press the Enter key. The following screen displays: Once you have correctly entered in your username and password, the DeKalb Physician Portal home page displays. Page 4 of 24

5 Home Page The Home Page is a summary and notification tool designed to keep you informed and provide DeKalb Medical Center related information. Page 5 of 24

6 Changing Your Password Perform the following steps to change your password: Page 6 of 24

7 Message Center The Message Center is a secure messaging system that allows you to communicate with other physicians, staff, and users within the Clinician Desktop network. To sort messages, simply click on the column headers (Sent, From, About, and Topic). Page 7 of 24

8 Sending a Secure Message To send a secure message, perform the following actions: If the recipient and patient information you entered in the To Physician or Other Staff: and About Patient: fields returns unique matches, the message is sent to the matching recipients and the Message Center home page displays. If any of the recipient and patient information you entered in the To Physician or Other Staff: and About Patient: fields returns more than one match, the following screen displays. about from the list. The system sends the message and returns you to the Message Center home page. Page 8 of 24

10 Getting Started Guide Managing Your Notification Settings You can have the Message Center send a notification to an external address when different types of messages arrive in your Inbox. To manage your notification settings, perform the following actions from the Notification Settings screen: Select the radio button next to the option to send notification to your personal . Enter the address where you want the notification sent. Enter a number in the field to have the system notify you at a specific interval for selected message types. Select the radio button under each column to set your notification preferences for each type of message. Page 10 of 24

11 Patient Data Patient Search Patient Searches can search by last name (2 character minimum) or MRN. For the name search, users can add characteristics to reduce the search results such as First Name, Date of Birth, Age, or Gender. Additionally, you can choose to search all patients, inpatients only, outpatients only, or emergency patients only. These additional characteristics may not be used on their own in a search. Searches can also use a Soundex ( sounds like ) search algorithm to find similar names. In the sample Patient Search Results screen shown below, the user conducted a search by name for inpatients only of both genders with the letters CV in the last name field. Page 11 of 24

12 Getting Started Guide Inpatient Census From the main Patient Search screen, you may retrieve your Inpatient Census List by performing the following actions: Page 12 of 24

13 Patient Summary The Patient Summary view allows users to view a single page with the patient's active problems/procedures, medications, allergies, results, reports and visit information. Additionally, from the Patient summary screen, you can perform the following actions: Go directly from the summary page to each application. View the transcription report directly from the summary page. When results are only available via a detail link, you can view those results directly from the patient summary page (and access graphing functionality from that pop-up). Print the patient summary information along with header and footer information. Each section on the patient summary page will determine whether the user has the security authorization to view the data in that section. If not allowed, a message indicating that the user is not authorized to view that section displays. Within each section of the patient summary page, if no data is present for the time period configured, then a message will be shown to the user indicating that there is no data for that time period. If ALL has been configured as the time period for that section, then a message stating that there is no data will be shown. Page 13 of 24

14 Account History Once you have located the patient you want, you can view the patient s Account History information by clicking the link in the navigation pane. Account History provides you with patient demographic information as well as visit details regarding admitting physician, admit and discharge dates, and patient type. Page 14 of 24

15 Results Viewer Results Viewer allows you to review laboratory, microbiology and pathology results. You can perform the following functions with the results viewer: View laboratory results, microbiology, anatomical pathology reports and blood bank. Identify panels that have results or reports for a particular date or date range. Easily recognize when results are critical values. Easily recognize when results are pending or corrected. Easily recognize when results are cancelled following an order. Compare current results and reports with previous ones. Obtain detail about laboratory results. View the history of laboratory results in the detailed view. Print out laboratory results over time, laboratory test result details, microbiology and pathology textual reports. One of the main goals of the results viewer is to provide you with a quick method of selecting a desired panel of tests or reports and viewing those test results or reports. Results viewer provides you three main ways of selecting panels and viewing the test results: Summary view View-by-date View-by-name Page 15 of 24

16 Summary View The purpose of the Summary View is to allow users to obtain a quick overview of results for a patient over a period of time. The user can perform the following actions on this Summary View page: View a summary of results for a selected patient that includes all results within a selected date range. Modify the date range for the Summary View. Print out the listing of results shown on the Summary View along with header information that could include organizational and patient information. Select the actual result to view details of that result. Page 16 of 24

17 View by Date The View-by-Date screen displays the last ten date/times that have results in reverse chronological order. This view is called view-by-date. You can to select the links 'prior results' or 'next results' links at the bottom of the list to navigate through the patient results. Blank time periods with no results do not display. You can request that the panels display by date only or by date and time. If a panel has a critical value, the panel is flagged with a red exclamation mark. The panel name itself acts as a link that brings up a table or grid of results over time. Page 17 of 24

18 View by Name A hierarchy of panels displays. This view is called view-by-name. In this view, you can navigate through the entire hierarchy of panels. You can view all panels, only those that have results, or only those that have critical results. In the all panel view, you can easily identify which panels have results associated with them and, if so, whether or not such results contain a critical value. You can also select a particular date range of interest or view all dates. Once you select a date range, the hierarchy of panels rebuilds. NOTE: Panels that have results within the date range are flagged with a folder with a black dot. Panels that have critical results within the date range are flagged with a folder with a red exclamation mark. Click a folder to expand Page 18 of 24

19 Getting Started Guide Click the Print button to send the results to your default printer. Click the Close Window button to close this window and return to Patient Records. Clicking anywhere outside the window will close it. Page 19 of 24

20 Graphing Patient Results Graphing Patient Results allows users to view a graphical representation of lab results. This tool will help you to trend results and to compare one result to another over time. You can also view images associated with a laboratory result or textual report. Patient Results Graphing includes the following functionality: Graph results from any of the three results views (Summary View, View-by-Name, View-by-Date) as well as from the Results Detail pop-up. Select the test to be graphed along with the date range, the graph type and whether or not to display data values on the graph. Select from the following available graph types: line, 3D line, bar, 3D bar. Ability for a user to select a date range as a specific time period from the current date (e.g. Last 24 hours, 48 hours, 7 days, 30 days, 90 days, 1 year, all) or to enter a From and To date. Ability to graph more than one test on a single graph. Ability to view the abnormal flag on the graph with all critical values highlighted. Ability to view additional details of the data point via a tool tip. To graph patient results from a main results screen, perform the following actions from the Results Viewer Summary View screen: Page 20 of 24
