2 Welcome to the User Guide for the newly updated version of Getting Started Self Serve. It s essentially the same system, just with some improvements and small enhancements! We hope you ll like it. 1. Getting Started Self Serve Landing Page To get to the GETTING STARTED Self Serve landing page, you simply need to log into Nutrsipace, then go to the My Business heading and select Getting Started Self Serve. The first page you see will be the one below. Let s take a closer look. 2
3 The introduction text explains the functions that are available to you at each level. They are the same as the previous system. As a Trainer, you ll see all of these: Add, Update, Delete and Close Meeting function and the Register, Move, View and Delete Consultant function. You ll also be able to view and print your Attendance Lists whenever required. 2. Managing Your Getting Started Sessions The first option on the landing page is entitled Manage My Sessions. This is where (as before) you create meetings, make changes, delete, update and close sessions. Use the Go button to start: 3
4 This will take you to the next page where you ll see: Your upcoming or Future sessions. These are the sessions you ve already added Underneath that are the sessions that have already occurred - or Past Sessions. Below that are the Add a New Session and Move a Consultant options. Let s look at each function individually. 4
5 2.1 Adding a New Meeting As before, you simply click on the Add Session button show here and this will take you to a new page where you enter all the meeting details: Add all the venue details as usual. Remember that the Start and Finish times are in 24 hour time Also, you need to add a Maximum Number of Attendees amount or the meeting won t show up on the Getting Started registration screen or Sponsor Online Press Save to ensure the meeting goes into the system 5
6 2.2 Editing a Meeting Remember on the Getting Started Self Serve homepage there were a list of Future sessions? Well, when you want to make changes to one of these sessions, you just click on the Edit button to the right of the session. Say for example you need to change the venue of the meeting, select Edit Then you d simply change the Venue Details and press Save Changes. This changes the details in the system and auto-generates an to anyone registered for that meeting explaining the change. 6
7 2.3 Deleting a Meeting When you want to delete one of these sessions, you just click on the Delete button to the right of the session. A message will display asking you if you re sure you wish to delete the session. Once you ve said OK the session (along with the registered Consultants) will disappear from the system. So be really careful when you re doing this! An auto will be sent to all attendees informing them of the cancellation and encouraging them to come along to another session. 2.4 Updating and Closing a Meeting From the homepage, you will also remember seeing Past sessions. These sit just below the Future sessions. To open a Past session so you can update the attendance and close it off, just select Update 7
8 This page will appear.. To update this page, follow these steps: 1. Add any Consultants who have turned up but weren t registered 2. Go to the Attendees list and click Yes or No for attendance 3. Press Save Remember: once updated and saved, the session will disappear from the system 8
9 3. Registering a Consultant You can register a Consultant from the Meeting Management page OR from the dedicated Register a Consultant function on the home page. So, from the homepage, select the Find or Move button OR from the Register a Consultant function on the homepage They both go to the same place it s just giving you some options depending on where you are in the system. Once you ve selected either of these two options, you ll be taken to the registration page. You simply enter the Consultant s number in the space provided, wait for the name to appear to the right and then press Submit. 9
10 Note: if you enter the Consultant s number and then press Enter on your keyboard, the sessions won t display. You need to use the Submit button. Once you ve done, this, a range of available sessions will display.. Click in the circle next to session you want to register your Consultant for and then press Save Changes and you re done! The Consultant will automatically be added to the Attendance List and sent an confirming the details. The first set of sessions that will be display will be yours (if you are a Trainer) and a couple of the closest (in genealogy) to you. If you want to book your Consultant into someone else s within your ESDship, just press View More Sessions and the rest of the ESDship s sessions will display. Note: At this stage, you will not be able to see or book your Consultant into a Trainer s session who is outside of your ESDship. You can call the Trainer directly to ask if it s OK to send your Consultant to their session, but they would have to register them for you. 10
11 Sometimes, when you go to book someone in to a session you won t be able to. A message will display as to why. It will be one of these four reasons: This Consultant has already attended a Getting Started session. They may attend again as a refresher but they do not need to register again if this is the case. You are not entitled to view the Training Details of this Consultant (they are not in your ESDship) Consultant ID not found please re-enter This Consultant s account has been terminated 3.1 Moving a Consultant This is similar to registering a Consultant, you place the Consultant s number in the field provided and press Submit. The session they are registered for will display. All you need to is select one of the available sessions below this and select Save Changes. They will be moved to this session and an auto will be sent informing them of the details. 11
12 3.2 Deleting a Consultant Use the same method as above to locate the Consultant and their session. Instead of selecting a new session for them, you d select the Cancel Attendance button which is found underneath Available Sessions. This takes the Consultant out of the meeting and sends them an auto suggesting they re-book soon in order to get their Getting Started gift in their first full calendar month. Always try to do this if the Consultant contacts you prior to the meeting. If you do it when you are updating the meeting (ie: after it s over) the auto they receive won t contain the correct wording. 4. Viewing a Consultant s Session Details There are a few ways to do this as you have seen. If you just wish to view a Consultant s session details (without doing anything else), go straight to the option on the Self Serve homepage entitled View Consultant s Sessions and select Go: 12
13 This page will appear. It will show the session details for that Consultant, including venue, address, suburb, Trainer, date, start and finish times (and if the Trainer has included any notes in the Notes section when she logged the session, they will appear too). As with the registration process, if the session details do not show up for the Consultant you are checking, it could be for one of five reasons. If this is the case, the system will display one of these messages: This Consultant has already attended a Getting Started session. They may attend again as a refresher but they do not need to register again if this is the case. You are not entitled to view the Training Details of this Consultant (they are not in your ESDship) Consultant ID not found please re-enter This Consultant s account has been terminated This Consultant has not registered for any session (in which case you can go to the Register a Consultant function if you need to) 13
14 We ve come to the end of the Getting Started Self Serve training session. As you can see, it s mostly the look of the system that has changed - the functionality is virtually the same. The main improvement is the cleaner look and the fact that we ve moved the Attendance Report out of the Reporting menu and placed it in the Getting Started Self Serve system. So all your functions are now in one place. Just before we go, we d like to confirm a couple of points about the administration of Getting Started. Closing Sessions It s crucially important that you close Getting Started sessions online as soon as you can after you complete them. Why? It lets our system know that eligible attendees are to receive a gift and flags to us that they have attended (this is important as many of our promotions are based on Consultants attending Getting Started). Paperwork You should send us the following items after you have closed the session online: The Attendance List with your signature, your attendees signatures and the number of Evaluation Forms you ve collected The Evaluation Forms Any Training Offers Order Forms you ve collected Faxing is best it means you can keep a copy of these items for your records and is less costly than posting! Fax to (Aus) or (NZ) Gifts Once an eligible Consultant has attended and you have closed the session online, their name goes into a list of people who are owed a Getting Started gift. If the Consultant places an order or orders a Training Offer within a week of attending Getting Started, the Getting Started gift will be sent with that order or Training Offer. For those who have not placed an order, we despatch any outstanding Getting Started gifts on the Thursday morning of every week. So the most amount of time an eligible Consultant will be waiting is 10 days to 2 weeks. 14
15 Eligibility The same eligibility periods still apply the new Consultant must attend Getting Started within their first full calendar month in order to receive the nc Colour Pack and nc Classic Fusion Full Colour Lip Palette. You still need to ask for extensions so we can re-set the Consultant s eligibility period in our system. The best way to do this is by phoning or ing CSC. Training Materials The code for the Getting Started Training Materials pack is This contains the following: Participant Workbook (code is currently 60877) Getting Started Certificates (code is currently 60798) Training Offers Flyer (code is currently 60880) Training Offers Order Form (code is currently for Aus or 60881NZ for NZ) Each time we update any of the components, we change their individual product codes. We update the pack code (152260) to reflect these changes so you can always use the same pack code. You can order the items individually but make sure you are using the current code. We will always inform you when there is a product code change. Training Offers Getting Started Attendees have one week from the completion of the session to purchase the Training Offers. They will receive the Getting Started Gift with the Training Offers if they place the Offers order at the session. If not, the items will come separately. Existing Consultants ie: not new joiners, can purchase the Training Offers if they attend Getting Started too. Thank you you ve now completed the session.
