1 Agent Guide >Agent User Guide< Accessible via the NRT Gateway, HomeBase insight provides statistics from CaliforniaMoves.com, ColdwellBanker.com, REALTOR.com, Trulia, Zillow/Yahoo! Real Estate, Homes.com, FrontDoor.com, WallStreetJournal.com *, 1stdibs.com *, and NYTimes.com for each listing. All in one place! You will have the option to produce weekly, monthly or date range reports and have them ed to yourself, the seller or any other interested party. All agents with active listings will receive a weekly report via containing a summary of activity on their listings. The step by step instructions are in this manual. Questions? 2 LOG IN HomeBase insight is accessed via the NRT Gateway at NRTGateway.com. Go to the NRT Gateway and log in. If you need help getting into the NRT Gateway, call 877-NRT-HELP. ( ) Once logged in, look for the HomeBase insight button and click: You will be taken right into HomeBase insight. 1
3 HOME PAGE Once logged in, you will see a list of your current active listings. Properties listed most recently will be at the top of the list. You can sort your list by Price, Address or Received. Click on the title of the column you wish to sort. You can also choose to display the listings with the most traffic at the top of your list. Click on the time frame 7 days, 30 days, All Time - and the listing with the most traffic in that time period on CaliforniaMoves.com, ColdwellBanker.com and REALTOR.com will be at the top with the other listings in descending order. 4 PICK A LISTING AND CREATE A REPORT REPORTING In this section you will learn how to set up your report and indicate who will receive it. The recipient will receive the report as a PDF attachment, which will be reviewed later in this manual. The system gives you the option to send either an one-time report or schedule a reoccurring report. ONE-TIME REPORT 2 1 NOTE: See following page for details about each numbered section! 4 3 3
5 ONE-TIME REPORT (CONTINUED) If needed, you may change the address display. Perhaps you would like to spell out road or court or add the zip code. This will not affect how the listing will look on any other websites, including CaliforniaMoves.com. It only changes on the actual report. When you click on the One-Time Report tab and choose to send one report to your Seller, the report will come to them via with a PDF attachment. It will look as if the is coming from your company address, if you have as your primary in Trident. If you have an address other than address in Trident, then the report looks to be from the address reports@homebaseinsight.com. More details about the From are in the FAQ (page 13). 3. You have 500 characters to add a personal message. This message will appear on page 2 of the PDF report. (Example report on pages 6-7.) 4. Your address will be the default in the Recipients field. If you would like to send this one-time report to your seller, add their (s). You also have the option to customize the message that is in the body of the . 4
6 RECURRING REPORTS (SCHEDULE REPORT) This tab has several of the same options as the One-Time Report tab. This is a great option if you would like to set a report to go to your Seller and know it will be sent to them on schedule, without your administration, until the listing is no longer active. Set it once and let the program do the work! Please note with this report, you will need to indicate if you want a weekly or monthly report. Otherwise, the options are the same. NOTE: Data collection began January 1, 2010 for CaliforniaMoves.com, ColdwellBanker.com and REALTOR.com. Other partners began providing statistics later with some as early as spring 2011 and others as recently as May Keep this in mind if your listings were taken prior to those dates. Listings taken prior to data collection will not have all of the same information that is available for your more recent listings. 5I

9 EXAMPLE REPORT The The recipient will receive an with the report as a PDF attachment. It will appear as if the is coming from your company address if you have as your primary in Trident. The report is personalized with your name, photo and contact information. If you are sharing a listing with another agent, the listing will appear in your report as well as in the report of the other agent. The report will feature branding from both agents. If you are on a team, all the team s listings will appear on HomeBase insight. Regardless of which team member sends the report, the report will be branded with the team information, as it appears on the company website. 2. Moving Average Note the measurement directly under each property traffic chart measuring the moving average. The moving average is plotting the average visitor activity to your listing during a specific period. The intent of a moving average is to show trends over time. The moving average is plotted onto the listing chart with an orange line. We plot the moving average based on the days on market. Below is a chart detailing how many days are averaged in each plot point according to the age of your listing. 10 EXAMPLE REPORT (CONTINUED) 3. Your report will include Property Detail View statistics from CaliforniaMoves.com, ColdwellBanker.com, REALTOR.com, Trulia, Zillow/Yahoo! Real Estate, Homes.com, NYTimes.com, FrontDoor.com, 1stdibs.com and WSJ.com. Please note: a. Sites with > 0 page views will not be displayed on the report. b. Some of our partner sites will only display listings with a minimum listing price or will only display listings participating in certain Luxury Marketing programs. Check with your local marketing department for specifics in your market. c. Because we are able to report the number of detailed views for each listing on these websites, click-through statistics are no longer included. d. We do filter out any hits our listings receive from the search engines in their efforts to index our web site for their search results. This filtering does not affect the ability for search engines to find listings, it just does not report these visits. 4. Additional statistics are available for properties on REALTOR.com. These include not only views on the listing detail page but all property views on the site. REALTOR.com reports each time a listing is displayed in a user s search results, each time a contact form is viewed, each time a listing is ed to a friend, each time the map is viewed, etc. 5. Any comments you have entered will appear here. For information on how to enter comments, refer back to page 3. 9
11 SALES ASSOCIATE REPORTS Weekly Summary Report On Thursdays, all Sales Associates with active listings will receive a weekly report via , which contains a summary of the activity on their listings. Next to each listing on the summary report is a link that says Schedule Now! Clicking on this link will take you to HomeBase insight without logging into the application. Here, you can sign up your Sellers to receive a onetime report or to receive reports weekly. You can have the report sent directly to them and they can clearly see how your marketing efforts are bringing visitors to their home online. EXAMPLE: SALES ASSOCIATE WEEKLY SUMMARY REPORT 10
12 SALES ASSOCIATE REPORTS (CONTINUED) Listing Reports Every Thursday, all Sales Associates will receive an individual report for each active listing in addition to your weekly summary report. If you have 10 active listings, you will get 10 individual reports each week. This will be sent as a PDF attachment to your address on record. This report is the same report your Sellers receive when they are enrolled to receive updates. Receiving this report will keep you updated on how your listings are performing online and make it easier for you to communicate this information to your Sellers. If you have not enrolled your Sellers in the weekly summary reports, simply forward the each week and they can see your marketing efforts first hand! EXAMPLE: SALES ASSOCIATE WEEKLY LISTING REPORT 11
13 SALES ASSOCIATE REPORTS (CONTINUED) Modify Report Settings At any time, Sales Associates can modify their settings for both of these reports. Choose to stop receiving the weekly listing reports. Choose to receive the Agent Summary monthly or weekly. Choose to turn off the Agent Summary . EXAMPLE: SALES ASSOCIATE MODIFY REPORT SETTINGS 12
14 FAQ Q. What is a detailed page view? A. HomeBase insight measures how many times a property s detailed listing page has been viewed by online home seekers. A detailed listing page is the page on the site that features just your listing, often has agent branding, maps, a place to send a lead and maybe even a friend. This is a listing details page: 13
15 FAQ (CONTINUED) Q. What listings are available to me on HomeBase insight? A. Only your active listings are available to you. If you know a listing is about to expire, be withdrawn or temporarily taken off the market or is changing status from Active to Pending or Sold, please run one last report for this specific listing. Your seller may also want a copy at this time. You do not have access to your old listings. Q. What if my personal information is wrong? A. Please ask your Office Administrator to check Trident first to confirm your name is spelled correctly, your office s phone number is correct, etc. If the agent photo is wrong, please make a call to the NRT Help Desk (877-NRT-HELP). Q. What if my listing has 0 detailed pages views? A. CaliforniaMoves.com results will always display, regardless of whether there are 0 views for the report period or the All-Time metric. ColdwellBanker.com and all partner sites will only display if there are views for the All-Time metric. This means it will display as long as the property has at least one detailed property view at any time during the listing period and even if it has had 0 views during the time period you are reporting. The only time a site will ever be suppressed is if there are 0 views for both the All-Time metric and the Report Period metric, with the exception of camoves.com, which will always display. Q. When my seller receives the report, what address will they see as the sender? In other words, what is in the from field? A. If you have address as your address in Trident, the report will look as if it is being sent from Jane Agent or jagent@camoves.com. Any replies will be directed back to you at . If you do not have address as your in Trident, then the report will look as if it is coming from HomeBase insight or reports@homebaseinsight.com. Your seller should not reply back to this address, but instead, send you an directly. 14
