2 Todd Neibauer Director of Technology 1180 Cass Rd (231) Traverse City, Michigan TO: FROM: Steve Cousins, Superintendent Todd Neibauer, Director of Technology DATE: May 28, 2014 RE: Bid 964 Purchase of Server-Storage Expansion Equipment Since 2009 TCAPS has invested into a centralized virtual server environment, consolidating traditional physical servers into virtual machines that increase our ability to adapt quickly to classroom and administrative application and storage needs. Since this implementation, the use of this storage continues to expand at an exponential pace. Our staff and students require additional storage capability for their home folders and shared group storage. This bid responds to this demand. Bid 964 was advertised in the Traverse City Record Eagle on May 10 th and 11 th, 2014, ed to vendors and posted on the TCAPS web site. One bid was received for this project from Secant Technologies of Kalamazoo and we compiled a second bid from the Regional Educational Media Center (REMC). After evaluating these bids, comparing prices and reviewing prior service experience of the bidders involved, it is the recommendation of the Administration that the Board of Education approve the bid for Server-Storage Expansion from Secant Technologies of Kalamazoo at a total cost not to exceed $168,188. This figure includes a 2% contingency. Monies have been allocated for this equipment as part of the 2007 Bond for Building and Site Fund Designated for Technology.

Secant Technologies has been providing quality equipment for our security project, performed our last server upgrade and virtual infrastructure project and supplied the hardware for our PowerSchool project. We compiled a consortium bid from the Regional Educational Media Center (REMC) for hardware, installation, no training, and the bid was considerably higher. We recommend selecting the bid of Secant for the Server-Storage Expansion project at TCAPS. A contingency of 2% has been added to this amount for our final presentation to the Board of Education.

This bid was advertised in the Record Eagle, on the Builders Exchange website, and on the State of Michigan website. Following the completion of our post-bid interviews, we are recommending that a contract for the Gym Flooring Replacement at Interlochen Elementary School be awarded to The Bouma Corporation for a total contract award not to exceed $68, This figure includes a 10% contingency. Kuhn Specialty Flooring, who had the apparent low bid for this project, did not bid the same product as what was specified in the bid documents. The Bouma Corporation is a local company, and has satisfactorily performed work for TCAPS in the past. The work for this contract may begin June 11, 2014, with substantial completion August 15, This project will be funded from the Bond Allocation for Critical Projects. BM: IN GymRoof Replacement2014

The need for a loader tractor replacement was identified. This purchase will replace the current 1972 loader tractor. Work N Play will take the old, current loader tractor in trade, allowing TCAPS a $3500 credit toward the new purchase. Additionally, the new loader tractor will be full emission Tier 4 Compliant, similar to any new buses that we have been receiving. We are recommending the purchase of (1) John Deere 4066R Compact Utility Tractor, Loader Mount Hydraulic Snow Blower Attachment and Medium Duty Box Blade from Work N Play, to be stored at the Maintenance Department and utilized throughout the district for grounds work including mowing, snow removal and general grounds maintenance including projects that require a larger piece of equipment. This planned purchase in the amount of $55, was bid through the MI Deal Program, which insures low, competitive pricing.
