1 Unit 6 Line Spacing, Indents, Margins, Format Painter Line Spacing The amount of distance (or white space) between lines of text on a page. Single Spacing Each line is large enough for the tallest character plus a tiny amount of extra space. 1.5 Line Spacing Adds additional space between lines of text equal to one-half the font size being used. If you are using 12 point font, there is 6 points of space between lines. Double Spacing Adds additional space between lines of text equal to the font size being used. If you are using 12 point font, there is 12 points of space between lines. Changing Line Spacing Choose the line spacing you need. You can change spacing either before or after text is typed. To change line spacing: Ribbon, Home tab, Paragraph section Use the Line Spacing button There are many instances where you will need to change line spacing: reports (double spaced), bibliographies, table of contents, etc. You can also set the amount of space you want either before or after a single line.
2 Indenting Determines the distance of each line from either the left or right margin. Left Indent(s) Top indent shows where line of text will begin when Enter is pressed (hard return) Bottom indent shows where line of text will begin when wordwrap is used (no hard return) Right Indent shows where each line of text will end You can use your pointer to move the position of each indent. Examples of indenting: Where lines begin when Enter is pressed (hard return) Where lines begin when wordwrap is used Where lines begin when Enter is pressed (hard return)
3 Types of automatic indents: First Line Indent The first line of a paragraph is indented and the rest of the lines in the paragraph begin at the left margin. Hanging Indent The first line of a paragraph starts at the left margin and all other lines are indented. This is the opposite of a first line indent. Hanging indents are often used in bibliographies and bulleted text. Left and/or Right Indent A paragraph can be indented by a specified amount of space on either or both sides. Left indents are often used when typing a quotation (in a research paper) that is longer than three lines. To change indents: Open the Paragraph dialog box (click in the small box at the bottom of the Paragraph group) Change here (left and/or right indents) Or here (hanging or first line indents) BUT NOT BOTH!
4 Margins Top Margin The amount of white space at the top, bottom, left, and right edges of a page. Left Margin Right Margin Smaller margins will let you fit more words on a page. Larger margins will let you fit fewer words on a page. To change margins Click on the Page Layout tab. Bottom Margin Click on the Margins button. There are a number of margins settings that you can choose from. The computer will have 1 inch set as a default (a setting that the computer automatically selects if you do not specify a substitute). You can choose different settings by clicking on Custom Margins
5 You can change margin settings in one of two ways: Use the arrow keys to move up or down in increments of 1/10 of an inch. Type in the number you need. You don t need to type in the. Be sure you are changing the margins you need Top and Bottom Left and Right Think of your margins as pairs Top and Bottom are usually the same. Left and Right are usually the same. Top and Left can be different. A gutter is used when you will have a bound edge on your printouts. For example, if your printout will be bound in a 3- ring binder, you would have a gutter of one-half to three-quarter inch. This is the spot on the page where you will be punching holes. The margins would be measured in from the gutter, so your printed page would have a blank area for punching holes and still have equal margins all around.
6 Format Painter The Format Painter button is used to copy text or paragraph formatting from one place to another. If you have text or paragraphs in several places that need to look the same, you could either Make the same changes over and over again OR Use Format Painter (Home tab, Clipboard group) Classes Periods Days Math, Science, Social Studies First, Third, Seventh Wednesday, Thursday, Friday This font is Monotype Corsiva, 22 point, and underlined. I want the words Periods and Days to look the same. I need to: 1) Block out the word Classes. Be sure to: 1. Block out the text you want to COPY first. 2. Click on the Format Painter button. 3. Run the I-Beam of the paintbrush over the words you need to change. 2) Click on the Format Painter Button. The pointer will look like a little paintbrush. 3) Block out (paint) the word Period. 4) Then, block out Period, click Format Painter, and paint Days. One click on Format Painter will let you paint one time. Double clicking on the Format Painter button will let you paint as many times as you want. Just click it again when you are finished to turn Format Painter off.
