1 Training Guide OHSIS provides an up-to-date reference source of key Occupational Health and Safety documentation relevant to the workplace. Retrieve information instantly on Health and Safety issues such as safety training, first aid, electrical safety, manual handling and dangerous substances. OHSIS is available with optional supplements on Environmental Health, Fire Safety, Offshore Safety, Environmental Management, Food & Drink Safety and British Standards. Searching the system is easy and the image you see is of the original document in Portable Document Format (PDF) or is produced from a high quality scan of the original source material, ensuring that the information you see is 100% accurate. The advanced image viewer allows you to manipulate and enhance the document and full Windows functionality means that you can cut and paste into other applications (copyright permitting).
2 Individual User Login - MyIHS Some customers now have MyIHS please refer to the guide at the end of this document to find out how to get your account set up. Starting OHSIS Open up your Internet browser and type in the web address, Insert your user name and password, left click on login, and then select the title of Occupational Health & Safety Information Service to enter the product. Supplement Selection To view the supplement screen you need to click on supplement selection on the left hand side under the advanced search link. From here you can see what your supplement contains and you can add or remove supplements from the list. Inclusion of supplements which are not subscribed to will enable an index only view of their documents. Useful Features Daily Legislation Watch Visible from the product home page, and available as a Quicklink on the left hand menu, Legislation Watch shows when UK, Home Countries and Republic of Ireland legislation comes into force. Current ACOPs You can now use this Quicklink on the left hand menu to quickly access the complete set of current Approved Codes of Practice publications. The listing also shows thumbnails of the covers to help you identify them easily. Case Law This Quicklink, found on the left hand menu bar will take you to our complete listing of summaries of key cases. IHS Guides and Toolbox Talks Another Quicklink on the left hand menu bar, this will return a page-full of current guides. These guides contain easy to understand summaries on key subject areas, compliance checklists and preprepared slides which you can use in Toolbox Talk presentations to your colleagues. Simple Search Simple search has been re-developed for ease of use for you, the user!!! The new features of simple searching are the option to switch include document text on and off depending on the results you want to see. If you only want to search within the title, keep the box un-ticked, if you wish to search the text of the document itself using keywords in simple search ensure you tick the box to do so ( on/off search texting box found under simple search field) You can now also use phrase searching (. ) and wildcard searching (.*) or (*...). Guided Navigation/Results Page Once searching within either simple search or advanced search you have the option to use our newly included guided navigation tool. These allow you to search within the results viewed on your computer screen after any search you activate. The options to break down your search are: Organisations, Publication Year, New/Revised, Updated & Relevant to me. (These are located on the left hand side of the results page.) Here is an example of filtering using guided navigation: Activate a simple search for health and safety (results page is then displayed). Click on Organisations in guided navigation section (left hand side of results page). You will then see all Organisations (in alphabetical order) that have publications on your results page and also the amount of publications that will appear. Eg: Health and Safety Executive (6) Click on desired Organisation to view those publications Advanced Search Search by Text The text search enables retrieval of documents by locating words contained within the text of a document. Search terms are entered by typing the required search word(s) or number(s) with spaces between each word. In this case the spaces act as Boolean AND operators, e.g. air water treatment is interpreted by the search engine as air AND water AND treatment. Search by Key Word in the Title The title search enables retrieval of documents by locating words contained within the title of a document. Search terms may be entered by selecting the field and typing in the required word(s) with spaces between each word, where the spaces act as Boolean AND operators, eg. Regulation guideline safety is interpreted by the search engine as regulation AND guideline AND safety. Wildcard searches can be used to find documents with titles containing words matching a specified pattern. Search by Organisational Acronym Enter the words required from the name of the publishing organisation, or the acronym, if known, in to the publisher field. This will ensure that the results reflect the publishing organisation that you are interested in. New & Revised The new or revised search enables retrieval of documents by locating documents that are new or have been updated in the current issue. Simply tick the new & revised box to conduct this search.
3 Wildcard Searching Use the prefix or suffix * to find alternative word endings, e.g. vent * will find vent, vents, ventilation, ventilated, etc. After entering search terms on the search screen select search and OHSIS will search for matching documents. These are then displayed on the result screen. To view a document either select to view the summary of the document or select the pages icon to view the document straight away. Saving a Search If you wish to save a search so that you can use it again select the save search button at the top or bottom of the page. Either select create new to name your search or overwrite an existing search. You can then select search, the saved searches from the red bar at the top of the page to execute these searches at a later date. Saving documents as favourites If you wish to save individual documents as favourites simply tick the box to the right of the desired publication on the results page and tick the save favourites icon from the top or bottom of the results page. You can then either add the document(s) to an existing folder or create a new one. You can then go directly into your favourite documents by selecting Tools (on top toolbar on homepage) and then selecting Favourites. Viewing Document Pages You can access the full document from the document summary page. Select view document, accept the copyright message, and then Agree to download the file. Right clicking over the Agree command will allow you to save the document to your C Drive (copyright permitting). Printing You can print hard copies of the document titles lists, document summaries and the document images themselves (subject to the copyright restriction). Simply select the print icon on the tool bar. Exiting from OHSIS Online Once you have viewed the documents it is important to select the Logout (on top toolbar on homepage) then either click other IHS to go back to main menu or logout which will take you out completely. This ensures that the license is returned after use. If you simply use the X to close down the window, or if your connection to the Internet is lost then the license will remain in use. OHSIS is set with an automatic logout if the system is inactive for more than 20 minutes, and so will return the license after this period. 5 Introduction What is 'MyIHS'? As part of the registration process you will be able to personalise the products in your subscription and opt-in to receive alerts and product specific communication. 'MyIHS' is an area where you can manage your profile information and product preferences. What are the benefits? alerting see Step Two, Preferences, for further information. Product customisation. The process of setting up an Individual User Login and obtaining access to 'MyIHS' (customisation and preferences) is explained on the following pages. 2
6 Welcome Page How do I obtain access to 'MyIHS'? When you login for the first time, use the organisation username and password provided in the welcome letter. From there, you will be prompted to register by following a simple three step registration process. As part of the registration process you will setup your Individual User Login which will provide access to 'MyIHS' and the ability to customise the product and opt-in to specific product preferences. Note: For all subsequent logins you must use your new username and password. 3
7 Step One: Contact Details What is required in Step One? In order to set up your new account we ask that you provide the following: Business contact information. Details of your role within your organisation. Choose an individual username and password which will provide access to 'MyIHS'. There is the option to use your address as a username, but if preferred you can select your own unique username. 4
8 Step Two: Preferences What is required in Step Two? This is the point where you have the option to customise the products that you subscribe to and opt-in to receive alerts. By clicking on the product tabs you can view the preferences available for each product in your subscription. Example MyCIS Preferences: Receive an alert when: New content is added to a particular supplement. A new version of the PréCIS Roundup is available. Customise the product, for example, number of news feed articles, number of search results per page and hit term highlighting. Example MyOHSIS Preferences: Receive an alert when new content is added by a particular organisation and/or to a particular supplement. Customise the product, for example, the number of results per page and adjust the supplements which you want to actively search. You can edit your preferences at any time post registration from within the MyIHS area. 5
9 Step Three: Validation What is required in Step Three? For security purposes you must verify your new account details. An will be sent to the address which you registered with and will contain an activation code. You must submit this along with your new password to complete the registration process. Once the account has been validated confirmation of your username and password will be ed to the registered address. 6
10 Logging in next time What action should you take next time? The next time you login you must use your new individual username and password. This will allow you to access your subscription as normal. You can edit the details you provided in step one and your preferences at anytime by accessing 'MyIHS' from the product menu page. What if I forget my new login details? If you forget your individual username and password you have three options: 1.Consult the we sent to you once you completed the registration process. This contains your username and password. 2.Use the forgotten password function. This will be shown when you enter an invalid username and password. 3.Contact Customer Support contact details are displayed on the unsuccessful login page. 7
11 Frequently Asked Questions How am I going to benefit from creating a 'MyIHS' account? By creating an individual username you will be able to customise the products you subscribe to. Selected products will offer alerting to ensure you are kept up to date with the latest critical information in your field. I just want to access a document, how long is registration going to take? We have designed the registration process to be easy to complete, it should take you less than five minutes to register. If you encounter any issues during registration please contact our Customer Support team who will be happy to assist you. Do I need to remember my organisation username and password? No. Your new username and password is all you need to remember, these will be ed to you once you complete registration and there is a forgotten password feature available. I am responsible for my company s login details, what do I do if people leave the organisation? IUL will enhance account security. If employees leave your organisation you have the option to self administrate your account. To do this simply login with your parent account username and admin password, select Options Administrate Users. If you require assistance with account administration please contact our Customer Support team. What happens if we change our subscription? Nothing. All individually registered users will have access to the new subscription straight away. How do I know you re not going to SPAM my address? IHS adopts a strict Privacy Policy and none of the information provided will be passed on to third party organisations.
