2 2 What is American Work? An online portal to perform account maintenance, access reports and reconciliation solutions to enable fast, efficient and effective program management. For Program Administrators looking to maximize their company s Card Program performance and help drive business success, American Work provides the tools needed to help minimize financial exposure, support employees on the road and assist senior-level decision making. Minimize exposure: Mitigate risk by implementing and enforcing policies that meet your company s unique needs Support employees: Empower your colleagues to manage their expenses and keep business moving forward whether at the office or on the road Assist decision-making: Help drive the success of your business by providing senior management with company-wide spending information
3 American Work Program Management Permissions 3 The following program or account maintenance functions can be performed online: Process Applications: Employee Initiated Card Applications Program Administrator Review of Pending Card Applications Monitor Cardmember Activity: View Cardmember Billed and Unbilled Charges Manage Card Accounts: Cancel Cards Manage the Card Program: Track the Status of Account Maintenance Transactions Update Address Information for Existing Cardmembers Work profile contains the different transactions ( permissions ) that can be performed online. The permissions uniquely populate your homepage appearance. If you or your company did not select permissions when you first enrolled, your profile was set up with all basic permissions
4 Steps to complete your registration 4 As a first time user complete your registration and set up your ID and password. You should have received a Welcome * that contains an access code and link to the page displayed below. Click I am a new user to set up the ID and password. *If you do not have the , contact the American Work Help Desk
5 Create an ID and password 5 Next create your ID and password using the security tips provided and create security questions and answers by following the prompts on the screen.
6 Complete the security prompts to finish registration Enter your verification pin (4 digit number) and verification password (provided to American Express when you Work access) and the access code from the Welcome . 6 Log directly in to Work website by going to
7 Overview of the Home Page The Home Page contents are dynamic based upon Work permissions. This is the home page of a Master PA a program administrator with all permissions. 8 How Do I 8 Save Time By Having My Employees Apply For a Card Online?
9 Create an access key to apply for Cards online 9 Click the Process Applications link under the Card Accounts section on the home page. Submit new applications with Create & Manage Access Keys a fully automated process that includes notification to Cardmember applicants and Card application approvers. Global Dollar Card From the Card Accounts section, select the Process Applications link. To the right, Click on Create & Manage Access Key link.
10 Create Access Key 10 An access key is a system-generated, unique code which is linked to one basic control account. It allows your employees to apply for Cards online and for you to control the process. Review employee applications online, electronically approve or decline and generate notices to other approving managers and Card applicants to advise them or provide a status update. For a new Access Key: Enter a Basic Control Account (Optional) Select a Nickname for your access key. Click Next Enter the Application Limit (maximum number of applications that can be issued - 10,000 is the limit). Select a Start/End date or leave the default of two years. Select Create Nickname 3782-XXXX-XXXXXX Rexport
11 Customize your access key with Approval Routing Your code is generated and ready to send to Card applicants to apply online. Application submissions will activate the hyperlink on the Notifications section of the home page. Card applicants are advised by of the status of their application, eliminating phone calls to the program administrator. 11 If a Basic Control Account is enabled for additional functions, the access key may display options to enable rush delivery of a Card (less expensive when requested Work) and/or allow applicants to select a Card type. To receive notifications of application submissions or alert other managers regarding application submissions, Active the Approval Routing function
12 Approval Routing Text There are four Approval Routings each with a corresponding that is triggered when the Card applicants submits their online Card application. 12 It is highly recommended that the Program Administrator register for the PA Only alert to receive an notice when an application has been submitted.
13 Access Key Complete Verify your (PA) address is correct. For Approval Routing: Enter the Approvers information or leave blank if no notification Choose the appropriate Routing Option. Select Update. Continue to enter all routing information after selecting the preferred routing option. 13 The access key is set up and ready to issue Card applications. Next, the Card applicant needs to be notified to apply online.
14 Send Access Key and online application information to Card applicants This sample form is available in Work Resource Center. Cut & paste into your browser, include the access key code and provide your contact information before sending. 14
15 The Card Applicant s Experience 15 The Card applicant will view the screen below with the link provided in the template. They enter the access code to access the online application.
16 Cardmember completes the online application The Card applicants completes the online application which ensures there are no missing fields. When complete, the applicant click Next to review the form before submission. 16
17 Finish and submit the online application 17 The Card applicant can review, make final corrections and when ready, submit the application. The submission process triggers 1)approval and/or notification s and 2) a credit review Once an employee submits an application using the access key function; this is considered a signed application an full credit inquiry is done.
18 How Can I 18 View & Make Changes to Cardmember Details?
19 Managing changes on Card accounts (profiles) 19 On the home page, in the section Card Accounts, select the link Manage Card Accounts. The dynamic information to the right of the link changes based on your selection. This is where you can select and make changes to Cardmember account profiles.
20 Find Card Profiles Select drop down arrow from Find Cardmember Activity Box. 2. Select the criteria you would like to search. 3. Select the country and click Go 1. Select drop down arrow from Find Card Profiles menu. Select the criteria to search and fill in the search box. Select the country. 2. To work with multiple Card profiles at the same time, use Advanced Search to enter multiple search criteria or enter multiple Card accounts (up to 20 Cards can be canceled in one transaction).
21 Find Card Profiles Advanced Search On the Advanced Search page, enter or select from the dropdown menus all of your search criteria to refine your search or search using Multiple Account Numbers (click more for additional fields). Click Search. 21
22 Search Results The results of your search are displayed. When working with multiple Card Profiles, you can cancel a group of Cards via the drop down menu. To select the Card profiles to cancel, check the box by the Cardmember name or check the top box to select all Card Profiles displayed. An Online Statement for the Cardmember is available in PDF format and will display in the Search Results X-XXXXXX-XXXXX Click GO to process the transaction and receive a status tracking number/confirmation John F Doe James G Does John X Doesnot 378X-XXXXXX-XXXXX 378X-XXXXXX-XXXXX 378X-XXXXXX-XXXXX Online Statement PDF copies are available through the Search Results feature and will display to the right of your search results as an icon that you can click and view or download.
23 Card Profile The Card Profile page displays the information for an individual Cardmember. It has four key sections. 23 -XXXX-XXXXX Cardmember Information Account Information Spending and Payment Information Account Change History
24 Card Profile Section 1: Cardmember Information 1. Perform address changes directly from this page by clicking Edit then following the instructions in the pop up box. Then Submit. 2. Use your status tracking confirmation # to view pending transactions in the Status Tracking section XXXXX-XXXXXX
25 Card Profile Section 2: Account Information All account related transactions can be performed directly from this page. 2. Click desired action and follow instructions in pop up box. Select carefully, e.g. Deceased is immediately reported to Credit Bureaus. Then click Submit, 3787-XXXXXX-XXXXX Rexport Company Cancel Maria Company 3787-XXXXXX-XXXXX
26 Card Profile Section 3: Spending and Payment Information 26 View spending and payment information for a selected Cardmember, as well as the statement due date and any new ( Recent Activity ) transactions. Click View Activity to see recent Card Activity and Balance Summary information.
27 Cardmember Activity 27 Card account balances and recent activity are displayed First name Last Name COMPANY NAME 378X-XXXX-XXXX CANCELED
28 Card Profile Account Change History 28 View all transactions performed on selected Card Profile. The Account Change History is a full audit trail of transactions that have been performed on a Cardmember account profile from Work. (Transactions performed on your behalf when you call Customer Support will not display.)
