2 Tables are accessed from the Tables main menu option. There are thirteen (13) Table categories and each category includes specific tables. They are listed below: General Classification, Depreciation Base Years, Entry Status, Grade, Location, Manual Level. Map Area, Map Area Subdivision, Non Usable Transaction Codes, Parcel Names Mapping, Parcel Status, Permit Descriptions, Pick a Note, Prior Year Value Types, State Equalization Factors, Street Types, Transfer Document Types Utilities, Tax District. Land CSR Base Value, Depth Chart, FF, SF and AC Rates, Land Ag Adjustments, Land Ag Soil Types, Land Use, Land Zoning, Minnesota Greene Acres, Site and Site Excess. Residential Additions, Depreciation Schedules, Exterior, Finish, Garages, Interior, Main Structure, Manufactured Homes and Residential Adjustments, Occupancy and Single Item Adjustments. Commercial Main Area Adjustments, Occupancy, Plumbing Fixtures, Pre Computed Depreciation, Component Commercial, and Precomputed Commercial. Ag Outbuildings Ag Factors (Percent Adjustments), Depreciation, Extra Equipment, Occupancy, Main Area Adjustments and Lookup Tables. PDF Names Grade Guide Table Utilities Copy Pricing Tables, Description Editor, Pricing Methods, Adjust Middle Grade, Adjust Sales Tolerance, Table Comparison Tests. Selecting a table category generates the following screen which allows you a quick view of the specific tables in that category as well as very important information regarding the table. 4 We will now look at the Table Toolbar Closes the application. Any table changes shows a confirmation message asking to save changes. The down arrow allows the user to jump from one Table Category to another. Opens the User Preferences for Tables. The font, or color band for the Tables could be edited here. The Main tables appear, and cannot be edited directly. <Ctrl + M> The Test tables appear, and are used for making modifications to the Main tables and for "what if" analysis. <Ctrl + T> Compares main and test tables. Prints the table, main or test. The report would display the chosen font and color band. Previews the table, main or test, before printing the table. Exports the table as a comma separated value file (*.CSV) to be translated by another application such as excel. Finds differences between the main and test tables. Edit the Pricing Manual page reference. Keeps the description columns visible when scrolling. Adds a line to a table. Most tables do not have this option. Option to add or change the table factor. Saves changes on the table. Changes base year in the Depreciation tables. Opens the Manual Level editor in Grade table. Vanguard Appraisals, Inc 2011 Page 4

5 Opens the Adjust Mid Grade screen in the Grade table. Does a parcel count for the table description. Opens on line help file. NOTE: ALL table changes are made by changing the TEST table first and then copying Test to Main tables. NOTE: Vanguard always recommends performing a Main to Test table copy before editing the test tables. Our experience has shown that office staff can inadvertently change Test tables, and when a copy from Test to Main tables is performed (along with a Batch process Mass Revaluation), parcel values change causing a very undesired effect. So, we recommend always starting with a fresh set of Test tables that have been copied from the Main tables prior to editing tables. OR Before making any table changes you could run the Diff utility available from the toolbar. This simply compares all the test and main tables and flags any differences. In this example a difference is identified and the different table is flagged. In this case the Map Area Table is flagged. Vanguard Appraisals, Inc 2011 Page 5

6 Select the Different Table and run the Compare. This will identify where the Test and Main table differences occur. In this case the difference is on line 8 and the Main Table has a Map Factor of 1 and the Test Table Factor is 0.8 Some tables have the option of Factoring. Factoring can now be run on individual columns and rows giving greater flexibility to adjust, for example, only the residential land rates (row selection) or the land FF prices (column selection). To select separate rows/columns, press the <Ctrl> key and select rows/columns. To select consecutive rows/columns, press <Shift> key, and select top and bottom rows or left/right columns. Factoring may be done by a Percentage adjustment, a Value adjustment or a Fixed value adjustment. Vanguard Appraisals, Inc 2011 Page 6

7 The up/down arrows would increase/decrease the factor incrementally according to the adjustment option. The Preview shows the table with the factor applied. An option for rounding is also available. Prior to rounding values, review the table as to how the values are rounded. The Report button allows for printing of the table with the new factor applied. This is helpful to compare the factor change to the current Test table. To revert back to the original values select the Reset Table button. A confirmation message will ask to clear table changes and select yes to reset the table. Selecting the OK button saves the factor change, selecting Cancel and the Test table remains unchanged. Prior to closing the table a confirmation will ask to save table changes. If Yes is selected any table changes will be saved. Notice the PDF table. This table is the only table that does not have a Test Table and Main Table option. Adding or changing PDFs is a live process. Once you select to Save the change the change is immediately realized. There is no copy process associated with the PDF table. Once Test table changes have been made and you are SURE you want these tables as your main Tables, a Copy Test to Main Table process is required. Notice this process requires exclusive access. This process is accessed from the Table Utilities Main menu option. Vanguard Appraisals, Inc 2011 Page 7

8 You will Pick a Task from the Copy Tables screen. Copy Test to Main is the option you would choose. Select the Table category of the table you want copied. Checking the box to the left of the Table Category will select all the tables in that category. You will then have to de select all the tables you do not want copied. Another option would be simply click on the table name and select only the table that you do want copied. Vanguard Appraisals, Inc 2011 Page 8

9 By choosing the select only different option it will display a screen showing the tables that have differences in Test and Main. The table category (ies) are then selected for you. Selecting the Select Tables drop down option, allows for Selecting ALL Tables in the selected category or allows for selecting none. Vanguard Appraisals, Inc 2011 Page 9

10 After Selecting the table that needs to be copied, select Copy. In this case we will Copy the MAPS table and you can see that a Revaluation will be required. After selecting Copy a confirmation screen is displayed. Select Yes or No. Once the process has completed a Revaluation Reminder is displayed. Select OK. Vanguard Appraisals, Inc 2011 Page 10
