1 Pre-Release: v5.28 Release Enhancements Report Views Rename All Fields Customizable views Agent Level Changes For added flexibility, users can now change the report Name for all All Fields Customizable views available in the MLS. All Fields Customizable views: Short Label and Short Values Options to modify the field display for Short Label and Short Value have been added to Customization for the All Fields Customizable reports Mapping Warning message for large results return from a Polygon Search For clarification, a warning message has been added to Map Search if a Polygon results set is too large and may take time for the system to return results. Clarification of Map Search Results A maximum of 200 map tile results can be displayed on the map within a Map Search. For clarification, new verbiage has been added to the box which displays the result count, stating Max 200 displayed on map Contact Management Improvements to Contact Management Workflow In order to save time and reduce clicks, a new workflow has been implemented to the system enabling a User to set up an or a Client Connect notification from the property search screen. New separate action structure for saving results sets The Save Search Screen has been updated with two new tabs, Yourself and Contact, which clarifies where the user is applying their saved search results. Additional Fields within the Add Contact Modal The Add Contact button will display a simple form in order for the user to quickly enter key information for a Contact so the results can be saved to the record if it does not already exist. Simplification of the workflow for Saving Searches Improvements have been made to reduce the number of clicks it takes to Save Searches when a Contact Tab is already open. 2 Listing Maintenance CMA Sort Listing Grid Prior to this release, when maintaining listings a user was unable to sort listings. By clicking on each heading a user will have the ability to sort. Add PDF Documents to CMA Presentation Per popular request! The ability to upload PDF documents to new and existing CMA Presentations has been added to the CMA Package. Change to Step 6 within Tablet Displays: View PDF Along with recent changes to the generation of the CMA Presentation, a View PDF button has been added for ipad Usage. Clicking the View/PDF button will open the users CMA Presentation in a new tab within the browser. This is very useful for viewing a CMA on an ipad. CMA Quick View Sends all selected results Improvements have been made to the CMA Quick View. When ing the report it will now include all results, instead of the first four listings of the results set. MLS Administration MLS Customizations and Administration Add Documents to CMA MLS Configuration A new line item is available in MLS Admin>MLS Information>Application Config called Max Documents to Upload to CMA. Field Rules: Agent Type now Available for Field Rules Per customer request, Field Rules can now be configured to include the use of Agent Type in their setup. New Level 8 Permissions For additional flexibility for MLS Administration, an improvement has been made for Level 8 Security for MLSs that include multiple Boards. A Level 8 user can be assigned to an individual Board Office record and will only be able to access the Agents, Offices, Firms, Teams and Listings for the corresponding Board. Maintain Office Listings Per User Code A new option Maintain Office Listings is now available within the User Codes setup form in MLS Admin>System Setup Options>User Codes. This will enable the corresponding User Code to maintain all listings for their office. BKFS MLS Solutions Internal and Client Use Only 2

3 Configuration for the Display of the term MLS New customers are restricted from utilizing the term MLS with the system. A configurable option has been added to manage this legal requirement which will change all references in the system to a desired value (i.e., LS, BLC, etc.). Update to CAN-SPAM Page Due to some of our new customers legal restriction for the public display of the term MLS the Opt In/Out pages have been updated and the term has been removed from the page. Listing Input and Maintenance CMA Watermarked Photos can now be edited The system, photo and watermark management processes have been enhanced so if a MLS or Board Watermark is present it will be reapplied to the image once edited. Maximum Number of Listings for CMA Wizard and CMA Summary Report within Results Two new configurations have been created to control the number of comps an Agent can have in the CMA Summary Report through Property Search and the CMA Summary Report found within the full CMA Wizard. 4 Agent Level Changes The following section contains changes that are active system wide and will be active to system based on their assigned security levels. Report Views Rename All Fields Customizable views Users can now change the Report Name for all All Fields Customizable views available in the MLS. Important! When a Report Name is changed, it will be reflected on the report view after the user has run a new property search. Changes will be reflected within the Specialty Menu and the Tab for the Report view. BKFS MLS Solutions Internal and Client Use Only 4

5 Highlighted Address Fields Quick Search and Full Search For clarification, the new address fields have been highlighted for clarification which fields to utilize for address searching. This should help Users adjust to the multiple recent Address changes that either moved certain Address elements to a different row, added new options where there previously weren t any or included unexpected functionality. No matter what the MLS s configuration, all system address fields will be highlighted for users to know they should input data in all pertinent Address fields for searching. Only highlighted fields need to be used (but are not required) for searching by Address Criteria. Note that the new Street Type field is now available within Quick search. Which enables users auto complete Street Types (per configuration of the MLS) The Post Directional field is also available to enter values, such as N, S, E, W as per configure for the MLS. 6 All Fields Details: Short Label and Short Values Options to modify the field display for Short Label and Short Value have been added to Customization for the All Fields Customizable reports. Note: Per MLS field setup, database fields may not support this feature. Common fields may include Bed and Bath fields and more. Contact your MLS for further details. 7 Mapping Warning message for large results return from a Polygon Search If a user attempts to draw a very large polygon shape or a shape containing an exorbitant amount of mapping results (ex. A polygon drawn over a 50 mile distance within a large metropolis) within a Bing Map Search the system may take longer than normal to return results, giving the impression that the system is not functioning as expected. In order to clarify this, a message appears only when a very large polygon has been drawn which may return a large results set. Clarification of Map Search Results A maximum of 200 map tile results can be displayed within a Map Search, for clarification, new verbiage has been added to the box which displays the result count, stating that Max 200 displayed on map BKFS MLS Solutions Internal and Client Use Only 7

8 Contact Management Improvements to Contact Management Workflow Workflow improvements have been made when setting up an or a Client Connect notification from the Property Search screen. For clarification of functions, the Save Search menu has been divided into Search and Listings, with sub menus for each action. 9 New separate Tab structure for saving results sets The Save Search Screen has been updated with two new tabs, Yourself and Contact, which clarifies where the user is applying their saved search results. 10 New Yourself Tab The new Yourself tab clarifies that this search result set will be saved to the user s existing Saved Searches. For improved readability, the display size of the modal window has been increased and only contains controls that are pertinent to applying the search results to their Saved Searches list. Contact Tab The Contact tab displays the fields dedicated to saving a search results set directly to a Contact Record. BKFS MLS Solutions Internal and Client Use Only 10

11 New! Save & Notify Button A new Save & Notify button is available. By default both the Save & Notify, and Save buttons are disabled until a Contact is added. Once a Contact is added to Assign to Contact the Save & Notify button will become enabled. Clicking on this button will save the search to the contact, close the current modal and open up the contact manager displaying the Contact you just added to this Saved Search, and navigate the user directly to the search activity section for that saved search. 12 Add a Contact Button Additional Fields When saving a search a user can create a new contact by clicking the Add Contact button. An Add Contact modal will display a simple form for the user to enter basic contact information and save the result set to the new record. Note that and Phone fields are now available when setting up basic information for a new Contact Record. BKFS MLS Solutions Internal and Client Use Only 12

13 Simplification of the workflow for Saving Searches Improvements have been made to reduce the number of clicks it takes to Save Searches when a Contact Tab is already open. Previous Workflow If a contact is open and the user attempted to open a different contact, a save dialog box would display. This dialog will require the user to save, continue, or cancel. Clicking Save Changes would navigate to the contact that was already open. You then have to either save the contact yourself or close the contact. Once closed you could then open you other contact. 14 New! Contact Save Workflow The following improvements have been implemented to reduce the number of clicks when working with multiple tabs and Contact records. Navigation between Contacts if no information needs to be saved If the contact truly has nothing to save, clicking on another contact will close the opened contact and load the contact that was clicked. 15 If there is something that needs to be saved, Paragon will now display a Contact Already Open message. Save Changes will save the opened contact, close it, and then open the other contact that was clicked. Unsaved changes were made to the open contact Pat Pearson. 16 In the event Paragon cannot save the opened contact, the agent will be taken to the opened contact where they will need to save and close the contact. If you have required info on the general info page that is not filled out or if you have a search started within the contact the system will not be able to automatically save this contact. In this example, the process of saving a Search to an open contact has not been completed. The user may attempt to go back to the Contact Tab to open a differnet record. The Contact Already Open will appear to prompt the user to finish the Saved search Save Change(s) will return them to the open contact. 17 Listing Maintenance Sort Listing Grid Prior to this release, when maintaining listings a user was unable to sort listings. By clicking on each heading a user will have the ability to sort. EX: ID, Address, Price, Status, Type, Listing Agent and Pictures. The same as the Spreadsheets, when the column header is clicked the Ascend and Descend Button will appear which allows to sort the listings. Highlighted Street Fields For clarification, the street fields have been highlighted to inform users that all fields relate to the Address for the listing. 18 CMA Add PDF Documents to CMA Presentation Per popular request! The ability to upload PDF documents to new and existing CMA Presentations has been added to the CMA Package. An Upload Document option has been added to Step 5: Presentation Setup. Clicking on Upload Document will display a modal to allow a user to browse and select the document they want to include in their CMA. The description container will be the name of the check-box. Once the document is successfully uploaded, the user can drag and drop the check-box to a preferred order anywhere within Step 5: Presentation Setup. 19 Document File Size Limitations Each document uploaded cannot exceed 20MB. Once the user reaches the maximum number of documents allowed by the MLS (most default to 5, check with the MLS), the Upload Documents link will become disabled. A tooltip will display informing the user that the maximum number of documents has been reached. PDF Document Note: Only documents in a PDF File Type can be uploaded to a CMA. Unsure on how to convert a document to PDF? Click the Need Help? Icon which will direct the user to a help page that defines best practices for converting documents to PDF. CMA Preferences Happen to have a document that you want to include in all of your CMA Presentations? The same Upload Document feature is available within CMA Preferences. The documents included in CMA Preferences will count against the maximum number of documents allowed in the user s CMA. BKFS MLS Solutions Internal and Client Use Only 19

20 New verbiage when generating a Presentation When generating a CMA Presentation, if there are a large amount of comps and listing images it may take the system time to complete the conversion to PDF. The following notice will display which informs the users that they can continue to work in other areas of the system (via Tabs) while it processes. Please be patient while the system gathers all the necessary components to generate your CMA. It may take up to a few minutes. Meanwhile, leave the CMA Tab open and work in other areas of the system while you wait. Change to Step 6 within ipad Tablet Displays: View PDF Along with recent changes to the generation of the CMA Presentation a View PDF button is now available for ipad usage. Clicking the View/PDF button will open the users CMA Presentation in a new tab within the browser. This option is very useful for generating/viewing a CMA on an ipad. 21 MLS Customizations and Administration All options in this section are either configurable via MLS Administration controls or configurable only by your System Support Manager. MLS Administration Add Documents to CMA MLS Configuration A new line item is available in MLS Admin>MLS Information>Application Config called Max Documents to Upload to CMA. The MLS Administrator will have the option of determining the maximum number of documents that a user can upload to a CMA. If the MLS does not set a default, the maximum number of documents will be five (5). The maximum number of documents that the MLS can set the default to is twenty (20) documents. If a quantity larger than twenty is entered an error message will appear when the user tries to hit Save. Field Rules: Agent Type now Available for Field Rules Per customer request, Field Rules can now be configured to include the use of Agent Type in their setup. Users will still be able to see and search for any active Agent in the Agent list, however, if a Field Rule is configured that restricts a specific agent type, and the user selects a record with that Type assigned, a message will appear at the bottom of the Input or Maintenance form informing them that they type is restricted and must be modified. 22 Ability to modify Security Level allowed to Delete Listings A new configurable option is available which allows the MLS to extend the ability to Delete Listings to any system security level (Levels 2-8) Contact your SSM to have this configured for your MLS Configuration for the Display of the term MLS Some of our new customers are restricted from utilizing the term MLS within the system. A configurable option has been added to manage this legal requirement which will change all references in the system to a desired value (i.e., LS Listing Service, BLC Broker Listing Cooperative, etc.). Please contact your SSM to configure this option Agent Mailing Labels Configuration Agent Mailing Labels will now follow the selection for Preferred Mailing Address on the Agent Record. 24 Listing Input and Maintenance Watermarked Photos can now be edited In the January 5.27 Release Photo Editing tools were introduced, however, the tools could potentially cut off an MLS Watermark. The system, photo and watermark management processes have been enhanced so if a MLS, Board or Office Watermark is present it will be reapplied to the image once edited. Please note this functionality only applies to photos entered in the system after the 5.28 Release. For any photos uploaded prior to the release, the original non-watermarked photo will need to be reloaded to the MLS to take advantage of this new functionality. In conjunction with the above changes, back end improvements have been made to ensure that the Watermarks are included in listing images when exported from the system (via RETS, etc.) if an image is edited. 25 New Level 8 Permissions An improvement has been made for Level 8 Security for MLS that include multiple Boards. A Level 8 user can be assigned to an individual Board Office record and will only be able to access the Agents, Offices, Firms, Teams and Listings for the corresponding Board. This is managed via the Office Boards Field, if blank the Level 8 users assigned to the office will have access to all MLS data, if a single or multiple Boards are applied, the Level 8 user will have access to the data for the selected Board(s). Level 8 Users assigned to this Office would have access to All MLS data. No Office Board Assigned. Level 8 Users assigned to this Office would have access to only the Board within the Office Boards field. If multiple Boards are applied, the user will have access to those Board s data as well. Note: Member of Board has no impact to this functionality. BKFS MLS Solutions Internal and Client Use Only 25

26 Maintain Office Listings per User Code A new option Maintain Office Listings is now available within the User Codes setup form in MLS Admin>System Setup Options>User Codes. This will enable the corresponding user to maintain all listings for their office. This option will not be checked as active by default. BKFS MLS Solutions Internal and Client Use Only 26

27 CMA Maximum Number of Listings for CMA Wizard and CMA Summary Report within Results Two new configurations have been created to control the number of comps an Agent can have in the CMA Summary Report (suggested to be at 1000 or less) through Property Search and the CMA Summary Report found within the full CMA Wizard (suggested to be set at 50 or less). Prior to this release, when creating a full CMA and selecting comps for the CMA Summary Report, a user could select more than the maximum allowed listings.
