1 MERGE PAPERWORK Master Database Practice Information Supplemental Databases Practice Information 1 Customer ID 2 Customer ID 1 Prac. Name 2 Prac. Name 3 Customer ID 3 Prac. Name How many databases are being merged together Definitions 1. Master The main or primary database. The Master database will take precedence for information. For example, if two databases both have a Provider ID of DDS1, the Master database will keep the same ID and the Supplemental database will get a new ID. 2. Supplemental A secondary or additional database. The Supplemental database is appended or added to the Master database. If a conflict of information arises, the Supplemental database will always be superseded. For example, in a demographic merge the Supplemental database(s) will only bring across the information listed here. 3. Transaction A procedure, payment, or adjustment viewable in the ledger. Any completed work, patient or insurance payments, adjustments, or treatment plans. Transactions do not include insurance claims. 4. Demographic These are pieces of information that relate to a patient. These fields include: Name, Address, Birth date, Phone Numbers, First and Last Visit dates, Status, Family Relationship, and Patient Note.
2 Demographic Data in Master database is completely preserved. Supplemental database(s) only bring across patient demographic, basic appointment, insurance, employer information. No balance or ledger information is brought across in supplemental database(s). Master Database (#1) Remove Balances from all patients by changing amounts to zero Remove everything from the ledger Supplemental Database (#2) Supplemental Database (#3) Transactional Data is lost from both databases, but ledger information is merged from additional databases into the Master database.
