1 Microsoft PowerPoint continues to set the standard on creating effective and powerful presentations. PowerPoint offers an easy approach to conveying information in an understandable, appealing fashion. PowerPoint 2013 combines streamlined functions for sharing information, a simple user interface, specialized tools for creating informative graphics, and up-to-date media and presentation options. Where is it Located? Start > Programs > Microsoft Office 2013> Microsoft Office PowerPoint 2013 The Interface The File The File Tab is a new and improved File menu that was missing from the 2007 version. Many functions such as Save and Print can be found in this tab. Other options include: Info Document properties, permission settings New Blank document Various templates (letterheads, calenders, ect) Online tool for envelopes etc. Open Save Save As University of Miami (SkyDrive) Computer Save As Type on Popup after selecting destination allows a change of file extension Save as Adobe PDF Print Share Via SkyDrive Export Close **An important button contained here is the Options button, which allows you to customize the PowerPoint 2013 interface along with many other changeable preferences for saving, printing, formatting, and displaying your Powerpoint documents. 2 The File Tab (continued) Save As The ability to save to SkyDrive is by far the newest addition to PowerPoint To save any Office 2013 document, including a PowerPoint, to your University of Miami account SkyDrive, simply sign into the Office Program, click Save As, then Select University of Miami (shown below left). Under Recent Folders click the option of User Name s University of Miami. Make sure to select the Documents folder once prompted with the popup asking to name your document (shown below right). It is under this dialog box you can also change the file type you wish to save as. The View Tab Presentation Views There are now five ways in PowerPoint 2013 to view the presentation. The Normal view allows the user to see the slide and slide order as well as enter notes. Outline View creates an outline on the left side of the screen, and shows the slides on the right side. Slide Sorter displays smaller versions of all the slides. This view is useful in organizing the presentation. It also shows any slide transitions or timing applied to the slides and allows the user to preview these actions. The Notes Page allows the user to edit the appearance of the speaker notes page. Reading View plays the slide show in the PowerPoint window without having to switch to full screen. All animations and transitions will be executed. Master Views There are 3 Master Views in PowerPoint Slide Master creates a Master Slide or slides that control the look of your entire presentation, including colors, backgrounds, and fonts. Adding an image or format to the master slide will automatically include that image/ format on the rest of the slides clustered underneath it. Handout Master View allows users to customize how their presentation will look in a Handout format. Notes Master View allows for customizing how a printed notes page will be formatted. 3 Available Views (continued) Normal View Slide Sorter Outline View Notes Page The Home Tab Adding Slides How to Insert a New Slide There are four ways to add slides: Select New Slide under the Slides section of the Insert Tab In Slide Sorter View, right click and select New Slide. In Normal View, right click in the Slides Pane to the left and select New Slide. In any view, access the Slides section of the Home Tab and click the New Slide button. Choosing a Slide Layout To change the slide layout, select the slide and access the Layout option in the Slides section of the Home Tab. The different preset slide layouts will appear. To choose one, simply click it. The available slide layouts are designed for different functions (title slide, sections, etc) or structures (title and content, two content, etc). The content boxes allow the user to import specific content or add text in that location. These slide layouts are not locked in position however and remain capable of being reorganized and customized. At any time or with the Blank layout, elements may be added using the Insert tab. Elements on any slide may be moved around and returned to their original position by hitting the reset button in the Slide section of the Home Tab. UA Training Page 3

4 PowerPoint Tabs Term Insert Description Under this tab you will find most of the insert options found under the Insert tab of MS Word. Insert options include: Slides, Tables, Illustrations, Links, Comments, Text, Symbols, Media, and more. Design Adding a design theme to a presentation makes it look good aesthetically. Multiple design themes on one show is generally taboo, however. Transitions Animations Slide Show Review Acrobat Visual movements as one slide changes to another. Set of effects which can be applied to objects in PowerPoint. Has options to play your presentation full screen will all effects. NOTE: Slide Show is NOT a presentation view and will not be found in the View tab. This tab contains features such as Spell Check, Language Options, and is where the Comment options can be found. Allows users to create a PDF of their PowerPoint document. The Design Tab To change the background design, go to the Design tab then scroll through options for the slide design. The Design tab contains Themes, Variants of those Themes, Slide Size, and Format Background options. Themes & Variants There are 29 available preset themes in the Themes section of the Design tab. The preset themes can be accessed by the dropdown menu in the Themes section of the Design tab. The Color, Fonts, Effects and Background Styles may be customized individually for a more unique result. Users can change these using a preset option found under the Variants section of the Design Tab, or can choose their own settings from a dropdown menu accessed by clicking from the Variants scroll bar. Entire sets of design elements can also be arranged in custom Themes. This is done by manipulating the settings of Colors, Fonts, Effects, and Background Styles from the Variants dropdown menu and then saving it using the Save Current Theme option at the bottom of the main Theme dropdown menu. 5 Customize Format Background The slide background can be changed by choosing a Background option from the Format Background button located in the Customize section of the Design tab. This will access the Format Background dialog box shown to the right. This dialog box also can be brought up by right-clicking on the slide and selecting Format Background. In the Format Background box, there are options to set the background to various fills, gradients, textures, or even pictures. Settings can be changed for stretch and transparency. Pictures can be chosen from picture files saved to the computer, the clipboard, or Online (Clip Art or Bing Image Search). Smaller pictures can be used as a texture by tiling. There is also an additional menu allowing a picture s color mode, brightness, and contrast to be formatted. Slide Size The Page Setup option found in PowerPoint 2010 is now available through Slide Size in PowerPoint This option is found in the Customize section of the Design tab. To change the slide orientation (Landscape or Portrait), click Slide Size, then Customize Slide Size. The Slide Size dialog box will pop up and contains the options for orientation, as well as slide width and height in inches and what the slides are sized for, such as presentation or paper. This dialog box also contains the option on where to begin numbering the slides from as well as the orientation options for not only the slides but the handouts, notes, and outline. The Animations Tab An animation is an effect applied to an object on a slide. You can animate the text, pictures, or objects on your slide. Click on the Animations tab and select the slide with the objects you wish to animate. Select the object to animate. Choose from animations most commonly used, found under the Animations Section, or select Add Animation under the Advanced Animation section for a more customized effect. From this drop down menu choose an Entrance, Emphasis, Exit or Motion Path effect. You can preview the option by pressing the Preview button on the left side of the Animations tab. 6 Animations (continued) Animation Pane The Animation Pane (shown right) can be found under Advanced Animations. The Animation Pane allows users to: Choose the order animations occur if there are multiple on a slide Set animations to start on mouse click or to be dependant on changing with or after the previous slide Edit Effect Options Edit Timing Options, such as duration of animation Other Animation Options Text Animation Text objects can be animated to come in all at once or a section at a time. This option is found by double clicking the animation in the Animation Pane, then selecting the Text Animation Tab from the popup box (shown right). Transitions A Transition is an effect between slides Go to the Transition Tab Choose Transition from existing styles You may play this Transition by clicking the Preview button on the far left of the tab Set any desired sound Set Transition Speed Advance can be -On Mouse Click -After a set amount of time. Same Transition settings can be applied to all slides NOTE: It is a good idea to limit the number of different transitions used to keep the show professional. UA Training Page 6
