3 ROLES ALLOCATED IN THE LMS Assessor The assessor is responsible for marking assignments uploaded by participants for the cohorts they have been allocated. Once the assignments are marked, the assessor returns them to the LMS for downloading by the participant. Facilitator The facilitator delivers the unit workshops on behalf of the jurisdiction. The facilitator is allocated to a cohort and unit by the relevant jurisdiction s Program Manager. The facilitator is responsible for entering the facilitator mark for each participant in every cohort allocated. The mark awarded to the participant is a combination of workshop preparation, attendance and participation. The mark should be entered against each participant upon completion of the workshop. Jurisdictional Administration The role of jurisdictional administration is allocated to users in the PSM Program office in each state and territory. They provide support to the Participants of the PSM Program including processing applications, managing extensions, organising workshops and monitoring a participant s progress. Moderator The moderator is an assessor who assists in maintaining academic rigour. The LMS is programmed to send all assignments marked as a fail or as a high distinction to the allocated moderator for review. In addition, a particular group of assignments in any given cohort may be identified for moderation regardless of the mark given. This is for quality assurance purposes. 3 of 32

4 National Administrator The National Administrator (NA) manages the National Assessment Centre (NAC). Responsible for managing the assessment process including the allocation of assessors and moderators to each cohort. Responsible for the maintenance of the LMS, working closely with the service provider to ensure bugs are identified and fixed. Puts forward recommendations for enhancements to the LMS. Maintains the Assessment & Referencing Guide (A&RG) as well as the LMS Guides for each user group. Works closely with each jurisdiction as well as the assessors/moderators and has the highest level of access in the LMS. Participant Is someone enrolled in the PSM Program. 4 of 32

5 TERMINOLOGY IN THE LMS Academic Penalty: An assignment can only be awarded a maximum of a Pass (<64%) if an academic penalty is applied (see also Late Submission and Late Submission Allowed). Assign: the NA & the jurisdiction can assign the roles to various users. Course Code: a unique code allocated to a specific cohort of Participants. Course Dates: the Starts date is the first day of Unit 1 workshop. The Finishes date confirms the end of the two-year registration period from the Starts date. Late Submission: an assignment is overdue (after due date + 1 day). An academic penalty is automatically applied by the LMS. This can be overridden by the jurisdiction or the NA. A $25 late submission fee may be charged by the National Assessment Centre, regardless of reason. Learning Management System (LMS): The LMS is a web based portal that facilitates functions such as the management of enrolments, assessment processes, submission of assignments and production of reports. Late Submission Allowed: A maximum extension of two weeks can be granted by the jurisdiction in exceptional circumstances (See A&R Guide). A late submission fee may apply. The jurisdiction may, depending on the circumstances, override the Academic Penalty. Participant Status Administrative error (adminerror): The Program Manager can change the status of a Participant to Administrative Error. This is commonly done if there has been a duplication of records. Completed: The LMS will automatically change the status of a Participant to completed when all academic requirements have been met, including attendances at all workshops. The Participant still has access to the LMS to check their results. Deferred: a Participant who cannot continue with the program, but does not wish to withdraw completely, can defer. The Participant must recommence and complete the program within the standard two year registration period. Failed to complete (failedtocomplete): Applied to a Participant who stops going to the workshops and submitting assignments without contacting their PSM Program office and their registration period has expired. Efforts to contact the participant prior to the expiration date have not been successful. Graduated: a Participant receives the graduated status when he/she has attended a graduation ceremony for the PSM Program and received a Graduate Certificate. The Participant no longer has access to the LMS. Transfer (Interstate) (transjurisdiction): a Participant who moves from one jurisdiction to another and wishes to continue the PSM Program with another jurisdiction. All personal details and assignment results are transferred to the new jurisdiction. 5 of 32

6 Transfer (Course) (translocal): a Participant who is unable to continue with their current course but wishes to transfer to another course until completion of the program. All personal details and assignment results are transferred to the new course. Withdrawn: a Participant who cannot complete the course for various reasons (e.g. health, work commitment, personal issues) and stops going to the workshop and submitting assignments. The Participant has contacted their PSM Program office in writing to advise their withdrawal. Person Code: The system will allocate a unique numerical code to each user. This code will then become the username for the purposes of logging in to the system. Re-assess: An assignment that has been sent for re-assessment by a second, different Assessor when a Participant is dissatisfied with a previous result. The request must be submitted, in writing, to the PSM Program office, with evidence to support the claim within 5 working days of the return of the assessed assignment (see A&RG for more information). Re-mark: A failed assignment that has been rewritten and submitted again for assessment after approval by the Program Manager. The mark awarded cannot be higher than a pass (no more than 64%). The re-mark will be the final result. Depending on your jurisdiction, fees may apply (see A&RG for more information). Recognition for Prior Learning (RPL): is an exemption from assessment for a specific unit. A Participant cannot be granted RPL for Unit 4. (see A&RG for more information). Unit Dates: The Starts date is the first day of the unit workshops. The Finishes date is the unit major assignment due date plus two weeks. Workshop: Face to face attendance as per the course schedule (coursework unit of delivery block of delivery). LMS ASSUMPTIONS That a Participant will complete the program within the 2 year registration period. That a Participant will upload their assignments on the submission due date. That an assessor will mark and reload the assignment within 11 days from submission due date, this is known as the assessment due date. The LMS will generate an alert sent to the assessor and copied to the NA if there are assignments uploaded that remain unmarked once that date is passed. The reminder does not take into account late submissions. That a moderator (if applicable) will moderate an assignment within 10 days of the assessment due date. The LMS will generate an alert sent to the moderator and copied to the NA if there are assignments requiring moderation that remain unmarked once this date is passed. The reminder does not take into account late submissions. That a participation mark for each Participant will be uploaded at the conclusion of the workshop. 6 of 32

7 IMPORTANT NOTES Submission due dates close at midnight ACST as the LMS is hosted on a server located in South Australia. There is an expectation of an 11 day turnaround from assignment submission to return by the assessor. A reminder is generated by the LMS and sent to the assessor after midnight of the 12 th day if there are submitted assignments still not marked. It is important to note the assumption by the LMS is that all assignments will be submitted on the due date. There could be an assignment(s) submitted well after the due date and therefore would be well within the 11 day turnaround time when the reminder is issued. If this is the case, the will be ignored. In addition to this reminder, the NAC may also follow up overdue marking. The NAC and the jurisdictions work very hard to ensure that participants upload their assignments by the due date. The participants must complete four units of assessment with each unit having a minor and major assignment. If you haven t attended the workshop associated with the unit you are currently doing, no participation mark will be entered. Subsequent attendance at a future workshop will enable your participation mark to be uploaded. 7 of 32

8 PARTICIPANT LOG ON All new users of the LMS must be allocated a username and password so that they can login to the system. In the case of a participant, the Program Manager, in your local PSM Program office, is responsible for creating this profile upon acceptance of your application. Note the URL: Save it to your desktop This number is system allocated and is unique to you In the Username and Password fields, enter the information that was ed to you by the NAC Click Login 8 of 32

9 FORGOTTEN LOGIN DETAILS Enter the address you nominated as your preferred address and click the Send Details button 9 of 32

It is recommended that you change the password once you have logged in (refer to Changing Your Address and Password in this guide Important Note: Sometimes system generated s have problems travelling through firewalls. If you don t get an immediately, contact your PSM Program office for assistance 10 of 32

12 CHANGING YOUR ADDRESS OR PASSWORD It makes good sense to change the initial password you are given to something meaningful to yourself Once changes have been made be sure to update the system 12 of 32

13 SUBMITTING ASSIGNMENTS Step 1 Click on Submit and Receive Assignments 13 of 32

14 Step 2 Click on Upload Note: the Upload button disappears if the due date has passed and no extension has been granted. You need to contact your PSM Program office Important Note: Always check to make sure that you are uploading your assignment into the corresponding spot inline with the unit and assignment number 14 of 32

15 Step 3 Browse for your assignment and click Upload Assignment 15 of 32

16 Step 4 Click on Check Assignment to ensure it is correct (it will open and you can read through it). If you need to replace it, browse again and press Re-Upload Assignment and it will be replaced on the system Step 5 Click on Submit Assignment once checked Important Note: Always make sure that the assignment you are uploading is the final version and has the completed Assessment Cover sheet and checkboxes. You risk your assignment being marked as a fail if your assignment is not complete. You can only submit an assignment once 16 of 32

In this example, the assessor has awarded a mark of 7/10 (shown in brackets) which is a credit grade, the system has adjusted the mark down to 6/10 which is a pass.
