To add a new Member Contact, click the Add New Contact button. This will open the edit fields. Enter the new Member Contact s name in the Name field as it should appear on messages displayed on the Companion. In the field, it is important to enter the address that the Member Contact will send addresses from. This is the address that will be registered as an approved address for the member. If the Member Contact sends s from a different address, or several different addresses, make sure that all are registered on this page (you can have several entries for one person as long as the addresses are different). As a Manager, you can choose the role for each person you invite using the Role drop down box. NOTE If you don t want to provide a contact access to the console website, you can uncheck the Send invitation to create account checkbox. When you save the contact, they won t receive an invitation to create an account and access the console. This is useful if you sign up the member for automated newsletters or third-party notifications and want to allow these s through. NOTE: If you add a Member Contact as a Manager or Responder, remember to set their alerts appropriately or they may receive unexpected s or text messages. NOTE You can display or hide Member Contacts from the messages, call me, video call etc screens on the Member s tablet by 11 Claris Healthcare support@clariscompanion.com

You will see the new Member Contact s status listed as Invited until they accept the invitation in the , after which it will show their status as Active. Note that you can hand off your responsibility as Manager by adding a new Manager to the Member Contacts, then changing your own role or deleting yourself from the Member Contacts entirely. Remember, though, that every Member must have at least one Manager. NOTE To manage the alerts for the member contacts, please click on the Alerts tab. NOTE As a Manager, you can edit the profile of contacts to add their mobile number, upload their profile photo, etc. by clicking on their name in the Member Contacts list. 12 Claris Healthcare support@clariscompanion.com

Dashboard One of the many advantages of Claris Companion over a typical tablet, is the ability to easily check-up on the activity levels of the user. Using the Dashboard tab, Managers and Responders can view details about the interactions of the Member as they use their Claris Companion. Green events indicate that the Member responded in a positive manner. Red events indicate that the member has missed or skipped a notification. Click on any of the events to display the specific details of that event. View past or future events using the forward and back arrows on the top right corner of the calendar as well as the Day / Week / Month views at the top left. Click the Export button to download a CSV file of the events within a date range. The CSV file can be opened using spreadsheet applications such as Microsoft Excel or Google Sheets to sort, filter, search and graph the data. 13 Claris Healthcare support@clariscompanion.com

CareDot Our CareDot technology helps spot trends that can tell family and caregivers when independent seniors might need a little additional help. Older seniors living on their own may appear to be managing well on a day-today basis, but over time their cognitive and physical capabilities slowly decline. It can be challenging for family and caregivers to see changes that may lead to accidents like a fall or forgetting to turn off the stove. When a senior uses Claris Companion on a daily basis to communicate with family and manage their own care, Companion learns their normal patterns. As they go through their day, we calculate a CareDot score out of 100 points showing their activity level (interactions using the device), compliance (response to medication and other scheduled reminders) and wellness (on a self-reported scale). For Activity CareDot, each time the member presses a button on the device, their CareDot is updated to 100. An average level calculated over time is also displayed as a grey line so you can easily see if they are currently above or below their average. NOTE The Compliance CareDot is calculated based on the member s response to scheduled notifications such as medication reminders, event reminders and surveys. We understand that the member s compliance with some reminders is more critical than others. For example, responding to an vital medication reminder is more important than responding to a birthday event reminder. So when adding new reminders, you can 14 Claris Healthcare support@clariscompanion.com

set the Importance field to low, normal or high which will affect the weighting (or contribution) of that reminder in the calculation of the Compliance CareDot score. Clicking on each CareDot will display a historical graph of the average daily score so you can see how their Activity, Compliance and Wellness are trending over time. It s this trend that is important in determining if your loved one s interactions with Claris Companion is improving or declining which may be an indication of how they are doing overall. 15 Claris Healthcare support@clariscompanion.com

Placing Video Calls To place a video call to Claris Companion, you must login to the console using the Google Chrome, Firefox or Microsoft Edge web browser on Windows, Android or OSX (e.g. MacBook and imac) devices. If you have an ios (iphone or ipad), please download our app from the Apple App Store by searching Claris for Caregivers. If you have an Android tablet or phone, please download our app from the Google Play Store by searching Claris for Caregivers. NOTE: currently the webrtc technology used for Claris Companion video calling is not supported by Microsoft s Internet Explorer or Apple s Safari web browsers. Make sure you have a web cam and microphone connected to your computer. We also suggest that the first time you perform a video call, that you phone the Member to make sure they understand what is going to happen. Click the Start Video Call button. Using a headset during a video call will ensure you experience high quality audio with no feedback or distortion. The first time you start a call, you will have to click Allow in the drop down menu bar to start the video/audio call. Please contact Companion support then there is an issue with your computer or router s firewall. What is a firewall you ask? Well just send us an or call us and we will help you try to resolve it. The image to the right is what the member sees on their Claris Companion. 17 Claris Healthcare support@clariscompanion.com

If you would like the member to be able to initiate a video call to you and other contacts, you can enable the Video Call button to be displayed on their home screen. When the member presses the Video Call button and selects a contact, the contact will receive an incoming video call notification on their Android app, ios app, or Console website as long as they are logged in at the time. The contact must acknowledge the incoming video call notification on their device to answer the video call. 18 Claris Healthcare support@clariscompanion.com

Display Simple Keyboard By default, Claris Companion offers a simplified keyboard that offers only basic, obvious functions with better letter button contrast and navigation arrow buttons. Keep Display Simple Keyboard checked to use this option. Claris Companion can also be configured to use the built-in touch-screen keyboard that is part of the Android operating system by unchecking Display Simple Keyboard setting. The Android keyboard includes a number of advanced functions such as auto-repeat, auto capitalization, alternate character sets and voice-to-text speech input but some Members may find these difficult to use. To enable voice-to-text speech recognition, press the configuration gear icon just to the left of the space bar and selecting the microphone icon. If you going to connect an external Bluetooth keyboard, uncheck Display Simple Keyboard Remember to click Save to save your settings To see how your changes affect the member s Claris Companion screen, go to the Device tab and click on the Claris Companion Remote Viewer button. 23 Claris Healthcare support@clariscompanion.com

Setting up Event Reminders Events, birthdays, appointments, activities and other reminders can be set in the Companion Console and will appear on the device at the time scheduled. Note: The difference between an Event Reminder and a Medication/Treatment Reminder is that Medication/Treatment Reminders can generate /text alerts that are sent to managers or responders in the Member Contacts based on the response. To create an event reminder for a Member, select the Events tab in the Member s profile. Now click on the Add Another Event button to start entering details about the event. The Start Date for the event will automatically be filled with the current date. You may change the start date of the event by clicking in the Start Date field and using the date selection tool to set the start date. The End Date field is only needed if you have a repeating event that you want to display for a certain number of days. You may leave the end date blank. The date selection tool is used here as well. 24 Claris Healthcare support@clariscompanion.com

Now enter a text description of the event in the Event field. Although the data entry field is small, you can type up to about 150 characters in this space and they will all display on the Companion screen when the Event reminder shows. Now use the Time selection list to choose the time at which the event reminder should be displayed. Note that this may not be the time of the event itself you may want to have the Event reminder display in advance of the actual event. If you want the event to repeat on certain intervals, use the Repeats selection list to choose the frequency upon which the event should be displayed, up until the specified End Date. Note, that if you choose to have an Event repeat and have not specified an End Date, the event will repeat indefinitely. We understand that the member s compliance with some reminders is more critical than others. For example, responding to a vital medication reminder is more important than responding to a birthday event reminder. Setting the Importance level to low, normal or high will affect the calculation of the Compliance CareDot score. Remember to Save your new event before leaving the page. 25 Claris Healthcare support@clariscompanion.com

Deleting an Event To delete a scheduled event, simply click the Delete button to the right of the event. 26 Claris Healthcare support@clariscompanion.com

Turning on the Events Button The Events button allows a Member to review upcoming events on the Companion screen. To turn on the Events button, click on Edit Settings, then select Display Events Button on Claris Companion. 27 Claris Healthcare support@clariscompanion.com

Using Surveys Surveys are a quick way of asking a Member a yes/no/maybe question and get a response sent back to you. Note: Be sure to phrase your question so that it can be answered with Yes, Maybe, or No. To create a survey on a Member s Companion, go to the Member s profile page and select the Surveys tab. To create your question, click on Add Another Survey. You can set the Start Date for the Survey, and an End Date if you plan to have the question repeated on more than one occasion. The Survey Question can be anything you want, but remember that the only answers that the Member can give are Yes, No or Maybe. Use the Time selector to set the time of day when the survey should be automatically displayed. The Repeats selector allows you to set a repeat interval if desired. We understand that the member s compliance with some reminders is more critical than others. For example, responding to a critical survey reminder is more important than responding to a birthday event reminder. Setting the Importance level to low, normal or high will affect the calculation of the Compliance CareDot score. 28 Claris Healthcare support@clariscompanion.com

When you Save the survey, you will see it listed on the Surveys tab. To the right, you will see a running total of the responses to the survey to date. This is useful to get a quick summary for repeating surveys. Important: Make sure to go to the Alerts tab and verify that the right people are selected to receive survey alerts. By default, all new Managers will receive missed or skipped medication/treatment alerts. 29 Claris Healthcare support@clariscompanion.com

To upload photos to a Member s Companion, go to the Member s page and click Photo Album. To upload a photo, click on Choose File. This will open a file browser in which you can select any photo file available on your computer. Clicking Open will upload the file to the Claris server, which will look after scaling the photo and delivering it to your Member s Companion. You may upload 1000 photos to Claris Companion. Once you reach 1000 photos, you will need to delete some of the older photos to make room for new ones, using the Delete button below each photo. Each time you upload a photo, a New Photo message will be delivered to the Member s Claris Companion. When they receive the message, the photo is automatically stored in the Photo Album on their Companion. Choosing a Favourite Photo Any one of the uploaded photos may be set to be the default background image displayed on the Companion screen. Simply select the radio button above the desired photo and that photo will be used as the background image (as long as Play slideshow on Claris Companion is not enabled ) 30 Claris Healthcare support@clariscompanion.com

Turning on the Photos Button Once the Member has closed the New Photo message, the photo is saved in their photo album, but they will have no way to see it again unless either the Photos button is turned on or Companion is set to run a slideshow. The Display Photos Button on Claris Companion selection will cause the Photos button to appear on the Companion screen. This will allow the Member to page back and forth through all the uploaded photos. Turning on the Slideshow Selecting the Play Slideshow on Claris Companion option will cause the background photo on the Companion screen to change every few seconds. Every photo that has been uploaded to the Member s photo album will be shown in turn and then the cycle will repeat. Turning on the Delete Photos Button Selecting the Display Delete Photo Button option will cause the Delete button to appear on the Companion screen next to each photo. This allows a Member to manage their photos and remove ones they no longer want. Remember to click Save to save your settings. To see how your changes affect the member s Claris Companion screen, go to the Device tab and click on the Claris Companion Remote Viewer button. 31 Claris Healthcare support@clariscompanion.com

If the Videos button is not being displayed, click Edit Settings and ensure the Display videos button on Claris Companion is checked. To upload a video, click on Add a video. Enter a descriptive name for the video in the Button Name field. When the member presses the Videos button, their uploaded videos will be displayed as buttons labeled with the name provided in this field. Next, click Choose File and a file browser in which you can select any photo file available on your computer, iphone, ipad, or Android device. Click to select your video then Save to upload the video file to the Claris server. It will take a few minutes for the video to upload, please be patient. Once the video is processed, we look after scaling, converting and delivering it to your Member s Companion automatically. Note: Video file sizes are limited to 100 MB. 32 Claris Healthcare support@clariscompanion.com

Setting up Websites Claris Companion can provide one-touch access to web sites that you select. Web sites are displayed with a large Close button that ensures that the Member can always easily return to the Companion home screen. To see how your changes affect the member s Claris Companion screen, go to the Device tab and click on the Claris Companion Remote Viewer button. To turn on the Websites button on Claris Companion, click on Edit Settings, then select Display Websites Button on Claris Companion. Remember to click on Save to save your changes. 34 Creating a Medication Reminder To create a medication reminder, open the Member s profile page and select Reminders. You will see two choices Medications and Treatments. The Medication and Treatment reminders work exactly the same way, but provide a convenient way of separating medication reminders from reminders of other types. Note: The difference between an Event Reminder and a Medication/Treatment Reminder is that Medication/Treatment Reminders can generate or text alerts that are sent to Managers or Responders in the Member Contacts based on the response. Click on Medications to open the Medication Reminders view. To enter a new medication reminder, click the Add Another Medication button. This opens the new medication reminder editor. 34 Claris Healthcare support@clariscompanion.com

The Start Date of the medication reminder is automatically set to today s date, but can be edited if you like. If the reminder is only to run for a period of time, you can set an End Date as well. If you leave the End Date blank the Reminder will repeat infinitely. Dates are set by clicking in the date field and using the date selection tool. In the Medication field, enter a description of what you want to have displayed at the prescribed time. This may be a very general message (e.g. Take Medications ) or very specific (e.g. Take two 500mg Metformin tablets with food ). Choose a message that works best for you. Note that the message can be longer than the input box up to about 150 characters can be displayed on the Companion screen. Use the Time pickers to set the time of day at which the medication reminder should be displayed on the Member s Companion. 35 Claris Healthcare support@clariscompanion.com

A very useful aspect of the medication reminders function is the Alert function. The Alert Timing setting is the time after a medication reminder is displayed on Companion that an Alert will be sent out if there has been no response to the medication reminder. This will let you or other designated Responders know if the Member has failed to acknowledge the medication reminder. Important: Make sure to go to the Alerts tab and verify that the right people are selected to receive medication/treatment alerts. By default, all new Managers will receive missed or skipped medication/treatment alerts. Finally, you can set the period on which the medication reminder Repeats. Choose the repetition interval from the drop down list. We understand that the member s compliance with some reminders is more critical than others. For example, responding to a vital medication reminder is more important than responding to a birthday event reminder. Setting the Importance level to low, normal or high will affect the calculation of the Compliance CareDot score. Remember to Save your new Medication Reminder before leaving the page. 36 Claris Healthcare support@clariscompanion.com

Creating a Treatment Reminder To create a treatment reminder, open the Member s profile page and select Reminders. You will see two choices Medications and Treatments. The Medication and Treatment reminders work exactly the same way, but provide a convenient way of separating medication reminders from reminders of other types. Click on Treatments to open the Treatment Reminders view. To enter a new treatment reminder, click the Add Another Treatment button. This opens the new treatment reminder editor. 37 Claris Healthcare support@clariscompanion.com

The Start Date of the treatment reminder is automatically set to today s date, but can be edited if you like. If the reminder is only to run for a period of time, you can set an End Date as well. Dates are set by clicking in the date field and using the date selection tool. In the Treatment field, enter a description of what you want to have displayed at the prescribed time. This may be any kind of reminder, such as Time to do your physiotherapy exercises or Measure blood sugars Note that the message can be longer than the input box up to about 150 characters can be displayed on the Companion screen. Use the Time pickers to set the time of day at which the treatment reminder should be displayed on the Member s Companion. 38 Claris Healthcare support@clariscompanion.com

A very useful aspect of the treatment reminders function is the Alert function. The Alert Timing setting is the time after a treatment reminder is displayed on Companion that an Alert will be sent out if there has been no response to the treatment reminder. This will let you or other designated Responders know if the Member has failed to acknowledge the treatment reminder. Finally, you can set the period on which the treatment reminder Repeats. Remember to Save your new Treatment Reminder before leaving the page. Important: Make sure to go to the Alerts tab and verify that the right people are selected to receive medication/treatment alerts. By default, all new Managers will receive missed or skipped medication/treatment alerts. 39 Claris Healthcare support@clariscompanion.com

Setting up the Call Me function To enable the Call Me button on a Member s Companion, go to the Member s profile page and select the Call tab. Now select the Display Call Me Button on Claris Companion. This will display the list of the Member s current contacts. When the member presses a contact s name, the contact will immediately receive an and/or text message requesting them to call the member. The contact can call the member on the phone or using the Companion s built-in Video calling. New contacts must be added to the Member Contacts before they will appear as options on this list. Please refer to the Member Contacts section of this manual to see how to add new members to the Member Contacts. Note: If only one contact is selected for the Call Me function, the Member will not see the Companion screen on which they select a contact to send the Call Me message to. Instead, the Call Me message will be immediately sent. Remember to Save your changes before leaving the page. To see how your changes affect the member s Claris Companion screen, go to the Device tab and click on the Claris Companion Remote Viewer button. 40 Claris Healthcare support@clariscompanion.com

Setting up the Check In function To enable the Check In function on the Member s Companion, open the Member s profile page and select the Check In tab. Now click on the Edit Settings button to allow changes to this setting. Check In can work either as a scheduled prompt sent out every day, or as a button on the Companion screen. The button allows a Member to check in whenever they like, while the scheduled prompt will automatically show a Please Check In message at the set time. The prompt will stay on the screen until the Member acknowledges it. To turn on the Check In button on the Companion, select Display Check-in Button on Claris Companion. To set the time at which the Check In message is displayed on the Member s Companion, use the Automatically Display Check-in At selection tool. If you want Alerts to be set if the Member fails to check in, use the Send Alert if No Check-in By picker to select the number of hours after the prescribed time that the alert should be sent. Remember to Save your changes. 41 Claris Healthcare support@clariscompanion.com

Setting up the Wellness Survey function The Wellness Survey is a special survey that asks a Member how they are doing today. There are five responses: Great, Good, Okay, Poor and Terrible. The Wellness Survey results are displayed as a Wellness CareDot score beside the Member s name in the Console. Great = 100 Good = 75 Okay = 50 Poor = 25 Terrible = 0 To enable the Wellness Survey on the Member s Companion, open the Member s profile page and select the Wellness Survey tab. Now click on the Edit Settings button to allow changes to this setting. The Wellness Survey can work either as a scheduled prompt sent out every day, or as a button on the Companion screen so that the Member can complete the wellness survey whenever they like. To turn on the Wellness Survey button on the Companion, select Display Wellness Survey Button on Claris Companion. To set the time at which the Wellness survey is displayed on the Member s Companion, use the Automatically Display Wellness Survey At selection tool. If you want Alerts to be sent if the Member fails to complete the Wellness survey, use the Send Alert if No Wellness Survey By drop-down list to select the number of 42 Claris Healthcare support@clariscompanion.com

hours after the prescribed time that the alert should be sent. Remember to Save your settings Important: Make sure to go to the Alerts tab and verify that the right people are selected to receive the wellness survey alerts. By default, all new Managers will receive poor and terrible alerts. Enabling the Exercise videos To enable the Exercises button on the Member s Claris Companion, go to the Member s profile, select the Exercise tab then click on the Edit Settings button. To display the exercise button on Claris Companion, select the Display Exercises Button on Claris Companion option. Remember to click on Save to save your changes. To see how your changes affect the member s Claris Companion screen, go to the Device tab and click on the Claris Companion Remote Viewer button. 43 Claris Healthcare support@clariscompanion.com

Managing Alerts One of the most valuable features of Claris Companion is its powerful and flexible alerting system. Alerts can be sent to any Member Contact who is a Responder or a Manager. Alerts can be sent by or text message. Each Manager or Responder who is a Member Contact can choose exactly which events will cause an alert to be sent so that they can have complete freedom to decide how many or how few alerts they will get. To set up the alerts for a Member, open the Member s detail page and select the Alerts tab. This will show the current alerts selections. The alerts tab shows one row for each kind of alert than can occur, and a column for each Member Contact who is a Responder or Manager. For those functions that include the Missed alert, this means that an alert will be sent to the designated Member Contacts if the Member has not touched any of the buttons within the Alert Time set in that function s configuration. 44 Claris Healthcare support@clariscompanion.com

To change the Alerts settings, click on Edit Settings. Each row has a check box (All) that can be selected to have the alert sent to every Responder and Manager on the team. Otherwise, you may choose to select individual Responders or Managers to receive each alert. Activity Level To ensure that the member is receiving messages, videos, photos, etc from family and friends on a regular basis, you can set a No new messages in 3 days or No new messages in 3.5 days alert that will notify contacts if the member hasn t received any messages lately. Other In the Other section are three special alert types Read, Device Offline and Daily Activity. The Read alert is useful for Members who do not use the Reply option, as an alert can be sent to confirm that the Member has read the and touched the Close button. The from Unknown Contact alert sends you an alert if someone who is not a registered Member Contact attempts to send the Member an . The Offline alert is intended to let a Manager know if the Member s companion has failed for some reason such as loss of network connectivity, battery going dead, or other problem that causes the Companion device to fail to communicate for more than the length of time set in the Device Settings section as described below. Selecting the Daily Activity alert causes an to the Member Contact at 7:00 pm 45 Claris Healthcare support@clariscompanion.com

each day, including a brief summary of everything the Member has done with the Companion in the last 24 hours. It is a quick and easy way to see how each Member is doing. The Missed Call alert is generated if the member tries to initiate a video call but the call isn t answered by the contact. This alert is enabled by default. If you make changes to your Alert settings, remember to click Save before leaving the page. 46 Claris Healthcare support@clariscompanion.com

Responding to Alerts When alerts are generated, a Manager or Responder will receive alerts in one of three ways on the Companion Console, by text message or by . If you have chosen to receive alerts on the Companion Console, you will see them whenever you are logged in. If there are several alerts that have come in since you were last logged in, you may view and acknowledge them one at a time using the Acknowledge button, or all at once by clicking the Acknowledge All button once. If selected, you will receive an for each alert. The will describe the reason for the alert and offer a number of options for responding. Text messages will be sent to your smart phone for each alert if you have selected this option. Like the alerts, the text message includes a description of the alert and a number of hyperlinks for responding. Scarlette Hansen: "Taken" their Medication on Claris Companion Scarlette Hansen via sendgrid.me Claris Companion is reporting that Scarlette Hansen has "Taken" their medication "Take medications" which was scheduled for 2013/05/29 12:00 PM Pacific Time (US & Canada). To call Scarlette Hansen: To acknowledge this alert click here. To login to Companion Console click here. To unsubscribe from this click here. 47 Claris Healthcare support@clariscompanion.com

Setting up a Member s Profile We call the users of the Claris Companion Members. When you first start with Claris Companion, you need to set up the Member s profile. When you purchased Claris Companion, a Member s account was automatically created, but only with some default information. This is how you customise the Member s information. Start by selecting the Member s name at the top right of the screen this will open the Member s screen, the main screen of the Companion Console. Select the Member Profile tab. You will see the default information that was automatically created for the Member when you purchased the Claris Companion. To complete the Member Profile, click the Edit Profile button. 48 Claris Healthcare support@clariscompanion.com

Edit each of the fields to create the new member. It s important to verify the Country and Time Zone is correct. Once you have done, click the Save button to record your changes. Note: An address has been automatically created for the new Member. A telephone number for text messages has also been assigned. You may use these to send messages to the Claris Companion. You can also Upload a Photo of your new Member if you like. This will be displayed on the Claris Companion Console. 49 Claris Healthcare support@clariscompanion.com

Changing Device Settings To see the current device settings, select the Device tab. The Claris Companion Remote Viewer button is described below. To change device settings, click on Edit Settings. You can have the time/date display in large text on the home screen instead of smaller text at the top of the screen. Please use the Remote Viewer to see how this setting affects the device screen. We recommend that you upload a dark or black photo background so the large time/date stands out on the screen. If you want an Off button to appear on the Member s Companion, select Display On/Off Button on Claris Companion. This button will allow a Member to turn the Companion display off. Note that Companion will automatically turn on if new messages or reminders come in. You can automatically have the screen turn on and off at specific times. When the screen is turned off, any new notifications will automatically turn the screen back on or the member can always touch the screen to turn it back on. The Device ID is the unique code that identifies the Member s Companion device. This code should not be changed unless a new device is provided to the Member. For members comfortable using technology on tablets that have an Android home button visible, you can enable access 50 Claris Healthcare support@clariscompanion.com

to other the other Android apps on the device. When this setting is enabled, pressing the Android Home button will display the Android home screen so other apps like Netflix, Google, Settings etc can be launched. The member must tap the Claris Companion app to get back to the Claris Companion home screen. An alert can be set to let Member Contacts know if the Companion device goes off line for the specified length of time. This could be loss of network connectivity or the battery going dead. Use the Send Alert if Offline For drop down list to select he length of time the Companion must be off line before an alert is sent out. 51 Claris Healthcare

Remote Viewing of a Member s Companion The Claris Companion Remote Viewer button is a quick way to confirm the appearance of the Member s Claris Companion. Clicking this button will open a new window on your computer which will show an image of the Member s Companion as it is currently operating. This may be helpful in confirming settings or helping a Member with problems. 52 Claris Healthcare support@clariscompanion.com
